Conference Services Bureau
The Conference Services Bureau of Florida Institute of Technology welcomes you to one of the most attractive campuses
on the central east coast of Florida. Florida Institute of Technology offers over 60 campus venues for your next event,
including conference rooms, multimedia-equipped auditoriums and classrooms, computer labs, banquet facilities, indoor
and outdoor athletic spaces, a 500-seat performing arts center, botanical garden, outdoor green spaces and affordable
summertime overnight accommodations. Our Conference Services Bureau staff understands that each event is unique
and will work closely with you to make sure your event suits your needs. Florida Institute of Technology will provide you
with the right venues and services for community, business, education and organizations hosting private meetings, large
conferences, research/technical presentations, youth camps, corporate retreats and athletic events.

Please Note: All groups must provide the university with a copy of a current and valid Certificate of Insurance (used by an insurance agency/company legally authorized to provide comprehensive liability coverage in the State of Florida) naming Florida Institute of Technology (Florida Tech) as additionally insured and covering both General Liability and Worker’s Compensation. All policies must be compre-hensive general liability insurance and have a minimum coverage in the amount of $1 million.

Florida Tech offers three distinct housing options to meet each event’s unique needs. Housing is available annually from mid-May through early August.

Food Service and Catering
Florida Tech Dining and Catering provides a wide variety of choices—from the “all you care to eat” Evans Dining
cafeteria to à la carte menus in the Sub Café & Deli and Rathskeller. The sky is the limit when it comes to catering!
Panther Catering can put together just about any menu you can imagine for your event—see the Catering Menu for
sample menus. Surprise your group with an outdoor barbecue at Panther Plaza, an elegant wine and cheese reception
amidst the beauty of the Botanical Garden or a game night with live entertainment at the Rathskeller Eatery.

In order to provide you with a professional and personalized event, please review the following guidelines. FooD anD BeVerageThe menus in this guide feature some of our most popular items, but Panther Catering is happy to arrange any menu that suits your needs, theme or budget. The prices for each served or buffet meal in this guide includes beverage, standard linen and tables seating eight, culinary and wait staff when the event is held in one of our banquet facilities. Served events when more than one entrée is selected will be charged at the rate of the higher priced entrée. These events require additional staff and an additional surcharge will apply.
DeLiVerY SerViCeThere are no fees when party trays are picked up by a member of your group or for deliveries totaling over $60. Service fees do apply when deliveries occur or require staff outside standard business hours (8 a.m.–5 p.m. Monday–Friday) or require extensive set up.
SerViCeStandard served and buffet meals include two hours of service. If your event extends beyond the two hours or requires extensive set up/breakdown, additional service fees apply. Wait staff and bartenders for non-inclusive events are billed $15 per hour, per wait staff. Our general guidelines for staffing are as follows: Light Bar Service: 1 Bartender per 50 guests; beer, wine and soft drinks Full Bar Service: Offering mixed drinks 2 Bartenders per 50 guestsServed Meals: 1 Wait staff per 16 guests Buffet Service: 1 Wait staff per 32 guests
gUaranteeWhile planning your event, we will ask for an estimated number of guests. To assure adequate food and staff, we must have your guaranteed attendance three business days before your event. (A 10% service fee applies when changes occur after that date.) This number is not subject continued on back
to reduction and is the minimum number of guests for which you will be charged. The room will be set and service provided for the guaranteed number. We will prepare food for approximately 5% more than your guarantee (up to an additional 10 servings). This extra food is only for spillage or other damage; please do not factor it into your attendance.
aLCoHoL SerViCePanther Catering may offer an open or cash bar service within the banquet facilities located in the Denius Student Center. In accordance with state law, we require identification.
eVent DÉCor anD Set UPWe can help you find many items to enhance your event including floral arrangements, ice carvings, pipe and drape, lighting and party tents. Floor-length table covers, overlays, votive candles and mirrors are available at additional cost.
Standard tablecloths and napkins are included in the cost of your luncheon or dinner with china service. Linen for tables other than the food buffets, for extra tables (i.e., registration table) and specialty linens are available at additional costs.
QUaLitY anD FooD SaFetYFor every function, large or small, we will provide the finest service and food available. Our professional chefs use premium ingredients to make your meal a memorable experience. We follow industry mandated food handling procedures for your protection. Those procedures include: not serving food that isn’t produced by Panther Catering or one of our approved vendors; adhering to time and temperature limits for safely serving food; and not allowing the removal of foods from functions for later consumption. These procedures are to protect your guests and the university.

The Hartley Room is located in the heart of the Florida
Institute of Technology campus, on the second floor of the
Denius Student Center. The venue’s signature floor-to-ceiling
windows overlook the 30-acre Botanical Garden. The Hartley

The Gleason Performing Arts Center is a fully functional
500-seat performing arts center, perfect for all
varieties of professional and community productions,
as well as large-scale meetings, lectures and video-
conferencing. Equipped with flexible lighting, sound
and an 1,100-square-foot stage, the Gleason Performing

Gleason Performing arts center
The Clemente Center for Sports and Recreation, located at

to accommodate a variety of special events, from local high
school graduations, to formal affairs such as the University’s
Presidential Ball, to summer youth camps, to conventions and

Thirty acres of lush subtropical growth and natural
streams comprise the Florida Tech Botanical Garden.
The main site of the university’s extensive palm
collection, the garden is derived from a palm/
hardwood hammock that Florida Tech has preserved
since moving to this location. Several paved and
earthen paths wind through the garden, allowing
visitors easy access to most areas within the garden.
