1. Overview
This document shows you the guideline and instruction on how to manage the SmartCLOUD M@il service by accessing the Internet through our Web Administration System. After reading this document, readers should be able to get access through our system and perform email administration.
2. Function in SmartCLOUD M@il Administration System
The SmartCLOUD M@il service provides a direct link to access the web administration console for email administration. The administrator can simply type in the URL –
https://scmadmin.scm.hk.net:9071 For two-factor authentication configuration and administration, please refer the below link:

3. Login Page
To login the Administration System, please input the username and password. ******************************************************************** “All user/server information setting in this step just for demo, please refer the welcome letter for the related information” ********************************************************************

4. Accounts Management
A SmartCLOUD M@il administrator is able to create/edit/delete any mailbox account of the mail domain with the Admin Console. Please note that the SmartCLOUD M@il system will initially create an email address, i.e. galsync@Host-Domain-Name, for global address list synchronization. Please DO NOT delete this address and it will cause the synchronization problem of the global address list within the domain. 4.1 Add Email Account
To add a new email account, 1. Please go to Manage

2. Press the New button. A window should be popped up.
3. Input the email address, Last Name and the password of the new account
4. Input the contact information of the new account (optional)

5. Input the alias of the new account (optional)
6. Press Finish to add the account.
7. A new email account shall be added.
4.2 Reset Password
To reset the email account password, 1. Please go to Manage Accounts. 2. Right click the email account and select “Change Password”. A window should be
popped up.

3. Input the new password on both Password and Confirm password fields.
4. Press OK to confirm password change. 5. The password should be modified at the next login.
4.3 Set the account password policy
To set the email account password policy,
1. Please go to Manage Accounts. 2. Right click the email account and select “Edit”. 3. Navigate to the “Advanced” tab. 4. In the “Password” section, the following policy can be adjusted.

4.4 Set the account status
To set the email account status,
1. Please go to Manage Accounts. 2. Right click the email account and select “Edit”.
3. Under General Information Account Setup, set the Status.
4. There are five statuses possible. Their uses are as follows: A. Active:
Mail is delivered and users can log into the client interface. B. Closed:
Login is disabled, and messages are bounced. This status is used to soft-delete an account before deleting it from the server.
C. Locked: User cannot log in, but mail is still delivered to the account. The locked status can be set if you suspect that a mail account has been hacked or is being used in an unauthorized manner.
D. Pending: Login is disabled, and mail cannot be received.
E. Maintenance: Login is disabled, and mail addressed to the account is queued at the MTA. An account can be set to maintenance mode for backing up, importing or restoring the mailbox.
4.5 Delete Email Account
To delete an existing Email account,
1. Please go to Manage Accounts. 2. Select the email account to be deleted. 3. Right click and press “Delete” to delete the account.

4.6 Email Account Quota Management
To manage email account quota,
1. Please go to Manage Accounts. 2. Right click the email account and select “Edit”.
3. Under “Advanced” “Quotas”, you can set the “Account quota (MB)”, “Percentage threshold for quota warning messages (%)”, “Minimum duration of time
between quota warnings” and “Quota warning message template” Click “Save”.
A. Mailbox storage quota in (MB). B. Percentage threshold of quota warning. C. The duration of time to check quota. D. Warning message template, this will send to user when the quota warning threshold is
reach. ****************************************************************************** Caution:
When the maximum mailbox storage exceeded 100%, email send/receive function will disable. User / administrator must free up the space to resume.

4.7 Domain storage quota monitoring
To monitor each user’s mailbox storage usage,
1. Please go to “Configure” “Domain”
2. Right click the domain and select “Edit”.
3. Under “Mailbox Quota”, you can monitor each user’s mailbox usage in this domain.
****************************************************************************** Caution:
When the usage of subscribed total mailbox storage exceeded 70%, an warning email will send to customer’s administrator; When the maximum user storage or total subscribed mailbox storage exceeded 100%, email send/receive function will disable. User / administrator must free up the space to resume.

4.8 Email forwarding
To setup email forwarding for incoming email of specified user,
1. Please go to Manage Accounts. 2. Right click the email account and select “Edit”.
3. Under Forwarding Mail Forwarding, add the “Forwarding addresses hidden from the user”.
4. Click “Save”.
****************************************************************************** Caution: An invalid hidden forwarding address can be revealed by the bounced message.

5. Aliases Management
The SmartCLOUD M@il administrator is able to create/edit/delete any alias of the mail domain with the Admin Console. 5.1 Add Alias
To add a new alias, 1. Please go to Manage Aliases.

2. Press the New button to create a new alias. A window shall be popped up.
3. Input the email alias in the Alias field. 4. Input the original email address in the Target Account field. 5. Press OK to finish. 6. A new alias shall be created. 5.2 Delete Alias
To delete an existing alias,
1. Please go to Manage Aliases. 2. Select the alias to be deleted. 3. Right click and press “Delete” to delete the alias.
6. Distribution List Management
In the SmartCLOUD M@il System, a distribution list is an email address which represents to a group of recipients/aliases. The SmartCLOUD M@il administrator is able to create/edit/delete any distribution list of the mail domain with the Admin Console. 6.1 Add Distribution List
To add a new distribution list,
1. Please go to Manage Distribution Lists.

2. Press the New button to add a new distribution list. A window should be popped up.
3. In the new tab, input the name of the distribution list in the List Name field. 4. Add email addresses to the distribution list from the Global Address List or input the
external addresses directly. 5. Select “Can receive mail” (optional)

6. Input the alias of the distribution list (optional)
7. Press Finish.
8. A new distribution list shall be created.
6.2 Delete Distribution List
To delete an existing distribution list,
1. Please go to Manage Distribution Lists. 2. Select the distribution list to be deleted. 3. Right click and press “Delete” to delete the distribution list.

7. Resource Management
In the SmartCLOUD M@il system, administrator is allowed to add any physical resources (locations or equipments) for users to reserve via SmartCLOUD M@il system. Each resource comes with its own schedule, meaning that reservation rules can be defined. The SmartCLOUD M@il administrator is able to create/edit/delete any resource with the Admin Console. 7.1 Add Resource List
To add a new resource, 1. Please go to Manage Resources.
2. Press the New button to add a new resource. A window shall be popped up.
3. Input the name & the email address of the resource in the Resource Name field.

4. Under the Resource Setup field, configure the appropriate resource setting including the resource type and availability rule. Note that there are 2 types of resources (Location and Equipment), whose configurations are the same.
5. Press Next to continue. 6. Input the location and the contact information of the resource.
7. Press Finish to add the resource. 8. A new resource shall be created.
7.2 Delete Resource
To delete an existing resource,
1. Please go to Manage Resources. 2. Select the resource to be deleted. 3. Right click and press “Delete” to delete the resource.

8. Email Archive Management
If the customer has already subscribed the email archiving service of SmartCLOUD M@il, the administrator should be able to enable/disable archive mailbox for each user and manage all archive emails (e.g. move, forward, delete and export) in archive mailboxes via the admin portal. The current default retention period is 365 days for normal email messages, and 30 days for trash and spam.
8.1 Enable archive mailbox
To enable archive mailbox,
1. Please go to Manage Accounts. 2. Select the Email Address needed to enable archive. 3. Right click and press “Edit” to manage the email account.
4. In “Archiving”, select “Enable archiving” to enable archive.

5. After select “Enable archiving”, system will show Enable archiving from “No” to “Yes”. Then select “Create” “Close”.
****** Note: After select “Create”, the page may not automatically display the archive setting, administrator shall click “Close” to and wait about 1 minute to take effect ******
6. The archive mailbox will auto created.

8.2 Disable archive mailbox
1. Please go to Manage Accounts. 2. Select the Email Address needed to enable archive. 3. Right click and press “Edit” to manage the email account.
4. In “Archiving”, select “Disable archiving” “Close” to disable archive.

8.3 Manage Archive Mailbox quota
To manage archive email account quota,
1. Please go to Manage Accounts. 2. Right click the archive email account and select “Edit”.

8.4 Archive Domain storage quota monitoring
To monitor each user’s archive mailbox storage usage,
1. Please go to “Configure” “Domain”
2. Right click the archive domain (e.g. xxx.com.archive) and select “Edit”
3. Under “Mailbox Quota”, you can monitor each user’s mailbox usage in this domain.
****************************************************************************** Caution:
When the usage of subscribed total archive mailbox storage exceeded 70%, an warning email will send to customer’s administrator; When the maximum of user archive mailbox storage or total subscribed archive storage exceeded 100%, email receive function will disable. Administrator must free up the space to resume.

8.5 Access Archive Mailbox
To access the archive mailbox, 1. Please login to the admin portal 2. All mailboxes, including the archive account (e.g. [email protected]), will be displayed
on the portal.
3. Right-click the archive mailbox and select “View Mail”.

4. The administrator then accesses the archive mailbox directly to perform different kinds of operation, e.g. email forwarding, deletion, and email export.
5. For the archive mailbox operation, please refer to the SmartCLOUD M@il User Guide.
