Letter from the Vice President

January 5th, 2010

To my Colleagues in Campus Services:

It’s time. As most of you know, I turned 70 this fall, and I am ready to enter the next phase of my career with a lot more R&R than I’ve been able to muster up till now. The bittersweet announcement of my retirement is being delivered today, and I want you all to hear it from me directly. What a ride we’ve had together! When I arrived 14 years ago, I never imagined I would stay this long, but the work we have done together for Emory has excited and inspired me, while keeping me eager for the significant contributions we continue to make. But, it’s time… The Campus Services organization has never been stronger, nor had better leadership than right now. We show compassion and care for each other and our customers and we are lean and focused on excellence. We have so much to be thankful for. I have promised Mike Mandl that I would stay until a replacement has been selected, which will likely be somewhere between the end of May and the end of August. Mike will be at the CS Supervisors meeting tomorrow to share his thoughts with them, and I expect we will spend some time during our upcoming Breaks with Bob to answer questions you might have. I have also started scheduling time to come to department meetings to visit with everyone, and to respond to individual concerns or questions. Thank you for your support during this time of transition. Great work has and will continue to be the hallmark of Campus Services for many years to come.

Important Policy Reminders • Please note that employees working evening and night shifts will still receive their shift differential for time they are

working, but as of December 27, 2009 the shift differential will not be paid to employees when they are on leave, i.e. on vacation leave, sick leave, jury duty, floating holiday, etc. Taking this action will save Campus Services over $250,000 annually! View the entire policy at: http://policies.emory.edu/4.55.

• Effective January 1, 2010 Emory is implementing a tiered leave system for vacation leave accrual based on salary grades and years of service. Leave will continue to be earned each eligible pay period (monthly or biweekly). Under the new policy employees with 20+ years of service will accrue one extra day of vacation leave per year.

In Campus Services we have 90 employees with 20+ years of service who will earn this extra day. You may review the new policy online at http://policies.emory.edu/4.100.

• Please take a moment to review Emory’s Code of Business Conduct and Ethics, available at http://policies.emory.edu/7.20.

Employee of the Year

On Friday, December 18th, our Vice President Bob Hascall paid tribute to each of the 2009 Employees of the Quarter. Cleve Hamilton, , Morris Durham, Frank Williamson, and Officer Marvin Poulson were all recognized for their achievements and continued demonstration of their commitment to excellence in a celebration held in the CS Training Room.

As conducted at the CS Holiday Party in 2008, all four names were placed in a box, and the winner was selected at random, giving each employee an equal chance of winning.

After a rousing, audience assisted drum roll, the winner was announced: Morris Durham, Senior Custodian in Building and Residential Services is our 2009 Campus Services Employee of the Year.

Congratulations, Mr. Morris, on your well deserved win!

CS Diversity Committee

~submitted by Bob Hascall, Vice President

Happy New Year to all! I can hardly believe that 2009 is gone and 2010 has arrived . We have had some challenging times this past year and but we also had some major accomplishments. At the top of that list for me is celebrating the work of our Campus Services Diversity Committee. In just a few months, this group of committed staff – Cheryl Elliott, Robin Mitchell, Amish Mody, Jo Rackstraw, Brenda Roberts and Rita Tyler - literally paved the way for us to celebrate our greatest strength – the diversity among our Campus Services staff. They developed a Transforming Community Project Community Dialogue for Campus Services, and had two very successful groups, with 25 people participating from many areas within CS. The collaboration between the Provost’s office and our diversity committee ensured that we met the goals of the program, while staying focused on the needs of our staff. The facilitators and planners did an outstanding job, and the feedback we’ve received suggests that more TCP dialogues may be possible in the near future! This group has also developed a Diversity Mission Statement, and made inroads with the Provost’s office and Central HR to establish specific diversity criteria for our annual Performance Reviews. You’ll be hearing more about this in the coming months. In addition to that, they planned an outing for Campus Services to attend the Black Nativity event sponsored by True Colors Theater. Over 20 people joined in, bringing spouses and children together to celebrate the holiday season in this special way. And finally, they planned and implemented the first Taste of Campus Services (see below) in early December that included 42 individuals sharing food that represents the wide range of culture and traditions that we celebrate in our homes. Everyone that came by to “taste” walked away having tried something new, and definitely had their fill! Plans are already underway for the next year’s event. As a result of the vision and commitment of the Campus Services Diversity Committee, we are again leading the University by developing an overall diversity program that we all can be proud of. I know I am!

Taste of Campus Services ~submitted by Robin Mitchell

The Campus Services Diversity team would like to thank everyone involved in the first “Taste of Campus Services” event. Desserts, appetizers and main course dishes were submitted highlighting 26 different cultures and regions. Over 100 Campus Services employees sampled familiar favorites alongside international culinary delights. Everyone had a wonderful time sharing stories, discussing their f a v o r i t e d i s h e s a n d encouraging each other to try something new. The crowd favorites with the most votes

were: Anthony Earnest’s “Baby Back Ribs” (pictured, right), Dee Pogue’s Louisiana Chicken and Brenda Roberts’ Banana Pudding. Thank you for participating in this event showcasing the incredible diversity within Campus Services!

News from the CSAB December 2009

~submitted by Pat Douglass

• Pat welcomed Kendall Mabry, EPD as a new Board member.

• Update on Searches- Karen reported that Miguel Duenas has been promoted to the new Zone H Supervisor position. The announcement will be coming in the December issue of Newsbeat. She also reported progress on the Director of Operations and Maintenance position.

• Feedback on Supervisory Training Program- Pat reported that the two sessions in November with supervisors who had been through the training resulted in good feedback. Comments included the need for more training; training by facilitators who know Campus Services; sessions scheduled further apart and the desire to have regular informal meetings of supervisors to share information and problem solving. So many of the supervisors do not interact and don’t know each other. Pat intends to have the group begin meeting in March on a quarterly basis.

• Update on new Training initiatives- Pat reported on the Campus Services “Expo” scheduled for March which will showcase CS employees demonstrating their skills and talents. Also, we will be scheduling one hour Lunch and Learn sessions for topics such as personal budgeting, financing a house, CPR certification, etc. She also reported that Jackie Owen, ER Manager will be offering “Absence Management” training for supervisors on DTRs, leaves, FMLA, return to work accommodations, etc. in January in weekly sessions.

• Certificates of Appreciation- Bob Hascall presented a framed Certificate of Appreciation to Brian Hinson, Andy Ewing, Kim Johnson, and Joe Gantt in appreciation of their contributions to the CSAB. Members Dee Pogue, Bill McBride and Lindsay Cross were not present to receive their Certificates. These seven members rolled off the Board and will be replaced in January with new members.

The Emory Employee-Student Job Network

The Emory Employee-Student Job Network is a joint collaboration between the Emory WorkLife Resource Center and the Emory University Career Center. It is designed exclusively to help Emory faculty and staff looking to hire Emory students on a part-time basis to help them with work-life responsibilities such as babysitting, pet care, house sitting, lawn care, etc. Emory network identification and password are required in order to post a job. Santa Cops ~submitted by Officer Marvin Poulson, EPD

On Saturday, December 12, 2009, the DeKalb Fraternal Order of Police hosted it’s 18th annual Santa Cop program (formerly known as Shop with a Cop). This year’s event brought together officers from nearly every agency in DeKalb County and paired them with needy children from the local area. 55 DeKalb county children were escorted to Wal-Mart by police motorcade. With the assistance of the officers, the children were given a $200 credit to purchase gifts for themselves and their families. After the shopping was complete, the motorcade escorted the children to the F.O.P. lodge in Stone Mountain for breakfast with Santa and more gifts.

Emory Police Department plays an active role in this program every year: Officers Kendall Mabry, Marvin Poulson, Tamicka Reese and Sonya Richey (pictured above); Sergeants Rick Allen and Leigh Vaughn; and student cadets Kobina Amoo, Evan Delaney, Baribuma Kponi and Anel Tankovic attended the event.

Emory Arts Competition

The Emory Arts Competition — a celebration of the arts culminating in a rousing event where hidden talent is spotlighted — is back. Faculty, staff, and students are encouraged to start creating.

The competition includes music and visual arts. The artistic submission and online entry form is due by midnight on Jan. 13, 2010.

The newest addition to the Emory Arts Competition is “Gallery Night” on Jan. 16 where judges will view the visual art and choose eight finalists. Finalists from both categories will perform or show their work in the Schwartz Center on Jan. 30, where audience response will determine three winners per category to receive prizes of up to $1,000.

From the Heart of Campus Services Once again, Campus Services demonstrated compassion, and the concept behind the “great big heart” on the updated CS Vision Map 2015. In spite of a struggling economy, and the subsequent cancellation of last year’s Holiday Party, several drives were conducted throughout the holiday season. Elaine Gossett’s food drive, benefitting the Atlanta Community Food Bank, netted 223 pounds of food, benefitting over 800 non-profit community-based partners in over 38 counties. By popular demand, the One Week Giving Spree resulted in over 120 toys for the US Marines Toys for Tots, thanks to coordinators April Lewis, Joanne Rackstraw and Janice Russ, and dozens of coats, blankets, hats and scarves will benefit the Metro Atlanta Task Force for the Homeless. A very special thank you to Janice, who continues to be an amazing asset to any Campus Services drive.
