A Message from the IS&T Leadership Team Its been a great spring season as we’ve seen the culmination of many major projects come to a close. We ended the fiscal year on a high with recent news from H. Stephen Lieber, President & CEO of HIMSS. Jefferson Health’s outpatient sites have achieved the Stage 6 designation of the HIMSS Analytics Outpatient Electronic Medical Record (EMR) Adoption Model. SM With 7 total levels, Stage 6 honors the implementation of technology solutions that can improve patient safety, quality of care, and continuity of care across the care spectrum. A huge congratulations goes out to the entire IS&T team for your help in getting us to this level! Looking toward this next fiscal year, we are excited for the continued opportunities to provide quality services and solutions to the organization. While we are sad to say goodbye to Praveen, we are happy to have worked with him and will not forget how he helped us evolve as a team — an important and significant chapter in our history. Our search for our next CIO is progressing well and we expect a decision to be made sometime in the very near future. Until that time, the entire leadership team will be accountable for our continued operational success. In particular, Kathy McNeill will be serving as senior administrative point of contact with the Jefferson executive team to ensure seamless continuity and communication. Well-Deserved Recognition for Biomed Team Member, James Gorman

James Gorman is a Biomedical Equipment Specialist in Abington’s Biomedical Engineering department.

Recently James received a Gold Standard Award for his dedication and commitment to excellence. His clients have noted his efficiency, attitude, hard work and consistent “service with a smile” approach in their accolades.

In his current role, James provides service support for the lab, ER and ICU. He helps to assess issues with machines in those areas and fixes or replaces the machines in a timely fashion to ensure compliance with The Joint Commission. James is also involved in deciding what new equipment gets installed as a result of the annual budgeting process.

James describes himself as dedicated, dependable and committed to excellence. He’s also a people-person and enjoys meeting people throughout the areas he supports. These traits have all helped him in his role by always ensuring quality standards are met. His work motto is: “If you like what you’re doing and you are dedicated, it makes the job easier.”

When Jim’s not working, he enjoys morning golfing, home improvement projects, helping his mom in the

Poconos and watching his son pitch for the Gwynedd Mercy University baseball team.

James has enjoyed his 22 years of service and remains committed to providing the same level of dedication to Jefferson moving forward. Thank you, James, for your service!

May Town Hall Recaps Extraordinary Year & Introduces Future Plans

The May IS&T Town Hall highlighted some extraordinary achievements from the past year including Epic@Jeff, JeffConnect Telemedicine, IBM Watson, Information Risk Management, to name a few. The future looks bright, too, as decisions will be made about the enterprise EHR strategy, the Office of Clinical Informatics takes form, integration efforts continue and consumer experience remains a focus.

Even with recent achievements, the Town Hall was bittersweet as Praveen and the team exchanged “goodbyes.”

Thanks in large part to Praveen’s leadership and vision over the past three years, IS&T has earned global recognition —from Digital Edge, CIO100 and HealthCare’s Most Wired.

Employee Spotlight

Leigh Elko

Leigh Elko is an IS&T Project Manager for the Epic@Jeff project and has been instrumental in helping the Ambulatory Team perform as expected and meet their milestones. More specifically, Leigh helped bring multiple third-party contracts to completion — a crucial element of the project’s success.

Leigh is currently leading the Patient Movement taskforce, and is working to bring together multiple hospital departments including clinical areas, Transfer Center, and Admissions to address key issues.

Leigh has been with Jefferson for 10

years, starting out as a Respiratory Therapist, before taking on a role as an Operations Support Manager for Hospital Administration.

In November 2016, Leigh was promoted to her favorite position of all, becoming a mommy! In her free time she loves spending time with her seven-month-old daughter, Shea, and making sure she is always dressed in the cutest outfits with matching bows.

Leigh is an avid Flyers fan, loves going to the beach, and spending time with family and friends. Fun fact – Shea met Joe Biden at a Flyers game! If you haven’t already met Leigh, stop by(and check out some cute pics of Shea) on the 10th floor of 833 Chestnut.

Congrats to Elaine Dancis for placing Seventh in Table Tennis at the 2017

National Senior Games! Elaine, pictured above left, competed in a final single elimination match where she won 3-1 to enter the semi-finals and ultimately placed seventh overall.

Accomplishments

Patient Movement Taskforce Demonstrates the Value of Collaboration

The Epic@Jeff Patient Movement Taskforce members have consistently proven the value of collaboration. Analysts from Grand Central, Cadence, ClinDoc, Stork, Orders, OpTime, ASAP, Cupid, Radiant, and Hospital Billing applications have pulled together to resolve the patient movement issues identified by operations. The group also conducted a site visit to JHN to see firsthand what end users were experiencing.

This team’s hard work is directly reflected through the following patient movement wins:

Resolution of Single Sign On (SSO) issues at JHN, including equipping two additional computers with missing technology.

Creation of an interim workflow to quickly transfer external emergent patients directly to procedural areas, so clinicians can begin treatment instead of spending time registering them.

Ability for patients to move freely to and from the Psych Unit and Labor and Delivery.

IS&T’s Northern Division Plows Through System Upgrades

Since May 1, the IS&T's Northern Division has upgraded eight systems! Combined, these upgrades help improve patient safety, enhance flexibility for clinicians, streamline workflows, and promote more community-aware EHRs.

MAY

Cherie Campbell & Aasim Latif coordinated the upgrade to McKesson HomeCare version 14.0.

Ron DeShazo led the Abington GE PACS Web upgrade.

Theresa Bedard and Wesley Griffith led the Allscripts Practice Management update.

Linda Ries, Kevin Fitzpatrick, Mary Anne DeGrandis, Barry Mozenter, Dan Singleton, and Moira O’Leary coordinated the Sunrise system upgrades at Abington and Aria to meet requirements for Meaningful Use Stage 3 (MU3). The Sunrise upgrades also required the coordination of an array of Allscripts systems, CPM, Vergence, and Citrix upgrades.

JUNE

The Care Management systems at both Aria and Abington were upgraded.

Linda McFadden and Charlene Sims managed Aria’s upgrade to Allscripts TouchWorks EHR 17.1 to meet MU3 and other incentive requirements.

A Jefferson Mosaiq upgrade synchronized versions between Abington and Center City. This step allowed for the combining of the Mosaiq systems at both Jefferson and Abington into a single platform on July 7. Donna Gallagher, Challie Qualteri, Mary Anne DeGrandis and Michelle Deal worked with Nick DeGregorio on this update. Kevin Fitzpatrick, Sam Edwards, and George Marousis ensured completion.

The ND leverages several committees with cross-campus membership to align processes, reduce variability and improve the standard of care across the enterprise. IS&T's ability to be a collaborative business partner through the focused efforts of many teams led to these successful upgrades. Thanks to everyone involved for their efforts!

CHESS Congestive Heart Failure (CHF) Predictive Modeling Application Launches with Strong Physician Support

In May, IS&T helped launch the CHESS Congestive Heart Failure (CHF) Readmissions predictive modeling application with the Heart Failure Team at Abington. Preliminary evaluation of the model, which was developed with 2009-2016 CHF patient data from both Jefferson and Abington, indicates that it outperforms other published models in its ability to accurately predict 30-day heart failure readmission risk, as reported in an update to leadership from Rose Ritts, EVP, Chief Innovation Officer at Jefferson.

Dr. Klasko Throws Epic Celebration — Thanks IS&T Team for Historic Implementation

Physicians were all smiles when the new CHESS CHF Predictive Modeling Application was shown.

More than a dozen physicians were engaged during the orientation and training process for the new application, with many staying well beyond the scheduled meeting time to ask questions and discuss details with the technical team. One of the features providers appreciated most was the ability to access the application directly from within Sunrise Clinical Manager.

The CHF Predictive Modeling Application was completed through the collective efforts of the Heart Failure team and Performance Analytics at Abington and Edj Analytics team at Abington and Center City. “Jefferson’s ability to pull these groups together into a collaborative team is a competitive differentiator and a real driver of innovation,” said Ritts.

“I particularly want to call out and express my gratitude to Mouneer Odeh who stepped up to help champion every aspect of this project as it moved forward, particularly after David Reiter retired. His support was truly critical to the project,” Ritts stated.

Thank you to all IS&T team members involved in this monumental effort.

New JEDX Program Helps Exchange Data Securely

Because data exchange is an integral part of health care, the Enterprise Analytics Team is excited to introduce its new Jefferson Enterprise Data Exchange (JEDX) Program, which helps ensure data gets where it needs to be – and that the process happens securely.

JEDX was created in direct response to Jefferson’s Epic@Jeff implementation and the need to consolidate application specific data exchange with third party vendors, but it is now being applied well outside the scope of Epic@Jeff to other IS&T “clients” such as Edj Analytics, Aria and IBC.

There are three important parts to JEDX – infrastructure, encryption and scripting. Putting the first two in place involved the implementation of new servers and adoption of Open PGP for encryption, while the third required engagement of outside resources to write PowerShell scripts and complete the process in time for the Epic@Jeff Wave 1 Go-Live. Additionally, a master file was created to capture and process requirements for each vendor with which Jefferson exchanges data – details including encryption, frequency, file locations, IP addresses, encryption keys and more.

Many IS&T team members were involved in making the JEDX Program happen and will continue to keep it running smoothly, including the Enterprise Analytics Team, Linux Administration Team, Infrastructure Team, Windows Administration Team, Enterprise Security Team, OJDT Warehouse Team, and Epic@Jeff Technical and Informatics Teams. Additionally, program director, Maria Ricci and program manager, Allison Esslinger now oversee JEDX and the collection of all information needed to ensure secure data transfer on a daily basis.

Though the JEDX Program is still in its infancy, the Enterprise Analytics Team is using a roadmap for the future. As our collection, use and transfer of data continues to increase, JEDX will become an increasingly essential component of IS&T’s offerings to Jefferson and its business partners.

Operational Updates

“Amazon-like’ customer service environment to transform the IS&T request experience for

employees

The new initiative represents IS&T’s drive to help our employees succeed by empowering them with the tools and information they need to quickly resolve IT issues, request services and submit account/network access requests all in the same system, ServiceNow 2.0.

The system will replace IS&T’s current process of requesting IS&T services where clients and staff are required to submit their request or issue through multiple systems, which causes frustration, slow turnaround time and uncertainty about the status of the service request.

ServiceNow 2.0 will deliver a Jefferson wide service management approach that is structured, connected and transparent from the time a request is submitted until the time the request is complete. This approach is possible through the integration of an IS&T service request catalog, which will allow staff to easily search, browse and request IS&T services anytime, anywhere.

With this new, redesigned self-service portal rollout, Jefferson employees can expect to see a more user-friendly Solution Center Self-Service portal that will provide the following benefits:

A faster and easier way to engage with IS&T Client Services Center

An improved and automated workflow to submit a request for IS&T services

Quicker responses and resolutions to client issues and problems

The IS&T Solution Center self-service portal redesign is expected to debut later this fall and is just one feature of the overall Jefferson IS&T ServiceNow 2.0 deployment.

Update from the PMO

Northern Division Demand Management Integration

In today’s academic and community health care setting, the use of technology to enhance patient, student and staff experience is more critical than ever. With this influx of technology needs comes a high demand for IS&T resources. This is why IS&T uses a balanced combination of governance, demand management and planning methodology, combined with a project and portfolio toolset (Planview) to forecast and manage demand for projects requiring IS&T resources at Jefferson.

In order to continue our integration as One Jefferson, the IS&T PMO is extending governance to the Northern Division and beginning to identify Enterprise Pillar leaders and local leaders from Abington and Aria to make decisions and facilitate successful, timely, and planned delivery of project objectives.

Process Streamlining

In order to better facilitate the review of IS&T project requests, the PMO has collaborated with Enterprise Architecture (EA) and Information Security (InfoSec) Teams to streamline the process of documenting technical and security requirements for new project requests. An Architectural Complexity Assessment (ACA) has been developed by EA for use with InfoSec documents to provide a high-level view of any proposed technical solutions. The PMO continues to work with both teams to align processes on all projects.

Planview Adjustments

As we begin a new fiscal year, the PMO continues to adjust and refine Planview to better support IS&T. New Keeping the Lights On (KLO) plans will be rolled out for the coming year, as well as new notifications directly from Planview on steps, requests, and items to be completed for all teams. Stay tuned!

Dr. Jon Sternlieb, Diane Humbrecht and Colleen Saul co-presented alongside leaders from CHOP at the American Medical Informatics Association (AMIA) conference on May 4. Their presentation focused on the importance of strong relationships between the CIO, CNIO and CMIO.
