Returning to Work

● This induction has been introduced to ensure that the health, safety and welfare of our

employees, essential visitors and contractors are not compromised during the Covid 19

(Corona-Virus) outbreak. Your health, safety and welfare is our number 1 priority.

● We all have to take personal responsibility for our own and our colleagues health, safety and

welfare and co-operate with anything provided in the interests of health & safety.

● It is a requirement that all employees acknowledge the necessity to read and understand the

new COVID - 19 Operational Continuity Practices and Policies.

● You will be re-inducted into the business with this associated online health & safety training and

induction presentation.

● Personal protective equipment (PPE) will not prevent people from contracting the virus - the

best way to prevent the virus being spread is maintaining a 2 metre distance and regular hand

washing.

● PPE will be issued where we are unable to maintain a 2 metre distance e.g. FFp2 face mask

(disposable respirator) and latex or nitrile gloves.

● We need to move away from our “over reliance” on PPE and follow the government guidelines

on safe distancing and hygiene measures. The majority of PPE manufacturers are diverting

supplies to the NHS and Care Homes for high risk key workers. PPE not provided by the

company is strictly prohibited.

● In our current working environment taking account all the control measures the business has

put in place, we would be classed as low risk at present. This will be continually assessed.

● Mandatory ear and eye protection and other associated PPE must

still be worn in accordance with local risk assessments.

Travelling to Site and Parking

● Before setting off to work assess yourself for any symptoms of COVID-19. Do not continue to work if you do

have symptoms.

● Recommend no car sharing on the route to and from work unless you cohabitate.

● Employees using bicycles or motorcycles must use the cycle sheds at the Marfleet, Somerden or 799 parking

sheds. The front cycle shed will be locked as the 2 metre social distancing cannot be maintained (Figure 26).

● The 2 metre social distancing rule applies from entering the site boundaries.

● Each day all persons coming to site will undergo a temperature test by our Security Team; this includes

employees, visitors, suppliers, hauliers and contractors (Figure 1 & 3). An elevated temperature is 37.8 or

above.

● A separate change of work and home clothes are recommended to avoid any cross contamination.

● Prior to signing in or clocking in, use the hand sanitiser provided and always remain at least 2 metres from the

person in front when queuing.

● Once you have passed Security, please make you way to your work area maintaining a 2 metre distance and

await instruction from your line manager.

Walking around Site

● 2 metre spacing has been painted on all green walkways. Please use these to maintain your 2

metre social distancing.

● Person and vehicle passing points have been painted on the floor to enable social distancing

when walking around the production lines.

● One way systems have been introduced in some areas and are clearly marked by signs.

● Staircases to upstairs work areas and offices have been assigned an ascending and

descending route where applicable (Figure 57). Where this is unable to be achieved, we have

introduced a safe method of alerting others.

● All unnecessary journeys around the site are strictly prohibited.

Welfare, Lunch / Tea Breaks and Smoking

● All toilets have been risk assessed and as 2 metre social distancing is unable to be maintained, some toilets

must be locked when occupied (Figure 16).

● Vending machines have been set on timers so that they are only accessible at break times.This is to minimise

potential contamination and allow for cleaning.

● During break times and any production down time please ensure that you stay at least 2 metres away from

colleagues, do not gather in small groups.

● The smoking shelters have footprints painted within them to indicate the maximum number of persons who can

occupy the smoke shelter. This must be adhered to to maintain the social distancing rules.

Smoking times: 09:45 - 10:15 13:00 - 13:30 18:00 - 18:30 20:30 - 21:00

● Tea breaks have been staggered to reduce the demand on the canteen areas. Times will be advised by your line manager. 2 metre social distancing must be adhered to at all times.

● The works canteen will only be taking orders through telephone ordering - please call 01482 717590 no less

than 45 minutes prior to your break time. Collection must be made by one designated person from the service

hatch. This reduces people contact and money handling.

● No external food deliveries allowed on site.

Emergency Response Services● The Environmental Team will be the first response to any area requiring a deep clean. Please follow the

procedure for coordinating a deep clean. Contact Andy Abey (Facilities Manager) 01482 707808 /

● Process in place for contaminated waste and used PPE disposal (Figure 54).

● If you develop symptoms whilst at work, please follow (Figure 49) guidelines.

● The process for first aid where social distancing is unable to be maintained has been reviewed and a policy

available for all first aiders (Figure 50).

● Fire Marshall cover will be provided by Team Leaders, ensure that you sign in / sign out with Security before

you clock in / out. Team Leaders to maintain their local fire register. Evacuation points remain the same

(Figure 14).

● The fire alarm will be tested at 10.15 am every Friday.

● Reporting of Injuries, Diseases and Dangerous Occurrence Regulations (2013) - Covid 19 is classed as a

biological agent under the regulations. If there is reasonable evidence that someone diagnosed with COVID-19 was

likely to be exposed at work then this must be reported to the Health & Safety Executive.

Use of Company Vehicles

● Strictly one person per vehicle at all times.

● Vehicle quarantine policy in place (Figure 17).

● Vehicle quarantine areas have been created to quarantine a vehicle if it is suspect of

contamination.

● Windows to remain closed at all times where fitted.

● Vehicle passing points to be adhered to when operating around the production line.

● Strict hygiene measures to be obtained when operating company vehicles.

Working in Offices and Meetings

● Office workers where applicable will work from home until further notice and at their Line Managers discretion.

● All office areas have been risk assessed and the necessary control measures highlighted.

● Office doors (not fire doors) are to be chocked open to allow visibility for access and egress.

● All air conditioning units have been sanitised during the Furlough period.

● All shared crockery will need to be removed and stored. Employees must have an allocated set and wash

following use or bring items in from home.

● All meetings where applicable are to be conducted using google hangouts. If a meeting is necessary, please

refer to the office risk assessment to adhere to the control measures.

● Please sit 2 metres away from a door if possible in a meeting room.

● All visitors to be requested via using the dedicated google docs form. These must be approved by your line Director in the authorisation column. Non essential visits will be declined.

Working within Production

● All employees must stay within their assigned work bay unless agreed with the area team leader.

● The production line bays have been categorised into low, medium and high risk dependent on the 2 metre

social distancing rule.

○ These have been determined by:

■ Low - up to 3 persons inside a unit

■ Medium - up to 4 persons inside a unit

■ High - up to 5 persons or greater inside a unit

○ These bays have the necessary control measures to ensure that the 2 metre distancing can be adhered

to.

● Safe bays have been created for all rectification works. You must liaise with the area team leader prior to

entering the bays.

● All shared equipment must be wiped down using sanitising wipes before and after using the tool. Additional

equipment has also been provided.

● Line move ups have been assessed and a procedure for moving the units up has been compiled (Figure 36).

● Line 1 bay 8 - units will be turned using the new installed winch, additional training will be provided (Figure 37).

Working within Production (cont)

● Personal protective equipment (PPE) is to be provided for areas where 2 metre distancing is

unable to be achieved. An example of this is a 2 person lift when loading furniture.

● Portable hand wash stations and sanitising stations will be provided around site to ensure that

frequent hand washing requirements can be met.

● Mobile phone use will now be strictly prohibited on the shop floor in order to maintain strict

hygiene standards. Mobile phones are to be placed in lockers (if provided) prior to shift

commencement. If you do not have a locker, they must be switched off and can be kept in your

pocket. Mobile phones can be used at break / lunch times.

● Emergency contact can be made via calling Human Resources.

● Team Leader and Manager mobile phones will be allowed for business purposes only.

● Any health and safety concerns should be raised with your Line Manager in the 1st instance.

Support Functions

● A safe working practice has been developed for the tool swap service hatch (Figure 45).

● A safe working practice has been developed for maintenance engineers attending breakdowns

(Figure 46).

● The environmental team has added additional resource to maintain the hand wash stations,

sanitise stations and additional cleaning of high contact areas such as clocking in machines,

door handles, stair handrails and barriers.

● A procedure has been written indicating the additional control measures for the control of contractors on site.

● All developments are to be updated via the Time out for Safety (TOFS) brief.

● Posters have been placed around site to remind all employees of their responsibilities.

● The H&S information screens will have this presentation circulating for constant reminders.

● Spot check teams have been created utilising the area team leaders and managers. A

minimum of 4 are required per day to document compliance or highlight any issues.
