IMPORTANT MESSAGE

Accessing CQUcentral: CQUcentral is accessible from all the same places where you used to access e.rolment. For example, you can access it from the MyCQU student portal http://my.cqu.cqu.edu.au/ and, then by clicking on the CQUcentral link. User Name and Password: The MyCQU student portal and CQUcentral are designed with security in place that allows only authorised users to enter the systems. Each user must have a valid username and password to access the system, very much like the login name and password you need to log in to your ISP. Your Username/User ID is based on your Student ID and consists of 1 alpha and 7 numeric characters, e.g. s1234567. If your Student ID begins with Q or C, the last digit of your ID must be dropped. The Username can only be 8 characters long. Usernames are not case sensitive for MyCQU and CQUcentral. When you first log on you will be asked for a password. The default password assigned to you by the systems administrator is your date of birth preceded by the letter s and followed by a #, e.g. where your birth date is 30/09/80 your default password would be s300980# (N.B. lower case). You should change your password immediately, and when you change your password, the new password must be a minimum of 8 characters and must contain at least three of the following four applicable character sets:

• Latin uppercase letters (A through Z) • Latin lowercase letters (a through z) • Base 10 digits (0 through 9) • Non- alphanumeric characters such as: exclamation point (!),

dollar sign ($), number sign (#), or percent (%) NOTE: If you are a past CQUniversity student and have previously accessed e.rolment you must use your current password not the new user default password. If you do not remember your password you will need to contact the ITD Service Centre by e-mailing [email protected] or by calling 07 4930 9233 or toll free 1300 666 620. Once you have initially logged on to MyCQU using your username and password you should automatically be able to access CQUcentral without having to log on again. However, if you haven’t already logged on to MyCQU, you will be prompted to enter your username and password as follows:

Helpful Hint Australian Date Format

If your browser is Firefox, Safari, Thunderbird etc., and you have the most recent browser version, then the date format is determined by the CQUcentral setting on the server, and will be the Australian Date format. However, if your browser is Internet Explorer (IE), then the date format is determined by your PC setting, therefore if you see the incorrect date format in CQUcentral, you will need to update the Regional & Language settings on your PC as follows: Navigate to: Start > Settings > Control Panel. Then select: Regional and Language Options icon. On the Regional Options tab check that the “Standards and formats” are set to “English (Australia)” and “Location” is set to “Australia”, select “Apply” and “OK”.

WHO CAN USE CQUCENTRAL

Undergraduate and Postgraduate Students

Undergraduate and Postgraduate students are able to manage their own enrolment. Tasks such as accepting offers of admission, registering enrolment, actioning add/drop/swap of courses, viewing academic transcripts, viewing degree progress and monitoring financial information can be performed on line.

WHO CAN NOT USE CQUCENTRAL TO ENROL OR ACCEPT OFFERS OF ADMISSION

Research Higher Degree Students and Non-Award Students

Research Higher Degree and Non-Award students are not able to enrol or accept offers of admission on-line. However, students will be able to maintain personal information and view/request information on-line. You are a Non-Award student if you are a Cross-Institutional student, enrolled in a Single Non-Award program or enrolled in STEPS, TEP, LIFT, WIST, SUN or SNAP.

ADMISSIONS

In order to accept your offer of admission you will be required to provide some important personal information. This information includes statistical information required by the Commonwealth Government and other information that CQUniversity will use to provide services to students. NOTE: Students who have been made an offer of admission (including students readmitting to a program or who have applied to change their program) MUST accept this offer electronically through CQUcentral. Once you have completed this step you will be matriculated. This process will be completed within 30 minutes. You will not able to add courses (classes) for the current term until this time has elapsed from acceptance of your offer. Please note; if you wish to enrol in courses (classes) for the next term, wait 1 week, then log in again and enrol into the courses you wish to study for the remaining terms in the academic year. Please be aware that if you applied through QTAC you must respond to the offer with QTAC on the QTAC website AND respond to the CQUniversity offer via CQUcentral. If you have been made a conditional offer, you may receive messages requesting you to provide further comments/documents. This message does not prevent you from continuing with the process of accepting and enrolling. ACCEPT OR DECLINE ADMISSION If you have an application to accept, this will appear in the Admissions section, you will notice there are three stages, Incomplete, Complete and Admitted.

When you click you will be taken to the Acceptance Wizard where you can decide to Continue with the wizard, or decline the application.

Once you click the acceptance wizard will continue through each of the steps. You can save the information and leave at any stage, when you come back to the application it will pick up the last step you entered.

Follow the on screen prompts and enter key information such as:

• Prior education details. • Impairment details. • Address, telephone and email details. • Emergency contact details. • Study location details. • Commonwealth Assistance Form (refer to pages 21 to 33)

NOTE: NOOSA HUB DELIVERY SITE STUDENTS - Select Study Location of ‘Other Location’ and ‘Sunshine Coast’ as an exam centre. Three address types can be maintained: HOME, MAILING and TERM. TERM is where you will be living whilst studying at CQUniversity and HOME is your residential address when not studying at CQUniversity. For example if you normally live in India and are in Rockhampton while studying then HOME would be your address in India, TERM would be your address in Rockhampton and MAILING would be your address in Rockhampton. NOTE: MAILING is where CQUniversity will send all official correspondence. Ensure the MAILING address is an address that you have contact with during your study time. The University requires that you maintain at least a HOME and a MAILING address. Once you confirm your acceptance of an offer of admission, your enrolment record is created in the University’s student administration system, this process known as matriculation. To complete your enrolment, you must logon to CQUcentral and register your enrolment for the academic year.

ACADEMICS

The Academics section is where you will find the available links for pages to take you through Enrolment; where you can Add and Drop Classes (courses), view/change Academic Plans, view /print Exam schedules and advices. Academic History; where you can view/print Grade notices, generate an Enrolment Advice, view/print an Unofficial Transcript and Register for Graduation on completion of your program.

ENROLMENT When you add or drop a course (class), you must check that the requested action has been processed. You must either view your corrected schedule of classes or view your enrolment advice to ensure your request has been processed correctly. It is recommended that a copy of your new Enrolment Advice is printed and kept for future reference.

VIEW/CHANGE MY ACADEMIC PLAN: This is an area of specialisation or major that forms part of the requirements for your approved program. If the Program you are studying requires the selection of plan, you are able to view and update your plan by clicking on the

hyperlink. You can then the relevant program.

This will display the Academic Plan page for you to make any relevant changes.

ADD A CLASS: This is the section in which you enrol in courses (classes) for your program. Remember you should refer to the Student Handbook to confirm the courses in which you should be enrolling.

A series of customised buttons are available for selection on each of the pages to guide you through the Add Classes (courses) process.

DROP A CLASS: Once you have registered your enrolment and entered the courses for the academic year, you are able to change your course selection by adding or dropping courses.

• NOTE: Academic and/or administrative penalties may apply where changes are made outsides certain timeframes. Ensure you understand all potential consequences of all changes to course selection.

GENERATE ASSIGNMENT COVERSHEET: There are two methods you may use in order to generate an assignment coversheet from the Student Centre in the Academics section:

Method 1. Click on the “Assignment Grades” hyperlink within the “This Week’s Schedule” for the applicable course.

This will then take you to the “View My Assignments” page, and then Click on the Print Coversheet “View” hyperlink

Method 2. In your Student Centre, select the click the drop down

arrow, a number of selections will be available, select and click the go to button . The View Assignments page will display with the current term.

VIEW MY EXAM SCHEDULE: During the examination period, you are able to click on the hyperlink, which will display your examination schedule. Note: These are no longer mailed to you, should you require a hard copy there will be a printable version available in this section. EXAM ACCOMMODATIONS: If you have registered any impairment or disability information with the Equity Office, your examination accommodations will be displayed in this section.

ACADEMIC HISTORY GRADES: Once grades have been certified you will be able to view your official grade. You are able to view any previous grades by selecting the drop down arrow to select the required term

REGISTER FOR GRADUATION: On completion of your program, you are required to register for Graduation. When you click on the hyperlink, you will be taken to the Graduation Wizard. Follow the steps in the wizard.

PERSONAL INFORMATION

The Personal Information section is where you will find the available links for pages where you can update any personal information from submitting a photo, updating emergency contacts, address, telephone and e-mail details through to study location and impairment details.

STUDY LOCATION DETAILS (EXAM CENTRE): It is mandatory to select an exam centre. Internal students must select the Campus at which they are studying. A student is defined as enrolled internally if they are studying at least one course internally regardless of being enrolled externally in any other course for the term. Distance students must select an established Examination Centre that is located within 100km of their residential address. If an Examination Centre is not available within the 100km zone, a new centre can be established by completing a Nomination Form to Create an Examination Centre form available on the Student Administration Forms web page.

FINANCES

The Finances section is where you will find the available links for pages to take you through your account. You are able to complete and submit your Commonwealth Assistance Form (CAF), make an account inquiry, generate a Fee Notice, make secure on-line payments with a credit card and access your Commonwealth Assistance Notices (CAN) where applicable.

COMMONWEALTH ASSISTANCE FORM: Students can complete and submit their CAF, or check that they have submitted their CAF as follows:

The Commonwealth Assistance Forms link will only appear if you have completed your Commonwealth Assistance Form online or if you have yet to complete a Commonwealth Assistance Form. To view a previously completed form or complete a Commonwealth Assistance Form, select the link Commonwealth Assistance Forms. When clicking on the Request for Commonwealth Support and HECS_HELP the following screens follow

Select the online Commonwealth Assistance form you wish to complete. If you have completed an online form previously, a link will appear for you to select if you wish to view the form. Work through the form using the NEXT button at each section. Students should confirm all details on the form are correct at each stage. Once you read through the information that appears as per below, click Next. Complete the details under Section 7.

If a student does not provide a tax file number, the following warning is displayed. This will not stop the student proceeding further.

After selecting the desired payment option, the next button takes you to review the form and gives you the option to PRINT the form if required. If a Tax File Number has not been provided the following message “Tax File Number NOT Supplied” will be displayed at 8A. If a Tax File Number has been provided, the following message, “Tax File Number Supplied”, will appear.

ACCOUNT INQUIRY:

Students can access their Student Account to view all fees and charges due to CQUniversity. Your Student Account displays information such as current total balance, payment due date, and details of all individual account items. You can check the status of your account at any time. By clicking the tabs along the top of the page, you can access these pages. Further information can be obtained by clicking at the top of each page.

FINANCIAL NOTICES: Fee notices will no longer be issued in a hard-copy format. Students now have the ability to generate and print a Fee Notice at any time once tuition calculation for a term has been run. This usually occurs approximately 4 weeks prior to the commencement of each term. Students can also print copies of fee notices for prior terms as needed.

The fee notice generated can be simply viewed and closed, printed out as a hard copy and/or saved as a PDF file. COMMONWEALTH ASSISTANCE NOTICE (CAN): Commonwealth Assistance Notices (CANs) are generated within 28 days of each term’s census date for Commonwealth supported students and for eligible student who have applied for FEE-HELP assistance. • For Commonwealth supported students CANs include information on student contribution

amounts, Student Learning Entitlement usage and HECS-HELP assistance. • For Commonwealth assisted students CANs include information on any FEE-HELP debt

incurred. • Students will be advised of their Commonwealth Higher Education Student Support

Number (CHESSN) on their CAN. If a student nominates, they are able to view and print a copy of their Commonwealth Assistance Notice from their CQUcentral Student Centre in the Financial Notices section.

In order to have this facility available please contact Student Finance staff at [email protected]. When CANs become available an email will be posted to their student email account. For all other students, CANs will be posted out by Australia Post. Students have 14 days after the Notice is generated to notify CQUniversity in writing if they believe their CAN is incorrect.

ACADEMIC TRANSCRIPT An Official Academic Transcript is a complete certified record of study undertaken at CQUniversity, across all careers, programs and courses. Official Academic Transcripts may be ordered by contacting the Student Administration Reception on 07 4930 9300 or via email to [email protected]. The cost is $16.50 and payment must be made with the request. Credit card authority will be accepted. Students may print an Unofficial Transcript via CQUcentral. If you are unable to download your Unofficial Transcript from CQUcentral, contact the Student Contact Centre on 13 CQUni (13 2786) (during working hours) or email [email protected]. An application for Request for Academic Transcript is available on the Student Forms page at the following URL: http://studentforms.cqu.edu.au/FCWViewer/view.do?site=428. CAMPUS TRANSFER For various reasons each term, it becomes necessary for some students to apply for a campus transfer to another CQUniversity campus or delivery site. This may be due to the fact that only the first year of the program is offered at the campus or the student is relocating and wishes to continue their current program of study with CQUniversity in the new location. CQUniversity provides as much support as necessary to enable students to successfully complete their studies, which includes the facility to transfer campus. Campus transfers may be dependent upon academic performance, location and course availability. Please refer to the policy at http://policy.cqu.edu.au/ – then select C for Campus Transfer for further information. Timelines for submission of applications apply as below:

• Applications for transfer to internal mode will be accepted up until close of business on the last day to add courses for the term. All administrative procedures must be completed at the new campus by this deadline.

• Applications from students wishing to transfer to studying at flexible campus (distance) or at an offshore delivery site will be accepted up until close of business on the Friday prior to the commencement of term. This will ensure minimum delays in the despatch of study materials.

• Fee Paying International students must submit the request to transfer campus prior to completing the term’s enrolment at their existing campus. PLEASE NOTE: Tuition fees may increase if you change campus.

CANCELLATION OF PROGRAM

To cancel enrolment in a program, for which future reactivation is not required, all currently enrolled classes MUST be dropped via CQUcentral. The relevant campus Administration is to be formally advised of the cancellation of program.

International students must return the form to the campus at which they are currently enrolled if they wish to cancel their program.

CHANGE OF PROGRAM Students can change their program within the same Faculty by completing a Change of Program Application form. This applies to both undergraduate and postgraduate students. Students must have successfully completed at least one course in their current program, and be eligible for admission into the new program. Any Commonwealth Supported or FEE-HELP student successfully changing programs must complete another Request for Commonwealth Support and HECS-HELP or Request for FEE-HELP Assistance form for their new program. Full fee paying students should note that tuition fees may increase if they change program.

International students studying on a student visa will be issued with a new Confirmation of Enrolment (CoE) and Offer of Admission for the new program.

COMMONWEALTH HIGHER EDUCATION STUDENT SUPPORT NUMBER (CHESSN) A CHESSN is a unique identifier, which Universities use to communicate with the Commonwealth Government and to manage:

• Student Learning Entitlement (SLE) • Higher Education Loan Program (HELP) • Commonwealth Learning Scholarships

Informed consent by the applicant/student must be provided. This authorises a student’s personal data being provided to the Commonwealth Government.

Students will be advised of their CHESSN on their Commonwealth Assistance Notice. This notice is generated after Census Date each term and will be available for students to download from CQUcentral. This number will be used to access information on the Going to Uni Website at the following URL: www.goingtouni.gov.au.

COMMONWEALTH SUPPORT AND HECS-HELP You are eligible to be Commonwealth supported if you are:

• an Australian citizen; or • a New Zealand citizen who will be resident in Australia for the duration of your unit

(course); or • the holder of a permanent visa who will be resident in Australia for the duration of your

unit (course). Commonwealth supported places are usually available only for undergraduate programs, including Honours, plus a small number of postgraduate programs. Your Letter of Offer will advise if you have been offered a Commonwealth supported place. Most Commonwealth supported students are required to contribute to the cost of their higher education through a Student Contribution. The Commonwealth government contributes additional funds, direct to the University, for each Commonwealth supported student in a Commonwealth supported place. Students in enabling programs, e.g. STEPS, TEP and WIST, are Commonwealth supported but are exempt from having to pay a Student Contribution. If you have been offered a Commonwealth supported place, you MUST submit to CQUNIVERSITY the Request for Commonwealth support and HECS-HELP form. The Request for Commonwealth support and HECS-HELP form is available on-line and is to be completed as part of the process of accepting your offer and enrolling in courses. While some students may not be able to accept their offers or enrol in courses on-line (e.g. enabling and cross institutional students) they will still be able to complete the form on-line through CQUcentral. (Please refer to the Commonwealth Assistance section of this Guide.) Students can request a paper version of the Request for Commonwealth support and HECS-HELP form from Student Finance and should return the completed form immediately to Student Administration, Building 2, CQUniversity, Rockhampton QLD 4702. FAILURE TO SUBMIT A VALID FORM BY THE CENSUS DATE of the term in which it is to take effect MEANS YOUR ENROLMENT IN THAT TERM WILL BE CANCELLED. Even if you intend to pay your Student Contribution upfront to the University by the census date, you MUST submit a valid form by the census date. You should read the Information for Commonwealth supported students booklet before completing the form. The booklet is updated each year and is available at http://www.goingtouni.gov.au/. Your Student Contribution is calculated each term on the basis of your enrolment. Fee information is available to all students on CQUcentral approximately 4 weeks prior to the commencement of each term. Students are able to generate Fee Notices from CQUcentral at any time once a fee has been generated. Paper copies are only forwarded to students by CQUniversity on written request. Student Contributions are either paid up-front to the University or are deferred as a HECS-HELP debt and repaid through the tax system. The options available

If you are eligible, HECS-HELP entitles you to a discount for upfront payments over $500 or to defer payment of all or part of your Student Contribution. When studying with CQUniversity some of your courses may incorporate an online course component. These are called e-courses. The address (URL) of these courses will depend greatly on the faculty with which you are studying. The majority of faculties at CQUniversity use an online system, which is available both internally and externally at the following web address: http://e-courses.cqu.edu.au Once you have logged into the system, a list of courses you are enrolled in will appear. There may be cases where the course is only available once the academic term has begun. Please check with your lecturer as to whether your course has an online component. ENROLMENT ADVICE An Enrolment Advice provides confirmation of class enrolment and workload for the term and/or year. Please present the Enrolment Advice at Orientation as proof of enrolment with CQUniversity. Centrelink has approved Enrolment Advices that have been downloaded from CQUcentral for the purpose of determining Youth Allowance, Austudy Payment or Abstudy entitlements. If an Enrolment Advice is unable to be downloaded, please contact the Student Contact Centre on 13 CQUni (13 2786) or email [email protected]. CQUniversity does not forward Enrolment Advices or written notification of class enrolment and/or workload. Australian International Campus (AIC) students must report to the Student Administration Office at the relevant Australian International campus for facilitated enrolment. EXAMINATION CENTRE Students MUST select their Examination Centre when they enrol on-line via CQUcentral.

If unable to access CQUcentral, students MUST contact the Student Contact Centre on 13 CQUni (13 2786) or email [email protected] and a staff member will complete selection of the correct examination centre. Internal students MUST select the Campus they are studying at as their Examination Centre. NOTE: A student is defined as enrolled internally if they are studying at least ONE course internally, regardless of being enrolled externally in any other course for that term. External students MUST select an established Examination Centre that is located within a 100 km radius of their residential address. If an Examination Centre is not available within the 100 km zone, a new centre can be established by completing a Nomination Form to Create an Examination Centre available on the Student Forms page at the following URL: http://studentforms.cqu.edu.au/FCWViewer/view.do?site=428. If a student is temporarily located in an area that does not have an Examination Centre, then arrangements can be made for a temporary Examination Centre for a particular examination period. NOTE: After completion of the exam, the student will have to ensure they select an appropriate permanent Examination Centre via CQUcentral before the next examination period. THE TEMPORARY EXAMINATION CENTRE WILL NOT BE AVAILABLE FOR THE NEXT EXAMINATION PERIOD. Examination Centres MUST be finalised via CQUcentral 8 weeks before the commencement of each examination period. In the 8 weeks, leading up to the examination period changes will ONLY be processed for exceptional circumstances e.g. moving to a new location because of a work transfer. Students must contact the Examinations Section and provide documentary evidence to allow alternate arrangements to be made. No changes will be made to allocated Examination Centres 14 days prior to the examination period. Internal students – Requests for change of Examination Centre to another campus or external venue will only be approved for exceptional circumstances, e.g. medical or compassionate. An upfront fee of $30 per course must be paid prior to processing any change of Examination Centre.

FEES AND CHARGES Fees are calculated approximately 4 weeks prior to the commencement of each term and include Student Contributions, FEE-HELP and Tuition Fees. Fees are calculated on the basis of your enrolment, so any enrolment change – add or drop – could adjust the fees due for the term. Fees will recalculate when you access your student account on CQUcentral after an enrolment change. PLEASE NOTE that some adjustments to your account cannot be automated and will need to be processed manually. If you believe your account is incorrect or if you have any enquiries about the fees calculated for your enrolment, please contact Student Finance. Even if you have paid fees in a term, please recheck your student account prior to the census date in case an adjustment has been made after the payment was made. Fee Notices for Student Contributions, FEE-HELP and Tuition Fees will be available for enrolled students to view or print on-line once fees are calculated for a term. Information on payment methods is also available on-line. NOTE: Student Contributions, FEE-HELP and Tuition Fees are not a taxable supply so a tax invoice is not available for these fees. Charges accrue on an ad hoc basis and include student loans, late charges and library reinstatement charges. Invoices are mailed weekly for all charges that have a GST component and have a due date of 14 days after the issue of the invoice. Payment methods are detailed on page 2 of the invoice. Other charges, such as Student Loans, do not have a GST component and will therefore be available for students to generate their own Fee Notices. For these charges, the due date is the date specified in the loan agreement. Students are encouraged to regularly check their Student Account via CQUcentral even if they believe they have already paid in full

FEE-HELP (HIGHER EDUCATION LOAN PROGRAM)

IMPORTANT: Please read the Fee-Help information booklet, available at http://www.goingtouni.gov.au/ for full information on FEE-HELP

FEE-HELP is a loan scheme that assists eligible undergraduate, postgraduate and research students to pay their tuition fees. FEE-HELP can cover all or part of a student’s tuition fees, up to a lifetime limit set by the Commonwealth and indexed each year. In 2009 that limit is $104,142 for medicine, dentistry and veterinary science students and $83,313 for all other students. A 20% loan fee applies to FEE-HELP loans for undergraduate study. The FEE-HELP limit does not include the loan fee. You are entitled to FEE-HELP assistance for a unit of study (course) if you: • are undertaking study at an eligible higher education provider; • meet the citizenship or residency requirements; • are enrolled in an eligible course on the census date; • are not Commonwealth supported in relation to that course; • meet the Tax File Number (TFN) requirements; • have completed, signed and submitted, on or before the census date, a valid Request for

FEE-HELP assistance form for the program of study of which the course forms a part; and • have not exceeded the FEE-HELP limit.

To be entitled to FEE-HELP, you must be:

• an Australian Citizen; OR • the holder of a permanent humanitarian visa who will be resident in Australia for the

duration of the course ; OR • the holder of a permanent visa who is undertaking a bridging program for overseas-trained

professionals and resident in Australia for the duration of the course. Students are able to submit a FEE-HELP Form electronically on CQUcentral. (Please refer to the Commonwealth Assistance Forms section of this Guide) If students submit a FEE HELP Form by mail it must be received by the Census Date for the term and students are strongly advised to phone Student Finance on 07 4930 9395 to confirm it has been received. Failure to submit a valid Request for FEE-HELP assistance form by the CENSUS DATE of the term in which it is to take effect means that you are not eligible for FEE-HELP in that term and will owe the full tuition fee for your enrolment to CQUniversity. You should read the FEE-HELP information booklet available at http://www.goingtouni.gov.au/before completing the form. GRADUATION ON-LINE GRADUATION REGISTRATION Will you be completing your program this term? Access to the on-line Graduation Registration Form will be available when students are certified by Faculties as being eligible to graduate. In most cases, this will be within 11 working days after the official Certification of Results date for each Term (as published in the Calendar of Principal Dates). Various factors may influence this process. For more information, please refer to the FAQs on the Graduation web page. All graduates are required to register their graduation intentions on-line via CQUcentral. Graduates must complete the on-line Graduation Registration Form even if they do not wish to attend a ceremony, in order to obtain testamurs (certificates). ID CARD

The Student Identification (ID) Card provides: • Borrowing rights from the University Library. • Access to and use of 24 hour computing laboratories and other restricted areas. • Entry to examination venues.

New students are required to include a passport size photograph (35mm x 47mm approx) in the envelope provided in their offer pack and return it to Student Administration. ID Photos may be submitted electronically via CQUcentral or by emailing [email protected] using your student email account. ID Cards can only be generated after students have successfully enrolled for the term. All student ID Cards will be mailed to the current mailing address stored against their student record. All student ID cards will reflect a student’s workload at time of issue for that term e.g. full-time, part-time. If students initiate changes to their enrolment and a replacement ID Card is required to show this revised workload, students are responsible for the $10.00 cost of a replacement card.

Continuing students should have received an ID Card at the commencement of their studies. If this card has expired, please contact Student Administration either by writing, phoning (07) 4930 9725 or emailing [email protected]. The Student Number, printed on the ID Card, must be quoted in all matters concerning enrolment. Lost student ID Cards should be reported to Student Administration. Replacement ID Cards are available at a cost of $10.00. Please note that Identification Cards are issued for University purposes only. Further information regarding ID Cards is available in the Student Identification Card Policy at the following URL: http://policy.cqu.edu.au/, select S and then select Student Identification Card Policy from the list. LAPSE OF ENROLMENT A student is classed as having lapsed enrolment if they have withdrawn from all studies in any particular term. Contact the Student Contact Centre on 13 CQUni (13 2786) or email [email protected] to re-activate enrolment. The student is then responsible for going on-line and adding their courses for the coming terms. Students cannot have their enrolment re-activated after the last day to add courses in a particular term. All enrolment transactions are subject to the conditions imposed by the University’s Academic Calendar Key dates for 2009 available at the following URL: http://handbook.cqu.edu.au/ and Refund Policy available at the following URL: http://policy.cqu.edu.au/ - then select R for Refund Policy. International students on a Student Visa are required to enrol in every standard term and ensure that they will complete within the expected duration of study as outlined on their Confirmation of Enrolment. International students must enrol in a full-time load in their first term of study with no less than 24 units of credit. With the exception of the first term of study, International students who elect to undertake less than a standard full time academic load of 24 units of credit, in any compulsory terms must enrol in the non compulsory term three, to ensure a load of 48 units for each academic year. The minimum enrolment load for any international student, in any compulsory term, is 18 units of credit for undergraduate study and 16 units of credit for postgraduate study. NEGATIVE SERVICE INDICATOR A Negative Service Indicator (NSI) is an identification flag or sanction placed against a student record usually as a result of outstanding University fees and charges. Other Negative Service Indicators include Probation, Academic Misconduct, Exclusion and Dismissal Flags. Impacts are associated with each NSI applied to student records. Some impacts may prevent you from making enrolment changes, viewing your grades, obtaining an Official Transcript or receiving an award from the University. OS-HELP OS-HELP provides financial assistance to eligible students undertaking some of their study overseas. OS-HELP assistance may be used to cover expenses associated with your overseas study, such as airfares, accommodation, and other travel or settling expenses. The maximum OS-HELP loan amount in 2009 is $5,410. A 20% loan fee applies to all OS-HELP assistance. Students cannot receive an OS-HELP loan for the first year or final term (equivalent full-time) of their program of study. The main criteria for OS-HELP are that the student must be: • an Australian citizen or the holder of a permanent humanitarian visa; • a Commonwealth supported student enrolled in an undergraduate program of study at an

Australian public higher education provider; and • selected by their Australian higher education provider to receive an OS-HELP loan. STUDENT ASSESSMENT TRACKING FOR DISTANCE (FLEX) STUDENTS Distance education (FLEX) students are able to view Assessment tracking information via

CQUcentral . STUDENT E-MAIL ACCOUNTS With the increase in online delivery of courses across multiple campuses around the world, e-mail is considered an official means of communication at CQUniversity. Initially there were problems encountered with e-mails where up to 30% of e-mails to students were undeliverable due to incorrect or disabled e-mail addresses that highlighted the need for a reliable communication channel with students. In response to this, all students are now being provided with an official university e-mail address/mailbox. CQUniversity will send all student e-mail communications to their official university e-mail address only. Students are required to check their CQUniversity e-mail on a frequent and consistent basis (at least once per week). This is documented in the Student Email Policy, which was approved by the Vice Chancellor to provide guidance on the allocation, responsibilities, expectations and use of student e-mail. This policy can be obtained from the following URL: http://policy.cqu.edu.au. Access CQUniversity student e-mail addresses will be in the form of [email protected] and can be accessed via the Student Portal (MyCQU) interface at URL: http://mycqu.cqu.edu.au/portal/dt that provides an e-mail system, which is very similar in functionality to Microsoft Outlook. To assist in managing e-mail communications, the size of the student mailbox will be 100Mb. All e-mail addresses that were already entered into CQUcentral have been kept for use as alternative means of communication. Students can continue to record alternative e-mail addresses with CQUcentral in the same way they can record multiple contact phone numbers. What is electronic mail? Electronic mail (e-mail) is the computerised equivalent of the paper-based mail that you would send and/or receive via the post. It allows you to send text and images to anyone on the internet with an e-mail address.

Do you receive unwanted junk mail? Forward any unwanted or abusive e-mails to [email protected]. Make sure that you include the internet headers. To display these you must right click on the e-mail and select options. From there you must copy the headers and paste them into the forwarded e-mail. Where do I go from here? You must be an active student in order to obtain a valid email address. STUDENT LEARNING ENTITLEMENT Student Learning Entitlement (SLE) gives a student access to a Commonwealth Supported Place. There are three types of SLE: Ordinary, Additional and Lifelong. All eligible students as at 1 January 2005 will receive an amount of ordinary SLE equivalent to 7 years of equivalent full-time study (EFTSL) in a Commonwealth Supported Place. There are no time limits in which a student must use their SLE. To be eligible for SLE, a student is required to be an Australian citizen, New Zealand citizen or the holder of a permanent visa. Students may be entitled to additional SLE, if their program has been restructured and the student is required to undertake additional courses in order to complete their program. Additional SLE may also be granted if the program load is greater than 6 EFTSL, is an honours program, or a graduate entry bachelor degree. To encourage lifelong learning, students will also receive a Lifelong SLE. This provides extra SLE to enable retraining or updates to qualifications. If you are aged 20 years or greater on 1 January 2005, you will receive 1 EFTSL of Lifelong SLE on 1 January 2015. If you are less than 20 years of age on 1 January 2005, you will receive 1 EFTSL of Lifelong SLE on 1 January in the year you turn 30. On subsequent 1 Januarys, an additional .125 EFTSL will be granted. STUDENT PORTAL The student portal (MyCQU) offers CQUniversity students a one-page personalised view of their courses, past exams, emails, calendar and alerts. For those students taking on campus courses, all class times have been pre-loaded into their individual calendar. The course window has direct links to the proper course in the relevant course management system without the student having to know where to login. The interface puts all the power of Course Resources Online just a click away. The system also selects relevant textbooks directly from the bookshop. Instead of seven email systems, all students are on a single email system.

The Student Portal also has a single sign-on architecture so that when a student logs into any one of the managed systems (portal, email, calendar, course profile, past exams, blackboard, webfuse) they have access to all of them without logging on again. MyCQU may be accessed any time from anywhere in the world via a web browser so important information is always accessible. To get started, follow these quick three steps: 1. Open your web browser and in the address line type in the MyCQU URL: http://mycqu.cqu.edu.au/portal/dt. You can access it another way as well. From the CQUniversity homepage select Information for ‘Student’ then select ‘MyCQU’. 2. Enter your user ID and password. This has the same details as your CQUcentral. 3. Click on ‘Login’. Be sure to click the ‘Instructions’ link which will provide you with a quick glance at all MyCQU has available. If you have any problems with using the features or even logging in to MyCQU, a help resource has been established. You will find this on the login page under ‘Help’. STUDY MATERIALS FOR DISTANCE (FLEX) STUDENTS The mailing period for sending study material packages to students commences approximately 4-6 weeks prior to the start of term. Australia Post delivers packages in Australia except where students are geographically remote, in which case packages are delivered by courier. Please Note: For overseas delivery of study material, do NOT enter a PO Box mailing address. From time to time, the dispatch of study materials precedes the processing of enrolment changes, resulting in the receipt of unwanted materials. This material should be returned to DTLS, CQUniversity. Delays There are several reasons why your material might not be delivered to you by the start of the term. These include: • Incorrect or incomplete address details • Late changes of enrolment details (in particular the addition of courses) • Loss in transit It is essential that any change of address be updated on CQUcentral as soon as possible. Students can monitor the despatch of course materials from the MyCQU Student Portal under the Distance Students tab or contact the Division of Teaching and Learning Services (DTLS) directly on 1300 799 869 or [email protected]. Students and staff, when reviewing the draft timetable for the forthcoming examination period, will have one week (5 working days) in which to provide comment to the Manager, Timetabling prior to publication of the final timetable. TRANSFER CREDIT APPLICATION Recognition in the form of credit may be given for study, demonstrable expertise and/or relevant experience to the extent that it is consistent with the academic requirements of a program. New students will have received a form in their offer pack. Be sure to attach all documentary evidence to support the claim (i.e. certified copies of academic transcripts, course synopses, employment experience, etc.) A Curriculum Vitae is not sufficient proof of employment experience. Claims for Transfer Credit cannot be considered without the necessary supporting documentation.
