Projectors for Every PresentationAV MEDIA rentals include complete audiovisual equipment and professional service. Some events require a projection control desk, to co-ordinate the contents for several projection screens, interpreting equipment or remote signal transmission. However, a single data projector may be enough to guarantee the success of smaller events.

Data projectors

When choosing a data projector, you should keep in mind the purpose it was designed for. You should also consider the size and light conditions in the space where the projection will take place. This should determine the luminous power of the projector.The most common resolution (1024 × 768) is slowly declining, but still usable for simple presentations with minimal graphics on smaller screens. Today we work with a higher and wide screen resolution, which is suitable for the most demanding graphic applications and large screen.

Video projectors

Film on a DVD, videos from faraway trips, vacation photographs and all other beautiful moments that are worth remembering can be brought back in the family circle or with your friends. A great experience, as if you were in a cinema, can be created by video projectors with a screen size reaching several meters. LCD or DLP projectors are used with a wide-angle image ratio of 16:9.

Lenses and Equipment

As well as cameras, also conference projectors allow replacement of lenses. The shortest lenses with a projection ratio of 0.67: 1 are mainly used for a rear projection, where is the shortening of the projection distance the most important thing. On the contrary, if we need to extend the projection distance and the light should be above the heads of viewers across the whole convention hall, we use lenses with a projection ratio of up to 15:1. Lenses are provided with a variable projection ratio - the zoom (again the analogy with the camera). Thanks to the zoom, you do not need to move neither with the projector or the screen during the installation, but you can just turn with the lens to increase or decrease the size of image.

How to Correctly Choose the Projection ScreenYour audience needs an unobstructed view of the screen. When choosing a suitable projection screen you have to take several basic rules into consideration. You will find out that your audience will appreciate it.

1. The size of the presentation room:

The bottom edge of the screen must be at least 1.2 m from the floor. If you place the bottom edge lower than 1.2 m, the viewers in the back rows will not be able to see the screen over the people in the front rows. If the ceiling height is 3.4 m, the maximum screen height should be 2 m.

2. The size of the auditorium:

The closest viewer should be at a distance of at least double the screen height. The last viewer watching the presentation should be at a distance of not more than eight times the screen height. If the size of the screen is not sufficient, you may consider adding one or more supporting screens.

3. Keep in mind the necessary projection distance:

A projector with a standard lens must be placed at a distance equal to double the screen width. This means that for a screen measuring 2.34 x 1.73 m, the projector should be placed 4.68 m from the screen for both front and rear projection. For conference projectors there is also a wider range of available lenses.

4. Calculation of projection screen size:

The projection screen can have a major influence on the outcome of the entire projection

Grand ImageLED walls are very popular for their high brightness and good visibility even in direct sun. If front or rear projection cannot be used due to bad light conditions (too much sun), the LED wall takes over the role.

LED walls can be assembled into big modules and are therefore very suitable for events with a large number of participants, especially for big sports or social events.

In contrast to projections, where the most distant viewer must be taken into account, in LED walls the viewer sitting closest to the wall must be considered, because the diodes have a certain density and if the viewing distance is too short, individual diodes can be seen.

Rear projection is a high quality and elegant solution for large screens. The projector transfers the image onto a translucent projection screen (focusing screen). This solution makes it possible to place not only projectors, but also other equipment, outside of the conference hall. The participants see a technically neat and unobstructed solution. Furthermore, image quality and brightness is much higher with rear projection than with front projection.

Switchers / graphic switchers

If during your presentation you need to switch between different signal sources (such as a computer and a DVD player or a camera, etc.) and you do not want to see interference, common in the past, such as stalling or jumping of the images before the projector is tuned up you have to use a graphic switcher. These universal graphic switchers enable switching between different signal sources without interference.

Graphic managers and switches add not only elegance, but also professionalism to your presentation.

Octo Range

AnalogWay switchers from the Octo Range group are considerably simpler, but still universal graphic switchers, which are now starting to replace the switchers which have been common until now. Thank to their universality they make it possible to switch between a computer and a DVD player without interference. The switchers commonly used until now have not been universal and during switching between signal sources they have displayed various kinds of interference. Also, switching between signals sometimes took several seconds.

DiVentiX 1 / DiVentiX 2

These are professional graphic mixers that are able to switch between up to 8 sources of any kind of signal (e.g. two cameras, two computers, one DVD player, one Betacam, one DVCAM). For switching between these universal signal sources various effects can be chosen – well known from TV broadcasting. Camera Signal Transmission with Recording Today, cameras have become a common part of presentation equipment. We cannot imagine a successful conference, cultural or sports event, fashion show or training session without them.

Small digital cameras

Thanks to their size they are light, easily portable and easy to store. The recording can be immediately replayed. Recommended for travelling, training sessions, and filming events at close range.

Semi-professional and professional cameras

For larger scale events we recommend the use of one or more professional cameras. The lenses on these cameras can be changed (long for showing the speaker in detail or wide angle for filming in close spaces). Studio equipment can be attached to the cameras or a mixing desk can be used for multi-camera filming.

Intercom – communication equipment

Intercom (as this type of equipment is usually called) is primarily used to communicate between remote work stations during productions, conferences, shows, etc., simply wherever, highly reliable, high quality voice communication is needed. Intercom is the right device for you if you wish to communicate with the director, backstage, camera, etc. during an event.

The communication station is usually attached to a waist belt and connected with a headset. The operator wears a headset and receives instructions from the director through the headphones, responding through the attached microphone.

Thanks to a multi-channel system the camera “branch” can be separated from other work stations so that other members of the team are not disturbed by the instructions given by the director and vice versa. The communication system is available in a wired or wireless version.

Save Your Vocal Chords microphones

A speaker’s or presenter’s voice should be amplified in large auditoriums or if the speaker lacks a strong voice. The broad range of microphones available at present includes different types of microphones suitable for specific uses and locations.

Wired microphones are used when the speaker gives a speech from aspecific place (headtable, lectern, delegate’s desk sharing a conference microphone).

Wireless microphones enable the speaker to move freely on the stage and can be handed over easily for questions and answers. If a lapel set or a headset is used the speaker has his/her hands free to make a presentation or carry out other activities (surgery, etc.).

At large-scale events it is recommended to use several types of microphones which can be combined depending on the agenda on the stage and in the auditorium. With a wireless microphone set the user can choose from all 3 available microphone types (handheld microphone, lapel microphone, headset).

Sound signal sources and records

When planning a conference, a gala night or a performance do not forget to specify what kind of media will be used to deliver soundtracks and other contributions. Depending on that, reproduction equipment, i.e. the signal source should be selected. If you want to record a conference or a specific speaker and save it for future use, a source should be chosen which will allow for easy and convenient future editing.

Interpreting and Audio Conference System

Professional interpreting is an integral part of multi language and international conferences. The interpreters are usually seated in a booth in the rear part of the hall. As the interpreters should always see the speaker and be able to follow the presentation, it would be a good idea to install display monitors in the booth. The translated text is distributed from the booth directly to the delegates’ stations. Each delegate can select the language he/she prefers and listen to the speech in the required language using headphones. This way delegates listening to different languages will not disturb each other.

Where a large number of languages is required or at a conference where all delegates need a microphone in order to participate in the discussion, an audio conference system is the most convenient solution. The information translated by interpreters can be simultaneously distributed using infrared or other wireless technology while the transmitted information cannot be monitored outside of the defined venue. This way, up to 32 language channels can be distributed.

Audience Response System (Voting)

At numerous congresses, conferences, symposiums and workshops the audience is involved in the meeting in an interactive way. Using voting, for example, you can test the knowledge of workshop participants. Presenters often use voting to “wake up” and actively involve the participants (in particular after the lunch break), attracting their attention. Voting is also used to adopt various legislative acts, such as the bylaws of a large joint stock company, when adopting final resolutions of international conferences, in marketing research, interactive case reports, knowledge tests, etc.

Specialised voting software offers much more – multiple choice tests, adjustable weight of votes, etc. The voting results can be displayed immediately on displays of different types. Participants’ anxiety over the rejection of a wrong answer may be eliminated using the option of anonymous answers. On the other hand, participants in a vote can be identified wherever needed.

Use and Benefits of Presentation AidsPresentation aids can be a great help, producing professional presentations and involving the audience in an interactive way in the topic or the training process. You should be able to focus on the information that is being conveyed rather than on the operation of the presentation.

When using presentation aids keep in mind the following rules:1) The speaker is the best presentation tool.

Remote CommunicationVideo conferences save travelling time and expenses as well as the environment. However, they enable you to still have eye contact with your business partners or congress participants.

Teleconference

Teleconference equipment transmits the voice between conference participants wherever a standard telephone is not adequate, provided no transmission of video or other visual materials is needed.

Video conference

If you wish to address the participants of a congress which you do not have time to attend or if you want a foreign expert to give a speech at your event, you can do so using an on-line video conference. Video conference equipment is installed both in the congress hall and at the speaker’s location while an audiovisual connection is established between all participants. They can communicate and see each other, lead a discussion, and transmit PowerPoint presentations, images, etc., i.e. share data and applications. A medical surgery can be transmitted this way, using cameras in the operating theatre.

The WEBCAST service offers multimedia Internet broadcasting. WEBCAST can be used both for live webcasting from various events and subsequently reproducing recordings. Recordings are reproduced in the form of video on demand. Both live and on demand webcasts can be synchronised with PowerPoint presentations.

Why use webcast?Using webcast you will bring conferences, lectures and other events to an unlimited number of spectators over the Internet or intranet in real time. If needed, access can be limited to authorised users.

In video transmissions you will benefit from the interactive character of the web and can offer related information or advertising on further sites. Thanks to detailed statistics on the number of website users you can evaluate interest in your website.

On-line broadcasts and presentations can be easily archived and accompanied with subtitles or commentary in various language versions. Users are not limited by the quality of their Internet connection. Webcasting can be even viewed over GPRS (available on some mobile phones).

Each projection needs a quality signal source, irrespective of whether you are showing a PowerPoint presentation, photos or a film.

You can go for traditional office PCs for standard Excel spreadsheets, Word documents or presentations. You can also choose high performance computers suitable for technical graphics applications, or rather light notebooks with a network connection. If you decide to use an absolutely quiet computer, suitable for internet cafés, you might be able to hear a pin drop during your presentation.

At present we use only elegant LCD monitors. You can choose one of the standard sizes, today it goes over 20“ diagonal. We offer black and white laser printers (up to a print size of A5) and colour laser printers. Printers are always supplied with an adequate amount of consumables (toner).
