Memory storage1

Even if there is a power failure, you will notlose the settings you have chosen using theMenu key because they are storedpermanently. Also, you will not lose yoursettings in the FAX , SCAN , COPY andPHOTO CAPTURE mode key menus if youhave chosen Set New Default . You mayhave to reset the date and time.

NoteDuring a power failure the machine willretain messages that are in the memoryfor approximately 24 hours.

Automatic DaylightSaving Time 1

You can set the machine to changeautomatically for daylight saving time. It willreset itself forward one hour in the Spring andbackward one hour in the Autumn. Make sureyou have set the correct date and time in theDate&Time setting.

Sleep Mode 1

You can choose how long the machine will

remain idle (from 1 to 60 minutes) before itgoes into sleep mode. The timer will restart ifany operation is carried out on the machine.

Mode Timer 1

The machine has four temporary mode keys

on the control panel: FAX , SCAN , COPY andPHOTO CAPTURE . You can change theamount of time the machine takes after thelast Scan, Copy or PhotoCapture operationbefore it returns to Fax mode. If you chooseOff , the machine stays in the mode you usedlast.

Secure Function Lock2.0 2

Secure Function Lock lets you restrict publicaccess to certain machine functions:

Fax Tx (Fax Transmit)

Fax Rx (Fax Receive)

Copy

Scan

PCC

PC Print

Colour Print

This feature also prevents users fromchanging the default settings of the machineby limiting access to the menu settings.

Before using the security features you mustfirst enter an administrator password.

Access to restricted operations can beenabled by creating a restricted user.Restricted users must enter a user passwordto use the machine.

Make a careful note of your password. If youforget it, please call your Brother dealer forservice.

Note• Only administrators can set limitations

and make changes for each user.

• If Fax Tx is disabled, you cannot use anyfunctions in the Fax menu.

• Polling Receive is enabled only when bothFax Tx and Fax Rx are enabled.

Before you begin to useSecure Function Lock 2.0 2

You can configure Secure Function Lock 2.0settings using a Web browser. Beforeconfiguration, following preparations areneeded.

a Start your Web browser.

b Type “ http://machine’s IP

address/ ” into your browser's addressbar (where “ machine’s IP address ”is the machine’s IP address).

For example:

http://192.168.1.2/

NoteYou can find the machine's IP address inthe Network Configuration List. (SeePrinting the Network Configuration List inthe Network User’s Guide .)

c Enter a password in Login box. (This isa password to log into the machine'sWeb page, not the administratorpassword for Secure Function Lock.)

NoteIf you are using a Web browser toconfigure the machine's setting for the firsttime, set a password.

2 Enter a password you want to use(up to 32 characters).

3 Re-enter the password inConfirm new password box.

You can configure these settings using aWeb browser. To set up the Web page, seeBefore you begin to use Secure FunctionLock 2.0 on page 4 . Then follow theinstructions below.

Setting the administrator password 2

The password you set in these steps is for theadministrator. This password is used to setup users and to turn Secure Function Lock onor off. (See Setting up restricted users on page 5 and Turning Secure Function Lockon/off on page 6 .)

a Click Administrator .

b Click Secure Function Lock .

c Enter a four-digit number for thepassword in the New Password box.

d Re-enter the password in theRetype Password box.

e Click Submit .

Setting up restricted users 2

You can set up users with restrictions and apassword. You can set up to 10 users.

You can configure these settings using aWeb browser.To set up the Web page, see Before youbegin to use Secure Function Lock 2.0 on page 4 . Then follow the instructionsbelow.

a Click Administrator .

b Click Secure Function Lock .

c Enter an up to 15 digit alphanumericgroup name or user name in the

ID Number/Name box and then enter afour-digit password in the PIN box.

d Uncheck the functions that you want torestrict in the Print box or the Others box. If you want to configure themaximum page count, check the On boxin Page Limit , and then enter thenumber in the Max. box. Then clickSubmit .

Note• You cannot use the same password as

another user’s password.

• You can set up one Public user. Publicusers do not need to enter a password.For more information, see the NetworkUser's Guide .

Turning Secure FunctionLock on/off 2

NoteIf you enter the wrong password, the LCDwill show Wrong Password . Enter the

correct password.

Changing to the Public mode 2

Note

After a restricted user has finished usingthe machine, it will return to the Publicsetting within the same time as the ModeTimer setting. (See Mode Timer on page 3 .)

Sending faxes using multiplesettings 3

When you send a fax you can choose anycombination of these settings: resolution,contrast, scan size, etc.

a Press ( FAX ).The LCD shows:

b Press a or b to choose a setting youwant to change.

c Press d or c to choose an option.Press OK .

d Go back to b to change more settings.

Note• Most settings are temporary and the

machine returns to its default settings afteryou send a fax.

• You can save some of the settings youuse most often by setting them as thedefault. These settings will stay until youchange them again. (See Setting yourchanges as a new default on page 8 .)

Stop faxing 3

To stop faxing, press Stop/Exit .

Contrast 3

If your document is very light or very dark, youmay want to change the contrast. For mostdocuments the factory setting Auto can beused. It automatically chooses the suitablecontrast for your document.Choose Light when sending a lightdocument. Choose Dark when sending adark document.

a Press ( FAX ).

b Press a or b to choose Contrast .

c Press d or c to choose Auto , Light orDark .Press OK .

NoteEven if you choose Light or Dark , themachine will send the fax using the Auto setting in any of the following conditions:

• When you send a colour fax.

Changing fax resolution 3

The quality of a fax can be improved by

changing the fax resolution.

a Press ( FAX ).

b Press a or b to chooseFax Resolution .

c Press d or c to choose the resolutionyou want.Press OK .

NoteYou can choose four different resolutionsettings for monochrome faxes and twofor colour.

If you choose S.Fine or Photo and thenuse the Colour Start key to send a fax,the machine will send the fax using theFine setting.

Setting your changes as anew default 3

You can save the fax settings forFax Resolution , Contrast ,Glass ScanSize and Real Time TX youuse most often by setting them as default.These settings will stay until you changethem again.

a Press ( FAX ).

b Press a or b to choose the menu optionthat you want to change. Press d or c tochoose your new option.

Repeat this step for each setting youwant to change.

c After changing the last setting, pressa or b to choose Set New Default .Press OK .

You can restore the fax settingsFax Resolution , Contrast ,Glass ScanSize and Real Time TX , thatyou have changed, to the factory settings.

Monochrome

Standard Suitable for most typeddocuments.

Fine Good for small print andtransmits a little slower than

Standard resolution.S.Fine Good for small print or artwork

and transmits slower than Fineresolution.

Photo Use when the document hasvarying shades of grey or is aphotograph. Photo has theslowest transmission.

Colour

Standard Suitable for most typeddocuments.

Fine Use when the document is aphotograph. The transmissiontime is slower than Standardresolution.

Manual transmission lets you hear thedialling, ringing and fax-receiving tones whilesending a fax.

NoteTo send a multiple page fax, use the ADF.

a Press ( FAX ).

b Load your document.

c To listen for a dial tone pick up thehandset of the external telephone.

d Dial the fax number.

e When you hear the fax tone, pressMono Start or Colour Start .

If you are using the scanner glasspress 1 on the machine to send a fax.

f Replace the handset of the externalphone.

Sending a fax at the end of aconversation 3

At the end of a conversation you can send afax to the other party before you both hangup.

a Ask the other party to wait for fax tones(beeps) and then to press the Start orSend key before hanging up.

b Press ( FAX ).

c Load your document.

d Press Mono Start or Colour Start .

If you are using the scanner glass,press 1 to send a fax.

e Replace the handset of the externalphone.

Dual Access(Monochrome only) 3

You can dial a number and start scanning thefax into memory—even when the machine issending from memory, receiving faxes orprinting PC data. The LCD shows the new jobnumber and available memory.

The number of pages you can scan into thememory will vary depending on the data thatis printed on them.

NoteIf the Out of Memory messageappears, press Stop/Exit to cancel orMono Start to send the pages scanned sofar.

Broadcasting(Monochrome only) 3

Broadcasting is when the same fax messageis automatically sent to more than one faxnumber. You can include Groups,One Touch, Speed Dial numbers, and up to50 manually dialled numbers in the samebroadcast.

After the broadcast is finished, a BroadcastReport will be printed.

Before you begin the broadcast 3

One Touch and Speed Dial numbers must bestored in the machine's memory before theycan be used in a broadcast. (See Storing OneTouch Dial numbers and Storing Speed Dialnumbers in chapter 7 of the Basic User'sGuide .)

Group numbers must also be stored in themachine's memory before they can be usedin a broadcast. Group numbers include manystored One Touch Dial and Speed Dialnumbers for easier dialling. (See Setting upgroups for broadcasting on page 27 .)

How to broadcast a fax 3

a Press ( FAX ).

b Load your document.

c Press a or b to choose Broadcasting .

Press OK .d You can add numbers to the broadcastin the following ways:

Press a or b to choose Add Number and enter a number using the dialpad.

Press OK .

NoteIf you downloaded Internet Fax:

If you want to broadcast using an E-mailaddress, press a or b to chooseDial Type , then press d or c to changethe option to E-Address , and then enterthe E-mail address and press OK . (SeeEntering Text in appendix C of the BasicUser's Guide .)

Press a or b to choose Phone Book and OK . Press a or b to chooseAlphabetic Order orNumeric Order and OK .Press a or b to select a number andOK .

NoteIf you chose Numeric Order :

Speed Dial numbers start with #.One Touch numbers start with l .

e After you have entered all the faxnumbers by repeating step d , pressa or b to choose Complete .Press OK .

f Press Mono Start .

Polling overview 3

Polling lets you set up your machine so other

people can receive faxes from you, but theypay for the call. It also lets you call somebodyelse’s fax machine and receive a fax from it,so you pay for the call. The polling featureneeds to be set up on both machines for thisto work. Not all fax machines support polling.

Polled Transmit(Monochrome only) 3

Polled transmit lets you set up your machineto wait with a document so another faxmachine can call and retrieve it.

The document will be stored and can beretrieved by any other fax machine until youdelete it from the memory. (See Checkingand cancelling waiting jobs on page 12 .)

As soon as the paper tray becomes emptyduring fax reception, the LCD showsNo Paper Fed . Put some paper in thepaper tray. (See Loading paper and other

If you don't put paper in the paper tray, themachine will carry on receiving the fax, withthe remaining pages being stored in memory,if enough memory is available.

Further incoming faxes will also be stored inmemory until the memory is full. To print thefaxes, put fresh paper in the tray. When thememory is full the machine will stopautomatically answering calls.

Fax Forwarding 4

When you choose Fax Forward, yourmachine stores the received fax in thememory. The machine will then dial the faxnumber you have programmed and forwardthe fax message.

Voice operations5

Voice calls can be made either with anextension or external telephone by diallingmanually or by using Quick Dial numbers.

BT Call Sign (U.K. only) 5

This machine feature lets you use the BT CallSign subscriber service which allows you tohave at least two separate telephonenumbers on one telephone line. Eachtelephone number has its own distinctiveringing pattern, so you know which telephonenumber is ringing. This is one way you canhave a separate telephone number for yourmachine.

Your machine has a BT Call Sign compatibledistinctive ringing function, allowing you todedicate a second telephone number (on thesame telephone line) just for receiving faxes.

Note• You can switch BT Call Sign off

temporarily, then turn it back on. Whenyou get a new fax number, make sure youreset this function. This machine willautomatically answer incoming calls thatuse your new fax number.

• When you set the BT Call Sign feature toOn, the receive mode is set to Manual automatically. Manual mode will notrespond to incoming telephone calls,since the number you use for telephonecalls will use the normal ring pattern.

Sometimes, you may want to choose fromseveral long distance carriers when you senda fax. Rates may vary depending on the timeand destination. To take advantage of lowrates, you can store the access codes of long-distance carriers and credit card numbers as

One Touch and Speed Dial numbers. Youcan store these long dialling sequences bydividing them and setting them up asseparate One Touch and Speed Dialnumbers in any combination. You can eveninclude manual dialling using the dial pad.(See Storing One Touch Dial numbers orStoring Speed Dial numbers in chapter 7 ofthe Basic User’s Guide .)

Copy settings7

You can change the copy settings temporarilyfor multiple copies.

The machine returns to its default settingsafter 1 minute, or if the Mode Timer returnsthe machine to Fax mode. (See Mode Timer on page 3 .)

To change a setting, press COPY and thenpress a or b to scroll through the copy

settings. When the setting you want ishighlighted, then press d or c to choose youroption, and press OK .

When you are finished choosing settings,press Mono Start or Colour Start .

Note• You can save some of the settings that

you use most often by setting them asdefault. These settings will stay until you

Normal

Normal is the recommended mode forordinary print outs. This produces goodcopy quality with good copy speed.

Best

Use Best mode to copy precise imagessuch as photographs. This provides thehighest resolution and slowest speed.

Making N in 1 copies or aposter (Page Layout) 7

The N in 1 copy feature can help you savepaper by letting you copy two or four pagesonto one printed page.

The 1 to 2 feature copies one A3 or Ledgersize page onto two A4 or Letter size pages. Ifyou use this setting, use the scanner glass.

You can also produce a poster. When youuse the poster feature your machine dividesyour document into sections, then enlargesthe sections so you can assemble them into a

poster. If you want to print a poster, use thescanner glass.

IMPORTANT• Make sure the paper size is set to A4, A3,

Letter or Ledger.

The image file extension must be .JPG(other image file extensions like .JPEG,.TIF, .GIF and so on will not berecognized).

Direct PhotoCapture Center™ printingmust be performed separately fromPhotoCapture Center™ operations usingthe PC. (Simultaneous operation is notavailable.)

The machine can read up to 999 files on amemory card or USB Flash memory drive.

The DPOF file on the memory cards mustbe in a valid DPOF format. (See DPOF

printing on page 50 .)

Please be aware of the following:

When printing an index or image, thePhotoCapture Center™ will print all thevalid images, even if one or more imageshave been corrupted. Corrupted imageswill not be printed.

(memory card users)

Your machine is designed to read memorycards that have been formatted by a digitalcamera.

When a digital camera formats a memorycard it creates a special folder into which itcopies image data. If you need to modifythe image data stored on a memory cardwith your PC, we recommend that you donot modify the folder structure created bythe digital camera. When saving new ormodified image files to the memory cardwe also recommend you use the samefolder your digital camera uses. If the datais not saved to the same folder, themachine may not be able to read the file orprint the image.

(USB Flash memory drive users)

This machine supports USB Flashmemory drives that have been formattedby Windows ®.

You can print images from movie files that are

stored on a memory card or USB Flashmemory drive.

Movie files are automatically split by durationinto 9 parts, and placed in 3 rows so you cansee and print the scenes.

Note• You cannot choose a particular movie

scene.

• You can use AVI or MOV movie file

formats (Motion JPEG only). However, ifan AVI file size is 1 GB or more (theshooting time is about 30 minutes) or aMOV file size is 2 GB or more (theshooting time is about 60 minutes), thesefiles cannot be printed.

The PhotoCapture Center™ assignsnumbers for images (such as No.1, No.2,No.3, and so on).

Major digital camera manufacturers (CanonInc., Eastman Kodak Company, FUJIFILMCorporation, Panasonic Corporation andSony Corporation) created this standard tomake it easier to print images from a digitalcamera.

If your digital camera supports DPOFprinting, you will be able to choose on thedigital camera display the images andnumber of copies you want to print.

When a memory card containing DPOFinformation is put into your machine, you canprint the chosen image easily.

This setting adjusts the hue of the whiteareas of an image. Lighting, camerasettings and other influences will affect the

appearance of white. The white areas of apicture may be slightly pink, yellow orsome other colour. By using this setting,you can correct that effect and bring thewhite areas back to pure white.

• Sharpness

This setting enhances the detail of animage, similar to adjusting the fine focuson a camera. If the image is not in truefocus and you cannot see the fine detailsof the picture, then adjust the sharpness.

• Colour Density

This setting adjusts the total amount ofcolour in the image. You can increase ordecrease the amount of colour in animage to improve a washed out or weakpicture.

If your digital camera supports DPOFprinting, you will be able to choose on thedigital camera display the images andnumber of copies you want to print.

Note A DPOF File error can occur if the printorder that was created on the camera hasbeen corrupted. Delete and recreate theprint order using your camera to correctthis problem. For instructions on how todelete or recreate the print order, refer toyour camera manufacturer's supportwebsite or accompanying documentation.

Packing and shippingthe machine A

When you transport the machine, use thepacking materials that came with yourmachine. Follow the instructions below tocorrectly pack your machine. Damagecaused to your machine during transit maynot be covered by your warranty.

IMPORTANTIt is important to allow the machine to“park” the print head after a print job.Listen carefully to the machine beforeunplugging it to make sure that allmechanical noise has stopped. Notallowing the machine to finish this parkingprocess may lead to print problems andpossible damage to the print head.

a Unplug the machine from the telephonewall socket and take the telephone line

cord out of the machine.

b Unplug the machine from the electricalsocket.

c Using both hands, use the finger holdson each side of the machine to lift thescanner cover into the open position.Then unplug the interface cable from themachine, if it is connected.

d Remove the orange protective part fromthe inside right corner of the machine.

e Gently close the scanner cover usingthe finger holds on each side.

WARNING

Be careful not to trap your fingers under thescanner cover.

Always use the finger holds provided oneach side of the scanner cover whenopening and closing it.

f Open the ink cartridge cover.

g Remove all four ink cartridges. Pressthe ink release lever above eachcartridge to release it. (See Replacingthe ink cartridges in appendix A of theBasic User’s Guide .)

Scan to MediaYou can scan a monochrome or colourdocument into a memory card or USBFlash memory drive. Monochrome imageswill be in TIFF or PDF file format andcolour images may be in PDF or JPEG fileformat.

Speed Dial A pre-programmed number for easydialling. You must press

Standard resolution

203 97 dpi. It is used for regular size textand quickest transmission.
