Introduction

Welcome to MYBICA – E-business Portal

We are pleased to announce the introduction of online membership services through our

Membership Portal (MyBICA). Once you are registered you will receive an email

notification with your credentials to allow you access to our membership database and be

able to:

Communicate with the Institute online. ( Service requests)

Amend your personal details from the comfort of your office.

Submit you CPD return and view your CPD statements

Pay your annual subscriptions and view your outstanding invoices

Register for CPD events and pay for them online

View calendar of events from the Institute.

We are excited about the Membership Portal and hope you will find it exciting as well

and take advantage of these great features.

YOUR GUIDE TO A SECURE PORTAL (MYBICA)

MyBICA is fast, convenient and efficient. The attached guide will help answer some of

the questions you may have about our new e-business service. If you still have questions

after reading the guide please contact [email protected] or call 3972 992 ext. 117 or

121. Since you are already a member of the Institute you do not need to do anything

much to register for MyBICA you are only required to send an email to

[email protected] with subject matter MyBICA registration and your

membership number, an email will be sent to you from [email protected] to confirm

your registration and your credentials to logon to MyBICA. Once you have received your

temporary password you are at liberty to change it or alternatively you can request us to

reset it. (A full guide on how the portal works from page 6 -13).

What you should know about MyBICA?

MyBICA gives you direct contact with the BICA department that deals with specific issues

hence your services requests would be responded to quickly.

MyBICA gives you access to your data in the BICA database and any changes to you

data will be recorded and an email confirmation send to you.

MyBICA is a secure payment platform, all payment done through this platform directly

reflect on the BICA bank accounts.

What can I do on MyBICA?

As BICA Members you will be able to do the following activities on the portal

- login and out - change password - request forgotten password via email - change Personal details including email address, Postal address, Telephone

numbers, Fax numbers, Passport numbers, work permits details, Employers name, and Job Title,

- View CPD statements and outstanding payments - Registration of CPD Events online - Online payments - Make service requests - Download documents/forms applicable Make annual returns online

How does MyBICA work?

To logon to Mybica you need to logon on the BICA website www.bica.org.bw then click

on Member Area on the home page screen or https://mybica.org/MMSSITE

Guidelines

1. Once the Admin users have created your username (which will always be your member number)

you will receive an email that has your temporary password. Find sample email format below.

The email will also contain the web portal address therefore just copy and paste to your browser

and log in.

2. Enter the credentials on the login screen that appears after clicking on the

https://mybica.org/mmssite link that came on your email.

3. The first Screen is the Terms and Conditions Screen you will have to accept to continue. Once

accepted you will only accept once again if changes were made to the current terms.

4. Once logged in four options will be on visibility, My Profile, Invoices, CPD, Service Request,

Event Registration and Change Password.

My Profile The My Profile option allows for a member to manage their personal details, under this option there are

three tabs which are the Membership details, Personal Details and Contact Details. Please note that only

the Personal and Contact Details can be edited; click Submit option once done making changes or the

Back Button to go to the main page.

Invoices This option will display all the unpaid and paid invoices of the member. Clicking the Paid check box will

display only those that have been paid while the unpaid checkbox displays invoices that are still to be

paid.

Below are steps on how to pay for an Invoice

1. Firstly select the invoices to pay for by clicking on the Select to Pay option on the top right.

2. Totals are displayed on the bottom textbox if you are happy click the Pay Selected Invoices

3. A payment Confirmation screen is displayed if you satisfied click Proceed with Payment or

Cancel to Decline, you will now be directed to FNB payment portal to enter your card details.

4. Capture your card Details then click Pay to start Payment of the invoice.

5. A confirmation ticket is displayed, click back to go to the main page.

CPD The CPD option allows the members to be able to submit their CPD return directly from the web portal.

Below are the steps on how to use the CPD option.

1. Click CPD and a form like the one below is displayed, this shows all submitted and not submitted

2. Click the green + button to create a CPD submission

3. Click the Black pen button to edit a submission

4. Click on the eye to view the CPD details

5. A green button shows that CPD has been submitted

6. A Red button shows the CPD has not been submitted

NB: Once a CPD has been submitted, it cannot be edited.

Service Request The Service Request option allows the member to communicate with the BICA staff, the member can do

the following under the service request option.

1. Submit a request to the Accounts Department

2. Submit a request to the Marketing Department

3. Submit a request to the Membership Department

The below screen displays a service request to the membership depart for a service of changing the

Practicing certificate status, the service request textbox allows for typing the details of the message.

Clicking on the submit Button will submit the request to the BICA Staff who from their side will respond

to the request.

Event Registration The Event Registration allows for members to be able to register for upcoming events and pay for them.

Clicking on the Event Registration will display a menu like one displayed below. The Available tab

displays events that the member can register for, the Registered tab lists the events that the member

has registered for while the Cancelled displays events that the user had registered for but cancelled. The

Past tab displays events that are overdue.

1. To register for an Event Click on the Click here to Register Button, This will create an item on

your shopping basket that contains all the events that you desire to pay for. Paying can be done

later

2. Click on Cancel to remove the Item from your shopping Basket or Click Remove All to remove all

the Items from your Basket. Clicking on the Click here to register for Selected Events will display

a list of events that can be paid for or removed from the shopping basket.

3. Click on the Click here to register for Selected Events to proceed to the payment Screen.

4. Select the Back to return to the main screen.

5. Click the pay button to make the payments for the events.

6. A screen with the payment details will be displayed. (Sample Screenshot above)

7. Click Proceed with payment to continue to the payment screen, click Cancel to stop

8. Capture your card Details then click Pay to start Payment of the event.

9. A confirmation ticket is displayed, click back to go to the main page.

Change Password This Option allows for a member to change their own password, this can be done by

1. Click on the Change Password Option

2. Then capturing the Old and New Passwords

3. Click save to save the just made modifications

4. Click Back to return to the main screen

Get Technical Support

The Technical support will answer the precise questions regarding the use of MMS Portal

(for the current version of the product). It gives you additional information regarding the

features and the functions of your system. It clarifies subtle points. It can help you find the

source of some errors that occurred during system run.

The purpose of the Technical Support is not to replace the necessary training steps.

Before you call the Technical Support, you must have followed the "Tutorial" in order to be

familiar with the use of the system. This is the minimum investment required to enjoy both

your product and the Technical Support.
