Introduction to Course 3
What is SIMS?
SIMS (Student Information Management System) software is a comprehensive
program used to record and manage student data. The program was developed by a
UK software house called Tribal.
The SIMS program facilitates the management of data accumulated during the
students’ study period at university. The programme was introduced at the University
of Malta following:
� an elaborate exercise to identify the appropriate data management software
suitable for the University;
� a wide consultation with academic staff, administrative and technical staff;
� substantial hardware and software investments.
Aims
Course 3 provides information about the key assessment processes and the
University marking scheme. The course equips trainees with the necessary skills to
input study-unit results, process re-assessment results and generate reports listing
study-unit results. The main topics covered during this course include:
� An overview of the University marking scheme.
� The inputting of study-unit results.
� The re-assessment process.
� Generation and printing of study-unit result reports.
Requirements
The courseware assumes that trainees:
� are familiar with basics of MS Windows and
� are familiar with the content covered in:
o Course 1: Introduction to SIMS
o Course 2: Module Registration
� have access to an IBM compatible computer equipped with MS Windows and SIMS
training software.

Courseware
The courseware that follows is made up of 5 lessons. The first lesson introduces
trainees to the key assessment processes in SIMS. Lesson 2 introduces the reader to
the University marking schemes for study-units. The third lesson is about inputting
study-unit results, undoing study-unit results, processing study-unit results to the
completed stage and finally publishing the results on the eSIMS portal. The fourth
lesson deals with the processing and publishing of re-assessment study-unit results
towards the completed stage, whilst the fifth lesson is covers the generating and
printing study-unit results reports.
Objectives
Each lesson starts with a list of objectives or skills that you are expected to master
by the end of the lesson. You are encouraged to review these objectives after
completing the lesson to ensure that you have reached the goals of the lesson.
Activities
The lessons are based on practical step-by-step activities that will help you master
the skills required to process and publish study-unit results to the completed stage
and print study-unit results reports. All the typing that you are expected to enter in
SIMS has been provided in the courseware. Screen shots have been included so that
you can check your computer output.
Format Conventions
Special terms – Important terms or ideas introduced for the first time are presented
in bold typeface. Thereafter, the word or phrase appears as normal text. Menu
names and commands are bolded throughout.
Typing – As you work through the courseware you will be entering text through the
keyboard.

Lesson 1 - Introduction
Objectives
By the end of this lesson you will learn about:
� The key assessment processes in SIMS - Student Assessments (SAS) and
Student Re-assessment (RAS);
� The main screens relevant to assessment record set-up on SIMS
Key Assessment Processes
Study-units can be described as the building blocks of a University
award scheme. Academic entities devise assessment patterns for
each study-unit they are responsible for. Students register for a
number of study-units according to the particular Programme of
Studies for the course they are following. In order to complete the study-unit students
are assessed via one or more assessment components. Each assessment component
specifies the type of assessment students must complete. Examples of assessment types
include Examination, Project, Practical, and Assignment.
In SIMS, set-up for study-units includes details related to the assessment assigned to
the study-unit for the particular academic year. Each Assessment Pattern is used to
measure students’ progress or performance in a study-unit. Assessment patterns
generate the students’ results which are recorded in the Credit Accumulation
Management System (CAMS) in SIMS. An Assessment Pattern is allocated to each
Module Availability (MAV) record.

Further details related to the specific assessment pattern attached to a particular study-
unit may be viewed by following the procedure detailed below.
� Retreive the MAV record of the study-unit for which you wish to view the assessment
details.
� Double click on the Assessment Pattern and click ‘Yes’. You will be directed to the
Module Assessment Pattern (MAP) table.
� Click on the Other > Assessment Body option via the menu bar. All the assessment
components for the particular MAV record will be displayed. See Fig. 2 below for
more details.

Fig. 2 demonstrates a sample MAB record for a particular module availability (MAV). In
this example the study-unit will be assessed via:
� a Project with a weighting of 30% of the overall mark; and
� a Presentation with a weighting of 70% of the overall mark.
Note that the weightings of each component towards the overall mark are displayed as a
percentage and thus the overall total for all components should be equal to 100.
Note also that the MAB record holds data related to the mark scheme assigned to each
assessment component. CFPR and CFFN are two such mark schemes. These will be
covered in the next lesson of this course.
Module Availablility (MAV) records together with the relevant Assesment Pattern (MAP) /
Assessment Body (MAB) data are created and maintained by SIMS Office staff following
communication with Officers in charge at Faculties / Institutes / Centres.
In SIMS, study-units are referred to as modules. The assessment process in CAMS can
be broken down in two stages:
1. Initial assessment stage – The students’ study-unit results are initially held at
this stage. The first results obtained in a study-unit are processed in the Student
Assessments (SAS) screen.
2. Re-assessment stage – Some students may be required to follow the assessment
pattern again. For example, some students may be required to re-sit the examination.
The re-assessment results attained in a study-unit are processed in the Student
Re-assessment (RAS) screen.
The initial assessment and/or re-assessment process leads to the final study-unit result.
This stage is referred to as the COMpleted assessment stage.

The University Mark Schemes (discussed in the next section) determine the status of the
study-unit results i.e. whether a student is moved to the Student Re-assessment (RAS)
stage or directly to the completed (COM) stage.

Lesson 2 - Mark Schemes
Objectives
By the end of this lesson you will learn about:
� The University Mark Schemes for study-units – Percentage Grade Module
Mark Scheme (PGM/PPGM), Pass/Fail Module Mark Schemes (PFM),
Component Module Mark Scheme (MMS/PMMS) and the PG Dissertation
Mark Scheme (PDA/PDM)
University Mark Schemes
The University mark schemes are based on the assessment
regulations of the University of Malta. Four mark schemes are
currently in use:
1. Pass/Fail Mark Scheme
(PFA/PFM)
2. Percentage/Grade Mark Scheme
(PGA/PGM & PPGA/PPGM)
3. Component Module Mark Scheme
(CMS/PCMS, CFFN/PCFFN, CFPR/PCFPR & MMS/PMMS)
4. PG Dissertation Mark Scheme
(PDA/PDM)
PFA/PFM, PGA/PGM, PPGA/PPGM, CMS/CFFN/CFPR, PCMS/PCFFN/PCFPR, MMS/PMMS and
PDA/PDM are the mark schemes used for study-unit results. These appear in the Module
Study-Unit Results Input 13
(MOD) screen and in the Module Availability (MAV) screen. Each mark scheme is made
up of a number of marks/grades.
The following are a definition of the marks / grades commonly used in the above mark
schemes:
1. Failed (F)
2. Withdrawal (W)
3. Incomplete (I)
4. Justified Absence (S)
5. Fail without possibility of Resit (FA)
6. Not Eligible (NE)
7. Compensated Pass (CP)
8. Cancelled Disciplinary Action (CD)
9. Plagiarised/Colluded Work (PL)
10. Result Complete (RC)
1. A Failed (F) grade may be awarded in several circumstances. Some common
examples are listed below:
� If a student fails to obtain an overall mark of more than 44%;
� If a student does not drop a study-unit in the add/drop period, is still registered on a
course of studies and does not submit / attend for an assessment;
� If the student does not turn up for the assessment without official approved
justification.
� If the student requests to drop a study-unit, the request is refused and the student
does not submit/attend for an assessment, an (F) grade is still awarded.
2. A Withdrawal (W) grade is awarded when a student is given permission to
withdraw from a unit after the Add/Drop Period. Such a unit will not be taken into
consideration in the calculation of the average mark for the year.

However, if a student withdraws from a study-unit during the add/drop period, then the
study-unit registration should be deleted completely from SIMS. (DEL command in the
C/O/E field of the study-unit registration screen – Refer to Course 2).
If, on the other hand, a student resigns from the course before the assessment date
and his/her name still appears on the examiners grade form, then a grade (W) is
awarded.
Note: Students who complete an assessment before withdrawing from the course must
have their raw mark inputted where available. On the other hand, students that officially
withdraw from a course after the assessment is due, and would have failed to
submit/take the assessment without approved justification, an F grade should be
awarded.
3. An Incomplete (I) grade is given when a study-unit result is still pending e.g. if a
deadline for submission of work has been extended for a valid reason or a medical
certificate is awaiting approval. Accordingly, the result will be put on hold until the
tutor/marker submits the student’s result for publication. This is only a temporary
grade which should be changed to a pass or fail grade by the end of the academic year.
4. A Justified Absence (S) grade is inputted when a student is absent for an
assessment for a valid reason approved by the respective Board. An S grade is
recognised by the system and does not result in an attempt increment.
5. A Fail w/o Resit (FA) grade is given when a student fails an assessment and a
re-assessment is not allowed/available (i.e. a student cannot re-sit the assessment,
e.g. in the case of a work placement or clinical practice).
6. A Not Eligible (NE) grade is given to students who are not eligible to sit for one or
more assessment/s pertaining to a particular study-unit (e.g. due to absence during
lectures).
7. The University Regulations provide that a failed study-unit may be passed by
compensation in certain circumstances. All study-units unless declared otherwise, are
compensatable, whether compulsory, elective or optional. A Compensated Pass (CP)

grade may be awarded in cases where a student satisfies the following conditions stated
in Regulation 50 of the General Regulations for University Undergraduate Awards, 2004.
� The study-unit is declared as compensatable in the Programme of Study,
� The mark obtained is between 35% - 44% and
� Average Mark for the Year / Area of study (where applicable) is at least 50%.
Regulation 50 (3) further states that ‘A student may only refuse the award of a
compensated pass and opt for reassessment in the September supplementary session
when the mark obtained in the supplementary session could make a difference for the
purpose of reaching an average mark required for access to a particular Programme of
Study in the following year. In such cases the student is required to advise the
Registrar of his intention after all results for the year have been published but by not
later than 16 August preceding the date of the supplementary session’.
8. A Cancelled Disciplinary (CD) grade is awarded following disciplinary action as
established by the University Assessment Disciplinary Board. Such a grade is usually
inputted by SIMS Office staff.
9. A Plagiarism/Collusion (PL) grade is awarded to students whose work has been
found to be plagiarised/colluded. A 0/I result is initially inputted by administrators on
receipt of a report describing suspected plagiarism/collusion. If the student is found
guilty then the 0/I is amended to a 0/PL. Otherwise, the student should be awarded the
raw mark.
10. A Result Complete (RC) grade is a ‘dummy’ grade generally inputted in the
Student Re-assessment (RAS) screen. Mainly, this is used to close re-assessment
records for students who are NOT eligible to sit for the Supplementary Session in terms
of the University Regulations. It may also be inputted in other cases following
consultation with SIMS Office staff. Note that this grade is used solely for administrative
purposes and does not form part of the official grading scheme of the University.

1. Pass/Fail Mark Scheme (PFA/PFM)
The Pass/Fail Mark Scheme is suitable for study-units whose assessment is based on a
Pass/Fail basis.
Students are initially registered on the first attempt. First attempt results are always
processed via the initial Student Assessments (SAS) screen. During this stage the
following grades can be obtained:

Students obtaining an ‘F’ or an ‘S’ grade are moved to the student re-assessment (RAS)
stage whilst students assigned an ‘I’ are moved to a Held status.
The system distinguishes between an F grade and an S grade. In the case of an F
grade, the attempt number is incremented to 2, whilst a student who obtains an S grade
remains on the same attempt, i.e. attempt 1.

Students sitting for the second attempt can obtain the grades indicated in the following
table. Re-assessment results are processed via the Student Re-assessment (RAS)
screen.

2. Percentage/Grade Mark Scheme (PGA/PPGA & PGM/PPGM)
The Percentage/Grade Mark Scheme is intended for study-units whose assessment is
based on one component, e.g. 100% Examination.
Students are initially registered on the first attempt. Initial results are always
processed via the Student Assessments (SAS) screen. The following grades can be
obtained during this stage for study-units with Level 1–4.

With the introduction of the General Regulations for University Postgraduate Awards in
October 2008, students registered for Level 5 or Level 6 study-units can obtain the
following grades during their first attempt.

Each mark scheme contains its own grades in accordance with the regulations.
Students sitting for the second attempt (or higher) for study-units of Levels 1-4 can
obtain the grades as indicated in Fig. 8 overleaf. It is however important to note that the
overall study-unit result is capped at 45/D* and thus students will not be allowed to
obtain an overall mark higher than 45 for the study-unit. The grade D* indicates that the
student passed the unit following re-assessment and is thus used to differentiate
between a grade D obtained at attempt 1 and a D* obtained as a pass following a
supplementary session. Results at re-assessment stage are to be processed via the
Re-assessment (RAS) screen.

From the academic year 2008/9 onwards, students sitting for the second attempt for
study-units with Levels 5-6 can obtain the grades as indicated in Fig. 9. It is however
important to note that the overall study-unit result is capped at 45/E* and thus students
will not be allowed to obtain an overall mark higher than 45 for the study-unit. The
grade E* indicates that the student passed the unit following re-assessment and is thus
used to differentiate between a grade E obtained at attempt 1 and an E* obtained as a
pass following a supplementary session. Results at re-assessment stage are to be
processed via the Student Re-assessment (RAS) screen.

Students who progress conditionally or follow an additional
year of study should be re-registered for the study-unit in
the following academic year. The attempt number will
increment automatically, once the new record is generated
via the SAS screen. Should the student need to go into
re-assessment again, then records would have to be
processed via the RAS screen.
3. Component Module Mark Scheme (CMS/PCMS & MMS/PMMS)
The Component Module Mark Scheme is intended for study-units whose assessment is
based on more than one component, e.g. 30% Assignment and 70% Examination.
Similar to the Percentage Grade Mark Scheme, marks out of 100 are inputted for each
component. SIMS will then work out the overall mark and grade according to the
percentage weightings of the components.

4. Postgraduate Dissertation Mark Scheme (PDA/PDM)
This mark scheme is the latest to be introduced and follows an amendment to the
Postgraduate Harmonised Regulations. It is applied to study-units that form part of a
programme of study at postgraduate level and whose credit value is 30 credits or more.
The Regulations now state that the highest mark/grade a student may obtain in such
study-units at attempt 2 is 50/ D*. SIMS will automatically cap any marks inputted for
these study-units, when at attempt 2, to 50.
General Undergraduate and Postgraduate Awards Regulations
The setup described above is in alignment with the University’s Undergraduate
Regulations, 2004 and the Postgraduate Regulations, 2008. The content of this course
complements both sets of regulations and thus users are encouraged to access and
familiarise themselves with both. These regulations are available on the web and the

Lesson 3 - Inputting Study-Unit Results
Objectives
By the end of this lesson you will learn to:
� Print a list of students registered on a study-unit;
� Generate Student Module Result (SMR) records;
� Input the actual marks in the Student Assessments (SAS) screen;
� Generate and print reports listing the actual marks and grades obtained by
students registered on a study-unit;
� Correct actual marks and grades;
� Process actual results to an agreed status;
� Publish study-unit results;
� Process held study-unit results.
Introduction
As indicated in Lesson 1, the first study-unit result/s is/are
processed at the initial assessment stage. These result/s are
processed through the different options of the Student Assessments (SAS) screen.
The result/s attained by a student is/are stored in the Student Module Result Status
(SMR) table. The content of this table is updated by the processes of the SAS and RAS
screens. The Student Module Result (SMR) screen is used to display student results as
well as provide information with regards to the processing stage of the same result. This
screen is very useful and is to be used regularly when processing/amending/ enquiring
about particular result records.

ACTIVITY 3.1
All activities are based on the SIMS training software installed on your
computer system. You will display the Student Module Result (SMR)
screen for the study-unit MAT0002, 2011/2.
1. In the Select menu option type SMR.
2. Press the TAB key and the Student Module Result (SMR) screen will be displayed.
3. Type 2011/2 in the Year field and MAT0002 in the Module field.
4. Press the F5 key to retreive existing records.
You will notice that no records are retreived and that a message in the message buffer
(bottom left corner of your screen) indicates ‘No records found. Please try again’. This
message appears because there are currently no result (SMR) records in the system that
match the retrieval criteria indicated.

5. Close the SMR screen. This will display a warning message indicating that no details
have been saved.
6. Click Yes button to quit the SMR screen. You will return to the SIMS Menu System
window.

STEP 1 – Printing Registered Students
Before generating study-unit results, one must check that the
registration of students on the study-unit is correct. This step is
done by printing the Study-unit Grade Form from the Module
Availability (MAV) screen. Once checked and finalised this form
should be printed and passed on to the relevant academic members of staff so that the
marks awarded and to be inputted in SIMS may be listed.
ACTIVITY 3.2
Your tutor will indicate the study-unit you will be working on.
Study-unit MAT0002 will be used here.
1. In the Select menu option field type MAV.
2. Press the TAB key. The Module Availability (MAV) screen will be displayed.
3. In the study-unit field type in the study-unit code MAT0002, and 2011/2 in the
Year field. Press the F5 key and the details as shown in Fig. 11 will be displayed.

4. Select Current > Gen+Print Letters. The Standard Letter Selection window will
be displayed.
5. Double-click in the Letter Code field. The Select……window will be displayed.

6. Double-click the report MAV-RPT-MDG5 – Study-unit Grade Form. The
Standard Letter Selection window will be re-displayed with the Letter Code field
populated.
7. Click the Run button. The Enter Letter Selection Criteria window will be displayed.
8. Click the OK button to display the list of all students registered on the study-unit.
9. Print the Grade Form of the students registered on the study-unit.
10. Close the Study-unit Grade Form (MAT0002) – Windows Internet Explorer.
11. Close the Module Availability (MAV) screen.
STEP 2 - Generating Study-unit Results Records
Generating the study-unit result records is the first step in the
assessment process. This step is done through the Student
Assessments (SAS) screen. This screen allows for the generation
of blank study-unit result records for a batch of students registered on a particular
study-unit.
ACTIVITY 3.3
You will create SMR records for students which have been previously registered on a
specific study-unit. You will now generate the result (SMR) records for
the study-unit MAT0002, 2011/2 in preparation for mark entry.
1. In the Select menu option type SAS.
2. Press the TAB key and the Student Assessments (SAS) screen will be displayed.
3. Type in the following data:
Year: 2011/2
Period: SEM1
Module: MAT0002
Occurrence: A
Assessment Sequence Number: * (Gold Star)

4. Go to Option 1b – Generate assessment records for student/s SMR and click on the
Run button.
The following message will be displayed.

5. Click OK button if the number of students indicated in the message box is equal to

ACTIVITY 3.4 – Checking Progress of Records on SMR
In Activity 3.1 you were asked to retrieve student result records for study-unit MAT0002,
2011/2. Since results were not generated the system could not retrieve the result
records.
In Activity 3.3 above, these same records have now been generated
and thus could be retrieved via the SMR screen.
1. In the Select menu option type SMR.
2. Press the TAB key and the Student Module Result (SMR) screen will be displayed.
3. Type 2011/2 in the Year field and MAT0002 in the Module field.
4. Press the F5 key to retreive existing records.
You will notice 7 records are retrieved. The records being displayed include student ID,
Academic Year, Semester, Occurrence, Study-Unit Level and Student Attempt Number.
No mark and grades are being displayed given that these have not yet been inputted
into the system.

STEP 3 - Inputting Marks (Actual)
After generating the study-unit result records, you can proceed with
entering the student marks. This step is done through the Student
Assessments (SAS) screen. The marks entered during this step are
referred to as actual marks.
ACTIVITY 3.5
You will input the marks attained by the students indicated earlier on.
Study-unit MAT0002 will be used here.
1. Go to Option 3 – Input actual marks for assessment for student(s) and click on the
Run button. The Input Actual Marks window will be displayed.

This window displays a list of students registered on study-unit MAT0002 in 2011/2. The
students are displayed in alphabetical order according to their surname.
Note:
� The INT column indicates the initial of each student.
� Marks may be entered in fields under the Mark column whilst the respective grades
will be displayed automatically in the fields under the Grade column. Note that values
of P and F are automatically assigned.

� By default, an F grade is generated when a 0 mark is entered in the Mark field.
Always verify whether the grade should be an F, W, S, I, NE, FA or PL.
� Once results for all components have been inputted, the system will automatically
calculate each students’ final overall module result. This will generate an overall mark
and a corresponding overall grade.
� The Input Actual Marks window does not allow you to return to a previous field by
clicking the mouse.
� The Page Up and Page Down keys have to be used in order to navigate through the
records.
The Mark field accepts only marks that correspond
to valid grades (Refer to Lesson 2 of this manual).
You will not be able to proceed to the next field if
you enter an invalid mark/grade.
2. Input marks for students displayed and press F6 to store.

3. Close the Input Actual Marks window.
Note:
When working on a study-unit asessesed via two or more assessment components
(e.g. Assignment and Examination), marks for the first component are entered on the
first screen. Once marks are stored and the screen is closed, a second mark entry
screen will be displayed, where the marks for the second component are to be inputted.
The particular assessment component for which marks are to be inputted is indicated on
Study-Unit Results Input 31
the top middle section as indicated in Fig. 16 above. On closing the screen you will note
that the system automatically attempts to calculate the study-unit overall result.
Checking Records on SMR
Now that you have inputted the marks at actual stage you may go back to the SMR
screen and check how records have been updated on SIMS.
You may follow the steps described in Activity 3.4. Records on the SMR screen will
display the actual marks inputted (Fig. 17).

Note that the overall study-unit marks and the corresponding grades are now being
displayed under the Actual Mark/Gr Column. The Agreed Mark/Gr columns remain blank
at this stage.
STEP 4A - Printing Actual Marks Report
Following the setting of actual marks, a report listing the actual
marks attained by all students registered on a study-unit should be
generated. This report will be used to check that each mark entered
and the corresponding grade were inputted correctly.

ACTIVITY 3.6
You will generate a report listing the actual marks and grades of the
students following a specific study-unit. The study-unit MAT0002 will
be used in this example.
1. In the Select Menu option, type MAV.
2. Press the TAB key. The Module Availability (MAV) screen will be displayed.
3. In the Module field type MAT0002 and in the Academic Year field type 2011/2.
4. Press the F5 key to retreive data for study-unit MAT0002.
5. Click the Current menu and select Generate + Print Letters. The Standard Letter
Selection window will be displayed.
6. Double-click in the Letter Code field. The Select… window will be displayed.
7. Double-click on the report MAV-RPT-MRG4 – Study-Unit Actual Results Report.
The Standard Letter Selection window will be re-displayed with the Letter Code
populated.

8. Click on the Run button. The Enter Selection Criteria window will be displayed.
9. Click OK button and print a list of all students and marks/grades attained in the
retreived unit.

You may select one or more of the listed options in this screen to sort accordingly. A
particular course may be selected by inserting the corresponding course code. You may
also select the students you want to retrieve by their year of study.
10. Print the Study-unit Actual Results report.
11. Close the Windows Internet Explorer and the Module Availability (MAV) screen.
STEP 4B - Correcting Marks/Grades
The actual marks report generated through the process indicated in
the previous section, may reveal an incorrect mark/grade.
Accordingly the correct mark/grade will have to be re-entered
through the Student Assessments (SAS) screen.
ACTIVITY 3.7
You will input the correct mark attained by a student on the study-unit
you are working on. The study-unit MAT0002 will be used in this
example.
1. Restore the SAS window.
2. Go to Option 3 – Input actual marks for assessment for student/s and click on the
Run button.
3. Use the Page Down key to move to the Mark field for student with the wrong mark
(e.g. 74891M/1).
4. Press the Delete key or press F7 to remove the incorrect mark in the mark field.
5. Type the correct mark (e.g. 80).
6. Press the TAB key. The Grade field will display a grade of ‘P’.
7. Press the F6 button to store the mark entered.
8. Close the Input Actual Marks window. This will automatically reset the result.

STEP 5- Processing Study-unit Results (Agreed)
Once all results have been inputted, checked and amended (if
necessary), such results should move to the Agreed stage. This
process involves copying the actual results to agreed results. Once
at agreed stage, results can no longer be undone and processed as indicated in the
previous section.
The processing of study-unit results for the actual to the agreed stage is carried through
the Tick Module Result (TMR) screen.
ACTIVITY 3.8
You will process the results of students registered on the study-unit
you are working on. The study-unit MAT0002 will be used in this
example.
1. In the Select Menu option, type TMR.
2. Press the TAB key. The Tick Module Result (TMR) screen will be displayed.
3. The details of the study-unit you are working on will be displayed automatically in the
TMR screen.

4. Go to Option 2 - Set module agreed = actual for group of MAVs and click on the Run
button. The following message screen will be displayed.

5. Click Yes button.
The Message buffer text indicates that the agreed mark has been set for each student.
The message buffer displays the following text at the end of the process – ‘Module
results copied’.
Checking Records on SMR
Now that you have agreed marks via the TMR process, you may go back to the SMR
screen and check how records have been updated on SIMS.
You may follow the steps described in Activity 3.4. Records on the SMR screen will
display the actual marks inputted (Fig. 21).

You will notice that the Agreed column is now displaying marks that have been copied
from the Actual stage to the Agreed stage.
The Cu and Co column indicate the students’ attempt number for the particular result
record. The value under the Cu column indicates the current valid attempt number whilst
the value under the Co column indicates the last completed attempt number. When a
result record is set to COMplete the Cu and Co values are identical. Fig. 22 below
explains possible values and how they may be interpreted.

Kindly also note the SAS/ RAS column in Fig. 21. This is very useful since it is indicating
the screen that you will need to access in order to continue processing each of the
results.
� A status of SAS indicates that the result is still at the initial assessment state and is
to be processed via the SAS screen.

� A status of RAS indicates that the result has been taken into re-assessment and can
be processed further via the RAS screen once the student completes re-assessment.
� A status of COM indicates that the individual result is COMplete and requires no
further processing.
At the end of each academic year all result records for that
particular year should carry a status of COMplete.
A breakdown of the assessment components marks/grades of each SMR record may be
viewed by retrieving the appropriate record on SMR and clicking on Other > Assesement
Status – Refer to Fig. 23.

Fig. 23 above demonstrates that the student obtained an overall study-unit mark/grade
of 45/D*. The student obtained a 0/F in the Exam at attempt 1 and a 73/P in the Exam
at attempt 2.

The SMR screen is very useful to help you determine the
status of a result record as well as to view the marks
obtained for individual assessments that were obtained in
the assessment session/s.
STEP 6 - Publishing Study-unit Results
After study-unit results have been agreed, the user needs to publish such results on
eSIMS (the students’ portal). This process enables the students to view their results
online. Students would not be able to view their results prior to administrators having
completed this step successfully.

Results should NOT be printed and published on the
University noticeboards.
The system automatically sends an email to the students on their University email
account informing them that a result has been published.
ACTIVITY 3.9
You will publish the results of students registered on the study-unit you
are working on. The study-unit MAT0002 will be used in this example.
1. In the Select Menu option, type SMR.
2. Press the TAB key. The Student Module Result Status (SMR) screen will be
displayed.
3. Type in the Academic year 2011/2 and the study-unit code MAT0002.
4. Press the F5 key in order to retrieve the results.
5. Click on the UDF button (top-right hand corner of the SMR screen). Please make
sure that the fields displayed are blank at this stage.

6. Close the User Defined fields screen.
7. Click the All menu and select Gen + Print Letters. The Standard Letter selection
window will be displayed.
8. Double-click in the Letter Code field. The Select…window will be displayed.
9. Double-click on the report SMR-GEN-RLT1 - Publish Entire Result/s. The
Standard Letter Selection window will be re-displayed with the Letter Code
populated.
Note: If you wish to publish the result for a particular assessment component, you
are required to select the SMR-GEN-RLT2 - Publish Component Result/s.
10. Click on the Run button. One of the below messages will be displayed:
� Entire result published successfully / Component Result Published successfully.
� This unit does not belong to the Faculty with which you are assigned. Please
contact SIMS Office.
� Entire Result not published. You will be able to publish this result after the
Students’ Feedback period is over. You will be informed via email when results
can be published.
11. Click the Ok button.
After publishing the result, the relevant data in the UDF fields will be populated
automatically as shown below.

12. Close the UDF window and the SMR window.
13. Close the RAS screen.
The data being populated and demonstrated in Figures 24 and 25 above indicate the
type of publication of result together with the date the result was published. This date is
used by the Admissions and Records Office to calculate eligibility for requests for
Revision of Paper.
Processing Held Study-unit Results
Due to certain circumstances, some students may have a pending
study-unit result which is reflected with a held status in the SMR
screen on SIMS. The Examination Board decides the final
study-unit result awarded to such students.
Held students cannot remain in this temporary state - they have to be given a result
which indicates a failure, pass or deferred state. For example, a student may initially
have an incomplete study-unit result. The Incomplete result would be changed to the
agreed mark at this stage.
.
This process is only administered by the Officer in
charge of the Faculty/Institute/Centre.
It is of utmost importance that held results are
processed through Option 9 of the SAS screen or
Option 7 of the RAS screen according to the process
stage of the SMR record.

ACTIVITY 3.10
You will process an incomplete result of a student registered on the
study-unit you are working on. The study-unit MAT0002 will be used
in this example.
1. In the Select Menu option, type SAS.
2. Press the TAB key. The Student Assessments (SAS) screen will be displayed.
3. Type in the details of the study-unit and insert the student ID card no. with the
relevant ‘/’ as shown in the figure below.
4. Go to Option 9 - Process INCOMPLETE (Held) results for student(s) and click on the
Run button. (The ID card no. is optional and is used if you want to process a specific
student).

The Process Module Results window will be displayed. The window displays only student
records with held study-unit results; unless a student number was specified in the ‘box’
of Option 9.
5. In the Tick field, type N. This indicates that the agreed result will be different from
the actual result.
6. Press the TAB key such that the cursor will move to the Agreed Mark field of the
assessment component you wish to process.
7. Press the F7 key to erase the content of the Agreed Mark field.
8. Type 60 in the Agreed Mark field.
9. Press the TAB key. The Agreed Grade field will display P.
10. Press the TAB key. The cursor will move to the Module Result field.
11. Double-click in the Module Result field. The Module Result fields will display
automatically 60 and C.

It is important to ensure that the overall module
result displayed has been refreshed with the new
mark and grade.
12. Press the TAB key such that the cursor will move to the Exam Board Min field.
13. In the Exam Board Min field type the reason for the extension given to the
student, e.g. Student handed in assignment after being granted an extension.

Lesson 4 - Re-assessment
Objectives
By the end of this lesson you should be able to:
� Input re-assessment actual marks;
� Process re-assessment study-unit results from an actual to an agreed status;
� Process and publish re-assessment study-unit results on eSIMS.
Introduction
Some students may be required to follow the assessment pattern
again. For example, some students may be required to re-sit an
examination.
The re-assessment results attained in a study-unit are processed through the different
options of the Student Re-assessment (RAS) screen.
The re-assessment status of a student may have been determined:
� Automatically by the University mark scheme or
� As a consequence of an examination board decision.
A study-unit can be re-assessed at attempt 1 (for students awarded an S grade), at
attempt 2, 3, or 4, if eligible in terms of the Undergraduate Regulations or at attempt 2
in terms of the Postgraduate Regulations. The study-unit mark scheme also controls
whether subsequent attempts are incremented or not.
Re-assessment does not involve re-writing the assessment records. Re-assessment
records are separate entities.

ACTIVITY 4.1
You will display the SMR screen of a student requiring re-assessment
processing. The study-unit MAT0002 will be used in this example.
1. In the Select Menu option, type SMR.
2. Press the TAB key. The Student Module Result (SMR) screen will be displayed.
3. Type 2011/2 in the Academic Year field, MAT0002 in the Module field and RAS in the
SAS/RAS field.
4. Press the F5 key to retrieve.
Fig. 29 below illustrates the following two scenarios:
���� Student with ID 436791M did not pass her first attempt and thus records display a Cu
of (2) and Co of (1). The student’s record has moved to re-assessment and the
SAS/RAS status therefore indicates RAS.
���� Student with ID 577592M did not sit for the first assessment. His reason for absence
was considered valid and thus approved. Records display a Cu of (1) and a Co of (1).
This means that his current attempt is set to 1 even if records are considered to be at
the re-assessment stage.
Attempt numbers are set automatically by the system and are defined within the mark
schemes assigned to the individual study-units.

STEP 1 - Inputting Re-assessment Marks
The marks attained by students who have undergone a
re-assessment of a study-unit are entered through the
Student Re-assessment (RAS) screen. The marks entered during this
step are at actual stage. This processing of re-assessment results through RAS is
similar to the processing of results via SAS.
ACTIVITY 4.2
You will input the marks attained by the students who have been
re-assessed on a study-unit. The study-unit MAT0002 will be used in
this example.
1. In the Select Menu option, type RAS.
2. Press the TAB key. The Student Re-assessment (RAS) screen will be displayed.
3. Type in the following data:
� Year: 2011/2
� Period: SEM1
� Module: MAT0002
� Occurrence: A
� Assessment Sequence Number: *

4. Go to Option 2 - Input actual marks for re-assessment for student(s) and click on the
Run button. The Process Student Re-Assessment Forms window will be displayed.

Re-assessment results may be processed one by one as the
results come in, or all together as a batch.
If you would like to input the result of only one student then
type in the student ID card no. with the relevant ‘/’ in the
blank field available in Option 2. If left blank all students
awating a re-assessment result that match the retrieval criteria
will be displayed.
5. Locate the record for the student with ID number 436791M/1.
6. In the Mark field, type 73.
7. Press the TAB key. The Grade field will display P.

8. Press the F6 key to store and press the Page Down to move to the next record.
Note: The students’ attempt number is displayed on the screen for each record as
indicated in Fig. 31 above. Although students are only allowed a maximum mark/grade
of 45/D* at attempt 2 or higher, you are required to input the raw mark. The system will
take the attempt number into consideration when calculating the overall result and will
award a 45 D*/ 45 E* / 50D* where applicable.
If you attempt to enter a mark/grade considered invalid, the system will return an error
message similar to the one shown below (Fig. 32).

STEP 2 – Processing and Publishing Re-assessment Study-unit Results
Re-assessment study-unit results may have to be amended
following decisions taken by the Examination Board. This
processing is similar to that carried out at SAS stage.
Following input of re-assessment results at actual stage, check that the inputted marks
agree with the values provided by the lecturer on the mark sheet. In order to facilitate
such checking you may print a Study-Unit Actual Results Report. Guidelines on how to
print this report are provided in Activity 3.6 of this manual. Note that in order to display
only results of students at re-assessment you must input ‘R’ within the relevant selection
criteria field that is available prior to the generation of the report.

Once these results have been checked and amended, if and where necessary, they may
be moved to the agreed stage. The processing of re-assessment study-unit results is
carried through the Tick Module Result (TMR) screen and the procedure is identical to
that detailed in Activity 3.8 of this manual.

You will now process the assessment results of students registered on
the study-unit. The study-unit MAT0002 will be used in this example.
1. In the Select Menu option, type TMR.
2. Press the TAB key. The Tick Module Result (TMR) screen will be displayed.
3. The details of the study-unit you are working on will be displayed automatically in the
TMR window.
4. Go to Option 2 - Set module agreed = actual for group of MAVs and click on the Run
button. The following message screen will be displayed.

5. Click the Yes button.
Note: The Message buffer text indicates that the agreed mark has been set for each
student. The Message buffer displays the following text at the end of the process –
‘Module Result Copied’.
6. Close the Tick Module Result (TMR) screen. The Process is now COMplete.
Checking Records on SMR
Now that you have agreed re-assessment marks via the TMR process you may go back
to the SMR screen and check how records have been updated on SIMS.
After having inputted the relevant retrieval criteria, press the F5 button to retrieve the
records. Fig. 35 below demonstrates the updated records following Activity 4.3 above.

You will notice that the Agreed column is now displaying the new overall marks and the
SAS/RAS status indicates COMplete.
At the end of each academic year all result records for that
particular year should carry a status of COMplete.
STEP 3 – Publishing Re-assessment Study-unit Results
After agreeing the re-assessment study-unit results, you will need to publish such results
on eSIMS (the student’s portal). This process enables the students to view their resit
results online. Students would not be able to view their resit results prior to
administrators having completed this step successfully.
ACTIVITY 4.4
You will publish the re-assessment results of students registered on the
study-unit. The study-unit MAT0002 will be used in this example.
1. Follow the instructions from Step 6 of Lesson 3 of this manual – Refer to page 39.
After publishing the result, the relevant data in the UDF fields will be updated
automatically as shown below. Please note that when publishing the entire result at
re-assessment stage the Published? field is updated from YE to YER.

The data being populated and demonstrated in Figures 37 and 38 above indicate the
type of publication of result together with the date the result was published. This date is

2. Close the UDF window and the SMR screen.
3. Close the RAS screen.
When a student fails a study-unit after having attempted all assessment
sessions available within an academic year, the system does not
generate another re-assessment record. In such instances the student
needs to be re-registered on the same study-unit (create another SMO
record) in the following academic year. The system will automatically
assign the correct attempt number and marks may be inputted as
normal via SAS and RAS.

Lesson 5 – Study-unit Results Report
Objectives
By the end of this lesson you should be able to:
� Generate & print reports listing all study-unit results obtained by a student
(unofficial academic record);
� Generate & print reports listing all study-unit results of students following a
study-unit.
Introduction
There are a number of reports available to SIMS users for printing.
A report listing the study-unit results of an individual student can be
printed through the Student Programme Route (SPR) screen. This generates an
unofficial student’s transcript.
On the other hand, a report listing the results of all students registered on a specific
study-unit can be printed through the Module Availability (MAV) screen.
Printing Agreed Results of a Study-unit
The Module Availability (MAV) screen is used to print a number of reports related to
registered students on a particular module availability as well as the respective results
attained by such students.

ACTIVITY 5.1
Amongst the number of reports available through the MAV screen, we
will now take a close look at printing a report displaying agreed results
of a particular module availability. The study-unit MAT0002 will be
used in this example.
1. In the Select Menu option, type MAV.
2. Press the TAB key. The Module Availability (MAV) screen will be displayed.
3. Type MAT0002 in the Module field and type 2011/2 in the Academic Year field.
4. Press the F5 key in order to retrieve data for the study-unit as displayed in Fig. 39.

5. Click the Current menu and select Generate + Print Letters. The Standard Letter
Selection window will be displayed.

6. Double-click the Letter Code field. The Select… window will be displayed.

7. Double-click on the report MAV-RPT-MRG5 - Study-Unit Agreed Results Report.
The Standard Letter Selection window will be re-displayed with the Letter Code and
Printer Code fields populated.

8. Click on the Run button. The Enter Letter Selection Critieria window will be
displayed.

9. Make amendments to the criteria displayed if and where necessary. During the
re-assessment session, the default value of the Show only Resit, Incomplete or
All Students? (R/I/A) field should be changed from A to R in order to print only
the list results processed through the Student Re-assessment (RAS) screen.
10. Click the OK button.
11. The Print Dialog box will be displayed. Set the appropriate printing options.
12. In the Print Dialog box, click the Print button.
13. Close the Module Availability (MAV) screen.
Printing the Study-unit Results of a Student
As indicated in the Introduction section, the Student Programme
Route (SPR) screen is used to print the study-unit results of an
individual student.

ACTIVITY 5.2
Amongst the number of reports available through the SPR screen, we
will now take a close look at printing a report displaying the agreed
results of a particular student. The student with ID Card No. 33491G
will be used in this example.
1. In the Select Menu option type SPR.
2. Press the TAB key. The Student Programme Route (SPR) screen will be displayed.
3. In the Student Join Code field, type 33491G*. [Use the asterisk key (goldstar) on
the numeric keypad].
4. Press the F5 key in order to retreive data for the student with ID Card no. 33491G as
shown in Fig. 44.

5. Click Current menu and select the option Generate + Print Letters. The Standard
Letter Selection window will be displayed.

6. Double-click in the Letter Code field. The Select… window will be displayed.

7. Double-click on the report SPR-RPT-TRN1 - Unofficial Student Transcript (by
Mod Code). The Standard Letter Selection window will be re-displayed with the
Letter Code and Printer Code fields populated.

8. Click on the Print button. The Enter Letter Selection Critieria window will be
displayed.

Quick Review - Study-unit Results Process
Objectives
This is a quick review to help users administer and understand the procedure to be
followed in order to input a study-unit result on SIMS.
To process 1st Sit Results:
Step 1 Generate study-unit result in SAS Screen (Student Assessments)
� Enter the relevant study-unit details.
� Go to Option 1b and click RUN button to generate the study-unit results.
� THEN click on Option 3 to input actual marks for assessment. (Input Results)
� Remember to close the window after inputting results as this automatically
calculates and sets the study-unit result.
Step 2 Print Actual Marks Report
� Go to MAV and input the relevant study-unit details. Press F5 to retrieve.
� Go to Current > Gen + Print Letters.
� Select MAV-RPT-MRG4 and print.
� Check that the inputted marks match those on the original mark sheet.
� Make any amendments, if necessary, via Option 3 of the SAS screen.
Step 3 Processing the result from an Actual to an Agreed Status
� Go to TMR where the study-unit details are displayed automatically.
� Go to Option 2 and click RUN button to Set study-unit agreed = actual for group of
MAVs. This process copies the Actual results to Agreed results which can be viewed
in the SMR screen.

To Process Re-Assessment Results:
Step 4 Publish the Students’ results on eSIMS
� Go to SMR and input the relevant study-unit details. Press F5 to retrieve.
� Go to All > Gen + Print Letters.
� Select SMR-GEN-RLT1 or SMR-GEN-RLT2 and click RUN button to publish the
results on eSIMS.
Step 5 Print Agreed Marks Report
� Go to MAV and input the relevant study-unit details. Press F5 to retrieve.
� Go to Current > Gen + Print Letters.
� Select MAV-RPT-MRG5 and print.
Step 1 Input Re-assessment results
� Enter the relevant study-unit details.
� Go to Option 2 and click RUN button to input the actual re-assessment results.
� Remember to close the window after inputting results as this automatically
calculates and sets the study-unit result.

Objectives
The following processes and examples are included in order to make you even
more conversant with the system. There might be processes that do not apply to
your area of responsibility but an understanding of them enhances your know-
how.
Undoing and Processing Study-unit Results
Agreed results may need to be amended for individual students.
This involves undoing the previously agreed marks, inputting the
amended marks and processing these back to Agreed.
The Undo and Process option may be used for the following cases:
� The Examination Board decides on a different agreed result from that calculated by CAMS.
� Different re-assessments need to be recorded from those generated automatically by CAMS.
� The Examination Board has recorded an exam board minute against a result.
� The result was recorded incorrectly or needs to be changed following a revision of
paper.

An agreed result may only be changed by the Officer
in charge of the Faculty/Institute/Centre after
seeking approval from the Registrar.
It is of utmost importance that agreed results are
changed through Option 13 of the SAS screen or
Option 10 of the RAS screen according to the process
stage of the SMR record.

ACTIVITY 5.3
You will undo the result of a student registered on the study-unit you
are working on. The study-unit MAT0002 will be used in this example.
1. In the Select Menu option, type SAS.
2. Press the TAB key. The Student Assessments (SAS) screen will be displayed.
3. Type the following study-unit details:
� Year: 2011/2
� Period: SEM1
� Module: MAT0002
� Occurrence: A
� Assessment Sequence Number: *
4. Type the the ID Card no. 577592M/1 in the field for Option 13 - Undo & Process
Student and click on the Run button. Fig. 50 will be displayed.

5. Type ‘N’ in the Agree? (Y/N) field. This indicated that the agreed result will be
different from the actual result.
6. Press the TAB key such that the cursor will move to the mark/grade field/s that
require amending.
7. Type in the relevant new mark/s and the corresponding grade/s will be displayed
automatically. E.g. remove the 35/F mark grade and replace such with 46/P.
8. Press the TAB key until the cursor has moved to the Module Result field.
9. Double-click on the Module Result field. The system will calculate the new overall
module result and display the relevant overall module mark/grade.
It is important to ensure that the overall module
result displayed has been refreshed with the new
mark and grade.
10. Press the TAB key such that the cursor will move to the Exam Board Min field.
11. In the Exam Board Min field type the reason for the change in mark/grade.
e.g. Result changed following a Revision of Paper;

12. Press F6 key to store. Once the record is stored successfully you will notice that the
screen will dim in colour as shown in Fig. 52 below.

13. Close the Process Module Results window and the Student Assessments (SAS)
screen.
14. In the Select menu option type SMR.
15. Press the TAB key and the Student Module Result (SMR) screen will be displayed.
16. Type 577592M/1 in the Student (SPR) field and MAT0002 in the Module field.
17. Press the F5 key to retrieve the record that you have just amended.
Note that the Agreed Mark/Grade displayed is the new overall study-unit result
however the Actual Mark/Grade remains unchanged (Fig. 53).
