Pantaloon Retail (India) Limited (PRIL) was incorporated on October 12, 1987 as Menz wear.

Private Limited under the stewardship of Mr. Kishore

Biyani.

Headquartered in Mumbai (Bombay).

Open with 16 Pantaloon stores and 21 hypermarkets(Big Bazaar), 33 Food Bazaars,3 central, 2 Fashion Station, 2 all and 1 Mega store operational across the country.

The company operates over 12 million square feet of retail space, has over 1000 stores across 71 cities in India and employs over 30,000 people.

It has been a remarkable journey for PRIL as it has evolved from a manufacturing to a completely integrated player controlling the entire value chain .

ABOUT BIG BAZAAR

During its evolution PRIL Company achieved various milestones and demonstrated innovativeness and leadership by pioneering concepts that has now become industry standards.

One of its major mile stones was the launch of the first Big Bazaar

supermarket in Hyderabad; with the bold claim-”Is se se sasta aur accha kahin nahi !”

Following the success of the Hyderabad episode, more Big Bazaar supermarkets were opened throughout India.

The latest addition to the family is the 40,000 sq.ft. Big Bazaar, Ranchi.

It has tie ups with brands like Planet M, Pizza hut, Baskin & Robins, Nokia etc, so that these brands can open their stores in the Big Bazaar malls.

Big Bazaar was first opened at Parvati Bihar, Kolkata on 11th October 2001.

Now Big Bazaar Has 29 branches all over India and in the eastern zone there are 5 of them

All the Big Bazaars are divided into two parts.

One being the Big Bazaar itself and the other being its ware house .

Each of them has been assigned account numbers which aids

internal communication. The following figure gives an illustration of the structure

Working Procedure

In terms of internal communication, the warehouses of different Big Bazaars (different locations around India) are connected with each other.

whereas the individual Big Bazaar outlets coordinate with their warehouses for daily stock requirements.

In situations where a Big Bazaar finds shortage in any of the stocks, it uses the internal IS connected through a HCL 24 U rack LAN to intimate its warehouse.

The warehouse supplies the required stock and keeps its own stock also in check. Warehouses utilize a REM (retail enterprise management) system to facilitate this process.

With respect to the REM, the stock details are kept in a dump file

which can be opened through Microsoft Excel package (pivot table) for obtaining required details.

This dump file is maintained in all the servers present. The details regarding stock are communicated to other units through such dump files.

There are two methods of transferring dump files to other units viz.

(I) Through internal mailing system on the pantaloon MIS or

(ii) If there is an ordering system available on their supplier’s side, through e-mail thus saving a lot of hassles.

The information sent to the vendors is called VMI – vendor merchandising information.

The stocks are coded for simplicity. The garments are coded using a 14 digit number.

while the stocks purchased from vendors use an alpha numeric system beginning with two alphabets (namely LP – Local Purchase, OA for on approval and VC for vendor consignment) followed BY 10 digits.

Each of the warehouses can order their stock in three ways . (i) Through the headquarters. (ii) Through another Big Bazaar warehouse (iii)Directly from their supplier. However, the delivery challans will be stacked and sent to the HQ

every month thus keeping the purchases in check. The warehouses communicate to each other on a weekly basis to

exchange their stock related information.

Two centralized servers are used by the MIS viz. (i) The main server and (ii) The other a backup server which can take over from the

main server with in 5 min, if there is any problem

Each of the servers has its own storage system with mirroring hard disks (15 hard disks storing the same info simultaneously).

The information is backed up continuously on CD’s everyday. The entire system is backed by an excellent electrical wiring by JD

International (electrical maintenance dept).

There are 15 transaction counters in Big Bazaar. The recording of transactions at each of these counters is done using REM.

The database used for the storage is called POSH data base and this is an in-house production of pantaloon.

These transaction counters can capture credit card details and customer information of big customers (though all the information relating to all the customers is not collected as of now).

Receipts of transactions are cash, credit or in the form of sodexho passes. The sodexho passes are sent to the HQ on a monthly basis and converted to cash.

The number of transactions made per day varies from 3000-4000 on week days to about 5000 – 6000 on weekends. Any transaction recorded at each terminal is stored directly onto the POSH database.

Oracle finance: a package from oracle is used for this purpose. The financials are sent to the HO on a daily basis.

Weakness:- The IT department is separated from operations and

the IT department is only in charge of giving information. All decisions are made by the operations teams itself.

Out of the 9 modules Big Bazaar has only the billing module fully mechanized. The warehouse module is semi mechanized and there is no seamless integration platform.

One major shortcoming of the information system is that it does not help the organization in measuring the performance of employees and that can create several HR problems for the organization

Process is too much time taking. Erroneous billing structure at e-bicounters as most of the time new offers are not updated regularly.

What we have seen above is a critical analysis of the Informational System prevailing in one of the largest retail stores in Ranchi. We have looked at the prevalence of IS from a macro perspective, keeping the industry in mind, and the micro perspective of the organizational conditions as well. At the macro level, the applicability and effectiveness has ensured that Big Bazaar has excelled in a place like Ranchi and become as pioneer in the industry. This has been largely due to a radical and perfectly functioning Information Systems. Coming to the micro level, the effectiveness of the IS is greatly brought out by the efficient supply chain and delivery system that Big Bazaar have. They have achieved top spot in retail within Ranchi and are excelling in other places as well.
