1. IE CAMPUS LIFE

1.1 Our Mission

The mission of the Campus Life office is contributing to the maximization of the IE experience by:

- Supporting students in organizing extracurricular activities on campus, - creating an engaged community based on the diversity of our student body, - encouraging the sharing of common interests among students, - boosting the opportunity to develop personal and group skills in a stimulating and

engaging environment.

COMMITMENT All IE Clubs need to demonstrate that their mission and objectives are consistent with the mission and values of IE Community. IE Community includes IE students, alumni, professors & staff. Campus Life team will assist and advise you on how to create new IE Clubs and organize activities in the framework of the existing ones. If you want to create a new Club, please contact us for more information at [email protected] . Please remember that only Campus Life Office is allowed to give official recognition to the Clubs after your application is submitted and requirements are completed. 1.3 Stay tuned! Every Monday you will be receiving our Campus Life Monday newsletter, which will keep you updated about club events and other extracurricular activities that will take place on campus during the following week. Keep up with everything that’s going on at School by reading the news stories on the Campus Life homepage (www.campuslife.ie.edu) where you will find everything related to student-led activities: event calendar, club websites and FAQ section about club managing and creation. 2. IE STUDENT CLUBS 2.1 WHAT´S AN IE CLUB? The IE Student Clubs are the engine of the IE experience and a crucial part in the creation of a unique, global and fun-filled experience of a committed community with diverse common interests – geographic, professional, social and sports-, that maximizes the opportunities offered by the diversity of our students, faculty and staff. The IE Student Clubs are organized by the community and for the community! Don’t miss out any of the activities because it’s a great and unique opportunity to widen your network and share your experiences, hobbies and similar concerns. The objective of our Campus Life Guide is to collect IE guidelines for Clubs that are officially recognized by IE and Campus Life team. Note that all students involved in the Clubs: Coordinators and members of a club act as ambassadors of IE on and off campus. Therefore good behavior is expected in accordance with the principles and values of IE, contained in this guide and in the Code of Ethics of IE. Please find below the list of the clubs at IE which were active at the moment of the last edition of the guidebook. Please note that there might be changes, as the list is being updated constantly. We look forward to receiving new proposals! IE Club categories:

- Professional: clubs that serve as a platform to discuss and share knowledge about specific academic areas and/or professional sectors.

- Sports: clubs that manage recreational and/or competitive sports activities and serve as a platform to share your passion about sports.

- Social: clubs that provide opportunities for networking and sharing personal interests and hobbies.

- Geographic: clubs that provide opportunities to share interest in and knowledge of a particular country.

IE Clubs are independent of any political group, party, public or private, religious or civil organization and should be open to any person from IE Community. If discriminatory conduct against any student, alumni, partner, professor or IE staff related to gender, opinion, academic background, nationality, culture, race, religion, believes, professional or personal experience, sexual orientation or age is observed at the creation or during the exercise of IE Club´s activity, the club will be automatically closed by Campus Life team. Also, IE Campus Life reserves the right to dissolve immediately an IE Club, if the club remains inactive for a period of 3 or more months, the articles of this guide or IE Code of Ethics, or the principles and values of IE are violated. 2.2 IE Clubs objectives IE Club objectives are:

- Give students the opportunity to extend their network in a particular sector, area or topic of interest and become a lifelong platform to exchange knowledge and enjoy common interests with other members of IE community through periodic organization of multiple academic, leisure and cultural activities.

- Contribute to developing a sense of belonging to IE Community among students, helping them realize that the IE experience does not end in the classroom. There is much more to discover and a lot of great opportunities to learn and develop your network and new friendships.

- Be a way of escape at particular moments along the program and contribute to the organization of motivating activities for students that allow them to learn and enjoy the Campus.

- Represent and promote IE brand during the activities organized at Madrid Campus or in other business schools.

- Be socially responsible and dedicated to the IE Community. All IE Clubs are committed to support the IE Community by donating 15% of the funds raised through fundraising activities to Campus Life Community Fund to help the clubs with fewer opportunities to obtain funds necessary for the organization of their activities.

2.3 How to create a Club

1. First of all, you should define the idea and the objectives of the suggested club. Make sure that the purpose of the suggested club does not duplicate those of any club that already exists. If there are common areas, we would recommend you to contact the coordinators of the existing club and look for opportunities of cooperation with them instead of creating a new club.

2. Consider that you should carefully revise the list of existing clubs at IE provided in Campus Life website.

3. Once you are sure of that your interest area is not yet covered by any club at IE, you should fill in NEW CLUB PROPOSAL form and send it to the Campus Life office (Maria de Molina, 31 28006 Madrid. [email protected])

4. The proposal will be revised by Campus Life team and the decision will be communicated in no more than a week.

Approval of Proposals A proposal will be approved if it:

- Embraces the values of Campus Life and IE; - Agrees with IE Clubs´ objectives. - Does not duplicate purposes of existing clubs at IE; - Does not conflict with the rules provided in our guide or IE Ethics Code.

Once your proposal is approved

- The club will be assigned by Campus Life team to one of the following categories: Professional, Sports, Social & Geographic.

- Clubs that have been established less than 3 months before the next election period

do not have to participate in the elections.

- The founders of the club must form a Board of no more than 6 members who will be automatically appointed as the Club Coordinators. The role of each coordinator should be assigned on a mutual agreement basis and be clearly defined during the celebration of the first Board official meeting. The names of all the Coordinators elected should be officially communicated to Campus Life office for the formal approval and update of the database of Club Boards.

- If the club has been established more than 3 months before the election period, the club will have to participate in the elections. Please refer to “Election process” section for detailed information about the process.

2.4 IE Clubs rights

As an officially recognized IE Club you will benefit from:

- Use of IE Brand

The Campus life team will provide you with any necessary elements of IE brand (logo, color code, IE typography, etc). The elements of the corporate image of IE should not suffer any changes.

The use of IE brand in promotional material produced by IE Clubs should be revised and approved by Campus life team before being used.

The usage of IE’s trademarked images and logos by student clubs that are not recognized by the Campus Life team is not permitted.

- IE Club Logo

Campus Life team will facilitate the corresponding logo to each Club, according to IE corporate brand requirements. This logo will recognize the Club as an IE official student Club. No elements of the logo should be modified.

- E-mail IE Club

Every IE Club can request Campus Life Team to create an email account for club´s internal and/or external communication. The email address will have the following format: <clubname>[email protected]. The club should assign one board member to manage the mailbox. The name of the responsible board member should be communicated to Campus Life team at the moment of creation of the mailbox. Please note that all of you act as IE ambassadors inside and outside of IE Campus. Therefore, we expect that the club email account will be managed accordingly to IE principles and values, contained in this guide and IE Code of Ethics.

- Campus facilities

Clubs officially recognized as IE Clubs can use the facilities of Madrid Campus. Bookings are coordinated trough the Campus Life office. See Annex 3 for policy of Use of IE Facilities.

- Channels of promotion

Every IE Club will have a page at Campus Life website.

IE Clubs have the right to publish their events at Alumni Agenda

(http://www.ie.edu/alumniagenda).

IE Club coordinators are invited to collaborate as co-authors of Campus Life blog providing information about the purpose of the Club, events, news and any other club related information.

Every week Campus Life Office publishes a newsletter with all the activities and

news related to the IE Clubs.

Campus Life Office organizes Club fairs at the beginning of fall and spring semesters. All the recognized clubs will have an opportunity to register and have a stand during the fair to promote the club and its activities.

With the authorization of Campus Life office, IE Clubs can create groups or page on

social networks (Facebook, Linkedln, Twitter). In order to create a group/page it is mandatory to follow the guidelines set by IE and The Guide of Social Media for IE Clubs (see Annex 1).

2.5 Club responsibilities IE Club Coordinators have the following responsibilities:

a. STRATEGY

- Develop a plan, control and execute the purposes of the Club. - Help to promote and defend the mission, purpose, objectives and values of IE and IE

Clubs. - Represent and defend the interests of the Club. - Board election: The elections of the board will be organized twice a year, in spring

and in autumn/winter, after all the programs of the corresponding intake have started their classes. We strongly recommend that there are students from both spring and autumn intakes among the Club Coordinators, as it helps transmitting the know-how and keeping the club active. This Board structure is supported by the established election process, detailed in the section “Election process”.

- Be the link between the Club and IE Campus Life and/or any member of IE Community.

- Keep IE Campus Life informed or ask for a special authorization before planning any activity or event.

- Organize periodical meetings, academic and cultural activities, events, social gatherings, sports tournaments and competitions. Please note that IE Campus Life reserves the right to dissolve immediately an IE Club, if the club is inactive for a period of 3 or more months.

- Invite renowned lecturers and/or talented and experienced professionals who wish to participate in Club activities or as supporting members of the Club.

b. FINANCE

- Manage the club finance and encourage fundraising and sponsoring.

c. MEMBERSHIP

- Identify and attract potential Club members among IE student body. - Prevent any conflict among Club members. - Ensure the correct application of data protection policies or any other policies

related to safeguarding the identity of every Club member. - Keep the Club member database updated and exclusively use those personal &

private data in the Club context.

d. SOCIAL MEDIA

- Manage club/chapter webpage contents on social media (Facebook, Twitter, LinkedIn and Club section at IE Campus Life website)

- Contribute to developing specific contents to be published on IE Campus Life Blog or Facebook page.

- Promote the use of the Club´s social media among club members in order to: o Generate networking. o Share knowledge and interests. o Develop the image of the Club

- Manage and check club email account to solve doubts and questions.

e. IE FACILITIES

- IE Club coordinators applying to book facilities on behalf of the Club are responsible for:

damages to IE facilities. the behavior of all attendees during the event.

See Annex 2 for more detailed information 2.6 Fundraising and IE Campus Life Community Fund

- IE clubs are encouraged to be self sufficient and finance their own activities, either by fundraising or by looking for sponsors. Fund raising activities are defined as events to raise money through direct sale of an IE Club event entrance tickets to be used for the support of the Club’s activities (and Campus Life Community Fund).

- IE Clubs are allowed to organize fundraising activities to obtain funds for financing their events. 15% of the money fundraised will be deposited in the IE Campus Life Community Fund, while the rest will be available for the club.

- The IE Campus Life Community Fund was founded to encourage a collaborative environment among students by supporting those clubs that do not have sufficient power (because of the size, establishment date or other reasons) to obtain enough funds to finance their activities. IE Campus Life will periodically publish a list of

activities financed by IE Campus Life Community Fund acknowledging the clubs who originated the funds.

- On Campus fundraising shall be restricted to LAUNCH Pad in MM, 31

- Clubs cannot charge membership fee to their members, but a fee for attending

certain activities may be allowed (such as fundraising events, events where the preparation costs have to be covered or similar). All Club activities with an admission fee are required to have preprinted, consecutively numbered tickets and to utilize the free tickets provided by Campus Life.

- If a fee is charged for attending an event, the club has to announce in the invitation of

the event where the money will be used. The fee must always be smaller for IE students and associated members of IE Alumni Association.

- IE Campus life will request IE Club coordinators to provide the final number of

attendees and the amount of funds raised. All generated income should be deposited in the Campus Life office right after the event.

- In accordance with the objective to be dedicated to the IE Community, all the clubs

commit to support it by contributing 15% of the money collected through the fundraising or fund collecting activities to IE Campus Life Community Fund. The money collected will be used to strengthen and help clubs that have fewer opportunities to obtain funds to organize their activities.

- Sponsorship: Clubs are also encouraged to look for sponsorship (both economic and

in-kind) for their activities. Campus Life office should be informed if a sponsor is found. If the sponsorship is economic, the money should be deposited in Campus Life bank account where it will be assigned to the corresponding club.

Campus Life can provide:

- Storage space for in-kind or promotional material for the time remaining until the

event for which the sponsorship is provided; - An official document confirming the recognition by IE of the club/event; - Invoice/receipt for the sum of money transferred; - Sponsorship contract (only if requested by the sponsor).

Campus Life Contribution If a club needs financial support to organize an event/activity, the coordinators must submit to the Campus Life Office a full description of the event and a detailed explanation on how the money will be used. Campus Life team will evaluate the request and will inform the Club about the possible Campus Life economic contribution. Campus Life budget will not be authorized for financing:

- Compensation for speakers. - Travel expenses of a speaker, except for renowned speakers and if no sponsorship can

be obtained.

- Catering expenses, except for a major/annual event and if no sponsorship can be obtained.

- Purchase of alcohol. - Internal club meetings. - Activities organized before asking for financial support, or activities where expenses

were incurred before being notified of approval. The clubs should be able to show and submit the receipts or invoices of all the expenses incurred at any time (independently if the money used was obtained from the Campus Life budget, fundraising or sponsorship) to the Campus Life office. 2.7 Would you like to participate? IE CLUB COORDINATORS (IE Club Board) The acquisitions of management abilities are not only learned during program classes, managing a Club, students have a unique opportunity to develop their skills in leadership, management of persons, time and creativity! The success of a Club depends on students but mainly on their leader. The Coordinators should be engaged representatives and with high doses of energy and motivation. The leadership of a Club requires time and dedication to organize and promote with success a wide variety of attractive activities for students and alumni. At the Campus Life office we know that combining personal and academic life with leading or managing a club is a difficult task. The Coordinators deserve official acknowledgement by IE for their role in building the IE experience and a sense of belonging to IE community, which will remain in the hearts of our future alumni. Therefore, Campus Life will grant an acknowledgement diploma for the commitment with the IE Community to club Coordinators at their respective graduation ceremonies (in May, July and December), as a token of gratitude for their work. The diplomas will not be granted automatically, but will depend on the level of commitment shown by the coordinators in carrying out their tasks and will be based on the following point system. For more information visit Annex 2: Campus Life Acknowledgment Diploma. An IE Club Board can freely decide the roles of its designated members (Coordinators), although we strongly recommend the clubs to select only one as the Club President and one person responsible for communication (the same person can be appointment to both roles). The positions of IE Club coordinators are open to all current students and their partners, who are members of the club in question. The elections of the board will be organized twice a year, in spring and in autumn/winter, after all the programs of the corresponding intake have started their classes. We strongly recommend that the boards of the clubs have members from both spring and autumn intake students, as it helps transmitting the know-how and keeping the club active. This Clubs Board structure is supported by the established IE Clubs election process, detailed in the section “Election process”. It’s important to keep in mind that only those students and partners who are members of the

Club are the ones who elect the Club coordinators. Selecting the most appropriate system for

the election is the sole responsibility of the current Club Coordinators, always given that the

elections are organized in a participative and democratic way.

IE CLUB MEMBERS All IE students are welcome to become members of IE Clubs! If you are interested in joining any club or would like to create a new one, get in touch with our Campus Life team by sending an email to [email protected]! The access to IE Clubs is also open to your partners and IE alumni. Encourage your partners to join IE Partners Club and register as an official partner through IE Campus Life, so that we can invite them to all the events that we organize at our office! Don’t forget that without their support your study year at IE wouldn’t be such a memorable experience! Thus we want to bring your partners closer to the IE experience in order to acknowledge their support, understanding and acceptance of the insufficient time you have for them and of the efforts we demand from you during this year of intense studies! The access to the clubs is free of any charge. 2.8 IE Clubs Election Process IE Club Fair All club coordinators are invited to participate in our IE Club Fair, an event organized twice a year, right before the start of the election process. IE Club Fair is a unique opportunity for new students to meet with club coordinators, get to know them and obtain first-hand information about the objectives and initiatives of the clubs of their interest. IE Clubs Election period The election period will start right after the Club Fair that takes place twice a year, in spring and autumn/winter. The exact dates of the Club Fair and each election period will be announced through Campus Life communication channels, the main source always being Campus Life Monday Newsletter. All members of an IE Club who are currently studying at IE or are partners of IE students, are allowed to raise their candidatures in order to occupy vacant positions in the Board of the club in question. The maximum number of clubs in which a current IE student/partner can be a coordinator is two.

Rules Club coordinators: 5 rules to remember

1. 3 members of the current board can stay for the next term of office. Remember to send the names of the 3 Coordinators staying to Campus Life during the first week after the Club Fair.

2. New students will be requested to send their candidatures for the clubs of their interest during the same week. Campus Life will share the candidatures with the Club Board right after the deadline to send candidatures is over.

3. If the total number of candidatures (the members of the board staying + new candidates) is less or equal to 6 after the week is over, no elections will be required and the 3 new candidates will be announced members of the new board of the club. In case the total number of new candidates is less than 3, more than 3 members of the previous board can stay for the next term of office, always given that the total number of members of the board does not exceed 6 coordinators.

4. If the total number of candidatures (the members of the board staying + new candidates) is bigger than 6, the club will have to organize elections in order to determine the new board. The members from the previous board who are staying for the next term of office (no more than 3) do not have to participate in the elections, their seats in the new board are automatically allocated.

5. The names of all the Coordinators elected should be officially communicated to Campus Life office for the formal approval and update of the database of Club Boards.

Elections: 4 rules to remember

1. If there are more than 6 candidatures for the board of a club, elections are necessary.

2. A member of the previous board who will not keep his/her position as a club coordinator for the next term of office should be appointed to organize the elections of the club.

3. The clubs are requested to conduct elections for the new board in a free, transparent

and fair manner. Selecting the most appropriate system for the election is the sole responsibility of the current Club Coordinators, always given that the system is participative and democratic.

4. Dismissal of the Board: IE Campus Life has the authority to dismiss a Coordinator or the whole Board if there are proofs of violation of IE Ethics Code or the principles, values or norms contained in this guide.

3. EVENTS AND ACTIVITIES 3.1 Organizing an event IE Clubs are encouraged to organize a variety of events such as conferences, informal gatherings, sports events, trips, etc. To organize an event, the club must inform Campus Life office about the activity at least 2 weeks before the event. Campus Life will support students by:

- Helping you to choose an appropriate date for the event (taking into account your program activities and possible clashing with other events at IE);

- Confirming the availability of the room(s) needed for the event and booking them; - Ensuring that the facilities and the IT equipment are prepared for the event; - Preparing a gift(s) for the speaker(s), if needed; - Publishing the announcement of the event in all the information channels (Alumni

Agenda event calendar, Campus Life social media channels and website and Campus Life Monday Newsletter).

If a club needs financial support to organize an event/activity, the coordinators must submit to the Campus Life Office a full description of the event and a detailed explanation on how the money will be used. Campus Life team will evaluate the request and will inform the Club about the possible Campus Life economic contribution. Campus Life budget will not be authorized for financing:

- Compensation for speakers. - Travel expenses of a speaker, except for renowned speakers and if no sponsorship can

be obtained. - Catering expenses, except for a major/annual event and if no sponsorship can be

obtained. - Purchase of alcohol. - Internal club meetings. - Activities organized asking for financial support, or activities where expenses were

incurred before being notified of approval. The clubs should be able to show the receipts or invoices of all the expenses incurred at any time (independently if the money used was obtained from the Campus Life budget, fundraising or sponsorship) to the Campus Life office. Food and beverages If a food or a cocktail is served as a part of IE Club event, an authorization from the Campus Life office will be necessary. The office will make sure that food, alcoholic beverages and health and hygiene regulations are applied correctly. The consumption of alcoholic beverages at Campus is subordinated to the Spanish regulations for schools. For this reason, the number of alcoholic beverages for each student will be limited. Campus Life emphasizes moderate consumption and previous authorization for food and alcohol distribution should be requested to the office.

3.2 After the event In the next 2 weeks after the event the club should send Campus Life a press release about the event together with some photos. We will publish it in Campus Life blog, and a selection of the best press releases will be included in IDEAS magazine, which reaches all the Alumni of IE. 3.3 Annual events

IE CHINA CLUB----Chinese New Year

Last year the IE China Club organized this event to celebrate the arrival of the Chinese New

Year of the Dragon. The day included various traditional Chinese performances such as dance

acts, martial arts, Changing Face, the Beijing Opera and Chinese instrumental and vocal

performances.

IE NET IMPACT CLUB----- IE Impact weekend, Global Village and Social Responsibility Forum

IE Impact Weekend is a 60-hour, hands-on, innovative experience that brings together

students from IE and other business schools with social entrepreneurs from across Spain to

share ideas and develop socially responsible business plans. Its role is to leverage IE’s business

savvy and strong culture of entrepreneurship to empower both social entrepreneurs and

students with the tools to create a more socially and environmentally sustainable world

through business. The ultimate goal of each venture should be to reach impact.

Global Village is one of IE’s most iconic festivals that celebrates the wealth of cultural

diversity on the IE campus. During the event students from different countries provide

information on tourism and cultural heritage, as well as organizing music and traditional

dance. The funds raised through the sale of tickets for the event are used to fund the IE Social

Responsibility Forum.

Social Responsibility Forum is an interactive space for graduate students and

professionals to share knowledge and generate ideas, understand tools and platforms that

foster sustainability enlarge relevant networks, connect the dots and map-out future personal

contributions. To further cultivate your learning experience, global experts speaking at our

panels will offer insight and share knowledge in pioneering change in their sustainability effort

as well as advancing our understanding of the mind and skill sets necessary for leadership,

decision making and entrepreneurship.

IE INDIA CLUB ----DIWALI FESTIVAL

IE India Club coordinates the Diwali Festival, an event organized for IE students to share the

Indian Culture. Attractions like Rangoli competition (artistic drawings with powder colors/

flowers), Indian dance performances and regional food are the starting point of a fun and

cultural Indian Night.

IE AFRICA CLUB-----AFRICA DAY

The IE Africa Club is a collection of both African and Non-African students who are motivated

to increase awareness of the African continent – including the myriad of opportunities that

exist. Through the IE Africa Day, the Club aims to bring the continent’s rich culture to the fore

and to demystify myths about the continent as the world becomes global.

IE FOOTBALL CLUB ----GRASS ROOT SOCCER TOURNAMENT

Organized by IE Football Club, the Grassroot Soccer Tournament brings students from top

business schools around Europe together in the heart of Spain, celebrating their passion for

football and contributing to the cause of stopping HIV spread.

IE CONSULTING CLUB ---CONSULTING DAY

IE Consulting Day is an activity created by IE Consulting Club to bring together consultants from

important consulting firms for a day of presentations, discussions and networking. With the

increased focus of IE students on consulting as a future career option, this event helps them

gain a much deeper understanding of what the industry has to offer and how some of the big

firms operate their business. At the same time it also allows some of the higher up

representatives in these companies get a taste of the strong consulting talent that has been

developing in one of the top business schools in the world.

IE ENERGY CLUB ---ENERGY DAY

IE Energy Club hosts the IE Energy Day to offer students, alumni, and professionals a chance to

gather and discuss the changing energy economy, learn about current global energy trends

and increase the knowledge about other important topics such as energy financing, solar and

gas pricing, electric cars and other smart grid innovations.

IEOUT CLUB---LGBT@WORK

The LGBT@WORK, organized by IEOut Club, pursues its mission to be a reference in awareness

of best inclusion practices for LGBT Diversity at workplace and in academic institutions.

ANNEX 1 - Managing Club Social Media

General Rules

Remember that whenever you use social media, you are representing IE! The use of IE name and logo implies the management of its brand.

We expect you to manage your club’s social media account according to the values and norms contained in the Campus Life Guide and the IE Ethics Code.

A member of IE Campus Life team has to be added as an administrator of club accounts in all social networks to help the transition of the accounts to new coordinators smoother.

Club coordinators who have created the account in social media should also add the next intake coordinators as administrators of the account

Creating an account in Social Media

The name of the club account in social media has to be exactly the same as the club

name, e.g. “IE Marketing Club”. Avoid accounts specifying particular intakes or years

(e.g. “IE Marketing Club 2013”) in order to keep the club open to all the students and

alumni and the upcoming intakes that will take over the club after your term of office

ends.

Most of the IE clubs already have accounts in Facebook, LinkedIn or Twitter, so before

creating a new one, check if there is an account already. If it is already created, contact

the current administrators and request them to give you access to administrate it.

If multiple club’s social media accounts exist within the same social network, they

should be merged. The account with the most participants should be the one that

remains. Campus Life team will help you with the process.

The image of the club’s social media account should always be the official logo of the

club, provided by IE Campus Life team. The logo should be used in high resolution and

used unmodified.

When choosing a type of the account in social media, categorize it as an educational

one, when available.

Indicate the objectives of the club and use the club IE email account for contact details

(e.g. [email protected]). Do not use personal emails.

In the website area include Campus Life Website address (www.campuslife.ie.edu)

If you need to provide a postal address please use IE address at Maria de Molina 11-13,

28006 Madrid.

Vanity URL: some social networks allow you to obtain a personalized URL which is

easier to share and remember. We recommend the clubs to use a Vanity URL that

identifies the account as an IE Club, e.g. www.facebook.com/iemarketingclub

Managing Social Media Accounts.

Remember that your posts and comments are part of the club’s, IE’s and your personal

brand.

If you manage a closed group in social media, you should accept all the members of

the IE community (students from any programs or intake, professors, staff and

alumni). No discrimination within clubs is allowed.

If you manage a closed group, monitor membership requests frequently.

Share information that is relevant to the club, and start conversations to encourage

others to share their thoughts on relevant topics. 80% of the IE Community use English

as their main language. Publishing in English could give more visibility to your posts.

If you are promoting an event, always insert the link of the Alumni Agenda for further

information and registration. People tend to “like” or accept invitations on social

media, but that will not count as an official registration.

If the club has accounts in various social networks, remember to keep them all

consistent and up to date. There are some tools (social media aggregators, such as

Hootsuite or Tweetdeck) that can be helpful.

Remember the Ethics.

Use a respectful language in all club social media accounts. No users should feel

uncomfortable with any of the comments made by other participants. Never use sexist

or racist language, or anything that encourages violence.

The following types of publications in social media will be considered as inappropriate:

o Harassing, abusive or threatening comments.

o Attacking individuals or groups. Remember: “be hard on the issues, not on the

people”!

o Multilevel marketing or other pyramid scheme offers.

o Derogatory, unprofessional or disrespectful.

o Excessive use of capital letters in a title, text or comment.

o Spam.

Inappropriate entries will be removed. If a member consistently publishes

inappropriate content, they might be removed and/or banned from the group. In case

you have persistent issues with a member of the group, please contact IE Campus Life

team. Avoid erasing negative comments or posts without speaking with the author of

ANEX 2 - CAMPUS LIFE CLUB COORDINATOR ACKNOWLEDGEMENT DIPLOMA

The acquisitions of management abilities are not only learned during program classes,

managing a Club, students have a unique opportunity to develop their skills in leadership,

management of persons, time and creativity!

The success of a Club depends on students but mainly on their leader. The Coordinators should be engaged representatives and with high doses of energy and motivation. The leadership of a Club requires time and dedication to organize and promote with success a wide variety of attractive activities for students and alumni. At the Campus Life office we know that combining personal and academic life with leading or managing a club is a difficult task. The Coordinators deserve official acknowledgement by IE for their role in building the IE experience and a sense of belonging to IE community, which will remain in the hearts of our future alumni. Therefore, Campus Life will grant an acknowledgement diploma for the commitment with the IE Community to club Coordinators at their respective graduation ceremonies (in May, July and December), as a token of gratitude for their work. The diplomas will not be granted automatically, but will depend on the level of commitment shown by the coordinators in carrying out their tasks and will be based on the following point system.

Campus Life acknowledgment diploma: point system

Event organization: one of the main objectives and responsibilities of the clubs is to

become a platform for organizing interesting activities where students can share their

knowledge, passions and hobbies, and strengthen their contact networks.

Therefore, 2 points will be granted to each Coordinator for every event organized by

the Board of a Club, always given that the event was coordinated with the team of

Campus Life. No activities organized without informing Campus Life will count as valid

for obtaining points.

3 points will be granted to each Coordinator for every outstanding event because of its

impact in the media and the number of people registered to the event (more than 60),

always given that the event was coordinated with Campus Life.

In order to discourage the Coordinators to organize the event and not attend it, 2

points will be deducted in such event.

celebration of the club elections and that they maintained their roles throughout the

duration of their term of office.

ANNEX 3 - USE OF IE FACILITIES

1. IE may require students to show their IE identification for admission to events held in our facilities.

2. Only IE Clubs can request booking of rooms or other spaces at IE through Campus Life for the organization of their activities. Booking of IE facilities through IE Campus Life office is necessary in order to minimize potential conflict with academic activities or extracurricular events .

3. Conditions for use of IE facilities:

- Authorization of Campus Life office; - Assurance that IE policies will be followed. - If a food or a cocktail is served as a part of IE Club event, an authorization from the

Campus Life office will be necessary. The office will make sure that food, alcoholic beverages and health and hygiene regulations are applied correctly. The consumption of alcoholic beverages at Campus is subordinated to the Spanish regulations for schools. For this reason, the number of alcoholic beverages for each student will be limited. Campus Life emphasizes moderate consumption and previous authorization for food and alcohol distribution should be requested to the office.

4. Except when permitted by the Campus Life office, no form of announcement may be placed on any structure of the campus such as sides of buildings, elevators, fountains, vending machines or waste bins.

5. IE Club coordinators applying to book facilities on behalf of the Club are responsible for:

- Damages to IE facilities. Any IE Club that defaces or damages any IE property will be referred to the IE Ethics Committee.

- The behavior of all attendees at the Club event.
