Navigating OLAP Cubes

What Are OLAP Cubes?

OLAP (On-Line Analytical Processing) cubes allow users to ‘slice and dice’ data across multiple dimensions, with the ability to view data hierarchically to give insight into patterns and trends.

Available Dimensions / Slicers

The Available Dimensions are located at the top of the OLAP cube, they are data elements that can be ‘dragged and dropped’ into the row or column of the OLAP cube to slice your data anyway you find useful to you. By adding a data element the row area, you will be able to expand the view of the data.

1. The available data elements are highlighted in yellow below

a. 2. When Gender is dragged and dropped to be under the CCCCO Ethnicity field, the data

can be expanded to see a break-down of the Ethnicity totals by Gender

3. Additional dimensions can be added to dive into deeper detail with the data, below Age Group has been added to the rows below Gender

Narrowing the Population & Filtering Results

There may be times where viewing the counts and percentages for the entire college population isn’t necessary, OLAP cubes give you the ability to narrow down your results to focus on certain areas.

1. There is a drop down arrow next to each data element that opens a box called the ‘Dimension editor: ’ for the item you select. Subject has been selected in the example below, all subjects are checked off currently with a green check mark to be included in the result set

a.

2. Instead of unchecking all the items, you can click on the Red X at the bottom of the window to unselect all of the subjects. Then you will have to click on each subject you want to include to add it back into the results, for this example only ART has been selected

a. 3. The population size has now drastically been reduced since only one subject is in the

results. Any data element that you apply a filter on will turn Red as an indicator that changes have been made

Modifying Measures

OLAP cubes give the ability to measure a population multiple ways (ex: counts, percentages and averages), a user can decide which measures can be brought into the cube for viewing.

1. The measures being used are located at the bottom left of the OLAP cube (see yellow highlights below), those measures are displayed as columns in the OLAP cube (see red box)

a. 2. Measures may be added or removed by clicking on the button to open the Measure

Manager window, once opened you can check or uncheck the measures that you want to include in your cube then clicking the green check button

a. 3. The measure selection has been changed to only Distinct Headcount which has changed

the OLAP cube below

Exporting OLAP Results

The data from an OLAP cube can easily be exported into Excel, however there are a few things to understand before doing so:

The OLAP cube will export into excel the exact way you are viewing it through Argos, so you must expand all of the rows and columns before exporting to get everything

Once exported to excel, you will not have the ‘roll up and expand out’ capabilities that are available in the OLAP cube

1. To export to Excel, right click in the OLAP cube and click ‘Export to Excel (OLE)’

a.

b. 2. Below is an example of how the data will look in Excel
