BYOD devicesA deployment guide for education

Bring Your Own Device (BYOD) models are becoming increasingly popular in schools. The strategy enables students to use their own computers or other devices as part of the educational experience to perform research, complete homework, and involve themselves in classroom activities. The tightening of school budgets and the consumerization of technology make the BYOD model attractive: With tools such as SkyDrive and Microsoft Office 365, BYOD becomes even easier.

Today’sstudentsaredigitalnatives,andtheyregularlyusemultipledevices.WithaBYODsupplementalmodel,studentsmightbeassignedalaptopfromtheschoolwhileusingtheirowndevice,asneeded.ButBYODisnotappropriateinallcases.Legalstipulationsmaypreventschoolsfromrequiringthatstudentsusetheirowndevices—forexample,determiningliabilityintheeventadeviceisdamagedwhileinuseinaclass.Incaseswheresuchissuesmayexist,schools must plan to provide students with devices where necessary or use an alternative model. Also, teachers need to adapt their curriculatoaBYODdeploymentandmustbecarefultouselearningtoolsfunctionalonalldevicesintheclassroom.

ThisguideprovidesinformationaboutBYODforeducation,includingdevicetypes,BYODdeploymentmodels,andinfrastructure-relatedconsiderationsforBYODdeployments.

Eachdevicetypehasitsownstrengthsandweaknessesinaneducationalsetting.Forexample,certain devices center on consumption rather than creation—a limitation that can be a hindrance foracurriculumthatrequirescontentcreation.

Table 1 compares the devices involved in BYOD deployments.

SmartphoneshavealimitedroleinaBYODscenario.Theymightenablestudentstorecordclassesorpresentationsforlaterplaybackorcollaborateonassignmentsanduseeducation-relatedapps,buttheirsmallscreensizemakesin-depthresearchorhomeworkdifficult.

Strengths:

• Internetbrowsing

• Lightweight

• Camera/video capabilities

Weaknesses:

• Small screen size

• Studentsmayusethemfortextingorvoicecalls

• Potentialliabilityforusageandloss

• ManagementandcontrolforITtypicallyrequiresMicrosoftExchangeServerorWindowsIntune

• Limited ability to run some common educational apps

App-based devices

App-baseddevices,suchasWindowsRTdevicesoranAppleiPad,havegreaterpotentialthansmartphonesforenhancingthelearningexperienceandforuseinaBYODscenario.Thesedeviceshavealargerkeyboardfornotetaking,alargerscreenforresearch,andthepotentialforcontentcreationandcollaboration.Mostapp-baseddevicesalsoallowuserstoaddanexternalkeyboard.

Strengths:

• Largerscreenthanasmartphone

• Content-creation potential

• Lightweightandportable

Weaknesses:

• May not have the ability to run all educationalapplicationsneededforagivencurriculum

• Digitalkeyboardcanbeerror-proneandcramped(thoughexternalkeyboardsareavailable)

• WhenrunningWindows8,ITcanmanagethe device

Weaknesses:

• Most tablet PCs are not as portable as a true tablet

• Inconsistentconfigurationscanleadtousageproblemsforstudents

• Devicemaynotbeprotectedagainstviruses and malware

• Powerandbatterylifemaybeissuesifthetabletisusedthroughouttheday

Choosing a BYOD modelSeveralmodelsexistforBYODimplementations,fromschool-definedBYODtoopenBYODimplementations.TheoverallgoalwithaBYODdeploymentistoprovideaccesstothelearningenvironment24hoursperday.ThissectionlooksatthedifferentmodelsavailableforBYODinaneducational environment. Table 2 discusses the models and related considerations.

• Volumepurchasinglowerscosts.

• Support costs are lower, because all laptops are the same.

• Fullyfunctionallaptopsmakearangeoflearningactivitiesavailable.

Considerations

• Thecostofthelaptopcanbeahindranceforschoolsorparents,soco-contributionsbetween parents and the school must be defined.

• Ownershipofthelaptopbothduringuseandafteritslifecyclemustbeclearlydefined.

• Supportstructuresforthelaptopmustbedefined,whetherthroughtheschool,themanufacturer,orboth.

School-defined single-platform laptop plus another device

Inthisscenario,theschoolprovidesalaptopforstudentuse,asitwouldwiththeschool-definedsingle-platformlaptopmodel.However,thestudentisalsoallowedtobringanotherdevice,suchasasmartphoneortablet.Aswiththeschool-definedsingle-platformlaptopmodel,thecostofthelaptopisbornebytheschool,parents,orboth.Thesupplementarydeviceispaidforandsupported by the parent or student.

Benefits

• ITcanchoosewhethertomanagelicensingforstudent-owneddevices.

• Themodelenhanceslearningbyallowingflexibilityandpersonalchoiceinthelearningexperience.

• Allowinganadditionaldeviceinschoolenables the school to update policy to guidetheappropriateuseofsuchdevicesratherthanuseoftheadditionaldevicebeingoutsideofschoolpolicy.

Considerations

• The additional device could be a distraction ifnotusedproperly.

• ThepossibilityexistsforunfilteredInternetaccessthrougha3Gor4Gdevice.

• The parent or student must provide supportfordevices.

School-defined multiplatform laptop

Inthismodel,theschooldefinestheminimumspecificationsforthelaptop,butthestudentandparentcanchoosefromwhichmanufacturertheyobtainthelaptop.Aswiththepreviousscenarios,theschoolcanfundthismodelinwholeorinpart.

Benefits

• Studentsandparentscanexercisechoiceoverthemanufacturerandmodel.

• ITcanmanagesoftwarelicensingandotheraspectsofthelaptop.

Considerations

• ITincursadditionalcostsinsupportingmultipleplatforms.

• Volumediscountsmaynotexist.

• Differenceinplatformsmayprovedifficultforteachersandstudentstoovercome.

Student choice of laptop or tablet

Thismodelenablesstudentstousealaptoportablet,dependingontheirchoice.Itoffersagoodamountofflexibilityforstudents,butparentsareresponsibleforprovidingthedevice,whichmaybealimitingfactor.

Benefits

• Studentsgetthepoweroftabletsandlaptops in the classroom.

• Teachershavegreaterflexibilityinlearningactivities.

Considerations

• Althoughtabletsandlaptopsaremoreflexiblethansmartphones,notalldeviceshave the same capabilities.

• ITincursadditionalcostsbyprovidingsupport.

• Volumediscountsmaynotexist.

• Not all educational applications will be availableforallplatforms.

Bring whatever device connects to the Internet

Withthismodel,studentscanbringanydeviceaslongasitcanconnecttotheInternet.Thisisatrue BYOD model and includes smartphones, laptops, tablets, and even e-book readers. The school doesn’tprovideanyminimumspecificationforthedevice,andparentsmustpayforthedeviceinwhole.

Benefits

• Thismodeloffersthegreatestamountofflexibilityforstudents’personalpreference.

• Therelativelylowcostofminimallycapabledevices makes purchase easier.

Considerations

• Studentdeviceswillhavewidelyvaryingcapabilities.

• Some devices will be centered on consumption, not on content creation.

• ITmustbefamiliarwithandsupportmanydifferenttypesofdevices.

• Volume discounts will almost certainly not be available.

• There is a limited ability to run educational applications across all devices.

Building a secure BYOD environmentBYODhasaninherentsecurityrisk:Devicesarenolongerfullycontrolledbythesecuritypoliciesandinfrastructureavailablewithintheschoolenvironment.Whenstudentsareallowedtotakedeviceshomeorbringtheirowndevicesfromhome,there’sanincreasedchanceofmalwareinfection.Therefore,maintainingsecurityinaBYODenvironmentbecomesmorechallengingforIT.

FordevicesrunningaWindowsoperatingsystem,ITcanimplementasolutionsuchasDynamicHostConfigurationProtocol(DHCP)NetworkAccessprotection.Anotherwaytomitigatetheriskofuntrusteddevicesistocreateanisolatednetworkforthem.TheisolatednetworktreatstheBYODdevicesasexternal,untrustedentitiesandthereforelimitstheiraccesstointernalresources.

CertainBYODdeploymentscanbenefitfromvirtualizationtechnologiessuchasMicrosoftVirtualDesktopInfrastructure(VDI)orevenanativeWindowsoperatingsystemthroughWindowsToGo.ThesedeploymentsusethevirtualizedorWindowsToGodesktoptoprovideasecure,consistent,manageddesktopforstudentsandteachers,evenfromanuntrustednetwork.However,theabilitytobootintoWindowsToGoandtouseVDIislimitedincertainBYODdeploymentswherenon-Windows devices are used.

OtherconsiderationsforBYODsecurityinclude:

• Physical device security Screenlockingshouldbeenabledfordeviceswherepossible.ITshouldhavetheabilitytowipesensitivedataifthedeviceislostorstolen.

• Personal data access ITshouldnothaveaccesstoanypersonaldataonthedevice,andpolicies should be in place to control such access.

• Controlled resource access Usersshouldbegivenanamedaccountwithauthenticationandauthorizationcontroltogainaccesstoinstitution-basedresources.

Building a supportable BYOD environmentSupportingBYODgoesbeyondmanagementandsecurityaspectstraditionallyperformedbyIT.InaBYODdeployment,ITmustthinkaboutprovidingchargingstationsandphysicaldevicesecurityaswellashowtosupportdifferenttypesofdevices.ThissectionlooksatsomeoftheconsiderationsforasupportableBYODenvironment.

Technical support for devices

ITwillneedtoprovidetechnicalandhelpdesksupporttousers,eveninaBYODdeployment.Traininghelpdeskstaffonthedifferentdevicesiskeytosuccess.WhereapplicabletotheBYODstrategy,ITcouldpublishalistofsupporteddevicesandestablishapolicyfortheextentofsupportprovidedforthem.Forexample,ITwouldtypicallysupportconnectingtotheinstitutionnetworkbutwouldn’tsupportplayingDVDsormusicunlessapplicabletothecurriculum.

Maintenance of devices

Closelytiedtotechnicalsupportismaintenanceofthedevices.ITandtheschoolmustdeterminewhowillmaintainandrepairhardware,andthenschoolpolicyformaintenancemustbecommunicatedtostaffandparentsalike.SuccessfulBYODdeploymentsplaceatleastsomeoftheresponsibilityformaintenanceonITtopreventstudentsfrombeingwithouttheirdeviceforanextendedperiodifitneedstobesenttothemanufacturerforrepairs.Alternately,loanerdevicescanbemadeavailabletolessentheimpactofhardware-relatedproblems.

Software licensing

SchoolsshouldensurethatsoftwarerequiredforeducationisavailablefortheBYODdeployment.ApplicationsmaybelicenseddifferentlyornotavailableatalldependingontheBYODmodelchosen.Specializedsoftwaresuchasthatformathematicsoradvancedresearchcanbecostprohibitiveandistypicallylessexpensivewhenlicensedbytheschool.Otherdiscountsmaybeavailablethrougheducationallicensingprograms.

CertainBYODmodelswillenableVDI,WindowsToGo,andothervirtualizedornon-nativeinfrastructures,whichcanhelpmitigatethesecosts,butlicensingtermsstillneedtobeverifiedforthevirtualizeddeployment.MostBYODmodelscanbenefitfromcloud-basedappsandstorage,suchasOffice365andSkyDrive.ThesesolutionsfitBYODwell,becausestudentscanaccesstheirdataandworkonprojectsandhomeworkfromvirtuallyanywhere.

Security

ChoosingtheappropriatelevelofsecurityforstudentdevicesisachallengeinaBYODdeployment.Forexample,canadevicebeprovisionedwithaschool-managedimage,andhowdoesITensuresecurityofthedevices?FordevicesrunningWindows8,atechnologylikeFamilySafetymaybehelpfulwhenthedeviceisathome.Isolatednetworksandothersecuritybestpracticescanbeusedwhenthedeviceisusedwithintheinstitution’sinfrastructure.Theoverallgoalistoensurethatthesequestionsareansweredpriortodeploymenttohelpmakethedeploymentsuccessful.

School policy, parental consent, and BYOD

WithaBYODdeployment,theschoolmusthaveaclearpolicyonpersonaluseofthedevice,bothoncampusandoffcampus,thatincludessoftwareinstallation,websiteaccess,andotheruses.Relatedtothispolicy,parentalconsentshouldbeobtainedforthepoliciesandtheoverallBYODdeployment.MakingsurethatdeviceusagepoliciesareclearlycommunicatedandthatparentsunderstandtheirresponsibilityforthedeviceanditsroleintheeducationalprocessiskeytoasuccessfulBYODdeployment.

Device lifecycle and warranties

DeterminingwhenadeviceneedstobereplacedispartofbuildingasupportableBYODenvironment.Insomeschools,a4-yearreplacementcycleisstandard,whileotherinstitutionshavea3-yearcycle.Thisrelativelyfastcyclerequiresthatteachersandsupportstaffremainuptodateonthelatesttechnologyandversionsofsoftware.Whennotusingaschool-fundedBYODmodel,theschoolmusttakecarenottoexcludestudentswhodon’thavethelatesttechnologyavailable.

Relatedtothelifecycledecisioniswhetherextendedwarrantiesandinsurancearerequired.Manymanufacturershavelimitedwarrantiesthatdon’tcoverthefulllifecycleofthedevice.Repairsforout-of-warrantydevicescanbecostlyregardlessofwhobearstheresponsibilityforthatcost.Therefore,extendedwarrantiesanddeviceinsurancecanhelptomitigatethesecostsandshouldbe considered in a BYOD deployment.

Preparing the infrastructureITmustconsidertheBYODdeploymentintermsofstabilityandavailabilityofthenetworkinfrastructure.ThisneedappliesnotonlytotheBYODdeploymentbutalsotoexistingworkloadsanddemandsontheinfrastructure.

Network and security considerations

WithBYOD,chancesarethatInternetusagewillincrease.ITmustensurethatthereissufficientbandwidthonthenetworkandthatnetworkswitchesandrelatedequipmenthavethecapacityforthe additional utilization.

• Network separation ITmustconfiguretheappropriateprotocolsandservicesforBYODcommunication.Forexample,adeploymentmayhaveaseparatewirelessnetworkthat’sallowedtoaccesstheInternet.Withinthatnetwork,ITwillneedtoprovideDHCPandDomainName System services.

• Website filtering Incorporatingameanstofilterwebsiteaccessisimportant.ITshouldhaveanapprovedlistofwebsitesthattheschool’sfirewallsorwebproxiessupport.AccesstoOffice365andSkyDriveshouldbeincluded,ifappropriate.

• Firewall protection RequiringafirewallonBYODdevicescanbepartofthepolicyforBYODandhelpstoensurethatdevicesaresecure,butverificationandenforcementofthepolicyaredifficult.Forthisreason,applyingnetwork-levelfirewallprotectionategressandingresspoints is important.

• Wireless networking Determiningwhichwirelessprotocolswillbesupportedisimportant,becauseitmaylimitthedevicesstudentscanuseinaBYODdeployment.ITmustalsoensurethattherearesufficientaccesspointsbasedonthedensityofwirelessdevices.Wirelessaccesspointscanonlyserviceacertainnumberofclients.Thenetwork’sservicesetidentifiershouldbe published, not hidden.

File considerations

Studentsmightneedaccesstofileswhileatschool.Severaloptionsexistforprovidingaccesstofiles,including:

• USB drive BYODdevicesthathaveaUSBportcanuseaUSBdriveforfileaccess.
