Growth Profile of Library and Information Services at CPCRI CPCRI Eä òfiœÉä ¡ò+”ɢ 1 C oconut research in the country was initiated at Kasaragod in the erstwhile Central Coconut Research Station (CCRS) by the then combined Madras Presidency. A significant step towards strengthening research in coconut, arecanut, cocoa, oil palm, cashew and spices was taken by the Indian Council of Agricultural Research (ICAR) in 1970 by establishing the Central Plantation Crops Research Institute (CPCRI) by merging the two CCRS at Kasaragod (estd. in 1916) and Kayangulam (estd. in 1947) and the Central Arecanut Research Station (CARS) at Vittal (estd. in 1957) along with its five regional centres at Palode, Kannara, Hirehalli, Kahikuchi and Mohitnagar. CPCRI has made significant contribution in the areas of research and extension activities on the mandate crops. With the delinking of research on spices and cashew from CPCRI in 1986 and oil palm in 1999, the Institute is concentrating on coconut, arecanut and cocoa.     LIBRARY AND INFORMATION SERVICES

    Information is a vital resource forResearch and Development.Information on the work being doneor work already done elsewhere helpsthe R&D community to avoidduplication/redundancy in their work.It also helps in collaborating workwith others in the field. The successof any R&D programme is based onthe right information made availableat the right time in the right manner.CPCRI Library recognised the valueof information right from its inceptionand still continues to strive forexcellence in its services throughcurrent use of informationtechnology.

    CPCRI has inherited one of theoldest research bases in coconut anda rich collection of literaturepertaining to the plantation crops.The books and periodicals availableat Quilon during the scheme for theinvestigation of different diseases ofcoconut were transferred toKayangulam and a librarian was

    posted in charge of the library in1958.

    The libraries at the HQ andRegional Stations have obtainedbooks from the erstwhile CCRS andqualified librarians were posted intoservice in the sixties. After 1960, thelibrary had attained remarkablegrowth. The library, which wasaccommodated in a small room of theold building of CPCRI, has grown inits size to a separate building with400 m2 area. Table 1 depicts thepresent status of the collection ofvarious publications in the library atthe HQ and Regional Stations.

    The number of libraryprofessionals also increased with thisgrowth from three to seven. Thelibrary used to cater to the demandsof researchers/clientele working onspices, cashew (until 1986) and oilpalm (until 1999). It has a fairly goodcollection on these crops also.

    Libraries at the Research Centresare managed by non-professionals.

    FUNCTIONS1. To develop and maintain a

    modern scientific and technicallibrary devoted to plantationcrops specifically on coconut,cocoa, arecanut and its relateddisciplines.

    2. To acquire and build up a widerange of publications includingbooks, monographs, treatises,reference books, journals,conference papers, proceedings,scientific and technical reports,CD-ROM and other digital media.

    3. To organize the informationresources in a systematic mannerby adopting standard andeffective methods for informationstorage and retrieval.

    4. To provide information services forthe user community by adoptinginformation technology techni-ques.

    5. To maintain liaison with otherlocal, national and internationalinformation centres for exchangeof information.

    6. To supply copies of available docu-ments in the information centre.

    7. To serve as a national clearinghouse for information onmandatory crops and its alliedbranches.

    INFRASTRUCTUREDEVELOPMENT

    In the last quarter of the year1999, the library secured NATP fundsto the tune of Rs. 15 lakhs formodernization of the library. Utilizingthis allocation given by ICAR, thelibrary has established all facilitiesfor online and offline information

    retrieval. For networking andautomation - computers and otheraccessories were installed. A CDServer with 14 bays was acquired,which made it possible tosimultaneously search multipledatabases over the Local AreaNetwork.

    An inverter was installed to avoidinterruption in the lighting for thereading hall. The library was air-conditioned to avoid damage ofbooks by fungal infection. Newfurniture was also acquired.

    During 2001, the institute tookup the construction of a separatebuilding to accommodate library. Awell furnished building of 400 m2area was completed by 2003. Thenew library has been provided withfacilities for adopting latestinformation retrieval techniques. OFCnetwork connection has beenestablished with connectivity to allsections of the library. The CD-ROMdatabases are made accessible toall the sections over the Local AreaNetwork. Content pages of latestjournal issues are scanned and putin the server to provide immediateaccess to the users from differentsections.

    LibSys software was installed andcomplete library collection data is fedin to it. The details of librarycollection are accessible throughlibrary OPAC (Online Public AccessCatalogue). Basawa Barcode Labeleris used for barcoding of librarydocuments and circulation isautomated with the use of barcodescanners. Barcode technology isutilized for stock verification too.

    LIBRARY WORKING HOURS

    Library is kept open on all workingdays from 9:30 AM to 5:00 PM witha break of one hour from 1:00 PM to2:00 PM. On Sundays and otherpublic holidays, the library is keptclosed.

    ORGANISATION OF LIBRARYRESOURCES

    The Central Library at the Headquarters as well as the libraries ofother centres has a sizeablecollection. This includes referencebooks, current and back volumes ofresearch journals, reports,conference proceedings, annualreports of national and internationalorganizations, theses anddissertations, standards andspecifications, reprints, CD-ROMdatabases and other electronicdocuments.

    BOOKS

    Documents are classifiedaccording to Universal DecimalClassification, catalogued accordingto Anglo American Cataloguing Rules

    II, and indexed with Library ofCongress Subject Headings with localmodifications. Library provides thecatalogue data through OPAC (OnlinePublic Access Catalogue). The cardcatalogue is also maintained.

    While classifying a book accordingto the subject content, each bookgets a Class Number and a BookNumber. Books are arranged in theshelves based on these call numbersand books of the same subject arekept together with those of relatedones coming next or just beforethem. The class number and booknumber are written on a book tag,which is pasted on the spine of thebook. Class numbers of certainfrequently referred subjects areincluded in Annexure I. Books forreference are kept in separateshelves with a prefix alphabet R inthe class number.

    PERIODICALSCurrent issues of periodicals are

    arranged alphabetically on periodicaldisplay-cum-storage racks. Previousissues of the year are kept in the

    cubicles of periodical display racks.Newsletters are arrangedalphabetically in a separate sequencein vertical cabinets along with backissues.

    BOUND VOLUMES OF JOURNALS

    The bound volumes of journals forthe previous years are arranged inthe stack room. The arrangement isalphabetical by title of the journal.Volumes of the same journal fordifferent years are arranged in theascending sequence. All journalsexcept those of popular nature arebound as per the recommendationof Library Advisory Committee. Thepopular journal issues and newsletters of general nature are disposedoff as per the guidelines of Librarycommittee with the approval of thecompetent authority.

    ANNUAL REPORTS

    Library has a good collection ofannual reports obtained fromagricultural and other researchinstitutions in India and abroad.These are arranged alphabetically bythe name of the institution. Three

    separate sequences are followed forannual reports viz. Reports of ICARinstitutes, Reports from Indianorganizations other than ICAR andReports of other Internationalorganizations.

    TECHNICAL REPORTS

    A good collection of technicalreports received from both Indianand foreign organizations arearranged as per the call number in aseparate sequence. The call numbersof technical reports are prefixed withthe alphabet TR for easyidentification.

    PATENTS AND STANDARDS

    Patents and standards arearranged as per the call number invertical cabinets.

    THESES & DISSERTATIONS

    Library has a limited number ofMSc/Ph.D dissertations/theses. Mostof these titles are the workssubmitted by researchers of CPCRI.Theses and dissertations arearranged alphabetically by the nameof the scholar.

    Electronic LibrarySection

    DEPUTATION REPORTS

    Deputation Reports are arrangedin a separate sequence alphabeticallyby name of author.

    REPRINTS

    Reprints are arranged byaccession number in verticalcabinets. These are also madeavailable online in electronic format.

    MICROFILMS

    The microfilms are classified andarranged separately by theiraccession number. Microfilm readersare provided to use these microfilms.The microfilms are kept in lockedshelves.

    ELECTRONIC COLLECTION

    The library has databasesdeveloped in-house and subscribesto different databases in varioussubjects each year. Major CD-ROMdatabases of agricultural importanceare subscribed and back issues ofthese databases are available from1970. The library also has a variety

    of directories, encyclopaedias, mapsand other publications in electronicformat. The electronic collection isarranged alphabetically by title. A listof electronic collection in the libraryis provided in Annexure II.

    SERVICES WE OFFER

    INTERNETInternet services are provided on

    all nodes of the electronic library viaVSAT (64 Kbps) connection of NIC.Readers are allowed to use theinternet from machines identified forthis purpose with proper records inthe log sheets. Readers are allowedto utilise all services available overinternet.

    ONLINE PUBLIC ACCESSCATALOGUE (OPAC)

    The library is automated with fullyintegrated multiuser library softwareworking under Windows NT. Thesoftware package provides themodules for acquisition, serialscontrol, circulation, cataloguing,OPAC etc. OPAC facility is madeavailable through the LibSyssoftware. The users can identify theclass number and locate requireddocuments. The subject or keywordsearch will help the reader to locatethe publications on a particularsubject. It also allows searchingthrough author or title of a document.From the OPAC, the reader can

    identify the status of documents(whether available in the library orissued out). It allows combinationsearches by the use of Boolean logic.OPAC is also accessible on theInternet.

    ACCESS TO DATABASES

    a. Subscribed databases

    The Library has a 14 bay CD-Server that is connected to LAN,which provides access to all sections.The library has a good collection ofCD-ROM databases related toAgriculture and these databases canbe accessed over CPCRI LAN throughthe CD-Server during library workinghours.

    b. Databases developed in-house

    Library provides access tobibliographic and full text databasesdeveloped by the Library andBioinformatics Centre. Thesedatabases are made accessiblethrough LAN through web browsersfrom the library web site. The samewill be accessible on the Internetfrom the institute web site toauthorised users. The database,which is in CDS/ISIS, is running onWWWISIS software. This has searchoptions from various access pointslike author, title, keywords, year etc.It also allows combination search. Inaddition to online access we offeroffline search facility by supplyingthese databases in CD-ROM.

    ACCESS TO ONLINE JOURNALS

    The library web site is hosted inthe Internet and necessary links aremade to various online agriculturaljournals, which provide free access.Online editions of various journalssubscribed by the library also can beaccessed at this site. Permission to

    access these titles are restricted byIP number or by password.

    UNION CATALOGUE OFPERIODICALS

    Union catalogue of journal backvolumes available at differentlibraries is essential to know theavailability of various journals foreasy access. The Union Catalogue ofperiodicals in the Headquarters,Regional Stations and ResearchCentres of CPCRI is available online.

    PHOTOCOPYING SERVICES

    Photocopying services are offeredto provide information to ourclientele. Services are extended freeof cost to official requests forwardedwith necessary approval of the Headof the Section/Division. Personalrequests from within the institutionand visitors are entertained at therate of Re. 1/- per page.

    INTER LIBRARY LOAN (ILL)

    The library is sharing its resourceswith other libraries. Library

    documents are issued on loan toother libraries against the requestfrom the concerned library. Theservices are extended to many co-operating libraries.

    RESOURCE SHARING

    The institute library hasestablished a resource sharingprogramme with the neighbouringICAR institutes, IISR and NRC forCashew to avoid wastefulexpenditure and to ensure efficientutilization of funds. These instituteshave decided to avoid duplicatesubscriptions and to exchangejournals required by each station. Inthis effort each library is makingavailable the content pages ofsubscribed titles over the instituteweb page immediately on receipt andthe users are given permission toaccess these pages and make theirarticle request online to theconcerned library. The required pageswill be scanned and supplied to theuser as Email attachment.

    CIRCULATION

    All documents in the library arebar-coded. This enablescomputerized issue and return,renewal and reservation. Allmembers are given barcodedmembership cards. The number ofdocuments issued depends on thecategory of the user. Group A officersare issued a maximum of 6documents, Group B staff membersare issued 4 documents and forGroup C and below, 2 documents.Rules and regulations for circulationof documents are provided inAnnexure III.

    books in the library is brought outfor the information of readers in printand over the website.

    LIBRARY ADVISORYCOMMITTEE

    The Director constitutes theinstitute Library Advisory Committee(LAC) with the Head of Library as ViceChairman and members representingvarious disciplines. The Librarian-cum-Documentation Officer will be

    the Convener. LAC givesrecommendations regarding variousactivities of the institute libraryincluding library purchases. It alsohas power to constitute different subcommittees for weeding out, physicalverification, purchase of equipments,furniture etc. with the approval of theDirector.

    LIBRARY USER SURVEY

    The progress of research dependsupon the availability of the rightinformation in the right form at theright time. Therefore, it is necessaryto understand the information needsas well as information seekingpattern of users. Hence, the libraryconducted a study to ascertain theinformation seeking behaviour of theCPCRI research workers and toidentify the problems of readers andto suggest necessary improvementof the available facilities. The reportof the study is given as Annexure V.

    The Distributed Information SubCentre(Sub-DIC) under theBiotechnology Information SystemNetwork (BTISnet) programmesponsored by Department ofBiotechnology, Government of India,New Delhi, was established inDecember 2000 to provide updatedand pinpointed information in thearea of Biotechnology, especiallyrelated to plantation crops. TheBioinformatics centre at CPCRI wasinaugurated by Honourable UnionMinister for Textiles on 10th December2000. This centre has taken up thecreation of databases onbiotechnological aspects of coconut,arecanut and cocoa and providesinformation retrieval services inBiotechnology topics.

    OBJECTIVES

    1. Provide upto date information inthe field of biotechnology toresearchers on plantation crops .

    2. Make available latest softwaresand databases in the field ofbiotechnology.

    BIOINFORMATICS CENTRE

    3. To conduct training to introduceavailable facilities of the centre tothe users.

    4. Establish linkages with otherorganisations working on similartopics and make arrangements forsharing of information andresources.

    The development of coconutgermplasm database has been takenup and the work is in progress.Coconut germplasm collected atCPCRI is being characterized usingmolecular markers (RAPD, AFLP) andthe data generated is beingincorporated into the database.

    The centre continued to surveyand collect literature in the field ofBiotechnology of Plantation Crops

    and updated the CoconutBiotechnology Database. The Centrehas developed a database ofpublished literature on coconut andthe development of database onarecanut literature is in progress.

    Tissue Culture ProtocolsDifferent protocols for molecular

    biology and tissue culture studies ofcoconut, arecanut, cocoa and oilpalm were digitised for easy access.

    WebsiteA website has been designed and

    all the databases developed by thecentre are hosted on the internet.The website also provides access tovarious molecular biology and tissueculture protocols of coconut,arecanut and cocoa.

    TrainingThe centre conducts training

    programmes on bioinformatics toprovide awareness and to impartnecessary skills in the application ofbioinformatics tools and techniquesin research. The details of thetraining programmes are announcedin advance in the website anddifferent organizations are informedabout the training programmes. Thetraining programmes include a blendof lectures, demonstrations, handson practice and discussions.

    A Training programme onBioinformatics in Biological Researchwas organized during 1st to 14th ofAugust 2002 with the objective ofimparting latest knowledge onapplication of molecular techniques,biocomputing, biostatistics andinformation retrieval in biologicalresearch. Ten participants from variousinstitutes attended the training.

    LIBRARY RULES ANDREGULATIONS

    A) General1. The library is primarily intended

    for the use of Scientific andTechnical Staff of the Institute.However, outsiders will be allowedto avail the use of the library forreference purpose only, at thediscretion of the Director/Head/Librarian-cum-DocumentationOfficer.

    2. Personal effects (like umbrella,briefcases, books etc.) are notallowed into the library and shallbe left at the property counter.

    3. All readers should sign the Libraryregister for proper records.

    4. Silence shall be observed strictly.

    5. Smoking is strictly prohibited inthe Library.

    B) Circulation of documents1. Books/Bound volumes will be

    issued only against Library IDcards for a period of one monthfor books and two weeks for boundvolumes.

    2. Loose issues of journals are alsoissued against the library ID cardsfor overnight use after 04:30 PM.

    3. Reference books and rare booksshall not be issued out of theLibrary.

    4. Staff members shall not lendbooks on their own to others.

    5. Any publication on loan can berecalled at any time by the

    Librarian-cum-DocumentationOfficer.

    6. Any publication lost by a readerduring the period he had it onloan, shall be replaced or its valuepaid by the reader. In the case ofrare books, loose issues andbound volumes of periodicals,which are difficult to replace, thevalue shall be fixed by the Directoras per the recommendation of theLibrarian-cum-DocumentationOfficer.

    7. Outstation loans shall be for amaximum period of one month.

    8. Issue of duplicate cards in lieu oflost ones will be made againstpayment of a penalty of Rs. 20/-(Rupees Twenty only).

    9. The Library ID Cards are nottransferable.

    10. Books can be reserved byfurnishing the particulars of thebook (title, author, call no etc.) ina requisition slip. No book can berenewed more than twice.

    C) Guidelines for supply of xeroxcopies

    1. The Photocopying Machine in thelibrary will be mainly used for thework concerned withdocumentat ion/ informationservices in the library.

    2. Requests for Xerox copies must beforwarded through the Division/Section Heads.

    3. Requests for copies of articles etc.from research and other agencies

    outside CPCRI will be entertainedat the rate of Re. 1/- per page.

    4. Requests for xerox copies ofarticles from Regional Stationsand Research Centres are to beforwarded through the Head/Scientist-in-charge respectivelyand the copies will be madeavailable to the libraries of theconcerned stations/centres.

    D) Loan of current journals(Loose issues) for overnightuse

    1. All current journals will be issuedto the staff members for overnightuse, subject to the terms andconditions stipulated below.However, latest issues of thejournals will be issued afterdisplaying it in the library for a

    period of one week.

    2. Overnight issues will be made inthe library (Periodical section)between 4.45 PM. and 5.00 PM onall working days on producing theLibrary ID card.

    3. Journals issued for overnight usemust be returned the next workingday by 9.30 am.

    4. It will be the responsibility of thereader to keep the journal cleanand tidy and protect from dog-earing of the issue.

    5. If the journal issued is misusedor lost, the borrower has toreplace the same or pay the entirecost of the journal volume, in casethe particular journal issue couldnot be purchased separately.

    Library User Study

    The study was planned with thefollowing objectives and a structuredquestionnaire was distributed to thelibrary users and data collected tostudy the library utilizationbehaviour.1. To document and analyze the

    selected characteristics ofresearchers

    2. To find out the library utilizationbehaviour of the researchers

    3. To find out the differences, if any,between male and femaleresearchers with regard to theirlibrary utilization behaviour

    4. To find out the relationship ofselected characteristics of theresearchers with their libraryutilization behaviour

    5. To identify the constraints, if any,and to elucidate suggestionsendorsed by the researchers forthe betterment/improvement ofthe CPCRI library

    In the light of the objectives,characteristics viz, age, education,professional experience, nature ofprojects, sources of ideas,membership in journals andpublication behaviour as independentvariables and library utilizationbehaviour as dependent variable

    were selected. These variables aregrouped into various categories andrating was assigned to each category.

    The library utilization behaviourwas conceptualized based on visitinghabit, consultation habit, readinghabit, borrowing habit, internet useand CD-ROM use. Accordingly,scores were assigned to eachcomponent of the library utilizationbehaviour. Based on the scoresobtained, the respondents weregrouped into categories as low,medium and high.

    From the observations, it wasinferred that the institute libraryusers as a whole were dominated bythe young age category between 23-34 years and had low to mediumprofessional experience of less than20 years. The study showed thatirrespective of gender, allrespondents depend on publicationsas one of the main sources of ideas.A distinctive variation exists betweenmen and women in the libraryreading habit and library borrowinghabit. The study showed thepreference of the readers for printmedia over electronic media. Manyreaders made remarks about lack ofspace and proper lighting, which willbe taken care by the construction ofthe new building.

    PREFACE

    Information is a vital resource and an essential inputfor research and development. Over the years therehas been an exponential growth in information. Besides,the developments in the field of information andcommunication technology have resulted in informationsources based on computers and digital media. A wellequipped information centre is an essential part of anyR&D organisation.

    The library and information services at CentralPlantation Crops Research Institute is in its thirty-thirdyear of existence. During the span of more than threedecades, the library has grown in size to earn thereputation of having the largest collection of plantationcrops literature in the country in crops like Coconut,Arecanut, Cocoa, Cashew, Oil palm, Spices etc. NATPfunding and sanctioning of Bioinformatics Centre by DBTfurther added new dimensions to the development offacilities in the library. It has just been shifted to anelegant and spacious newly constructed building withample facilities. At this juncture, we feel it appropriateto bring out a brochure highlighting the achievementsof the library and the services rendered by it.

    A sincere attempt has been made to present thelibrary in its historical perspective and trace its growthover the years in terms of the collection of literatureand infrastructure development in the backdrop oftechnological advances in this field. I hope this brochurewill serve as a useful guide for accessing informationservices provided by this centre.
