CAMP MARYMOUNT, INC. 2015 A Summer of Fun and Friendships that Last a Lifetime

Welcome to Camp Marymount. We recognize that sending a child to camp is an important decision, and we are pleased that your child will be attending Camp Marymount, Inc. This guide is designed to give you needed information and to help answer any questions about camp. However, if you have any unanswered questions or concerns, please call the camp office at (615) 799-0410. You can also fax us at (615) 799-2261 or send us an email at [email protected]. Our counselors and staff are made up of mostly former campers who have literally “grown up” in the tradition of Camp Marymount, Inc. and return each summer. Other staff members are selected from a variety of schools and universities. Counselors are high school graduates or college students; many of whom are pursuing degrees in education, social services or outdoor environmental studies. All staff members receive extensive training prior to opening day in which they are instructed in a wide variety of child care concerns. Every staff member also receives train-ing in First Aid and CPR during this week. Counselors and staff are evaluated on a continual basis by the head counselor and director. There is a Staff in Training (SIT) program to develop the skills of potential staff members. Participants in this program have duties at camp, but are not cabin counselors. While completing this program does not guarantee employment as a counselor, the SIT program provides a valuable learning experience. Campers come from all over the United States as well as other countries such as Mexico and Canada. While most of our recruiting takes place in local parishes, churches and schools, many of our campers come to us through word of mouth. It is not uncommon for campers to begin when entering first grade and return each summer bringing friends from home back with them. Many lasting friendships are formed at Marymount and campers look forward to returning each summer.

Alumni and Friends of Camp Marymount Join our alumni and other friends of Marymount for a weekend at camp. It is a “work weekend” where volunteers help prepare camp for opening day. This year’s work weekend will be held May 22-24th, 2015. Other upcoming events include:

The MOSS—Marymount Open Scholarship Scramble—to be held on a Friday, TBD but in Oc-tober, 2015. This golf tournament supports scholarships for summer campers. Marymount in May is Friday, May 1, 2015, in the evening. This is a very special event featuring

a fabulous dinner, drinks, and great fun. An opportunity to reunite with former campers, celebrate

the rich history of Camp Marymount, and help raise much needed funds to preserve the future of

our beloved camp. Look for more information on all of these events on our website at

Camper Update Form

1. Complete Health Form -(signed by a doctor & parent ) and send to the Camp office. Be sure to include a copy of your camper’s insurance card. Forms are only complete when the completed 4 pages and insurance card have been mailed or emailed or faxed together. Any incomplete forms will be discarded. Please email all paper-work together & not in several pieces so we can keep up with the your file. Please keep a copy for yourself. The exam date must be within the last 12 months prior to camp’s start date.

· 2. Complete Arrival/Departure Form -(if camper is arriving or departing by plane) and pay the $25.00 One Way fee or

$50 Round Trip commercial arrival fee. This form is available online. Please confirm the office has received this pri-or to the session. If your camper is flying, please ship any luggage your child cannot carry. Marymount has partnered with Going’ Postal to provide all of your shipping needs. Goin’ Postal can also use your FedEx or UPS account if you already have one. Contact Goin’ Postal at 615 266 2685 or via email [email protected] . Campers flying out of the Nashville airport on the last day of the session are required to have a scheduled departure time before noon.

3. Complete Cabin Request Online Form -(if your camper has a specific person with which he/she would like to share a cabin). Only two requests per camper, each camper must request the other, and no request can be guaranteed. Any form not properly completed will not be entered and the assignments will be left up to the discretion of the admin-istration. This form is now part of the registration, if you did not complete it during registration or if you would like to change your initial request then you can submit it through our website. This is for parents only to com-plete.

· 4. Complete the Permission to Leave Form– Submit online only if your camper will need permission to leave Camp on a visitation Sunday (for three week session) or closing FRIDAY with someone other than a parent or legal guardian.

5. Complete Camper Update Form—submit online one week prior to your camper’s attendance so we can have the most up to date information on your camper and enhance his/her experience. All information submitted is highly confi-dential. This form will be available to submit online in May.

· Parent/guardians (not campers) should complete and submit all paperwork. Emailed copies are pre-ferred over fax copies or mailed copies as they can be tracked if needed.

Camper Packing List Please remember to label all items with camper’s name. It may be helpful to put a list of packed items inside your child’s trunk/luggage so the he/she can check the items when pack-ing at the end of the session.

Please keep in mind there is no need to purchase new clothing for Camp. Laundry will be provided for campers on a weekly basis. Campers sometimes misplace their belongings, therefore please mark all items sent with the child. Optional Items: camera (disposable), bug spray, summer reading books, journal, case and safety strap for glasses, a small bucket or container to carry shower items., battery operated fan. Items Not Allowed: Please do not bring: Cell phone, i-pods, jewelry, TV, radio, handheld vid-eo games, electric fans, animals/pets, hair dryer, knives, candy, cokes or other valuables or personal sports equipment (waiver is required if a camper wants to bring equipment). While some electronics have been allowed in the past they have come to be disruptive to the program. Camp Marymount reserves the right to search trunks, bags, and packages and to confiscate any of the above items and any items it deems dangerous or not appropriate for its program. We are not responsible for the condition or security of items confiscated, including cell phones and i-pods. Camp Marymount, Inc. is not responsible for articles of property lost or stolen. Please do not bring items of mone-tary or sentimental value. Camp Marymount discourages parents from sending money with their child and is not responsible for the loss of money even if kept in our safe.

OPENING DAY: Where to Go and What to Do

How do we check-in? Check-in is on the first Sunday of each session be-tween the hours of 1 pm and 2 pm. If your child has no forms, medications or payment to turn in at our check-in table, then you may be eligible for our SPEEDY Check-in. If your camper does have medicine please do not pack it with your camp-er’s luggage, instead bring it with you to the check-in stations. There is no reason to arrive early as check-in will go very fast and this will help avoid long lines from forming. Your camper should remain with you throughout the check-in process. Please follow these steps in order to expedite the process. Please note, the first meal served for campers will be supper on opening Sunday. Station 1- When you enter camp there will be staff members directing traffic and showing you where to park. Both Junior and Senior camp check-in (Station 1) will now be in the main lot on your right when you arrive. Don’t worry, staff will direct you if you are confused. At Station 1, you will verify that all required forms for your camper have been received and you will get instructions on what is still needed and/or where to go next. If all paperwork is received and you do not need to visit the medicine station, your camper is given their cabin assignment and may head to the cabin.

Station 2- The second stop is the Medicine sta-tion. (If your camper does not have medicine or if you do not have questions for the health care staff then you can proceed to station 3.) Here you will first have the Health Form reviewed for ad-ministrative completeness. There is an additional health care station located just off the review table to turn in any medicine for your camper and verify with the Health Care Staff how the child is to take their own medication. All medication (over the counter and prescription) must be in the original con-tainer with your camper’s name on the label. This is also where parents can talk to the health care staff about any concerns or questions. Please re-member to email your completed health form in by April 1st for girl campers and June 1st for boy

These forms are reviewed by health care staff pri-or to arrival. We prefer emailed copies as opposed to faxed or mailed copies, as they can be tracked if needed. A copy of your camper’s insurance card is also required. All medications (both prescription and non-prescription) will be col-lected. PLEASE NOTE: As directed by the Camp physician, all campers will be checked for head lice within hours of check-in. See Page 13 for new 2015 LICE CHECK PROCE-DURES. PLEASE CHECK YOUR CHILD FOR LICE/EGGS BEFORE COMING TO CAMP.

Station 3- Optional– Third stop is the Camp Ad-ministration Station– If you would like the oppor-tunity to meet some of the camp administrators then this is your opportunity. Feel free to stop by and ask questions or just introduce your camper and yourself. Administration names and positions will be posted on the porch of the dining hall. The majority of the check-in process is rushed so this is an opportunity for you (parents and campers) to meet the administration and slow the process down. Your next stop is the cabin. The counselor will be at the cabin to greet you, answer your questions and help get your child moved into the cabin. After Checking In: Get your camper settled and feel free to walk around the grounds if you like. Check-in time ends at 2 pm and new camper swim testing be-gins as well as afternoon activities. Please say good bye to your camper at this time

Girls’ 3 Week Session Visitation

ABOUT VISITATION DAY- Camp Marymount allows parent and family visitation during the GIRLS’ three-week session only. We no longer offer a visitor’s day during our two

week girls’ or boys’ sessions. Please do not bring pets to camp when visiting or picking up your child. Parents and campers are still allowed and encouraged to stay on campus to enjoy scheduled activities but they are also allowed to leave during visitor hours as well.

Lunch is not provided for visitors as campers will have lunch prior to visitor hours.

Visitation hours

DURING THE THREE-WEEK GIRLS’ SESSION are

Sunday, June 28th, 1:00 PM until 3:00 PM

There is no need to worry about your camper if you are unable to visit. Many children are from other states and even other countries and day travel is not possible. There are

activities and events for Sundays and the staff will give extra attention to those who will not have visitors. Again, because of logistics, campers are not allowed to call home.

WE ASK VISITORS TO NOT OFFER OTHER CAMPERS TO USE THEIR CELL

PHONE TO CALL HOME OR ANY OTHER PLACE/PERSON.

VISITORS UNDER 18 ARE NOT ALLOWED WITHOUT PARENTAL SUPERVISION.

Visitation Day Sunday, June 28th, 1:00 pm until 3:00

***CLOTHING FOR GIRLS’ 3 WEEKERS*** Please send a pair of blue shorts and a white t-shirt with your camper for visitation and departure days (only applies if your camper is attending the girls’ 3 week session). Camp-ers will wear this outfit on the Sunday visitation day & departure day to help us distinguish between campers and visitors.

NOTE: Lunch will be provided BEFORE visitor hours on Sunday for Campers. Visitors can still picnic with their camper during visitor hours.

Camper Expectations- Above all, Campers are expected to follow the 10 golden rules of Marymount. 1. Always have a buddy. 2. Always tell your counselor where you’re going. 3. Always wear closed-toe shoes. 4. Walk, unless participating in an activity. 5. Rocks stay on the ground. 6. When a car approaches, move to the side of the road and STOP. 7. Ask permission to enter any activity area or building outside of Junior or Senior camp. 8. Trash goes in garbage cans. 9. Be quiet during announcements. 10. Listen to each other and cooperate. In addition to our golden rules, campers can expect the fol-lowing. Meals are eaten family-style seated by cabin in the dining hall. Campers are expected to attend all meals and observe appropriate table manners. Campers will help clean the dining hall after a meal on a rotating basis. Campers are also required to participate in daily cabin and camp clean-up times. Under staff supervision, campers are taught to clean up after themselves and to take pride in all of the buildings and camp grounds. Campers are also expected to attend daily prayer services and Sunday Liturgy as part of the camp program. No weapons of any kind are to be brought on Camp premises. All knives including penknives, slingshots or other items are strictly prohibited. Items that can be used as weapons will be confiscated, and could result in camper expulsions. Camp moni-tors scheduled activities such as riflery and archery very closely, and this rule is enforced to maintain the safety of your child(ren), and campers at Marymount. MARYMOUNT HOPES THAT ALL CAMPERS WILL ARRIVE READY TO JOIN IN AND HAVE FUN. IT IS EXPECTED THAT CAMPERS WILL BE COOPERATIVE AND ATTENTIVE TO STAFF AT ALL TIMES. MARYMOUNT RESERVES THE RIGHT TO REMOVE ANY CAMPER FROM THE PROGRAM, WITHOUT REFUND, IF THE CAMPER USES DRUGS OR ALCOHOL, ENDANGERS THE LIVES OF OTHERS OR SELF, OR CONSISTENTLY DISREGARDS STAFF INSTRUCTIONS. PLEASE NOTE: Refunds are not available for campers who leave camp due to homesickness, behavior or health reasons.

Marymount will call you under the following circumstances: Behavior Related

A camper brings and/or uses drugs or alcohol

A camper endangers the lives of others.

A camper consistently disregards staff instructions or breaks camp rules

A camper is homesick and does not respond to continued par-ticipation or discussion

A camper is involved in an extraordinarily verbal or physical altercation with another camper

Health Related

A camper spends the night or an extended time in the first aid center.

A camper requires a visit to the doctor or hospital

A camper is involved in a medical emergency

A camper has refused or declined to take his or her prescription medication

A female camper has her first menstrual cycle

The Health Staff has a medical/health related concern about a camper for which they need parental guidance or clarification

Health Staff will also discuss any health related concerns with parent (s) during check -in and check-out. Camp Marymount has a zero tolerance policy in regards to PHYSICAL aggression/bullying. What this means is that any camper who commits an act of physical aggression against anoth-er camper, staff member, or parent, will be immediately taken to the director to determine the severity of the incident. Parents will be notified by administrative staff and a determination on wheth-er the camper can stay at camp or not will be determined at that time by the executive staff. Refunds are not given for any camper who is sent home/removed from program for disci-plinary reasons! Camper Behavior Policy Camp Marymount operates on a three-strike policy on all issues except physical aggression violence. (Physical violence will be handled directly by the administrative staff and is subject to im-mediate dismissal) The first infraction of the behavior manage-ment plan will result in a verbal warning between staff and camp-er. This will be documented both by the staff member in their log book and with a behavior report form. The second infraction will result in a time-out/loss of activity privilege and notification of Head Counselor as well as the parent (to be done by the head counselor, executive director, or program director only). A third infraction will result in a conference between the camper(s), and Executive Director or Program Director to discuss dismissal of the camper and any extenuating circumstances that should be considered. Only the Director can make exceptions and allow the camper to stay at camp. Refunds are not given for any camper who is sent home/removed from the program for discipli-nary reasons! Campers agree to: follow all camp rules, treat campers, staff and parents with respect, show respect for camp equipment and the property of others, Not to use foul or inappropriate language, follow the standards set forth in the anti-bullying policy above, Not to show continuous disruptive behavior.

Strategies For Dealing With A Camper Who is Missing Home

Children of any age who attend a residential camp may feel homesick (or as we call it at Marymount “Missing Home”). It is only natural to miss a place of love and comfort. Here are a few suggestions of how parents can help their camper prepare for those feelings: ☼ Be positive before camp starts Parents sometimes reassure a hesitant child by saying, “try it and if you don’t like it after one week, you can come home.” This is a mistake. Homesickness is more about missing the feelings of love and security that a child gets at home, and it takes a little while to establish those bonds at camp. By suggesting a try out period, you may inadvertantly sabotage the process. It is better to tell the camper how much you believe in him/her and give personal examples of how you have overcome missing home. ☼ Don’t overreact to an unhappy letter Parents always feel so helpless when they receive a sad letter from a camper. Take comfort in knowing that the problem was probably solved before you got the letter. Please call the office and ask questions before you react to one of these letters. ☼ Write upbeat letters often It is great to keep your camper in touch with what is going on at home, however don’t make it sound as though he/she is missing out on all kinds of fun. Reassure your camper that he/she can succeed and you believe in him/her. No matter how much you miss your child, don’t over emphasize these feelings. Focus on the experiences at camp and how proud you are of him/her. ☼ Don’t go overboard with packages A letter can share genuine words of encouragement and heartfelt expressions of love that a package cannot. Keep the packages to a minimum and try to send items other than food. If food is sent, place it in an airtight container and encourage sharing. Please remember to send no more than 3 packages in a session and no cokes, or bottled drinks,

or candy. These items will be confiscated. Suggested items for packages are: granola bars, pretzels, healthy snacks, books, magazines, games, etc. Please do not mail packages after the last Monday of each session. ☼ Visit your camper at camp (during our 3 week sessions only) While many children are fine with an outing on visitor Sunday, several will have trouble returning to camp after a day at home, the movies, shopping, etc… We encourage you to participate in the planned Sunday activities and let your camper show you around.

Contacting Your Camper

Campers are not allowed to make or receive phone calls; please do not suggest he or she will be able to do so. If the camper believes this is an option, he or she will focus on calling home instead of partici-pating in camp activities. Instead we encourage use of the U.S. postal service. Your camper’s mail should be addressed as follows:

Campers are allowed to receive email through BUNK1 (see below) and faxes through our fax # (615) 799-2261. Please include name and cabin # on both faxes and emails. These services are provided with an additional fee of $18.00 payable to BunkOne (see info below) if emailing, and $35.00 to Camp Marymount if faxing (maximum of 4 faxes per week). Your child will not be allowed to email or fax you, but we do strongly encourage them to mail letters, so please send writing materials and postage. Because of the time it takes letters from International campers to arrive, we will allow them to fax letters if the fax fee is paid. The fax fee is $35 per session. Concerns about your child If you are concerned about your child, please call the main office at (615) 799-0410 or email [email protected] We will have someone check on your camper and return the call or email. We ask that you give us sufficient time to make con-tact with your child as the campers are usually busy and the best time to talk with staff about them is at mealtimes. Please do not try to contact your camper’s counselor directly; the Head Counselor or another administrator will relay any communication between camper and parent.

BUNK1.COM

We are excited to offer email service through our part-nership with Bunk1.com. Bunk 1’s secure, easy to use, summer website services let you stay in touch with your camper all summer long. Please see page 14 for procedures.

Packages Receiving a package at camp can be a highlight of the week, however, if the camper receives a package a day, the excite-ment dwindles for that camper and resentment can form in the others. We ask that you send a maximum of 3 packag-es per session per camper, that the contents are meant to be shared, and that sugar snacks, junk food, and soft drinks are not included. Not only does it produce more trash, stomach aches, poor eating at meal times, and often visits from bugs and critters, an indulgence of these things leads to lack of community growth. We reserve the right to search any packages brought to camp and will hold those items that are contradictory to our policies. Food items that are confiscated will not be returned. We strongly en-courage you to use the USPS or another delivery sys-tem rather than dropping things off at camp, with the exception of medication. The campers can live without most things until the mail comes or you bring them on Sun-day. We keep extra toiletries for emergencies and often other campers will share if possible. Packages and mail/ emails are given to campers after lunch each day (except Sundays and the closing Friday of each session).

MAIL CALL

All packages, mail and email will be delivered to campers during rest period after lunch. No mail or packages are delivered on Sundays. Any mail or email received after lunch will be delivered the next day. Mail call can be a very exciting time of the day for campers who receive mail. However, it can also be disappointing for the camper who doesn’t receive any mail. If possible, try to send a letter or two per week. If packages are sent to a camper, please re-member that we do not allow soft drinks, bottled drinks or water, or candy. These items interfere with meals and attract bugs and rodents, as well as increase waste/garbage. We only allow 3 packages a session. Please send a reusable water bottle if your child did not pack one (the camp store will have reusable water bottles if your child needs to purchase one) . Please remember that Camp Marymount stresses cabin communi-ty, therefore the contents of all packages are encouraged to be shared among the cabin. (Soft drinks and candy will be confiscated). Please do not send packages after the last Monday of each session. Camp Marymount reserves the right to inspect and confiscate any packages that we deter-mine to be contrary to the policies or mission of camp. Suggested items for packages are: granola bars, pret-zels, healthy snacks, books, magazines, games, drink mixes to use with their reusable water bottle (for exam-ple, Gatorade or sugar free Kool Aid )etc.

Can my female camper attend the entire five weeks? If your camper is interested in attending the five week ses-

sion, ( the 2 and 3 week session combined) you must first choose between either the two or three week session on the camper appli-cation. If there is room in the session to go for all 5 weeks, last year returning campers (meaning rising 11th graders) will be given priority until March 15th. After that date, all other campers who are interested in 5 weeks will be placed in a lottery to be held in late March for the 5 week session. Office staff will then notify families if their camper’s name is drawn in the lottery. NOTE: Junior camp two week and Senior camp three week sessions usually fill up before any other session. It is best to sign up for the junior two week or senior three week if your camper wants to attend the entire five weeks but this does not guarantee a 5 week spot. You are encouraged to make arrangements for your child to stay elsewhere during the changeover weekend (Friday, June 12 - Sunday, June 14th) if other arrangements cannot be made, the fee to stay on site during that weekend is $125 per camper.

Can my male camper attend both the two week and the one week session? Yes! Starting in 2014 we will be

offering a one week camp in addition to a two camp session for boys. Priority will be given to campers who sign up to attend both sessions (total of three weeks). After 1 month, registration will open up for those that want to attend just the one week boys’ session or the two week boys’ session. You are encouraged to make arrangements for your child to stay elsewhere during the changeover weekend (Friday, July 10th - Sunday, June 12th). If other arrangements cannot be made, the fee to stay on site during that weekend is $125 per camper.

When will I find out what cabin my child is in? Will we be able to switch cabins at check-in? You and

your campers will stay together through the entire check-in procedure and will find out the cabin number and counselor. You will meet your cabin mates at the cabin; please do not ask at check-in who is in your cabin. The placement of campers is done by grade and age with camper requests considered. It is a very difficult and delicate process; therefore, we will not change camper cabins at check-in except in the case of grade or age error. What about requesting a friend to be in the same cabin as my child? While we encourage campers to meet

new people and be open to cabin placement, we understand the first time camper may be apprehensive about being “alone” in a cabin. In addition, campers who do not live in the same city may only have this time to see each other. Therefore, you may request one or two people with which to be placed in the same cabin. If more than two campers are listed, or if the other campers’ parents do not have matching requests, we cannot guarantee the matching placement will be made. Camp Marymount is not responsible for contacting parents in order to complete requests. The cabin request form is now part of the application process. If you have already applied and still want to make a request or change, please complete the online form on our website, before April 1st for girl campers and June 1st for boy campers. Is it OK to bring my Health Form with me? NO! Because the camp Health Care Personnel must sort through and

read over 600 Health Forms this summer, we ask that you email these by April 1st for girl campers and June 1st for boy campers. We recommend EMAILING all 5 pages (health form (4 pages), copy of insurance card plus the immunization form if needed), as there will always be a record of it if needed. Unfortunately, if the health form is not received complete, it will be discarded so we always recommend keeping a copy for yourself.

How do I find out how my child is doing while at camp? You may call or e-mail camp to check on your child. The

best time to contact camp is during regular business hours, so that someone in our office will be available to receive your request. Please phone 615-799-0410 or e-mail [email protected]. Our staff will check on your camper, and call or email you back to inform you about how he or she is doing. We field many of these requests each day and logistically this takes time. We will not notify your camper that you have called. Personal calls & return e-mails are not permitted by campers during their stay at camp.

Can I visit my camper? What happens on Visitor Sunday, June 28? If I can’t come then should I stop by another time? NO, visitor Sunday is between the hours of 1:00 pm and 3 pm and is only scheduled for the three

week girls’ session (June 28). This is the only time available for parents to visit their campers. Because of the number of campers, the busy schedule at camp, and security reasons, it is not feasible for visitors to come at any other time. You are invited to check the Sunday schedule for planned programs. We typically email the Sunday schedule so families know in advance. When you arrive, check at the cabin or main building for the location of your camper (s). Because travel times can be altered, and children may con-fuse arrival times, we have the campers join an activity rather than sit at the cabin or lodge waiting for her visitors. Please note that if you say that you “might” visit, the camper will usually expect you to be there. It is best to let the camper know in advance wheth-er or not you will be coming. Please do not bring your pets to camp even if it is on a leash. While visiting please make sure all chil-

dren you bring to visit are supervised. Please do not drop off under 18 visitors on visitor Sundays.

What if I cannot visit on Sunday (during girls’ 3 week session, what will my child be doing? Can they call home then? There is no need to worry about your camper if you are unable to

visit. Many children are from other states and even other countries and day travel is not possible. There are ac-tivities and events for Sundays and the staff will give extra attention to those who will not have visitors. Again, because of logistics, campers are not allowed to call home. We ask that visiting parents not allow other campers to use their cell phones to call home or any other place/person.

Can someone else visit my child? Campers may have visitors other than parents. These visitors should

be relatives or close friends of the camper with whom they are comfortable. We do not allow un-supervised children (under 18) to visit camp and will ask them to leave. Campers may only leave with an adult (age 18 or over) other than his or her parent if the parent or guardian has given written permission. Faxed permission is al-lowed on an emergency basis, but email or phone permission will not be recognized. Campers may not be re-leased to any non-relative under the age of 18. Visitors will be asked to show ID if they are taking a camper off of camp property. What if my child needs me? Camp staff will contact you if your child needs you. You MAY contact

camp by phone or e-mail if you are concerned about your child. Camp staff will check on your camper, and return your call or e-mail. Please phone 615-799-0410 or e-mail [email protected]. Phones are not readily available to campers. Sometimes, when a camper believes he/she has permission to call home, he/she may focus on calling home instead of getting involved in camp activities. Please, do NOT give your child per-

mission to call home.

Lost and Found Policy

Unfortunately, each year we have many items that end up in our lost and found. On closing Fridays, we will put the lost items that we have found out for parents and campers to go through. To help us get clothing back to your child and to help you recognize their clothing, we highly recommend that you put your child’s name in everything he/she brings to camp. Although we cannot be responsible for lost items at camp, we will hold on to the unclaimed items for 2 weeks after the session has ended. After that time, all remaining items will be donated to charity. Marymount will work hard to get these items back to their owner, but we don’t have the resources to deliver items to the owner after camp nor are we able to have items shipped. We will make every effort to have your item available for UPS, FedEx or any other carrier to pick up. For this to happen, parents must cover the cost of shipping.

Daily Life at Marymount For Junior Campers activity assignments are announced after each meal. Morning clean-up & activities are experienced as a cabin group, while afternoon activities are completed in activity groups. These groups are composed of campers from different cabins in order to facilitate campers meeting a variety of people. A free period for swim or play including the entire camp com-pletes afternoon activities. Showers are taken daily (locker room style). Senior campers have a similar schedule, but there is more flexibility to allow for special events, including occasional trips off camp property. Tuesdays and Thursdays are cookout nights. This gives campers the chance to select a site at camp and prepare a meal as a cabin. Equipped with a basket of food, campers gather wood, build a fire, cook their meal and enjoy. These nights typically make for a great camp out adventure under the stars. Each cabin will camp out under the stars at least once a session.

Health Care Information Our first aid center is staffed by health care staff 24 hours a day, 7 days a week. Our health care staff is trained to follow protocols approved by our camp physician. We have our camp physician available on call as well as multiple registered nurses who are in regular contact with our health care staff. Registered Nurses are on site daily to check on campers & answer any of our health care staff’s questions. All medications are kept in the first aid center. Medications are distributed at meal times or at the designated time preferred by the doctor’s orders. PLEASE REFRAIN FROM SENDING NON ESSENTIAL OVER THE COUNTER MED-

ICATIONS, VITAMINS, AND/OR SUPPLEMENTS. OUR STAFF MEMBERS NEED TO FOCUS ON CRUCIAL PRESCRIP-

TION MEDICATIONS ONLY. Medications that cannot be taken at meal times will require your camper to go to the first aid center at the designated time to take the medicine. Please do not send over the counter medications with your child as we have them in our first aid center. Medications (tablet and/or liquid form) kept in our first aid center and available for your camper are: Calamine, Hydrogen peroxide, Cortisone/diphenhydramine creams, Hydrocorti-sone, Acetaminophen (Tylenol, APAP), Diphenhydramine (Benadryl), Loratidine (Claritin), cough and cold medica-tions, Ibuprofen (Motrin, Advil), Milk of Magnesia, Throat Spray, Tums. Should your camper require a doctor visit, we will notify you. Either your child will be taken to our camp doctor’s office or to a walk in clinic (located 15 minutes from camp). Marymount will bill you for any fees for the Dr. visit and/or prescriptions. It is your responsibility to file the visit/fees to your insurance company as the doctor’s office will treat it as a one time visit and not file it. Local families will be contacted and given the option to visit their own doctor and asked if they want to take their own camper to the appointment (as some parent/guardians want to do this).

All campers and staff must have a new Health Form completed and mailed to camp by April 1st for girls and June 1st for boys . A copy of your insurance card is also needed with the health form. All campers are required to have health insurance. Campers and staff should have had a physical within 12 months prior to attending camp. A new health form must

be completed each summer. If a camper arrives without a completed health form, the parent or guardian will be asked to take the camper to his

or her doctor or the nearest urgent care facility to have the form completed. A camper arriving commercially will be taken by camp staff and the parent/guardian billed accordingly. You may download & print a copy of the Marymount health form by visiting our website www.campmarymount.com .

AUTHORIZATION FOR MEDICAL ASSISTANCE & ADMINISTRATION OF MEDICATION(S) (The information on this page is copied from our camper application/registration.)

In case of illness or injury Camp Marymount has a first aid center where camp staff or volunteer/contract medical personnel will provide non-emergency treatment for minor injuries and illnesses. Camp Marymount will also house, under lock and key, any medications needed to be utilized by a camper. Camp Marymount works closely with a designated, non-employee camp physician who is located near camp and is on call 24 hours a day 7 days a week. Pursuant to physician approved protocols, our health care staff (who are first aid and CPR trained) will assist your child(ren) if they are ill, administer first aid if needed as described above, assist your child(ren) with the self- administration of his/her medication (s) and will contact you as soon as possible in case of an emergency or if there are any questions regarding the healthcare of your child(ren). In addition, Camp Marymount will have volunteer registered nurses visit camp on a daily basis to review logs, analyze camper med-ical issues and examine any camper that may need the assistance of a medical professional. With regard to medications, Camp Marymount will ensure that the camper’s prescription is being followed and that any medications administered/taken are documented in our log books. Un-used medication will be returned to you at camper check-out. By signing this document you understand, agree and give permission for Camp Marymount to make your child(ren)’s medications available for self administration. By signing this document you also give Camp Marymount permission to provide your child with over the counter medication as needed and in compliance with our health care protocols noted above. You may review those protocols at our facility upon request and as convenient for both parties. Finally, by registering your child, you confirm the following:

1) Camp Marymount has your authorization to make medications available to your child(ren), 2) Any medications needed by your child have been or will be provided to Camp Marymount in the original over-the-counter or

prescription container labeled with your child’s name, 3) The dosage and days/times the medication is to be administered is on the prescription container or other written documenta-

tion of that information has been provided with the container and 4) The medication may not be expired, 5) All medication turned in are listed on the camper health form, and 6) As a parent, you have demonstrated to Camp Marymount staff how to use any medical equipment accompanying your child

(ren) or medications.

Updated Policies & Information

Payment Policy-Please provide the following 60 days in advance of the start of your session: 50% of tuition balance, health form, and copy of your camper's insurance card, arrival/departure form and cabin request form if applicable. Fill out the permission to leave form only if your camper is leaving the grounds with someone other than a parent. The remaining fees are due 30 days prior to the start of your session. If you need to make payment ar-rangements with the Marymount office, do so before that date or you risk losing your spot at camp. Cancellation/Refund- If your cancellation occurs 45 or more days prior to the start of the session, all fees less the deposit are refundable. If your can-cellation occurs 21-44 days prior to your camp session, then 50% of all fees are refundable less the deposit. If your cancellation occurs less than 21 days prior to your camp session, then all fees are non refundable. Written medical excuses are eligible for a refund at the sole discretion of the director less the deposit (on a case by case basis). Absence from camp-As community is crucial to our program, all campers are expected to be at camp throughout the entire session. Many campers sacrifice sports/vacations etc. to be able to experience Marymount to its fullest. To be fair and consistent, campers are allowed a onetime 24 hour ab-sence during the session and it must be approved by the Director prior to the beginning of the session. Multiple incidents are not allowed. Registration Confirmation– once you register what do you do? 7-10 days after your online registration and your deposit is received, you will receive a confirmation letter . (via email). It is important we have a current and valid email address as we will send updates. This confirmation letter will let you know for which session your child is registered, if there is space available, and your total balance. It will also instruct you with the additional information you need to know regarding submitting your forms prior to April 1st for girls and June 1st for boys. Flexible Fee Structure- Realizing that families have varying abilities to pay, we have instituted a voluntary Flexible Fee Structure. This will allow fami-lies that cannot afford to pay the Full Camp Fee to pay a lesser amount - either the Partially Subsidized Fee or the Fully Subsidized Fee. It also allows families that can pay the full fee to cover the entire cost of sending your child to camp to do that. This in no way prevents those that are most in need from applying for scholarship. (The Full Camp Fee is not subsidized by donations or other funds received from fundraising efforts. It allows us to cover all costs of sending a child to camp, and includes expenses for staff, maintenance, food, programs, supplies and depreciation of equipment and buildings.) Camper Vehicle Policy– Campers are not allowed to drive their vehicle to camp and keep their vehicle on camp property during the camp session. Drop off and pick up of campers must be arranged by parents/guardians. Visitation Days and Hours – Visitor days are scheduled for the girls’ three week session only. June 28th for Girls. Sunday visitation will be from 1:00 PM to 3:00 PM . Camper lunch will be provided before visitor hours on Sundays. Visitors can still picnic with their campers during visitor hours if they like. We will also have activities and other programming available.

NEW 2015:

Lice Screening Procedure: As you know, the issue of lice is a common one that affects private and public schools, communi-ty centers, camps etc. To help in the prevention of lice at Marymount we have contracted with Lice Solutions Resource Net-work, Inc. (LS) to screen campers on opening day. There are no additional fees for this lice screening, however it will be very important for you to check your child for lice BEFORE he/she checks into Camp. If your child is found to have lice or lice eggs (nits), he/she will have 3 options and all will have varying additional expenses in treatment before your child will be al-lowed back into Camp. Please see below for options. All tuition fees etc. are non-refundable due to missed time at camp be-cause of lice issues. In addition, fees paid for treatment are not charged to you by Marymount but by Lice Solutions. How the screening procedure will work: After check-in campers will be thoroughly checked by a LS staff member on opening day. If your camper has lice or eggs (nits) you will have the following options: Option 1. Pull your camper out and treat him/her at home. All campers in this situation must be rechecked at the Nashville LS location in order to be reenrolled back into camp. The head recheck price at LS is $25.00. Parents are responsible for the recheck fee and must provide documentation from LS to come back to camp. ( please note that lice treatment is not a simple process) Option 2. Pull your camper out and have your camper treated by LS at their Nashville office on Monday. Their office treatment price averages $185 (actual cost depends on total time of treatment). Parents are responsible for this treatment fee. Once cleared by LS the camper can return to Marymount. Please note LS Nashville office is not open on weekends. Option 3. Choose to have LS treat your camper at Marymount. The LS onsite treatment fee is $250 and also includes two follow up checks here at Marymount. Parents are responsible for this treatment fee ($250). **To ensure a smooth check in process please ensure that your child is lice free before you come to camp. Trunk /Luggage Shipping– If your camper is flying to or from camp, please ship any luggage he/she cannot carry. All of your camper trunk/luggage shipping needs can be arranged with Goin’ Postal. We ask that campers are picked up between 8:30 am - 10:30 am on closing Fridays and that all flights are scheduled to leave

the Nashville airport before noon.

Last Day of Camp Pick -Up Procedure Please remember the last day of each session ends on a FRIDAY. Pickup time is between 8:30 am & 10:30 am. Please do not show up earlier (unless prior arrangements have been

made with the administration) as this gives campers time to say their final goodbyes, finish last minute packing and eat breakfast .

On the closing FRIDAY of camp, campers must be picked up before 11 am. Our staff are no longer available after that time. If your child is here after 11:00 am we will have to hire someone to care for him/her. You will be billed at a rate of $25.00 an hour in 15 minute increments . In the event that your child is not picked up within 3 hours of the close of

camp (11:00 am) and we are unable to contact you, your emergency contact will be called. To ensure that your child has a pleasant ending experience here at camp please make sure to have your camper picked up before 11 am or contact the administration office if different

arrangements need to be made. Pick-up Procedures:

1. AFTER 8:30 AM when you arrive to pick up your camper you may proceed to your campers cabin. Your camper should be packed up, but please take a final look around

the cabin and clothes line to look for any other items. Camper sign-out will begin at the cabin, with your camper’s counselor. Please do not forget to sign your camper out.

2. Next, your camper might want to stop by the arts & crafts hut to retrieve any projects. 3. Your last stop is the porch of the main building for the final session sign out (please

make sure you sign your camper out at the cabin and at the main building). Here you may talk with the administration if you like or proceed to pick up any medicine you

sent with your camper. Please check the lost & found station before you leave, it will be on the porch of the main building. Cabin pictures and address lists will be e-mailed to

the parents to share with their campers. 4. Don’t forget to stop by Marymart for last minute shopping.
