Linking Report Tables

� If your report contains data from two or more database tables, you will need to link the tables when creating your reports.

� Linking requires that you use a field that is common to both tables.

� You define the linking setup in the Links tab of the Database Expert.

� Auto Link in the Database Expert Links tab automatically chooses links for your tables based on common fields in tables or indexed fields.

Table Join Types

� Inner Join - An inner join requires each record in the two joined tables to have a matching record. An inner join essentially combines the records from two tables (A and B) based on one or more fields.

� Left Outer Join - The result of a left outer join (or simply left join) for tables A and B always contains all records of the "left" table (A), even if the join-condition does not find any matching record in the "right" table (B).

� Right Outer Join -A right outer join (or right join) closely resembles a left outer join, except with the tables reversed. Every record from the "right" table (B) will appear in the joined table at least once. If no matching row from the "left" table (A) exists, NULL will appear in columns from A for those records that have no match in A.

� Full Outer Join - A full outer join combines the results of both left and right outer joins. The joined table will contain all records from both tables, and fill in NULLs for missing matches on either side.

Changing a Data Source

� Use this dialog box to change the location of the data source currently used in your report.

� Current Data Source

� This list displays the database and tables currently used in the report. The main report is shown as the root node.

� Each section is indicated by a section boundary. These lines indicate the separation of the areas and do not print to paper. You can move these bars to change the amount of space reserved for each section. You click and drag the section divider to the desired position.

� The names of the five areas can also be shortened to their abbreviated forms (RH, PH, D, RF, and PF). You set the Short Section Name option in the Design View area of the Layout tab in the Options dialog box from the File menu.

Design Tab

� The Design tab is where you do most of the initial work when creating a report. It designates and labels the various sections of the report. You can do the initial formatting, place objects in the sections where you want them to appear, specify sorting, grouping, and totaling needs, and so forth.

� The report created in the Design tab is a kind of virtual report; it has the structure and instructions for creating the final report, but it is not the report itself.

� While working in the Design tab you manipulate “representatives” or placeholders of objects, not the objects themselves.

� The Design window offers faster previewing of information and layout because you are not working with the actual data itself.

� You can add and delete fields and other objects, move them around, set up complex formulas, and more, without tying up the computer or network resources needed to gather the data.

Positioning Objects Using Guidelines

� If you want to line objects up with one another, you can insert a guideline and attach the objects to it.

� Then, in one step, you can move the guideline to reposition all the objects attached to the guideline.

� When the Insert Detail Field Titles option is turned on Crystal automatically places a vertical marker in the ruler for each field you place in the Details area.

� These markers or “handles” let you move the fields and their column headings horizontally on your report at the same time by moving the guideline arrowhead.

� When you click a field to move or resize the object, “tracker guidelines” appear, aligning the object against the horizontal and vertical rulers to let you clearly see the placement.

Preview Tab

� When you preview a report, the program gathers the data, makes the necessary calculations, and displays the report in the Preview tab.

� With the data in place, you can review the spacing and formatting of your report and see the actual results of all your summaries, formulacalculations, and record and group selections.

� The first time the Preview tab is used, it retrieves data from your underlying data source(s) and saves it with the report (unless you have set up the program not to save data).

� From that point on, the program uses the saved data whenever youpreview the report unless you specifically refresh (F5) it or add a field that requires the program to retrieve new data.

Crystal Reports Toolbars� Working with toolbars

� The Report Designer window includes several toolbars.

� To move a toolbar, click and hold in an unused part of the toolbar, between groups of buttons, or on the unused area at the beginning or end of the toolbar. Drag the entire toolbar to the desired location.

� The toolbars are “floating”toolbars. You can position them on any of the four sides of the screen, or float them on your design area.

Field Explorer Tool

� The Field Explorer displays a tree view of database fields, special fields formula fields, SQL expression fields, parameter fields, group name fields, and running total fields that you have defined for use in your report

� Use the Field Explorer to insert, modify, or delete these objects on the Design and Preview tabs. You’ll see the Field Explorer after you have:

� Clicked the Field Explorer button on the Standard toolbar.

� Selected the Field Explorer from the View menu.

Field Explorer – Browse Data

� You can take a look at a sample of the actual data in the table before you place the field on your report in the Browse Field Data dialog box.

� To browse field data

� 1. Select the field.

� 2. From the Field Explorer, click Browse.

� 3. Scroll through the list.

� 4. Click Close when finished.

� Default settings are the first 500 records or it times out at five seconds, depending on what has been set up in the registry setting.

Report Explorer Tool

� The Report Explorer displays a tree view of the sections in your report and lists the report objects contained in each section and works like a “report navigator.” You can work with report objects directly from the explorer.

� The content of the Report Explorer represents the content of the report in a tree view. The root node is the report itself, while the first-level nodes represent the report's sections.

� The Report Explorer appears when you select the Report Explorer command from the View menu, or when you click the Report Explorer button on the Standard toolbar.

� Within each section, the report's fields and objects are listed. Any item you select in the tree view will be selected in the report (in either Design or Preview modes).

� Crystal Reports are saved with the .rptextension

� The saving function is the same in Crystal Reports as in many other applications.

� The Open, Save, and Save As dialog boxes enable you to open or save a report conveniently to personalized folders that are created by your operating system.

Saving Report Summary Information

� Click File > Summary Info to display the Document Properties dialog box and the Summary tab

� The Title field is used to identify the report in the Designer and with Templates

� Summary information contains such things as the report author, report title, and comments.

� The comments do not print with the report; they remain in the Summary tab of the Document Properties dialog box where they can be reviewed on demand.

� Rarely will you want a listing of every record in your database.

� Most often you are interested in only a select set of records, as in sales for a particular BP or inventory for a group of products.

� The Select Expert allows you to filter your report by:

� Your record selection criterion does not have to be based on a field in your report. You can choose any field from the database as a basis for record selection.

Multiple Groups

� You are not limited to one level of grouping within Crystal Reports. You can have groups within groups.

� To create nested groups, follow the same steps that you did when you created the first group on your report.

� You can create groups in any particular order. Groups can be reordered at any time, unlike the sort order of records.

Summaries and Subtotals

� One of the primary purposes for breaking data into groups is to run calculations on each group of records instead of all records in the report.

� When the program summarizes data, it sorts the data, breaks it into groups, and then summarizes the values in each group automatically.

� You can insert summary information in either the Design or Preview tabs.

Section Expert

� Insert Use this button to insert a new report section immediately below and of the same type as the section you have selected in the Sections list.

� Delete Use this button to delete the section you have selected in the Sections list. You can only delete sections that have been added to the originating sections; you cannot delete any of the originating sections.

� Merge Use this button to merge the current section with the companion section that appears immediately below it.

� Use the Section Expert to make formatting changes that affect entire

sections of your report

Section Expert - Common tab

� Hide (Drill Down Ok) – use this option to create a summary report when applied on the Details area in a grouped report

� Suppress (No Drill Down) – will create a summary report, without the ability to drill down to the details

� Print at bottom of page – use this option if you want to unify your report. For example invoice total always to print in the same place.

� Keep Together – always print one record on the same page. For example, row with large amount of text.

� Suppress Blank Section – if all the fields are blank in the section it is not printed

� Underlay Following Section – fields from the first section can flow to the next. While the section below prints on top. Used for watermark, logos or charts

� Relative Positions – keeps the section in the same horizontal position

Section Expert - Paging Tab

� New Page Before/After –choose to start a new page before or after the end of a section. This is often used on the Group Header or Footer area

� Re-set Page Number After- choose to restart the page numbers after the section ends. This is often used on the Group Footer area. This way each group will start from page #1

Formatting Fields - Common� Read-only Use this option to make the selected report

object read-only so it can't be formatted.� Lock Position and Size Use this option to lock the

position of the selected report object so it can't be moved.

� Suppress Select this check box if you want to suppress the selected field. The field values won't appear on the Preview tab, nor will they print.

� Suppress if Duplicated Select this check box if you don't want the program to show field values that are duplicated when it displays or prints the report.

� Suppress Embedded Field Blank Lines Select this check box if you want the program to avoid printing blank fields—that is, fields for which the database returns no information.

� Can Grow This check box is useful for objects that contain variable length strings, such as memo fields.

� Max number of lines If you have selected the Can Grow check box, you can use this box to specify the maximum number of lines by which the program can expand an object frame.

� Text Rotation This list contains the rotation options available for the selected field. Use the Text Rotation options to vertically align the fields and text-based objects on your report.

� Horizontal Alignment This list contains the horizontal alignment types available for the field (for example, left, center, and right).

� Repeat on Horizontal Page Use this option to repeat a report object that does not expand horizontally, such as text objects, field objects, OLE objects, charts, maps, lines, boxes, and so on, on each additional horizontal page that a cross-tab or OLAP grid might create.

� Keep Object Together Select this check box to keep an object on a single page. If there is enough room, the program prints the object on the current page. If there is not enough room, the program prints the object on the next page.

� Close Border on Page Break If an object has a border and the object is split over two pages, you have two options: put a border around each part of the split object, or display each part of the object with a partial border. Select this check box to display a full border.

� Left This list contains the different line styles available. Your choices include single, double, dashed, and dotted line borders. Select the desired style and the program will insert the specified border on the left side of the field.

� Right This list contains the different line styles available. Your choices include single, double, dashed, and dotted line borders.Select the desired style and the program will insert the specified border on the right side of the field.

� Top This list contains the different line styles available. Your choices include single, double, dashed, and dotted line borders. Select the desired style and the program will insert the specified border on the top of the field.

� Bottom This list contains the different line styles available. Your choices include single, double, dashed, and dotted line borders.Select the desired style and the program will put the specified border on the bottom of the field.

� Tight Horizontal Select this check box to trim the border to thesize of the field.

� Drop Shadow Select this check box if you want to print a drop shadow below and to the right of the field.

� Border This list contains the colors available for use as borders.� Background Select this check box if you want to change the

background color. When you select this check box, a list appears to the right, allowing you to select a new background color.

Formatting Fields - Font

� Font This list contains all the fonts that you have installed for your system. The list appears with the font that is currently in use selected.

� Style This list contains additional attributes that you can assign to the selected font. The list appears with the style that is currently in use selected.

� Size This list includes common point sizes for the selected font. The list appears with the point size that is currently in use selected.

� Color This palette shows all the available colors for your box. Select the desired color from the palette or click More to see the Color dialog box.

� StrikeoutWhen you select this check box, the program prints the strikeout character across the font.

� UnderlineWhen you select this check box, the program underlines characters typed in the selected font.

Formatting Fields - Number� Style From this predefined list, choose a

number/currency style to apply to the field selected on your report. When you choose System Default Currency Format, the program uses the number and currency formats from the Regional Settings Properties dialog box in the Windows Control Panel.

� Display currency symbol Select the Display currency symbol check box if you want to display currency symbols in your currency fields.

� Fixed Click this option if you want the program to place the currency symbol in the first (far left) position in the field. The program will leave extra space between the symbol and the currency if the field is justified to the right.

� Floating Click this option if you want the program to place the currency symbol as close to the currency amount as possible so that there are never any extra spaces between the symbol and the amount.

� Customize Use this button to see more detailed formatting options on the Custom Style dialog box.

� Prefix Use this field to insert text in front of values displayed by a Horizontal Page Number field.

� Suffix Use this field to append text to values displayed by a Horizontal Page Number field.

� Suppress if No Horizontal Pages Select this check box to suppress a Horizontal Page Number field when the report is only one page wide.

Formatting Fields - Date

� Date Type The Regional Settings dialog box in the Windows Control Panel allows you to specify default date formats for use with any Windows program. You can specify the month/day/year separator and the order in which the date elements appear. These dialog boxes also allow you to specify a short date style (like 12/24/96 or 16 Mar, 1996) and a long date style (like Sunday, April 21, 1996).

Formatting - Using Templates� A template is an existing report file whose formatting can be added to a new or existing report.

� You can use the templates found in the Template Expert to give any number of reports a consistent look without having to format each report individually.

� Use the Template Expert command to apply one of your own templates or those included with Crystal reports.
