• Office Location: Select if you work across multiple offices

This report provides the agency capacity at any given point in time. The report will return with a summary of Active and Closed/Exited cases during the specified date range. Click on the numbers (blue links) to open a sub-report with a detailed list of cases.

2 Enrollment Summary by LWIA Use for Monthly Report: New, Carryover & Total Enrollments

Detailed Reports → Case Management Reports → Documentation → Last Case Note for Participant

Select:

• Program: Title I – Workforce Development

• Customer Group: Select desired customer group; leave as “none selected” to return all customer groups

• Office Location: Select if you work across multiple offices

• Case Manager Group: None Selected

• Assigned Case Manager: None Selected (Or you can click on “Select Me” link to get your own case load)

• Days since the last case note: None Selected

• Filter by Date: Active with no Exit Date (to return all active, un-exited customers during the selected date range)

• Date Range: Select your desired date range. Leave other filters at default Click Run Report On the reports result page, click the arrows at the top of the “Days Since Last Case Note” column twice to get the highest number of days on top.

This report displays the number of days since a case note was entered for each participant. The report also displays the number of days between last contact and last case note. This can help you ensure that you are adding case notes every 30-days as required.

3b NEW! Case Notes Detailed Reports → Case Management Reports → Documentation → Individual

To get all Case Notes for your Office, select:

• Program

• System Case Notes: select “Include System Case Notes” to include case notes automatically generated by Career Connect.

• Office Location

• Date range: The report will include all case notes created during the specified date range.

Advanced filter options:

• Use the “Case Note Subject” box to search for case notes with a specific subject

• Use the filters in the “Staff” section to find case notes created or last edited by a specific staff person. Use the “Staff” box to search for and select the staff person’s name.

• Use the filters in the “Individual” section to find case notes for a specific participant. Use the “Individual” box to search by client name or login name.

This report is a great way to read case notes for an office, career coach or participant. It includes:

• Client name

• Staff created & create date

• Contact Date

• Staff last edited and edit date

• Case note subject

• Text of the Case note

This report displays credentials earned during program or after exit that were entered on the WIOA Credential Bar.

5a

Obtained Employment Use for Monthly Report: Total Placements (also add in Shared Placements from Report #5b if you do not have a separate “Shared Placement” line on your monthly report.)

• Customer Group: Select desired customer group; leave as “none selected” to

return all customer groups

• Office Location: Select if you work across multiple offices

• Filter by Date: Job Start Date (to return all jobs started in the selected date range)

• Date Range: Select your desired date range Leave other filters at default Click Run Report The report results will contain duplicate placements. For the monthly report, only unsubsidized placements that occurred while in program (Page Name = entered employment) or at Closure/Exit (Page Name = wioaclosure) count. Also, only one placement per participant per program year counts. To remove jobs entered in quarterly follow-up and de-duplicate, after running the report:

• Download the report into Excel

• Delete all rows where the “Page Name” column = “wiofollowup”

• Use the Excel “Remove Duplicates” tool to de-duplicate by StateID

• Count the number of individuals remaining on the report

This report captures employment earned during program (entered in the Employment Bar) or at Exit (entered in the Case Closure screen) and Follow-up (entered in the quarterly follow-up screens).

Shared placements are the counted when the Provider of the service is different from the Responsible Office. The “Provider” gets credit for the shared placement. This service should only be entered / counted once the customer has been placed in an unsubsidized job.

6 Exited Cases Report Use for Monthly Report: Total Exits & Positive Exits (You can also use report 18-On-line Characteristics to get Total & Positive Exits)

• Exit Reason: Leave as “none selected” to return all exited clients

• Filter by Date: Exit Date (to return all exits that occurred within the selected date range)

• Date Range: Select your desired date range Leave other filters at default Click Run Report To get Positive Exits from the report results, either sort by the “Exit Reason” column and manually count, or export into Excel or CSV and use the following formula:

=COUNTIF(RANGE, “*(POS)*”) where RANGE = the range of cells containing the Exit Reason (e.g. M2:M32).

This report returns a list of exiters, including Exit Date and Exit Reason.

This report provides a list of all customers that have been provided a service during the date range selected. NOTE: This report will also show you: 1) Services with no Provider (Provider column

indicates Same Day Service and “Actual End Date” is blank)

8a Training Use for Monthly Report: Started Training (including ITA, OJT, Bridge/Career Pathway, & Customized) and Training Related Placements. Note that this report includes in-program & exited Training-related placements.

Detailed Reports → Case Management Reports → Payments → Training (this canned report replaces the saved report in “My Reports”)

Select:

• Office Location: Select if you work across multiple offices

• Activity/Service Code: Select if you want to return a specific training service (e.g. 300-Occupational Classroom Training); leave as “None Selected” to return all training services.

• Filter by Date: Actual Begin Date (to return all training services that started in the date range)

• Date Range: Select your desired date range Leave other filters at default. Click Run Report

This report lists individuals that started training, including, ITAs, OJTs, Career Pathway, and Bridge training. The report includes the service codes, so you can sort by code to get the different types of training. The “Training Related” column indicates whether employment was training related or not. It includes jobs entered on the Employment Bar and jobs entered at Case Closure.

8b On-the-Job Training Detailed Reports → Case Management Reports → Payments → On the Job Training

Select:

• Program: Title I – WIOA

• Office Location: Select if you work across multiple offices

• Filter by Date: Actual Begin Date (for all OJT services started in the selected date range)

• Date Range: Select your desired date range Leave other filters at default. Click Run Report

This report lists individuals that started On-the-Job Training. It includes the OJT Employer, job ONET code, and planned OJT costs (“OJT Wage Cost” column) based on the data entered with the OJT service.

This report list individuals that started Work Experience. It includes OJT and non-OJT work experience as well as unpaid work experience. The report includes the Work Experience service code and description, so you can filter / sort by type of Work Experience.

8d To get Completed Bridge / Career Pathway Training Use for Monthly Report: Completed Bridge or Career Pathway training (Bridge & Career Pathway programs)

Detailed Reports → Services Reports → Services Provided Individuals → Service Section → List

Select:

• Program Type: Title I – Workforce Development

• Customer Group: Select desired customer group. Leave as “None Selected” for all customer groups

• Office Location: Select if you work across multiple offices

• Activity/Service Code: Bridge Training (WIOA Funded, non-ITA) 307-Adult/DW, 403-Youth

AND/OR Career Pathway Training (non-ITA) 303-Adult/DW, 416-Youth

• Activity Completion Status: Successful

• Filter by Date: Actual End Date (for all services that ended during the selected date range)

• Date Range: Select your desired date range Leave other filters at default Click Run Report

This is the Services Provided Individuals report with different filters selected to get successful training completions for Bridge and Career Pathway programs.

9 Open Same-Day Services

My Reports → Set Location Filter Office to “None Selected” → Adult/DW Open Same-Day Services June 2017-June 2019 OR Youth Open Same-Day Services June 2017-June 2019

There are now 2 Open Same Day Services reports – one for Adult/DW & one for Youth. Also, the date range has been updated to June 1, 2017 – June 30, 2019 to cover all services created from the launch of CC Case Management thru the end of the PY18 Program Year. The updated report ONLY displays open same-day services. To run the report for your office:

• Click on “Update Filters” and select your Office or Offices.

• Leave all other filters as set.

• Click “Run Report”

Since Career Connect does not force staff to close Same Day services, this report will help you monitor and clean-up open Same-Day services.

11 Target Population Summary

• Available Grants, if applicable, (NEG, IE, etc.)

• Filter by Date: Active Date to get all Active customers; Exit Date will return results for exiters only; Participation Date will return all customers newly enrolled during the selected date range.

• Date Range: Select your desired date range Leave other filters at default Click Run Report

This report provides characteristics of Participants in the program. This report can be used to determine what type of population the agency is serving and can be helpful when writing proposals. This report can also be filtered by Zip Code, Community Area and Ward (City of Chicago participants only), Municipality, Cook County Commissioner District, IL State House District, IL State Senate District, and US House District. These filters are contained in the “Geographic” section of the report filters.

12 Summary of First Services

Select:

• Office Location: Select if you work across multiple offices

• Available Grants, if applicable, (NEG, IE, etc.)

This report allows staff to monitor level and mixture of services provided to the individual. Click on the numbers (blue links) associated with a specific service category to open a sub-report with a detailed list of individuals that are enrolled in that service. This report displays the service description, service dates and completion status.

This report provides a list of all customers that have or need Quarterly Follow-up. It includes staff-reported Employment and Credentials earned in the quarter.

17 Days Since Last Active Service

Detailed Reports → Case Management Reports → Case Load → Days since Last Active Service

Select:

• Program: Title I – Workforce Development (WIOA)

• Customer Group (as necessary)

• Office Location: select your Office (press Ctrl to select multiple offices)

• Days Since Last Active Activity – Leave as “None Selected”

• IMPORTANT: Exclude Activities Excluded from Soft Exit – Set to “YES” so that the report is based on ACTIVE services only.

Leave other filters at default Click Run Report

This report indicates the number of days since a service was entered for each Active customer. With the filters set as described, the report will base the number days on ACTIVE services only. If a customer has an open service he/she will not appear in the report – so be sure that you are closing your Same Day Services! (See “Open Same Day Services” report instructions above.)

18 On-Line Characteristics Use for Monthly Report: This report can also be used for Total Exits & Positive Exits (instead of report 6). To run for exiters, set the Enrollment Status to “Only Enrolled Applications that have Exited Within Date Range”.

Detailed Reports → Case Management Reports → Case Load WIOA → On-Line Characteristics

Select:

• Include Service/Activity Records: Leave set to “Yes” to see all services provided to each customer. Leave set to “No” if you just want to see each customer.

• Enrollment Status: Select the “pool” of customers that you want included. “Only Open, Active, & Enrolled Applications within Date Range” will be most similar to the Master Report.

• Date Range: Select as applicable

• Office: Select your office or offices

• Customer Group: Select as needed (none selected will include all customer groups)

Leave other filters as the default. Click Display Report

This report is similar to the IWDS Master List report. The top of the report provides a summary of cases. Below the summary is a list of all customers, their application & participation dates, the services they received, and their exit date and exit reason, if exited. NOTE: You can use this report to see any services without an Actual Begin date (“Activity Begin Date” is blank) or to see open Same Day Services (“Service” column indicates “Same Day Service” and “Activity End Date” is blank.)

19 Services without Actual Start Date

See Description in Report 18-On-line Characteristics OR Report 7-Services Provided Individuals above. Both of those reports can be used to see services without an Actual Start Date.

Services without an Actual Start Date do not show up on “Days Since Last Active Service” report and do not transmit to IWDS.

20 Services without Provider

See Description in Report 7-Services Provided Individuals above. That report can be used to see services without a Provider.

Services without a Provider do not transmit to IWDS.

21 Wage Reports Detailed Reports → Case Management Reports → Predictive → WIOA Section: 1. Employment Rate 2nd Quarter after Exit 2. Employment Rate 4th Quarter after Exit

Select these filters for either report:

• Program: WIOA

• Customer Group: select as desired; “None Selected” returns all customer groups

• Office Location: select your office(s)

• Date Range Type: Manual

• Date Range: Select as applicable Leave other filters as the default Click Display Report

These reports show Exiters’ status at 2nd or 4th quarter after exit. The report includes exit date and reason, employment status at exit, employment status at Q2 or Q4 after exit, supplemental and wage data at Q2 or Q4 after exit, and whether or not employment is training-related.

Select:

• Customer Group: Select as desired; keep as “None Selected” to return all customer groups

• Office Location: Select your office(s)

• Program Year: Select the desired program year. Remember that the program year is based on the Program Year start date of July 1. For example, for the period July 1, 2017 to June 30, 2018, select Program Year 2017.

Leave other filters as the default

Click Display Report

This report shows everyone who has achieved a Measurable Skills Gain, including the Educational Functional Level (EFL) Lit/Num

gain. The report will return a summary of total number of participants who have made each Skills Gain Type. Click on the blue number in the “Total Skill Gain” column for a list of participants that have made the skills gain.

23 Case Closure Use for Monthly Report: Advanced Training – where “Youth School Status at Exit” column = “In-school, post High School”

Select:

The reports available in the Employer section of the Registered Employers reports, return lists of employers grouped in various ways. The follow reports may be especially useful:

1. By Assigned One Stop Location: returns a summary list of the number of employers assigned to each office. (Remember – employers can be assigned to more than one office.)

2. By One Stop of Registration: Returns a

summary list of the number of employers registered (entered into Career Connect) by each office.

3. By Assigned Case Manager: Returns a

summary list of the number of employers assigned to each BSR (Case Manager). (Remember – employers can be assigned to more than one BSR.)
