Commands for chairperson and participants

*0 Assistance from the BT Conferencing coordinator: Establishes a connection to the BT Conferencing coordinator of the BT helpdesk.

#0 Conference help menu: Lists all touch-tone commands available to the chairperson and the participants.

*4 Adjust line volume: Adjusts the volume of all lines used in the conference and sets them to a uniform level.

*6 Mute on/off: Reduces the background noise in a noisy environment. To deactivate muting, press *6 again.

Commands available to the chairperson only

#1 Play roll call: Plays back the recorded names of the participants in the conference.

#2 Participant count: Captures the number of participants in the conference.

*2 Stop message: Interrupts all voice prompts or recorded announcements.

#3 Dial-out: Enables the chairperson to add additional participants to the conference. (This dial-out option is a service feature subject to additional charges.)

*5 Mute all participants/deactivate muting: Enables the chairperson to mute the lines of all participants. Using this option is particularly advisable during presentations. To deactivate muting for all lines, press *5 again.

*7 Lock/unlock conference: Enables the chairperson to prevent any further participants from gaining access to the audio conference by locking the conference. To unlock the conference, press *7 again.

*8Recording on/off: The audio conference may be directly recorded and after the end of the conference, the recorded file may be downloaded for archiving or storage. (This recording option is a service feature subject to additional charges.)

#9 Continue conference: Participants may continue the conference, even if the chairperson has left the call.

End conference: By using the ## command to end the call, the chairperson can disconnect all participants at the same time. A notification will be played into the conference when its duration reaches 180 minutes (three hours). The chairperson will then have one minute from the notification to extend the conference by pressing *1. If the chairperson doesn’t respond, then all participants will automatically be disconnected.

Global access numbers are available in over 50 countries around the world. These numbers give your participants the convenience of dialling into the conference call using an international toll free, domestic toll free or local dial-in number, avoiding international long distance charges.

Service features and touch-tone commandsThe BT MeetMe service with global access provides the following service features and touch-tone commands which the chairperson may use for controlling the conference via the keypad of the telephone:

• Manage and control your conferences using telephone keypad, desktop and mobile applications

• Simplified access and call set-up so you can start your calls on time

• Quickly join your conference with just a click of a button

• Call Start Alert is a great security feature because you can see who has just joined your conference

• There are multiple ways for you to dial-out, avoiding the need for passwords (dial-out is a chargeable feature and is subject to availability in some regions).

BT MeetMe also provides the chairperson with the facility to control the conference via the internet.

Desktop ControllerDesktop Controller is a web-based interface that allows the chairperson to view and control his/her BT MeetMe conference call online in real-time. There are no downloads specific to Desktop Controller although the chairperson will need to download the Outlook Add-in application to access the Call Start Alert feature described below.

The chairperson can launch Desktop Controller in a number of different ways:

1. URL:

The chairperson can simply click a URL: http://www.btconferencing.com/meetme-controller/ or select the appropriate bookmark. They will then be prompted to enter their account password which will allow the service to dial-out (if the individual has not already dialled in). Alternatively, they can skip this stage and just enter the monitor screen of the call (after entering their account password).

2. Outlook Add-in:

The chairperson must first download and install the Outlook Add-in (subject to the terms and conditions of the End User License Agreement (EULA) presented upon installation. A copy is available upon request from BT).

Once installed, the chairperson can start a ‘join’ or ‘monitor’ session direct from Outlook, opening the Desktop Controller at the ‘join’ or ‘monitor’ pages. Automatically inserts BT MeetMe dial-in numbers and participant password in an Outlook invitation. Plus a selection of global access numbers can be selected from the add-in for participants joining from other countries.

3. Call Start Alert:

Requires Outlook Add-in to be installed. Anytime a participant dials into the chairperson’s BT MeetMe account, the chairperson will receive a call start alert pop-up on their desktop PC. The chairperson can elect to ‘join’, ‘monitor’ or close the pop-up alert. By selecting ‘join’ or ‘monitor’, the chairperson is automatically taken to Desktop Controller.

• Go straight from an instant message (IM) to a high-quality audio conference with BT Conference Connect for Lync. Works with Microsoft Lync*

• Launch an ad hoc audio conference using Microsoft Lync Online Productivity tool. BT MeetMe for Microsoft Lync Online provides integrated audio conferencing via fixed line or mobile phone for Lync Online meetings*

• Make scheduling your conference calls easier by downloading BT MeetMe Add-in for Outlook which automatically inserts your dial-in details, including global access numbers, into your Outlook meeting invitation

• BT MeetMe Desktop Controller is a web-browser-based console that allows you to monitor and control your conference. It can be launched from your internet browser, Outlook toolbar or via a Call Start Alert feature pop-up.

Mobile applications

Mobile Controller

• A chairperson using a customer-provided BlackBerry, iPhone or Google Android PDA can download the Mobile Controller application. Once downloaded, the application will prompt for the chairperson’s BT MeetMe password and use the data/wi-fi connection to synchronise with the core BT MeetMe service. It will automatically configure the application with the individual chairperson’s MeetMe account details. Once configured, the mobile device will be in real-time contact with the BT MeetMe service. Anytime a chairperson’s BT MeetMe account is activated (i.e. by someone joining), their mobile PDA will be alerted (Call Start Alert), they will be prompted to join the call or to monitor the call via their device’s Graphical User Interface (GUI), or they will have the option to ignore the use of their BT MeetMe account. The application will only be accessible by the chairperson and will be tied to their BT MeetMe account via their chairperson password. Participants joining a call hosted by a chairperson using the application will notice no difference to the service experience.

The key features of Mobile Controller centre on the following options available via the application or via the Call Start Alert pop-up:

• Join: The chairperson will be given the choice to dial out to him/herself on preconfigured numbers or on a newly entered number. Or, they can choose to dial in as normal from their device or via another phone

• Monitor: The chairperson’s device GUI will show the conference in real-time including who is on the call, their call status, as well as access to all the BT MeetMe conference features

• Ignore: Turns down joining the call at that time. However, the chairperson can open the application and monitor or join whenever they choose.

Access

Desktop Controller access

Web-enhanced access requires a user-provided personal computer, internet connection and web browser of Internet Explorer 6 or above, equivalent Safari, Chrome or Firefox internet connection and Flash 9+ or above.

Outlook Add-in access

Outlook Add-in requires the following minimum specification to operate:

• PC running Microsoft® Windows XP, Vista, or Windows 7 Software requisites are Microsoft® Outlook 2003, 2007 and 2010 (32 and 64 bit).

• In addition, for each Outlook version the following will be installed by the Add-in installer if not present. Where the software is to be silently installed using the .msi, then these pre-requisites must already exist:

Outlook 2003

• Microsoft .NET Framework 2.0 or later

• Microsoft Visual Studio 2005 Tools for Office runtime or later

• Microsoft Office 2003 Primary Interop Assemblies (PIAs) or later.

Outlook 2007 and 2010

• Microsoft .NET Framework 3.5 or later

• Microsoft Visual Studio Tools for the Microsoft Office runtime (version 3.0) or later

• Microsoft Office 2007 or 2010 Primary Interop Assemblies (PIAs) or later.

The supported devices listed above for Desktop Controller and the Outlook Add-in are updated by BT on the BT website from time to time.

For deployment, chairpersons can install the Outlook Add-in by downloading and installing from the online location provided in the welcome pack. Or the customer may appoint an administrator to download the .msi file for distribution and silent install to chairpersons through its desktop management solution. All downloads will be subject to the EULA presented at the time of installation.

Mobile Controller access

Supported devices:

BlackBerry model series 71xx, 72xx, 81xx, 87xx, 88xx, Pearl, Curve Software: V4.1 or higher.

iPhone/iPad running iOS v3 or above.

Android v2.0 and above.

Supported carriers:

All wireless carrier networks are supported: GPRS, EDGE, 1XEV, 1XRTT– GPRS, Edge, 3G, UTMS.

Application size required: Approximately 300Kb.

The list of supported devices for Desktop Controller and the Outlook Add-in are updated by BT on the BT website from time to time.

Toll inbound access

With toll access, a participant is required to dial a geographic telephone number. The participant pays the cost from his calling location to the geographic number.

This access method applies for both domestic (relative to the bridge location) and internationally-based participants.

Domestic and international toll free inbound access

With toll free access, a participant is required to dial a domestic toll free number (DTFN) or an international toll free number (ITFN) serving the country where the participant is located.

International direct dial inbound access

Direct dial in (DDI) provides access to BT’s audio conferencing bridges via BT’s global network. DDI Service runs on BT’s global managed voice platform, which is a robust intelligent global network that is owned and managed by BT.

With BT’s global direct dial inbound access, the participant dials an in-country number. The call is routed through the DDI to the closest in-country BT switch. BT then routes the call over its network to BT’s audio bridges that are appropriate for the customer (US, UK and Asia Pac). The participant only pays for the portion of the call that connects to the BT in-country switch.

Using DDI access, customers can provide participants with an in-country number, even though the call terminates abroad.

Dial-out access

Dial-out is available as an optional feature of the BT MeetMe service.

Available to the chairperson only, this is initiated by a dual tone multi-frequency (DTMF) command on the telephone keypad once in the conference call. The chairperson validates their dial-out request by providing the participant passcode before being prompted to enter the number to be dialled. The chairperson is then returned to the audio conference and the new participant will be joined to the audio conference if they accept the invitation.

IP private circuit access

BT provides connection facilities to allow the customer to connect its network to BT’s conferencing bridges as an alternative access method. The cost of the circuit provision, installation and ongoing rental to extend the customer’s network to BT’s facilities and conferencing bridges is not part of the service and must be covered by the customer.

On-net direct access

BT can provide a dedicated connection from the customer’s private voice network to BT MeetMe. This on-net access is subject to an assessment by BT of the customer’s minutes’ volume, IP-PBX infrastructure and the economic geographic reach of a BT node relative to the customer site. A customer may connect in more than one location. This service will be subject to additional terms and conditions contained in a separate service schedule.

On-net VPN access

BT can provide access to audio conferencing services using one of BT’s voice capable VPN products. This allows the customer to conduct conference calls in part or whole using BT Conferencing interconnections with that VPN service.

A connection between the BT VPN service and BT Conferencing allows the calls to route directly to BT’s audio conferencing bridges. Callers using the VPN to access the BT MeetMe service will not normally need to use the public switched telephone network (PSTN).

On-net VPN service can provide access through one of the following BT services: BT One Voice or IP Connect — these services will be subject to additional terms and conditions contained in separate service schedules.

Both On-net Direct and On-net VPN support on-net dial-out access.
