A. THE BNA 2013 FESTIVAL OF NEUROSCIENCE
The Festival in brief and its objectives
The idea for an inter-disciplinary neuroscience meeting to be held in the UK quickly
gained traction amongst the neuroscience community. Styling it as a “Festival of
Neuroscience” grabbed the imagination of academics, corporations, SMEs and
policy-makers alike.
Hosted by the British Neuroscience Association (BNA), and with enthusiastic
support from 18 other learned societies with a neuroscience interest, the Festival
will be a unique event bringing together basic and clinical researchers –
biochemists, pharmacologists, anatomists, developmental biologists,
physiologists, immunologists, oncologists, psychologists and psychiatrists in
an iconic venue, the Barbican, in Central London.
Over 2000 delegates are expected to register for the meeting which will comprise
56 symposia and workshops, 8 high profile plenary lectures and poster
presentations.
In parallel with the academic conference, there will be an exciting
public engagement programme of debates, lectures and the arts offering many
networking opportunities.
A major trade show will be held in the Barbican Centre Exhibition Hall 2, and this
will be fully integrated with the poster sessions and main catering points. Incentive
schemes will be used to channel delegates to the Trade Show and exhibitors will be
encouraged to engage visitors and maximise leads.

HOW TO BECOME A SPONSOR?
In the following pages, we are offering your organisation the opportunity to become
a sponsor of the BNA 2013 Festival of Neuroscience. We feel sure you will
want to be amongst the first to take advantage of the excellent 2013 sponsorship
opportunities and would encourage you to make early application to the Festival
Secretariat, TFI Meeting Point, as soon as possible to secure an exciting
sponsorship package.
The various sponsorship options are listed in the following pages in which you can
select different elements. Packages can also be individually tailored up to the
amount of the financial support you can afford.

10. Festival App
Cost (VAT excluded) £20,000
The Festival App enables Festival participants to access all Festival related
information and functions, such as scientific programme, abstracts, posters,
and exhibitors. It allows Festival participants to plan and organise their personal
schedules for the Festival.
The app will be available on Apple and Android devices.

Details of the app will be discussed with the Sponsor, and no advertising will be
permitted in the App other than that agreed with the Sponsor.

Cost (VAT excluded) £2,500
The opportunity is offered for sponsors to provide an insert. A4 size double-
sided, colour or black and white flyer/promotional leaflet. This flyer could be
text only promoting activities on exhibition stand or it may be an existing
corporate flyer on information of your services or products.

- Acknowledgement as a Festival Insert on the Festival website
- One piece of documentation inserted in the Festival Bag
12. Poster Boards

13. Abstracts on USB

The USB stick will contain all of the BNA2013: Festival of Neuroscience Abstracts.
The stick will be distributed to all participants in the Festival bag. It is envisaged that
one side of the stick will have the Festival logo and the other side will have the
Sponsor’s logo.

for distribution to all delegates.

TERMS AND CONDITIONS
In order to be valid, your stand reservation or sponsorship must be completed on the ORIGINAL APPLICATION FORM attached and sent to The Festival Secretariat, c/o TFI Meeting Point, 3rd Floor, 192 Vauxhall Bridge Road, London SW1V 1DX, along with a 50% deposit of the fee. The signature on the stand reservation form (if a stand is required) and the deposit paid constitute a firm hire commitment and compel the subscriber to accept both the general conditions and the exhibition rules and regulations. No verbal or telephone agreement will commit TFI Meeting Point nor the Organising Committee unless confirmed in writing. The remaining fee is to be settled by 31st December 2012 at the latest. Non-payment by this stated deadline will lead to cancellation of your stand booking and all entitlement to benefits, without reimbursement of the deposit paid. Site allocations are subject to the full payment and the agreement of TFI Meeting Point and the Organising Committee. Once locations have been allocated, no change of location will be possible without TFI Meeting Point’s written agreement. The Exhibition floor plan presented in this document is a non-contractual one and is subject to acceptance by the Barbican and official Fire & Safety services. ELECTRONIC TECHNICAL MANUAL An Electronic Technical Manual will be sent to every registered exhibitor and sponsor by the end of December 2012. This manual contains all information, regarding general conditions, safety regulations, setting up a stand and arrangement conditions, description of the stand, specification documents and maps along with order forms and prices for furniture, decoration and all necessary services (telephone, electricity, transport, storage …). PAYMENT The Organiser has given mandate to TFI Meeting Point for the organisation of its Festival and TFI Meeting Point is the sole competent company to receive payments for this. Payment of the deposit may be made either: Credit Card Visa, Mastercard and Amex are accepted, a 4% credit card supplement will be applied. Bank Transfer
- All costs have to be borne by the ordering customer and “free of charge for the receiver account” on all payments

RULES AND REGULATIONS TFI Meeting Point has been entrusted with the general logistics and organisation of the 2013 BNA Festival of Science. It will be referred to as “The Organisers” here-below. Exhibitors shall abide by the local and site regulations with respect to law and order, safety and security. The Organisers will take appropriate action against those who do not comply with the regulations. The Organisers have the authority to demand removal/change of any structure which is not in accordance with the Festival rules or cancel participation. The decision of the Organisers will be final and binding. CANCELLATION POLICY Once the sponsorship agreement has been signed there will be no refund of any of the sponsorship and/or exhibition stand fee and all monies still due under the sponsorship agreement remain due in the event of cancellation by the Sponsor. Entry to the Exhibition Access to the exhibition will only be possible to registered Festival participants or exhibition participants. Insurance The Sponsor signatory renounces its right to take recourse against the Organisers or against the owners of the premises and undertakes to underwrite insurance policies covering all risks incurred by the material exhibited (theft, damage, etc) along with public liability covering the permanent or occasional staff employed by the company, present at the congress. In any case, the insurance protection will NOT be given to the exhibitors by the Organisers. Force Majeure In the event of force majeure, the exhibition dates may be changed or the event may be purely and simply cancelled. In the last event, the disposable funds after payment of expenses will be shared between exhibitors in proportion to their payments without it being possible to take recourse against the Organiser or the producer. Interpretation of the regulations and amendments TFI Meeting Point is the sole competent authority as to problems arising from the interpretation of the here-enclosed regulations and their enforcement. Any expenses resulting from the non-observance of the here-enclosed regulations will be chargeable to the exhibitor. TFI Meeting Point reserves the right to change or to complete the here-enclosed regulations but the exhibitors will be informed.
