Introduction to Data Loader

This document contains information related to the EPSi Data Loader module.

This module has been designed to give you the freedom to load data from virtually any third party system into the

EPSi SQL database using ASCII text files in either fixed width or delimited format. Data loads for your organization

can be performed manually or can be scheduled to occur automatically on a daily, weekly or monthly basis.

Complete error reporting and audit histories are performed automatically with each data load.

If you are viewing this file electronically, you will be able to click on the various hyperlinks to easily

navigate through the document. If you have further questions, you may find the answers in the help section,

which is located on the toolbar of Enterprise Analyst.

Launching Data Loader Upon executing the Data Loader application, the Login screen will appear. The ‘Server Name’ field as well as the ‘Database Name’ field should already be populated with information specific to your installation. You should only need to provide your username and password in the appropriate fields.

Note: Before a user can access the Data Loader application, the user must have an account created in the EPSi Security Application and Data Loader must be installed on the user’s PC.

Profiles

Profiles are used in the Data Loader application to define the specifications associated with the data you wish to load into the system. Profiles are defined on a system module basis; separate profiles are created for data loads associated with each module (i.e., Payroll data, GL data, and Costing data). Once profiles are created and defined, they can be saved to expedite the process of future data loads.

Creating a New Profile

1. From the Data Loader main menu, click on the ‘New Profile’ button located in the ‘Profile Information’ area of the

window. The ‘New Profile’ window will appear (pictured below).

2. Enter a name for the new profile in the ‘Profile Name’ field. Typically, you will include the system module that

you will be loading data into within the name of the new profile (i.e., ‘Payroll’).

3. Enter a description for the profile in the ‘Description’ field. 4. Click on the ‘OK’ button. The ‘Statistic Transfer’ window will now appear.

5. An Activity/Statistic transfer can be set up to automatically run after each load (discussed under each individual module). Once the set up has been completed, select the ‘Edit Loads’ button and the ‘Add New Load Profile’ window will appear.

6. Select the tables you wish to make available to load data into for this profile and move them to the right side of

the dialog box by double clicking on the desired table or by highlighting the table and clicking the button. You can select multiple tables by holding down the <CTRL> key on your keyboard while using your mouse to select the tables you wish to load data into. If you have selected a table by mistake, simply highlight that table in

the right hand side of the dialog box and then click the button. It is possible to add a table multiple times. For example, if you wanted to load the GL file in a different format for Actual vs. Budget at the same time in a single profile, you can add the General Ledger File table twice, using one to define a specification for Actual and the other for Budget. When you are satisfied with your selections, click the ‘OK’ button.

7. You will be taken back to the Data Loader main menu where you will see the new profile you created is now available in the ‘Profile Name’ dropdown box. Listed in the ‘Load Name’ column, you will see all of the tables you selected to make available for data loading from the previous step. At this point, you will be able to define the load parameters for each of the data files you wish to load. Please refer to ‘Defining Load Parameters’ later in this document for additional instructions.

8. Select the options you wish to use for Audit Logging. The ‘Log New Entries’ option will log new cost centers, sub accounts, and job classes loaded into the system.

9. The ‘Log Updates’ option will log any changes to existing records that have occurred as a result of updated

information contained in the data file being loaded. By default, these options will be turned on.

Editing an Existing Profile

1. From the Data Loader main menu, select the name of the profile you wish to edit from the ‘Profile Name’

dropdown box and click on the ‘Edit Profile’ button. 2. The ‘New Profile’ dialog box will appear, allowing you to edit all fields with the exception of the ‘Profile Name.’

3. Clicking the ‘Edit Loads’ button will allow you to add or remove tables to the profile you are editing. Refer to

step 6 in ‘Creating a New Profile’ earlier in this document. 4. When you are satisfied with the changes that you have made to the profile, click the ‘OK’ button to proceed.

Deleting a Profile

1. From the Data Loader main menu, select the profile you wish to delete from the ‘Profile Name’ dropdown box. 2. Click on the ‘Delete Profile’ button. The ‘Delete Profile’ window will appear.

3. Verify this is the profile you wish to delete. If you have selected the wrong profile, click the ‘Cancel’ button.

Upon clicking ‘Delete,’ you will not be prompted with a warning that you are about to delete the profile. Click the ‘Delete’ button to complete the process of deleting the profile.

Conversion Tables A new piece of functionality within EPSi is the addition of Conversion Tables. These tables can be set up to convert a field in a source file into a field format that is compatible with the EPSi file specifications. Conversion tables can be used for data loading into Payroll, General Ledger, Cost, Productivity, and Capital. To set up or modify an existing conversion table, select the “Conversion” button.

To add a new conversion table, select the Add button. Insert the name and the description of the conversion table. If the values that will be included in the table are numeric, the “Is Numeric” checkbox must be selected. Select ‘OK’ to save the new conversion table.

After adding the new table, the conversion data must be added. Select the table in the dropdown. In the “From Value” field, insert the value from the source file. In the “To Value” field, insert the value that will be data loaded into the table. When completed, select add to assign the entry to the table.

Assigning a Conversion Table

Once the conversion table is set up, it can then be assigned to any Data Loader Specification. In the Conversion Table field in the specification (accessing the specification will be covered in the next section), click into the field that will utilize the conversion table. A dropdown menu will appear that contains all available conversion tables. Select the appropriate conversion table. Only one conversion table may be assigned per field, but multiple conversion tables may be assigned in a specification.

**Note: When setting up and using the conversion table, the conversion relationship needs to be a one to one

relationship. For example, multiple Sub Accounts cannot be converted into one sub account. They can be defined in

the Conversion table but when the source file is loaded, only the last record that is being converted will get loaded

into the system. The records do not get summarized after the conversion occurs, therefore the rest of the records

will be rejected and placed into the error report as duplicate records. This holds true when you are using the

conversion table to change over any of the key fields.

Defining Load Parameters

After creating a new profile and selecting the tables you wish to load data into (see ‘Creating a New Profile’), you must define the load parameters for each of the files you wish to load into the system. 1. Select the profile you wish to define load parameters for from the ‘Profile Name’ dropdown box from the Data

2. Under the ‘Load Name’ column, locate the table you wish to define load specifications for and double click on it.

The ‘Load Parameters’ window will open.

3. Select the type of file you will be loading from the ‘File Type’ dropdown box. The Data Loader accepts ASCII text

files in either fixed width or delimited format.

4. Enter the path and filename of the data file you wish to load in the ‘Data File Name’ field by clicking on the button.

5. The ‘Select a Data File’ window will appear. Navigate to the folder containing the data file you are wanting to load. Select the file and double click on it or highlight the file and then click the ‘Open’ button.

6. After completion of the previous step, you will be returned to the ‘Load Parameters’ window where you will notice the complete path and filename of the file you located has been added to the ‘Data File Name’ field.

7. In the ‘Specification’ dropdown box, select the appropriate specification. In this example, we are loading the cost center file, so we would select ‘Cost Center’ from the ‘Specification’ dropdown box. The ‘Edit Specification’ button is used to edit a previously defined specification, should you need to make format changes for the new data file. The ‘New Specification’ is used to build a new specification for your load for a file in which you have never loaded.

8. Click on the ‘Edit Specification’ button to edit a previously created specification. Click on the ‘New Specification’

button to create a new specification. 9. The ‘Define Specification’ window will appear.

a. If you are defining the specification for a delimited file, the following window will appear:

i. Enter a name for the specification. NOTE: It is highly recommended that specification names be

prefaced by the abbreviated system module code (i.e.: PAY = Payroll, GL = General Ledger, and ECM = Enterprise Costing Manager). When selecting a specification, the list of existing specifications will be sorted in alphabetic order. By prefacing specification names with the system module code, they will be grouped together making it easier to find an existing specification.

ii. Select the type of delimiter by selecting the appropriate radio button in the ‘Specify Column Delimiter’ area of the window.

iii. Check the ‘Update All’ box to update all fields when loading. To update only select fields, only select the update boxes adjacent to those fields you wish to update. Key Fields will always be updated. Key Fields include but are not limited to: Facility, Cost Center, Employee ID, Sub account, etc.

iv. The ‘Database Field’ is populated with the EPSi fields available for the table selected. v. Click on the ‘Data Column’ field next to the ‘Database Field’ you wish to map. A drop down box

will appear showing all of the available fields contained in your data file based upon the current record you are viewing. Map the fields from your data file to the corresponding ‘Database Field.’ If you wish to populate a field with a default value, enter that value in the ‘Default Value’ column. In the example above, if we wished to set all cost centers as active, this could be accomplished by entering ‘-1’ in the default value column in the row that contains the database field ‘Active.’

Note: To simplify this process of mapping fields, you can include column headers in the data file you are importing, allowing you to easily match the header field from the dropdown box under ‘Data Column’ to the appropriate ‘Database Field.’ The column headers will not interfere with the import of your data file. You can enter a value in the ‘Default Value’ column as opposed to mapping the database field contained in your data file. Anything entered in the ‘Default Value’ column will automatically be assigned to the ‘Database Field’ that it corresponds to. In the example above, if you wished to default all cost centers to Active, you could enter ‘-1’ in the ‘Default Value’ field for ‘Active.’ Also, please note at the bottom of this window, you can move between records. When you move to the next record, the ‘Data Column’ area of the window will be updated with the information contained in the next record within your data file. It is good practice to move between a few records to ensure the fields are mapped correctly.

vi. When you have completed mapping your fields, click the ‘Save’ button, which appears in red. Click the ‘OK’ button to proceed.

vii. When you arrive back to the main menu of Data Loader, be sure to click the ‘Save Profile’ button that appears in red to save your changes.

b. If you are defining the specification for a fixed width file, the following window will appear:

i. Enter a name for the specification. NOTE: It is highly recommended that specification names be prefaced by the abbreviated system module code (i.e.: PAY = Payroll, GL = General Ledger, and ECM = Enterprise Costing Manager). ii. Click on the field name you wish to map from the ‘Field Name’ column. iii. Highlight the data you wish to map from the ‘Data’ area of the window that corresponds to the

field you selected in the previous step. To highlight the data, using your mouse, click and drag the mouse over the appropriate data. When you have finished highlighting the data, you will notice the ‘Start,’ ‘End,’ and ‘Length’ columns have all been populated with the start, end, and length values necessary to map the data fields.

iv. Repeat the above process until all data fields have been mapped. Also, note that entering a value in the ‘Default Value’ column will automatically assign that value to the corresponding database field for all records.

v. Click the ‘Save’ button after you have mapped all fields. Click ‘OK’ to proceed. vi. When you arrive back to the main menu of Data Loader, be sure to click the ‘Save Profile’

button, which appears in red, to save your changes.

Deleting & Renaming Specifications

It is possible to delete a specification that is no longer needed or to rename a previously created specification:

1. From the main menu in Data Loader, select from the Profile Name dropdown the Profile containing the specification you wish to delete or rename.

2. Double click within the grid area on the ‘Load Name’ containing the specification you are wanting to rename

or delete.

3. Select the specification you wish to delete or rename from the ‘Specification’ dropdown box.

a. To rename the selected specification, click on the ‘Rename Specification’ button. i. Enter a new specification name in the ‘New Description’ input box:

General Ledger Dataloads

Profiles

If the automatic execution of the Activity/Statistic Stat Transfer piece is being utilized, it is recommended that

separate data load profiles be created for each type of Activity/Statistic Transfer profile.

Profile Name:

General Ledger Loads: These are generally set up during the Implementation process. This profile typically

6. Select the Profile(s) that will be run by moving them to the right. The order of the Profiles that are processed

can be reordered using the and buttons. These profiles must be created under the Chart Maintenance section of Enterprise Analyst before the Transfer is set up.

7. Select ‘OK’ to complete the set up.

1. Place a check mark next to ‘Revenues,’ ‘Expenses,’ and/or ‘Deductions’ to reverse the signs of data being imported where appropriate. All values within the EPSi system for G/L files for all account types are stored as positive values (with the exception of contra accounts). **The account type field that was available in prior versions is no longer available. The account type (R, E or C) fields can now be set up using Conversion Tables. Please refer to the Conversion Table section of this help guide.

2. Account type is a required field for General Ledger files. If you have not supplied the account types for revenues, expenses and deductions, assign the Account Ranges by using the lower portion of the screen. Use the radio button to select if the account is a revenue, an expense or a deduction. Enter the Cost Center ‘From’ and ‘To’ code. Enter the Sub Account ‘From’ and ‘To’ code. Click the ‘Add’ button and the information will be added to the lower portion of the screen. If you have made an inappropriate selection, you can click on the row and then click the ‘Remove’ button to delete the account range.

3. When any changes are made, the ‘Save’ button will appear in red reminding you to save your changes. Upon clicking the ‘Save’ button, you will be returned to the original specification screen.

4. On the ‘Account Ranges’ screen, use the ‘Account Categories’ tab to assign account categories associated with the GL data being loaded.

Sub Account File

Account type is a required field for Sub Account files. If you have not supplied the account types for revenues, expenses and deductions within the Sub Account file that you will be loading, you must assign the Account Ranges by using the ‘Account Ranges’ option associated with the Sub Account specification.

1. Use the lower portion of the ‘Account Ranges’ screen to specify account ranges for Revenues, Expenses and

Deductions. Select the appropriate radio button to select if the account is revenue, expense or a deduction. Enter the Sub Account ‘From’ and ‘To’ code.

2. Click the ‘Add’ button and the information will be added to the lower portion of the screen. If you have made an inappropriate selection, you can click on the row and then click the ‘Remove’ button to delete the account.

Payroll Data Loads

Labor Distribution File

When loading labor distribution, Data Loader provides the option to ‘Summarize Data’ when defining load parameters. Summarizing data will add values within the input file where all key fields match prior to inserting the data into the database. Key fields associated with a labor distribution file are ‘Dataset,’ ‘Facility,’ ‘Cost Center,’ ‘Job Class,’ ‘Employee ID,’ ‘Pay Type,’ and ‘Pay Period.’ This option will prevent duplicate record errors during the data load process, if multiple entries that match on all key fields exist in labor distribution data. An example where this option may be useful would be in a situation where a correction to base pay is posted for an employee resulting in two records for the same employee, for the same pay period for base pay. In this situation, the original entry would be added to the correction prior to inserting the data into the database. To use this option, select the ‘Summarize Data’ checkbox on the ‘Load Parameters’ form associated with the Labor Distribution table.

Activity Code/Statistic Transfer

To populate Daily, Pay Period, and/or Monthly statistic accounts for Productivity or variance reporting purposes, you

can set up a transfer to execute automatically upon the execution of the load. An Activity/Stat Transfer can be

created when the new profile is set up or you can go to ‘Edit Profile’ and select the ‘Activity Code/Statistic Transfer’

tab.

If a large period of time is selected such as the entire fiscal year, each day will process the entire year and can take a very long time. Suggested relative dates would be current date, which is that actual calendar date in windows, - 1, if loading daily, and in the ‘to’ section, select current date minus 30 days, to get the last month’s worth of charges.

5. The ‘Audit Log’ can only be used when monthly stats are being affected.

6. Select the Profile(s) that will be run by moving them to the right. The ordered the Profiles are processed can be

reordered using the and buttons. These Profiles must be created under the Chart Maintenance section of Enterprise Analyst before the Transfer is set up.

7. Select ‘OK’ to complete the set up.

Batch History

Batch History provides Audit Information and Errors and Error Information. Only report for the encounter data

loaded into the system. The Audit Report can also be used as a way to verify the extraction information is loaded

properly into the EPSi Module, by providing control totals.

Editing Previously Defined Specifications

1. Select the profile from the ‘Profile Name’ dropdown box from the main menu of the Data Loader application. 2. Double click on the specification that you wish to edit. 3. Click the ‘Edit Specification’ button. 4. You can edit any of the specifications that were previously defined. When you are satisfied with your changes,

be sure to click the ‘Save’ button.

Loading Data

After defining your profiles and the associated specifications, you are now ready to load data into the system. 1. From the Data Loader main menu, select the profile you wish to use for loading data from the ‘Profile Name’

dropdown box. 2. Click the ‘Execute’ check box in the row next to the file(s) you wish to include when the data load is executed.

Note that you can select multiple check boxes to load multiple files at once.

History

The history feature of Data Loader is used to view the history of previous data loads. After executing a data load, history for that load should be reviewed to see if any errors were generated. To view the history of data loads, click on the ‘History’ button on the Data Loader main menu. You will be presented with the History screen, which contains two tabs: the ‘Load History’ tab and the ‘Batch History’ tab.

The ‘Load History’ tab displays the history of all previous data loads for the system selected in the ‘System’ dropdown box. When ‘<ALL>’ is selected in the ‘System’ dropdown box, the load history screen will be populated with load history for all systems. Please note that in addition to the fields displayed in the image below, by moving the scroll bar at the bottom of the window to the right, you can display the Specification, Data File, Records Read, and Errors Generated fields.

If any errors are generated during the data load, a file is created in the same directory as the data file used for the load, named filename_ERR.DAT, which contains only the records rejected by Data Loader. You can open this file and correct any errors. The file can then be used as a source file for data loading, allowing you to add only the records that were rejected from the previous data load. To produce a report containing the data errors, highlight the load(s) and click on the ‘Report’ button. You can select multiple loads by holding down the <CTRL> key on your keyboard, clicking on the rows you want to include in your report. A report similar to the one below will be displayed showing the location and description of the data errors. If the load finished abnormally, you may not see anything in the ‘End Date,’ ‘Records Read,’ or ‘Errors Generated’ fields. The report will provide more information on why the load finished abnormally. Even if there is no end date, an error report will be generated.

Scheduling Data Loads In order to use the Scheduling features of Data Loader, contact EPSi. To schedule a profile to run on a weekly/monthly basis, click on the ‘Schedule’ button located on the main menu of Data Loader. The ‘Schedule Data Load’ window will appear. 1. Select the Profile you wish to schedule from the ‘Profile’ dropdown box. 2. If you want to schedule this profile to be run one time only, place a check mark in the box next to ‘Run Once.’

You still must schedule a date and time for this to run either by selecting a weekly time or a day of the month. After the data load is accomplished, it will be removed from scheduled list.

3. If you want the Profile to run weekly, select the day of the week by placing a check in the box next to the appropriate day of the week and specify the time you wish for the load to occur.

4. If you want the Profile to run monthly, select the day of the month from the dropdown box, specify the time you wish for the load to occur and click the ‘Add’ button. The day and time will be added to the grid on the left of the screen. To delete the day, simply highlight the day you wish to delete and click the ‘Delete’ button.

5. When any changes are made, the ‘Save’ button will turn red reminding you to save your changes. When you are satisfied with your schedule, click on the ‘Save’ button.

Scheduled Tab You can view the Profiles that have been scheduled to run by clicking on the ‘Scheduled’ Tab. This will allow you to view all scheduled data loads.

Editing/Deleting Scheduled Data Loads 1. Using the ‘Scheduled’ tab, identify the Profile you wish to edit or delete. Make note of the day and time. 2. Note: If a job is scheduled to run from a local drive, it will run from the local drive; therefore, if two people are running the same job from their individual local drive, the data produced could be very different from one another.

Deleting Audit Log Information

The Audit Log contains a record of new cost centers, sub accounts and job classes associated with recent data loads for Payroll or GL. After data loading, it is good practice to review the Audit Log to identify any new cost centers, sub accounts or job classes. Descriptions for these new items should be added in the appropriate tables within Enterprise Analyst. Once this process is complete, the Audit Log can be deleted.

Note that ‘<ALL>’ is an option in the ‘System Module’ dropdown box, which will allow you to delete audit history for all system modules. ‘<ALL>’ is also an option in the ‘System Table’ dropdown box, which will allow you to delete audit history for all system tables.

3. When satisfied with your selections, click the ‘Delete’ button to proceed.

Note: Because of the way entries are deleted, if you want to delete all entries from the audit log, the ‘Delete All Entries’ button will perform the operation more efficiently.
