Datamine Tips

• Rename fields for good report headings – fields are listed alphabetically

on Filter tab so be aware when searching for fields!

• Minimize a datamine to work with another datamine

• Create separate security gates for datamine areas using Enhanced

Security

• When working with large amounts of data, use the black arrows to see

the next or last 50 items (Keystone DM)

• Quantum datamines can be saved and shared for others to view/run

Datamine Tips

• When filtering…

• Use formatted date field for filtering (CCYYMMDD)

• Be sure to use upper case as Data Mine is case sensitive

• Be careful of AND/OR when using multiple lines

• ‘OR’ condition starts the filter rules anew

• Wildcards can be used: _ (underscore) = single character % = multiple characters

Datamine – Parts

• Demand Analysis

• Identify which parts by demand levels

• Identify which parts are slow or obsolete

• Parts Clean Up

• Identify which parts have missing descriptions, missing bin locations, missing prices, parts with negative on hand quantities

• Stock Orders

• Parts on open orders

• Parts reservations for open orders

• Parts on received orders

Demand Analysis

• Identify parts by demand level - fast, medium, slow moving and no

demand

• Identify slow moving and obsolete parts

Parts Clean-Up

• Data Mine Setup

• Included Fields – Division, Vendor Code, Part Number, Description, Bin Location, On Hand, Dealer Net, Dealer List, Average Cost (if needed)

• Order – By Division, Vendor

• Filters – Description = blank, OR Bin = blank, OR On Hand < 0, OR Dealer Net = 0, ORDealer List = 0

• Data Mine Setup

Include Parts & Service sales and cost of sale GL accounts. Include all expenses except variable expenses (advertising, travel, commission, etc.)

• Included Fields – GL Year, Account, Account Title, Fiscal Months

• Filters – GL Year = year for your report, AND GL Acct Type = E, AND GL Acct (Div and Base) Begins With your division code, OR GL Year = year for your report AND GL Acct Type = S, AND GL Acct Edit Code not= S AND GL Acct Edit Code not= R AND GL Acct (Div and Base) Begins With your division code, OR GL Year = year for your report, AND GL Acct Type = C, AND GL Acct Edit Code not= W, AND GL Acct Edit Code not= C, AND GL Acct (Div and Base) Begins With your division code

• Export the data into Excel and setup subtotals and Absorption Rate %

Technician Efficiency

• Data Mine Setup

• Included Fields – Employee#, Employee Name, POS Doc#, Status Code, Work Type, Hours Reported, Hours Billed, Punch Date (if needed), Punch Time (if needed)

• Filters – Employee# = Tech# (if needed), AND Punch Date range, AND POS Document# not= IN

Because we cannot filter on Status Code or Work Type, we need to

export the data into Excel to remove the unacceptable unapplied hour

• Ticket Number (if you have an existing issue)

• Dealership name

• Additional contact info – Your name and how to contact you if different that the dealership phone number. Or if you are requesting help for someone else please include their name and phone number/email.

• Subject

• A brief description of the issue you are having (Network down, AS400 down, Quantum down, error message, printer issue, part issue, invoice issue, account issue, etc.)

• Specifics

• What is the error, what printer, what is the invoice number, what is the part number, what application, steps to duplicate the issue, etc. Feel free to include print screens, file set and division if applicable
