13600 SW Allen Blvd.
6.15.17 Board Minutes DRAFT.docx Page 2 of 4
o Cash balance for May was $778,811. This about $76,000 less than the previous month, but the primary reason relates to the fact that the BSD payment was not in-hand until June 6th , so it shows up as an accounts receivable posting.
o Net profit for May was $29,792. • Discussion of recent break-ins. Security is increased.
Principal’s Report (Diaz)

New Business
• Wellness Policy Vo o State requires update to safety policy. Erica has used their template and adjusted it to us. We
need to adopt it – and we have one year to get in compliance. Ours cannot be weaker than BSD’s – but BSD has not yet adopted one. So we may have to update and again if BSD comes out with a more stringent one.
o What are the Gaps/changes/elements of note? ▪ Notification. Potentially in welcome packette? Can post on website and direct people
to check the website. ▪ Note: PE and recess advised to not be withheld as a discipline technique. ▪ Compliance – may need to watch things like advertising poster for restaurant night.
Have to be careful about promoting any business not in healthy standards qualification. ▪ Mosty focused on food. Minor focus on PE. This is bc the PE laws are in flux right now.
We may need to add more when that settles out. o Motion to adopt the revised wellness policy. Unanimous. o Erica will post on policy in dropbox o Suzanne will post online
• 2017/2018 Budget Billings o Motion to accept the revised budget for the 2017/2018 year adding the middle school math
instructor. Unanimous. • Early release workgroup Jeffery
o Staff and board member needed to help review list of ideas on best assisting parents and students on early Wednesday. Parent group has already made progress so this may no longer be necessary?
o Martha – will follow up on the ideas presented by parent group. o Martha will consider staffing implications of buenas tardes– especially for the first few
sessions. May reach out into parent community to ask about needs to make the best determinations
• Board Term renewals Jeffery o Motion – extend Carrie’s term 1 month. Unanimous. This helps to determine best placement
after candidates in the funnel are further considered. Gives room for Carrie to potentially take a different role.
• Board Officer Elections Jeffery o All officers are elected in June – even if joined later in the year. o Vote to accept Suzanne as Secretary. Unanimous. o Vote to accept Rob as Treasurer. Unanimous. o Vote to accept Christa a President. Unanimous. o Suzanne to update state records with new officers.
13600 SW Allen Blvd.

o Martha to update BSD about new officers.
Board Updates
• Development Workgroup Aguilar o Regarding next year’s fiesta night: Met with Patrick. Did tour of Embassey suites to review
for a possible auction location. Date of April 28th , 2018 likely set. They block rooms so easy to book if people want to stay. Room can accommodate 300 guests plus silent auction. Hiring people ahead of time. Will help new organizers – but Candice & Amy not planning to chair the event. Sound, venue, auctioneer, greater giving, checkin/checkout people all negotiated or hired to help set up the new team.
o Note- DJ offered services for free to student council. Candice to follow up with Mr B. • Nominating Workgroup Jeffery
o 2-3 candidates in the pipeline. Interviewing and still recruiting for more. • Technology King
o none • Site Planning Workgroup Billings
o Making progress with bond evaluation. Believe we can be approved for $7-9 Million based on initial audit.
o Potential building of 34,000 feet identified. Would fit K-8. Could have play area. Working on getting a few questions answered. Architect is working on possibilities. Does not need sizemic upgrades. Hope to have an LOI to board in the next month. Becky trying to schedule a tour for architect and board members may have an opportunity to attend as well.
o Potentially use hands-on-Portland to get community volunteers if we need help getting site ready.
• Strategic Planning Jeffery o No update at this time. Main focus is to get new building. o Officers may meet this summer to discuss.
Other
• Board Training Rain o Christa to schedule training from attorneys on communications protocols next fall.
• Question about security for greater giving. Who should have access? o Rob & Ryan should look at this. Sky is a good reference if there are questions about
concerns. Closing Comments and Action Item Review(Suzanne) Adjourn at 7:59 pm by Caitlin Prepared by Suzanne Cashman Rain
See below for the Treasurer's Report - June 2017: Treasurer’s Report (Rob) o ADMW received for June: No payment made in June. Two payments expected in July, per Tonya. o Total income for June was $173,928 o Cash balance for June was $706,435. o Net loss for June was -$73,660 Preliminary figures for the full 2016-17 year indicate actual income exceeding budget by over $160,000, with gains in just about every category except Food Service and Activity Fees. Fundraising income was 35% over budget, Aftercare income was 26% over budget, and School District support, our largest source of income, akin to tuition earnings, was 5.5% over budget. In contrast, total expenses were a mere $5,600 over budget, or less than 1/2 of one percent, showing an over solid performance, adding 209% more in net income to our accumulated net assets (equity).
Bank Change Update: I have one proposal from Pacific Continental, and spoke with Heritage Bank on Thursday, telling them to get a proposal ASAP, but am still awaiting it. Will forward both as soon as I get them. Early indications show that Pacific is offering a great package, and Heritage is touching all the customer service bases. Either would be a much, much better fits than US Bank.

Perla,
Thank you so much for this opportunity to present you this bid for Janitorial services.
We operate under a 100% satisfaction guarantee! I have removed any language in the contract that
binds you to a long term agreement. In short, if you are ever not happy you can terminate our
contract, no questions asked. Please feel free to contact our references and they can speak to our
commitment to excellent customer service. I would be lying if I told you we are perfect or that we are
the best at what we do. However, I take great pride in running our family business and use your
satisfaction as a gauge for our success.
CleanSolution has been able to implement significant cost savings in supplies for most our clients.
Regardless of your decision on which janitorial service provider to hire, I am extremely confident that
we can save you money on supplies. I have partnered with our preferred Vendor SupplyWorks to
provide these products. This includes, but is not limited to hand towels, trash liners, toilet paper, soap,
light bulbs, furniture, appliances…pretty much anything you can find at a Home Depot and Staples.
Thank you for the opportunity to bid on all your cleaning needs. If you have any questions, please
don’t hesitate to ask.
Sincerely,
Stewart Hulick
