    An Introduction to the Computer

    Network at VIT University

    VIT University Vellore campus boasts of one of the

    best computing networks in India.

    Its Infrastructure includes 84 servers 223

    workstation,4124 desktop(Intel and AMD),298

    printers and over 1305 laptops (Dell, HP, IBM and

    Lenovo).

    The VIT University computer network is managed,

    and actively supported by centre for technical

    support.

    It has strength of 30 highly qualified and

    experienced technicians.

    It is responsible for maintaining and administrating

    university website and mail servers. CTS provide technical support to schools and to a

    number of research groups within the schools.

    ERP in VIT University

    The only ERP that is being used by VIT

    is Peoplesoft by Oracle database.

    Earlier it was developed by TCS and then the

    project was taken by U.S .Technologies which tookthen 2 years to develop it.

    This software failed in VIT due to the frequentchanges in the need of the customers(administrative

    section,faculties,students). At present HR is the only department which still

    follows certain aspects of Peoplesoft.

    The INTRANET @ VIT

    VIT University houses about 17,000 students, which

    is a small township in itself.

    Management Information Systems are required to

    handle the enormous data processing activities.

    The INTRANET facility is a privately owned network

    127 Mbps leased line from multiple service provide,

    which connects each department, students, facultyand the entire workforce.

    It is a network through which the ERP software:

    Peoplesoft is working.

    The Peoplesoft is an Oracle based Enterprise

    Resource Planning software.

    The entire set of users at the university are assigned

    a unique User id and password to access the data

    present in the data base.

    The Content Delivery Network is used to access the

    Home Screen

    The home screen shows the various functions and

    options for the system user.

    Some of the functions are HR, Administration,

    Finance, Library management system, Academics &

    purchase.

    The user can work on various tasks using this

    software which is linked to all the departments,where data needed is maintained in a multi layered

    and fail proof database with a backup database.

    Currently VIT University is operating the Self Servicefunction, while the others like Manager Servicefunctions, HRMS, Work list tools are yet to be

    developed and implemented. After the inability of the original ERP software:

    Peoplesoft to familiarize the users to it, there havebeen many lapses in the procedures of the various

    departments. A full scale implementation would lead to more

    efficient work environment and productive results forthe University.

    Performance Management

    This function gives the user to maintain a record of

    the past, present & pending performance related

    data.

    Some of the data that is used are personal

    performance data, appraisal, evaluation and other

    employees performance appraisal, evaluation.

    Learning & Development

    In the Human Resource function there are many tasks

    like application for training by the HR department,

    pay roll & compensation, training feedback, current

    status of the training program & summary.

    The HR department is the first one to implement

    and use the ERP software for their tasks which are

    done with greater effectiveness and manageable

    costs.

    RECOMMENDATIONS & SUGGESTIONS

    Our team has successfully completed the analysis ofthe Management Information System at VITUniversity.

    The original ERP software implemented at thecampus was a failure, as there was a mismatch inthe needs of the users and the services offered bythe designers.

    The software was designed by very successfulcompanies, but could not be implemented throughthe various departments.

    Departments like the Purchase, Finance etc are currentlynot using the software. Thus there has been nouniformity in the format of their operations.

    Lack of proper post installation and implementationtraining has lead to a lack user knowledge and thusfailure to use the software.

    The people using the software are basically ofdifferent backgrounds thus the Peoplesoft softwareimplemented was a general purpose one which did nothave any room for customization as required by thedifferent department users.

    Thus after visiting the various departments, therewas a clear picture of the past, present condition ofthe Information System in place.

    In order to be competitive, the university needs toimplement a complete new ERP system which isspecifically designed to suit the changing needs ofthe users.

    Thus our team has studied the various optionsavailable for the University to successfullyimplement it which are mentioned below.

    There was an evaluation conducted on several Soft waresavailable. The most impressive one is the EducationalInstitutes Management System(EIMS) designed by REDOXTechnologies Ltd.

    Smart Card Plug-in

    A Smart Card (Radio Frequency Identification) atype of chip card is a plastic card embedded with

    a computer chip that stores and transacts data.Smart cards greatly improve the convenience andsecurity of any transaction as they provide tamper-proof storage of user and account identity. They

    protect against a full range of security threats, fromcareless storage of user passwords to sophisticatedsystem hacks. Multifunction Smart cards can alsoserve as network system access and User accountaccess card.

    IVRS Plug-in

    Interactive Voice Response (IVR) is a software

    application that accepts a combination of voice

    telephone input and touch-tone keypad selectionand provides appropriate responses in the form of

    voice, fax, callback, e-mail and perhaps other

    media. IVR is usually part of a larger application

    that includes database access.

    Conclusion

    The study of the Information System at VIT

    University indicates that the ERP software

    implementation has not been successful till date.

    There is an immediate need for a revamp in theInformation System to support the Universities vast

    variety of work.

    Training and familiarization of the software is amust for any system to function effectively at

    manageable costs.
