format and will be held in the Atholl Suite together with posters and the exhibition. A floor plan of the hotel is available online at

Accommodation
For those who have reserved accommodation at the Atholl Palace Hotel, check in is available from the main reception desk
from 14:00. On departure, rooms must be vacated by 11:00 and bedroom keys should be returned to reception. The reception
desk is manned 24 hours per day.
For residential guests, breakfast will be served daily from 07:30–10:00 in the Verandah restaurant located on the ground floor.
Breakfast consists of a full Scottish or continental breakfast.

hotel is located a 20 minute walk from the station. A shuttle car service will be provided on Sunday 23 August between the
hours of 13:00–17:00. Outside of these times, participants requiring transport are recommended to pre-book a taxi.

Citizens of the EU do not need a visa to enter Britain. If you are from any other country, find out about visa requirements before

Complimentary WiFi is available throughout the hotel. No password is required.
Registration
Registration will be held in the hotel foyer at the times listed below. Each participant will receive a pen, a notepad, a copy of the
programme and a lapel badge. The abstract book will be in digital format only and will be available to download from the
website at least one week prior to the start of the event.
Participants are asked to wear their badge at all times to help with security and to enable you to identify fellow participants.
Replacement badges can be issued at the registration desk. On departure, please return your badge to be recycled.

The registration fee is inclusive of refreshments and lunch for the duration of the event, evening meals from Monday to

Guests of participants are welcome to attend the evening social events if pre-booked before the start of the event. Please refer

Participants or guests with special dietary requirements are asked to notify the conference office, if they have not already done
so when registering, prior to their arrival. Those with special dietary requirements other than vegetarian are asked to make
themselves known to the catering team. It will not be possible to provide an alternative menu unless prior notification has been
received. Please email [email protected] if you have any queries.
Nut allergies – unfortunately the venue cannot provide assurances that food has not been cross-contaminated with traces of
nuts during ingredient processing at manufacture’s site, and during food preparation on site. For this reason, we are unable to
provide guarantees that any of the food is free from nuts or trace elements.
There is no dress code for the evening meals. Participants who wish to wear some item of tartan for the conference diner on
Thursday the 27th August will find that there are various shops in Pitlochry.

Social programme
Monday 24 August
A pre-dinner reception will be held in the lounge area from 17:40 and will be followed by dinner in the restaurant.
A Whisky reception will be held in the Atholl Suite from 20:00 and will include a general talk about the production of Whisky.
There will also be an opportunity to sample three different whisky’s including Tomatin and Ballechin.
Tuesday 25 August
A drinks reception will be held alongside the posters from 17:00. A BBQ will follow the reception in the Garden (weather
permitting).

Excursions
On Wednesday, the programme will finish at midday to allow participants to take part in one of the three planned excursions.
Alternatively, participants can take advantage of the hotel facilities or explore picturesque Pitlochry by foot.
Hill walk of Ben Vrackie
Participants can take part in a hill walk of Ben Vrackie, a mountain overlooking Pitlochry. Please make sure you have read and
understood the guidance notes available online at http://ipels2015.iopconfs.org/social before agreeing to take part. The
following is some important information to note.
Ben Vrackie is a small mountain reaching an altitude of 2759' (841 m) and an ascent is likely to take about 4-5
hours round trip.
You will need to be reasonably fit and physically capable to undertake such a walk.
The temperatures in August can vary, with record high of 28 C and record low of freezing point (though this will be
at night) in the town. More typical temperatures vary in the range 9-19 C. Temperatures on the mountain will
typically be cooler (possibly much cooler if there is a significant wind).
It is important to note that conditions in the Scottish highlands are highly unpredictable and can change rapidly
from sunshine to severe.
Hillwalking always brings some element of risk and, if you decide to partake in this activity, you acknowledge the
inherent hazards and agree that you partake at your own risk.
Neither the conference, nor the Institute of Physics, accept any liability to delegates who choose to partake in this
activity, other than liability for death or personal injury which arises as a direct result of the conference’s or the
Institute of Physics’ negligence (as appropriate).
Anyone partaking in this activity acknowledges that they are solely responsible for their personal health and safety
and for their property.
It is recommended that anyone considering taking a hillwalk in Scotland take sensible precautions with regard to
clothing, equipment and footwear, and make sure that their insurance is appropriate. It a good idea to take food
and warm drinks - so a thermos flask would be advisable. Heavy weather walking clothing (waterproof insulated
jacket, waterproof trousers or overtrousers, boots) is appropriate in all seasons. Very few paths in the Scottish
highlands are paved or made, so proper hillwalking boots ARE ESSENTIAL.
Participants should meet in the hotel reception and be ready to leave at 13:30. A packed lunch will be provided.
Pass of Killiecrankie
The Pass of Killiecrankie is a wooded gorge with the River Garry flowing along its base. The Battle of Killiecrankie, the major
event in the first of the Jacobite uprisings, was fought nearby. For further information see

A packed lunch will be provided. Coaches will depart from outside the hotel at 14:15 and 14:45 and will collect from the same
drop off point at 16:30 and 17:00. The journey time is approximately 15 minutes. The coach company is Elizabeth Yule
Coaches & Taxis.
Tour of Blair Athol Distillery
This Distillery produces a 12 Year Old Single Malt Whisky, with a mellow deep-toned aroma, a strong fruity flavour and a smooth
finish. Blair Athol Distillery contributes to the Bell’s Blend, the most popular blended whisky in the UK. For further information

The tour of the Distillery will start at 14:00 and from the hotel the journey takes 10 minutes on foot. Participants are expected to
make their own way to the Distillery. A map can be found overleaf.

Information for presenters
Oral presentations
The audio-visual equipment included in the lecture theatre is an LCD projector, screen and PC. If you require any additional
equipment, please email [email protected]. Presenters are asked to prepare their presentations to match the time
allocated in the program as these will be strictly enforced by the session chairs.
Presentations should be structured to include an introduction, the main content and conclusions. Visual aids (e.g. maps, charts
etc) can be used but you are advised to keep the information simple, use colour and contrast for emphasis and use a large
enough font (minimum 15 point) to ensure legibility.
Presentations should be sent in advance of the conference as a PDF or PowerPoint file by e-mail to [email protected];
please include the date and time of your presentation and only send presentations which are complete. If you are unable to
send your presentation prior to the conference, please bring it with you on a USB memory stick and load it onto the PC located
in the lecture theatre no later than the start of the session in which you are speaking. Please save your file as your surname and
initial in the appropriate folder on the desktop.
Direct connection of personal laptops (with set-up in the break prior to the corresponding session) is the alternative. For those
using a PC laptop, please make sure you have a VGA output. If presenting from a Macintosh, please bring a VGA cable.
The electrical current in the UK is 50Hz 230v AC and 3 pin plug sockets. If you need an adapter, please bring one with you.
Adapters can be purchased from the airport.

Poster displays
Posters will be on display for the duration of the conference with a dedicated poster reception taking place on Tuesday from
15:55. During this session, authors are asked to remain next to their posters to answer questions.
Displaying and removing posters
Posters can be mounted from 08:00 on Monday 25 August and must be removed by 13:30 on Friday 28 August. Any poster
not removed by this time, will be recycled.
Dimensions
Poster boards are 7ft high by 3ft wide (2.13m by 0.91m); posters must fit within these dimensions. Posters must be prepared
in advance of the conference as it will not be possible to print them on-site. Fixing material will be supplied to mount your
poster.
Scientific programme

included in your conference pack which you will receive on arrival at the conference.
Stands

A selection of papers from the conference will be invited for a special issue of Plasma Physics and Controlled Fusion. The

Safety and emergency evacuation procedures
In the unlikely event of a fire, an alarm will sound. Please evacuate the building immediately. Emergency exits are well sign
posted. Do not re-enter the building until instructed to do so by a member of staff or the fire brigade. The hotel has a test fire
drill on Monday at 11am.
Non-smoking policy
The hotel is non-smoking.
First Aid
If you fall ill or injure yourself during the conference, please report the incident to a staff member who will call a
trained first-aider. In case of serious injury, paramedics will be called. All three emergency services, fire, ambulance and police,
can be contacted by dialling 999 from any telephone.

Payment
The organiser reserves the right to refuse admission to any participant who has failed to pay their registration fee prior to the
start of the event.
Money
Britain’s currency is the pound sterling (£) - see www.xe.com for currency converters. Scottish banks issue their own notes with
exactly the same value as those issued by the Bank of England and they are legal currency in all parts of mainland UK.
Value Added Tax (VAT) - is charged on all purchases currently at a rate of 20%, people travelling to Scotland on business may
be entitled to reclaim the tax charged on event expenses
