Introduction

Purpose

Purpose of this document is to provide a basic level of understanding of the Scanning options in the DocuColor 242/252/260 product with a bustled controller or standalone Fiery DFE.

Audience

This document is intended primarily for Office Network Support RSEs and Office Network Support and Analyst (ONSAs).

DC242/252/260 System Configurations

The DC242/252/260 machine comes in one of two configurations:

DC242/252/260 with bustled controller

DC242/252/260 with EX260 server

Note: This package supports only servers at the latest system software versions that were available at the time this package was prepared.

DC242/252/260 with Bustled Controller Overview

Digital Front End (DFE) is a “Fiery” controller built by EFI.

DFE is mounted to the back of the DC242/252/260 IOT.

Base Operating system in the Fiery DFE is Linux.

System software version is 2.0.

EX260 Controller Overview

Digital Front End (DFE) is a “Fiery” controller built by EFI.

DFE is a stand-alone server.

Base Operating system In the Fiery DFE is Windows XPe (XP embedded).

An optional Windows XP Professional upgrade is available.

System software version is 2.0.

DC242/252/260 with Bustled Controller or EX260 Controller

Scanning Overview

The scanning capabilities of the DocuColor 242/252/260 with either the bustled controller or the EX260 DFE are very much different from previous Fiery controllers.

Major differences include the following:

• Separation of “mailboxes” and “templates” They are no longer one in the same.

• Mailboxes are assigned to a User.

• Groups provide flexibility for configuring User privileges.

• Web Applications interface to the Fiery is available on the Copier UI

• Single template with multiple destinations (mailbox, email, scan to FTP & SMB, internet fax)

The DocuColor 242/252/260 scanning feature requires that the user select a Job Template from the Template list on the Copier UI prior to initiating the scanning of originals.

There are three “default” editable guest templates pushed to the printer by the Fiery software. All three default templates scan jobs into the “guest” mailbox.

The editable default guest templates are:

BW0GUEST, COLOR0GUEST GRAYSCALE0GUEST.

Four additional default (locked) non-editable templates are pushed to the printer.

ColorCal Color BW Grayscale

ColorCal is used for Calibration.

Color, BW, and Grayscale scan to guest mailbox (no password).

Fiery Utilities Once the originals have been scanned, they are stored in a “Mailbox” located on the hard drive of the bustled controller or EX260 DFE. Templates can also be setup for Scan to Email, FTP, SMB, or Internet Fax.

Note: Files scanned to Email, FTP, SMB, and Internet Fax are deleted after transfer to the remote destination.

The following Fiery software utilities can be used to retrieve the stored image files from a Mailbox. These utilities are covered in more detail later in this package.

Fiery Bridge

Fiery WebTools WebPage “Docs” tab is one of the selections on the Fiery Webpage that is used to distribute the file to several different destinations.

The destinations are:

Hold Queue – A stored file can be placed into the Hold Queue on the controller.

Save To Disk – The stored files can be saved to a workstation hard drive.

Email – The stored files can be sent to an email address.

FTP or SMB – The stored files can be transferred to a network FTP server.

Fiery Remote Scan 5 utility or the Fiery Bar Scan utility (EX260 only) can be used to distributed the files to several different destination.

The destinations are:

Hold Queue – A stored file can be placed into the Hold Queue on the controller.

Save To Disk – The stored files can be saved to a workstation hard drive.

Email – The stored files can be sent to an email address.

FTP – The stored files can be transferred to a network FTP server.

The 50,000 foot view

The following is a high-level overview of the Scanning option on a DocuColor 242/252/260 with either the bustled controller or the EX260:

1) Create a User with Mailbox privileges using the Fiery webpage Configure.

2) Create a Template for the User using the Fiery webpage if one has not already been created. (Default Guest template can be used)

3) Select the Template on the printer UI then press Start to scan the document.

4) The document is scanned, the Printer creates an image file of the image data and stores the file in the “Mailbox” on the hard drive of either the bustled controller or the EX260.

5) Files stored in “Mailboxes” on the controller hard drive can then be retrieved and distributed using several interfaces that are covered later in this package.

Technical Overview

The scan path between the controller (bustled controller or EX260) and the DocuColor 242/252/260 copier consists of a single Ethernet Crossover cable connected between the right side rear of the copier (IOT) and the controller.

Information about the scan path:

The machine will boot up and copy / print if the crossover cable is left off the machine. The machine will not be able to scan.

The Ethernet Crossover cable is a standard crossover cable and any crossover cable can be used if the original cable fails.

The crossover cable connects to an RJ45 port on the back of the copier and to an RJ45 port on the controller.

The machine uses the TCP/IP protocol to transfer the image data from the machine scanner to the controller.

Scan Path – Copier to Bustled Controller

The scan path consists of an Ethernet crossover cable connected to an RJ45 port on the right side rear of the copier and an RJ45 port on the controller.

The Scan Ethernet ports are configured with specific settings that cannot be changed through any interface.

The following is a list of the copier and controller scan port settings and specifications:

Copier Scan port:

- Port is only used for scanning.

- Port supports 10Mb and 100Mb Ethernet speeds and set to “auto detect.

- Port has one “link” status LED. The LED is lit indicating a good connection and flashing with activity.

- TCP/IP settings assigned to the port: TCP/IP Address: .......... 100.100.100.101 Subnet Mask:................ 255.255.255.252

- Port settings cannot be changed through any interface and are assigned through the copier software. If the port settings become corrupted, a copier software reload should restore the default settings.

- Port is active whether the crossover is connected to it or not once the copier has fully booted up.

Bustled Controller Scan port:

- Port is mounted directly to the controller motherboard.

- Port supports 10Mb and 100Mb Ethernet speed and is set by default to “auto detect”.

- Port has 2 status LEDs: Green LED – When lit good connection and flashing with data. Amber LED – When lit 100mbps and off 10mbps speed.

- TCP/IP settings assigned to the port: ...TCP/IP Address: ..........100.100.100.102 ...Subnet Mask: ................255.255.255.252

- The port settings described above are assigned as defaults to the scan port from within the controller software and they cannot be changed through any interface.

- If the port settings become corrupted, a software reload should restore the default settings.

Scan Path – Copier to EX260 Controller

The scan path consists of an Ethernet crossover cable connected to an RJ45 port on the rear right side of the copier and an RJ45 port on the controller.

The Ethernet ports are configured with specific settings that cannot be changed on the copier but can be changed on the EX260 enabled with FACI.

The following is a list of the copier and controller scan port settings and specifications:

- Port is only used for scanning.

- Port supports 10Mb and 100Mb Ethernet speeds and set to “auto detect.

- Port has 2 status LEDs: Green LED – When lit good connection and flashing with data. Amber LED – When lit 100mbps and off 10mbps speed.

- Port has 2 status LEDs. One indicates a good connection and flashes with activity. The other is lit for 100mbps and off for 10mbps.

- TCP/IP settings assigned to the port: .. TCP/IP Address: .......... 100.100.100.102 .. Subnet Mask:................ 255.255.255.252

- The port settings described above are assigned as defaults to the scan port from within the controller software; however, they can be changed through the FACI desktop.

The scan NIC card is labeled Network Scan in Control Panel > Network Connections.

- If the port settings become corrupted and there is no FACI, a software reload should restore the default settings.

Users, Groups, Mailboxes, and Templates

Users and Groups

Groups Overview There are four default Groups on the controller:

• Administrators

• Operators

• Guests

• Standard Users

The Administrator group has access to all administrative and job management functions on the Fiery.

The Guest group has basic access to the Fiery features which is viewing active jobs status.

The Operator group has access to job management functions on the Fiery, which includes view job log, deleting, viewing, and modifying other user’s print jobs, and printing in B&W or Color.

The Standard Users group has standard access to the Fiery features.

A Group has three settable “Privileges” that affect Users.

Users Overview

The first three Groups have one default User in each Group:

• admin (in the Administrator group)

• operator (in the Operator group)

• guest (in the Guest group)

Passwords

The “guest” user has no password and cannot be edited.

The “operator” user has no password, but one can be added.

The “admin” user password can be changed from the default password (Fiery.1).

The “admin” user can create additional Groups and Users using the redesigned Fiery WebTools Webpage.

Note: Even though a password for the guest user cannot be added, unchecking the “mailbox” privileges’” in the Guest Group takes away access to any files scanned using a guest template or one of the “locked” bw, color, or grayscale templates. The scanned files will build up and would eventually need to be deleted. This can be done by enabling “delete each scan job after one day or one week”. This setting is described in the section “Mailboxes” page 17.

User and Group Configurations

When setting up Users and Groups, take into consideration the following:

• Who will need an individual mailbox?

• What is the purpose of the mailbox?

• What format(s) will the scan is filed?

• Will the job be scanned to a server or emailed?

This will help determine the User and Template structure to be created. It can become very complex with many users, mailboxes, and templates or be very simple with just a few mailboxes and templates.

Adding Users to Contact List (Fiery Address Book) To add a User:

• Click the Configure tab on the WebTools Webpage.

• Click the Launch Configure button

• Log in as Administrator. (Fiery.1 default password)

• Click on User & Groups.

Users are added by selecting the “Contact List” button.

It is important to note that the “User Name” field will be used to automatically create a mailbox with the same name (and password) provided the mailbox option is checked in the Group that the User is assigned.

The name that is entered in the “User Name:” field will be the name of the mailbox entered in a template. Enter only uppercase characters and number. No spaces or special charters.

The user being created will then need to be assigned to a group. If this is not done, the user will not have any “Privileges” and cannot do anything.

Users do not have to be a person. They could be created for a department mailbox or as mailbox for a common function like “COLOR600” for 600DPI color scans.

The “Contact List” is the Fiery’s internal address book. There is no provision to import or export only the address book. The address book is saved as part of the configuration backup covered later in “Restore & Backup”.

The next step is to add the User to a group.

Creating Groups New groups can be created by selecting “Create Group” button on the User & Groups screen.

Enter the Group Name. The name can be a department or functional description. Then check the Privileges for the group. In this example only “Print in B&W” is assigned to this group.

When finished, select “Save” or “Save and Add Members” to go directly to adding users to the Group.

Adding Users to a Group On the Users and Groups screen, double click the Group to which the User is to be added. The View Group Detail will be displayed. A user can be a member of several groups. A user in the Administrator Group has FULL control of the Fiery.

Click the Add button.

Adding a User from the Contact List (Fiery Address book)

Using the pulldown, select the Fiery Contact List.

Highlight the User(s) to be added and click “Add>>”.

Select Save.

Adding a User from the LDAP Address Book

If the User is not displayed in the Available contact: window, enter the user name in the Search: field and click Go.

Highlight the User(s) to be added and click “Add>>”.

Select Save.

To see the contact information for the user click View.

Important Note: When users are added to a Group with Mailbox privileges using the LDAP address book, the mailbox name will include the domain of the user. The format for the mailbox name will be: domain\user.

In this example the mailbox name would be onslab\rchase. This format has to be used when the user logs into their mailbox. The user and password will be validated through LDAP at that time.

Mailboxes and Templates

Mailboxes As stated previously, mailboxes and templates have been disassociated on the DC242/252/260. A mailbox is assigned to a User when the user is created and assigned to a group. The privileges of the Group will determine if the mailbox is an option for the user.

The “User Name:” field from the Contact List (Fiery Address Book) or LDAP Address Book is used for the mailbox name. Users can only view, retrieve, and delete documents in their mailbox including the “admin” user when a password is part of the user setup. Mailboxes without a password can be viewed by anyone, as the Guest mailbox allows. As a reminder, the format for the mailbox name on a LDAP user is: domain\user

Deleting / Clearing Jobs from Mailboxes There is a setting in the Network setup that determines how jobs are cleared from mailboxes.

On the Fiery webpage, click Launch Configure.

Login as Administrator, default password (Fiery.1).

Select Network, Services, Scan.

The Default setting for Clear Each Scan Job: is Manual. When Manual is selected, Users will have to clear/delete jobs from their own mailboxes to keep the Fiery hard disk from filling up.

IMPORTANT: When set to Daily or Weekly, the Fiery software checks the date on the jobs. When a job in ALL mailboxes is older than one day or one week, the job(s) is automatically deleted.

Templates Templates control the scanning features and destination of the scanned file. Creating templates will be covered more completely in the next section, but there are several fields in the template that need additional clarification.

• Name: The entry in this field is what will be displayed on the UI of the printer in Network Scanning. Use CAPS, 0-9 and no spaces or special characters.

• Username: This field is the User that created the mailbox. It will auto fill with the current “logged in” user within the administrator group.

• Mailbox: This field must contain a user with mailbox privileges. The user does not have to be a person. The user/mailbox may have been created to provide a common department mailbox for scanned jobs (ie: FINANCE or BILLING). It can also be a common mailbox for a specific output (ie: COLOR600PDF or BW300PDF).

There are three Guest Default Templates: BW0GUEST, COLOR0GUEST, and GRAYSCALE0GUEST. These templates are configurable and scan into the Guest mailbox which has no password. These default templates can be modified and/or deleted as needed by the administrator.

Note: Network Scanning on the printer UI will display four additional “system” templates that are not configurable (locked).

• ColorCal is used for calibration.

• Jobs scanned into the BW, Color, and Grayscale templates are stored in the “guest” mailbox.

Important: If there is a need for security purposes to prevent access to any scanned jobs in the Guest Mailbox, the only method is to uncheck the “mailbox” privileges’ in the Guest Group. See the note under “Passwords” on page 12.

Creating Scan Templates with WebTools

Scan templates are created using the Printer UI or Fiery WebTools. Access the Fiery Webpage and click on the “Scan Settings” tab. The current logged in user is displayed just under the “Home” tab.

Note: Web Applications in All Services on the Printer UI can be used for limited Guest Template creation/modification. WebTools has full access to template management.

Default Guest Login The default login is “guest” when you first click on the Scan Settings tab. These default guest templates scan to the “guest” mailbox. Only templates with “guest” in the “created by” column will be displayed.

The default guest templates can be modified by a guest user by clicking on “Edit”. The “Name:” and “Username:” fields cannot be changed by a “guest” user. Other template settings can be made and saved. If the guest mailbox is unchecked in this example, is can only be added back by a user in the Administrator group. The Admin user can create a new guest template with only Email selected.

Note: If guest access for creating or modifying templates is not desired, the default guest templates can be deleted. Admin can recreate as needed.

Admin Login This screen shows the user logged in as “admin”. Enter “admin” for the user name and “Fiery.1” for the password, then click Login. All templates will be displayed.

Note: In this example the “Createdby” column has three different users. TEST2 is a user with admin privileges.

There are three Icons available for users in the administrator group:

New, Import and Export.

All fields in an existing template except the template Name can be changed. If the template name is incorrect, the template must be deleted and recreated with the correct name.

Using WebTools the default guest templates can be modified or deleted. To modify an existing template, click Edit. Make the changes and select save.

The Printers UI Web Applications allows changes to the three default templates. The Printer UI template editing will be covered later.

This section of the template is common with all templates. Depending on the “Output Color/Original Type”, a template can be configured with most of the available settings.

A mailbox template is directly tied to a User in the Contact List or LDAP Address book with mailbox privileges. When entering the name in the Mailbox field, it will start to auto-fill from the available users in the Contact List (Fiery Address book).

Users that were added from the LDAP Address book will not auto-fill. The format for the Mailbox field in this case is domain\user.

The information entered in the Mailbox field is validated against a user when saved.

Export / Import Scan Templates

Scan Templates can be Exported (saved) and Imported (restored) from within the controller web page.

The Scan Templates are backed up as a text file.

The template data is encrypted.

The file cannot be edited or created manually.

When the text file is restored on a Fiery controller, it overwrites (deletes) all existing Scan Templates.

Scan Templates will be lost in the following circumstances:

The controller System Software is reloaded.

The controller hard disk drive is replaced.

Went Restore Factory Default Settings is selected in Configure.

Perform the following steps to Export or Import Scan Templates:

1) Launch a web browser interface (ex.: Internet Explorer), enter the IP address of the bustled controller or the EX260 and press <Enter>.

2) Click the Scan Setting tab in the controller web page and login as admin; then click on the Export icon.

How to Scan using a Job Template

The following section describes how to initiate scanning to a Job Template. In addition, this section describes the scanning settings that can be changed at the machine UI prior to scanning to a Job Template.

1) Select the All Services Icon on the Copier UI.

2) Select the Network Scanning Icon on the Copier UI. The Network Scanning screen will display the available templates.

3) Select the desired Template from the list and perform one of the following:

Select the Template Description button to display the description screen associated with the Template.

Select the All Services Icon to return to the Copy screen.

Press the Start button to initiate the scan job using the existing Template scanning settings.

General Template Settings

Located at the bottom the Network Scanning screen are the General Settings options.

Scanning Color is set when the template is created and can not be changed.

Other options for 2 Sided Originals, Original Type, and Scan Presets can be selected. Scan Presets include settings for Sharing & Printing, Archival Record, OCR, High Quality Printing, Sample Scan, and Custom (template defined).

Image Quality Adjustments

Layout Adjustment settings

The Layout Adjustment tab has the following options:

Scan Resolution

- 200, 300, 400, 600 DPI

Original Size

- Mixed Sizes- Register originals top left corner of feeder.

- Manual Size Input – Select from list of standard original sizes.

- Auto Size Detect When selected, the user must select an Output Size for the electronic image file that will be created.

The original size will be detected when it is scanned and the image will be reduced or enlarged automatically to fit onto the Output Size selected.

Reduce / Enlarge

- Auto % – The original size is detected automatically. Output size selected from list of standard sizes papers.

The original must be fed through the DADF.

- Proportional %– percentage from 25% to 400%. The original must be placed on the platen.

- Non-Standard Sizes – Enter the width and height of the original manually. The original must be placed on the platen.

Original Orientation

- Upright Images

- Sideways Images Original Orientation is used to inform the system of your original’s orientation of the paper as you load it in to document feeder or place it on the Document glass. This information is used by the system to make decisions about how the accurately place images on paper when using features such as Image shift, edge erase, multiple-up, Repeat image, Annotation, and Booklet Creation.

Edge Erase This feature allows the user to adjust the amount of edge erase on all sides of a scanned document.

- Normal defaults to 0.1 inch on all edges

- Set Value allows from 0.0 to 2.0 inch erase on specified sides.

- Orientation sets Upright or Sideways original orientation.

Original Orientation - Sets the original orientation to Upright Image or Sideways Image.

Book Scanning This feature allows the user to define the order in which book pages are scanned and the amount of edge erase for the Binding area of the book.

- Off – Default setting.

- Selections are:

- Left Page then Right

- Right Page then Left

- Top Page then Bottom

- Additional settings - Both pages, Left page only or Right page only.

- Binding Erase sets the amount of erase in the binding area from 0.0 to 2.0 inches.

How to Retrieve / Distribute stored files

Once a document has been scanned in and stored as a TIFF or JPEG file in a Mailbox, the file can be viewed, retrieved, or deleted from the Mailbox using one of the following interfaces / applications:

Fiery Remote Scan 5

• Application and Twain Scan Driver for Windows used to retrieve scanned images from the mailboxes.

Fiery Bar Scan (EX260 controller with FACI)

• Same functionality as the Fiery Remote Scan 5 tool, but is runs at the EX260 server with FACI console.

Machine Web Page (Docs)

• Stored files can be deleted, retrieved, or sent using email, FTP, or SMB from a Mailbox from within the machines web page.

Fiery Bridge Utility

• Fiery Bridge is an application that allows you to access scanned documents in your Fiery mailbox directly from a client Windows XP computer.

Fiery Remote Scan 5

Software Overview and Versions

The Fiery Remote Scan 5 software consists of a TWAIN driver and a stand-alone application that are loaded onto a customer’s workstation. The Fiery Remote Scan 5 utility can be accessed in one of 2 ways:

Third Party Application - The Fiery Remote Scan 5 TWAIN driver can be accessed from within a third party application such as Adobe® PhotoShop® or ScanSoft® Paperport®. The TWAIN driver provides access to the Mailboxes on the bustled controller or EX260 and the ability to import the stored image files into the Third Party application

Stand-alone Application – The Fiery Remote Scan 5 can be run as a stand-alone application that offers the option to send a stored image file from a Mailbox on the bustled controller or EX260 to one of several file destinations.

The Fiery Remote Scan 5 Software for the DC242/252/260 with the bustled controller and the EX260 is a different internal version number because the EX260 server supports Internet Fax.

The Fiery remote Scan 5 version numbers are:

Fiery Remote Scan 5.5.1.01 – DC242/252/260 with the bustled controller.

Fiery Remote Scan 5.5.1.02 – EX260 server.

Fiery Remote Scan 5 TWAIN Driver

The Fiery Remote Scan 5 TWAIN driver allows the user to perform the following scanning actions from within a third party image viewing application on a workstation:

Retrieve

The user can access and retrieve stored image files from a Mailbox on the bustled controller or EX260 server and then select the following buttons

• Acquire: This option will allow the user to acquire a stored image file directly into the Third Party Application.

• Delete: This option will allow the user to delete a stored image file from the Mailbox.

Functional Overview NOTE: The DocuColor 242/252/260 with the bustled controller or the EX260 does not offer the users the capability to remotely initiate the scanning of documents, like with the Fiery® EX12 server.

The user must take the following steps in order to scan in hard copy documents and then retrieve and distribute the scanned image files:

The Fiery Remote Scan 5.X TWAIN driver connects to Port 515 on the DC242/252/260/EX260 server over TCP/IP.

Enter the Mailbox Name (and password if needed) to access.

Highlight the image file and Select the Acquire button.

The image file is imported directly into the workstation and is displayed in the third party application desktop.

The image file is stored on the hard drive of the workstation running the third party application.

Files are not deleted from the Mailbox after being acquired.

The Installer on the CD will “auto run” and detect installed Fiery Utilities on the workstation. For manual installation use the following steps.

Fiery Remote Scan Application: Selecting this component will automatically select the TWAIN plug-in component as well. Together, these components allow a user to retrieve previously scanned image files from mailboxes on the machine or in the EX260 and direct the image files to several destinations.

How to use the Fiery Remote Scan 5 Application

1. Scan a Document using the Mailbox

a. Place a document on the machine platen glass or in the ADF.

b. Select the Template from Network Scanning on Copier UI.

c. Press Start to scan the document.

d. The machine transfers the scanned image data to the bustled controller or the EX260 where an image file is created and stored on the controller hard drive.

2(a). Acquire a stored file using the Fiery Remote Scan 5 TWAIN driver NOTE: The following overview depicts the use of the ScanSoft® Paperport® application with the Fiery Remote Scan 5 driver, however, the driver functions in the same way with other software applications such as Adobe® PhotoShop®. The following section provides an overview of how to use the Fiery Remote Scan 5 TWAIN driver with the ScanSoft® Paperport® version 8.0 application.

In addition, technical information has been added, when appropriate, to help describe what is actually happening “behind the scenes”.

a. Launch the ScanSoft® Paperport® application and select File > Scan. The Scan window will appear in the left side of the Paperport® desktop (Figure 1).

g. The “Fiery Remote Scan 5” screen (Figure 3) offers the user the following options:

h. Enter a Mailbox name (case sensitive) in the Mailbox field and click “Refresh”. A list of stored files in that Mailbox will appear (Figure 4).

i. Select the desired file then click the Acquire button. The image file will be transferred from the bustled controller or EX260 hard drive to the workstation hard drive and will then appear in the ScanSoft® Paperport® desktop.

j. Once the image has been imported into Paperport® (or other applications), it can be manipulated from within the application or it can be exported to other applications.

Fiery Hold Queue:

With this box checked, the scanned image file will be transferred into the Hold queue on the machine or controller. The file can then be printed using either Command Workstation or Fiery Web Spooler.

a. Click in the Fiery Hold Queue check box.

b. Click the Send button to transfer the file to the machine’s Hold queue.

• The bustled controller and the EX260 convert the image file to PDF format prior to transferring it to the Hold queue.

Save to Disk:

a. Click in the Save To Disk check box.

b. Click the File Format pulldown to select the File type to be transferred to the workstation.

• The File Format choices will depend on the Color Mode set in the Mailbox/Job Template on the machine.

- Color/Grayscale – TIFF, PDF, JPEG

- Black and White – TIFF & PDF

c. Click the Save As button. The screen in Figure 1 appears.

d. Enter a name for the file in the File name field.

NOTE: The file format cannot be changed in the “Save As” screen even though there is a pull down in the Save As Type field.

e. Select a location on the workstation for the file to be stored, then click Save.

f. The image file will be transferred from the controller to the workstation and into the location specified.

NOTE: The FTP service must be enabled on the machine in order to use FTP to transfer the scanned image file to an FTP server. Refer to Appendix B for help in configuring the bustled controller or EX260 for FTP.

• A pop up window will appear and will indicate whether or not the controller successfully connected to the specified FTP server. If it was unsuccessful, then the FTP settings will need to be verified with the customer.

g. Click the Send button to initiate the FTP transfer.

The Fiery WebPage Docs is the web based interface that allows a user to access Mailboxes on the bustled controller or EX260 server and perform the following:

Print is used to print a scan job (not available to a guest user).

Send scanned job to Email, FTP, and SMB.

Download (retrieve) scanned job and save them to a workstation.

Rename scanned job in the mailbox.

Delete scanned job from the Mailbox.

Import a “print ready” file into the Print, Hold or Direct queues.

Functional Overview The following is a technical overview of the use of Fiery WebPage Docs:

1) Launch an Internet browser application from a networked workstation and enter the bustled controller or EX260 IP address into the URL address field.

2) Select the Docs tab from the bustled controller or EX260 web page.

3) Enter the User Name and password (if required) and select Login to display a list of the stored files in the user’s mailbox. The “guest” mailbox will open by default.

4) Click on the file name to Preview the image.

5) Place a Check in the box in front of the file and select one of the available icons. (Send, Download, Rename or Delete)

Fiery Bar Scan (EX260 Server only)

NOTE: The Fiery Bar Scan is only available from a Fiery Advanced Controller Interface (FACI) enabled EX260 server.

The Fiery Bar Scan application is built in to the EX260 system software and is launched from the Fiery Bar on the desktop of a FACI enabled EX260.

The Fiery Bar Scan option provides the user with an interface to access a Mailbox and send a scanned image to one of several file destination choices. The user can have the scanned image file transferred to the Fiery Hold queue, emailed to a specific email address, sent to an Internet Fax device, or sent to an FTP server.

Functional Overview The following is a technical overview of the Retrieve / Send option within the Fiery Bar Scan tool:

NOTE: A job must first be scanned at the machine UI into a Mailbox. The Fiery Bar Scan tool is then used to retrieve the stored file from that Mailbox.

Right-click on the Fiery Bar on the EX260 FACI desktop and select Scan.

Enter the Mailbox name (case sensitive) that contains the stored. A list of stored files will appear.

Hold queue The image file is placed in the Hold queue as a PDF file only.

Save To Disk The file will be saved in the folder specified in step # 5 on the workstation hard drive.

Email An email message is sent to the specified recipient. The mail note will either contain the file attached to it or a URL link to the file on the EX260 based on what is selected in step 5 above. The attachment file type can be JPEG, TIFF or PDF.

FTP The file will be transferred via FTP protocol to the specified FTP server.

Internet Fax

This option does not function and is grayed out.

Select the Send button again and the image file is copied from EX260 Mailbox and transferred to the selected destination as follows:

Fiery Hold Queue:

With this box checked, the scanned image file will be transferred into the Hold queue on the machine or controller. The file can then be printed using either Command Workstation or Fiery WebSpooler.

The EX260 converts the image file to PDF format prior to transferring it to the Hold queue.

Fiery Bridge Fiery Bridge is an application that allows you to access scanned documents in your Fiery mailbox directly from a client Windows XP computer. Fiery Bridge makes your mailbox accessible as if it were a standard network drive, allowing you to browse its contents using Windows. You can open a scanned document from an appropriate application on your computer, just as you would open any file on your computer. Fiery Bridge is an alternative to transferring scanned documents from a Fiery using Remote Scan or WebTools and can simplify your scanning workflow. You can even use Fiery Bridge in combination with Hot Folders to create an automated workflow.

Note: Fiery Bridge is compatible with Fiery’s running System 8/8e (DC242/252/260) and System 6/6e (DC240/250).

Installing Fiery Bridge

The installer for Fiery Bridge is located on the Fiery Bridge Utility CD or it can be downloaded from Xerox.com/Driver & Downloads for the DC242/252/260 Fiery controller.

1. Run the Setup.exe file in the Fiery Bridge folder.

2. Follow the on-screen prompts and restart the PC when finished.

Configuring Fiery Bridge To start Fiery Bridge, select Start > Programs > Fiery > Fiery Bridge or double click the Fiery Bridge shortcut on the Desktop. The main Fiery Bridge screen will be displayed.

The following operations can be performed:

• Adding a Server • Deleting a Server • Configuring File format • Enabling Folder Synchronization • Accessing the Server with Webtools

Adding a Server 1. Click the Add Server icon. 2. The program will search for available servers or select the bottom radio

button and enter the Printer IP address or Name. Click OK.

Enabling Folder (Mailbox) Synchronizaton

The folder located on the PC for each of the servers can be synchronized with a mailbox. Fiery Bridge will check the mailbox and add new scanned documents automatically.

To setup Synchronization perform the following: 1. Highlight the Server and select Mailbox Synchronization on the Tools menu.

2. Place a check in the box and enter the mailbox Username and Password (if required).

Using Fiery Bridge When you install Fiery Bridge, a Fiery icon is added to the My Computer window on your desktop. When you add a Fiery server to Fiery Bridge, a folder for that server is added under the Fiery icon. The folder for the server in turn contains a My Documents folder that contains the documents in your mailbox on the Fiery.

The scanned documents appear as regular files of either PDF or TIFF format (depending on the file format setting). However, these files are not actually on your computer. By default, a scanned document is not transferred to your computer until you access it by opening it in an application on your computer or by copying it to your computer.

You cannot save a scanned document back to the Fiery mailbox. You must save it as a new document on your computer. The scanned document on the Fiery remains unchanged. You can access scanned documents by browsing from the desktop, from within an application, or from the Fiery Bridge main window.

To Access a Scanned Document From Your Desktop or an Application

1. From your desktop, open My Computer. From an application, choose File > Open and browse to My Computer.

2. Under My Computer, double click the Fiery icon.

3. Under the Fiery icon, open the folder that has the same name as the

Fiery containing the scanned document. If you are prompted for a user name and password, type them and click Login.

4. Select “Reconnect at System Start” before clicking Login if you want Fiery Bridge to enter your user name and password automatically in the future, even if you reboot your computer. If you do not select this option, you are logged into the Fiery until you log out of your Windows session.

5. Under the folder that has the same name as the Fiery containing the

scanned document, open My Documents. The list of scanned documents appears. If you are browsing from your desktop, double-click a document to open it in its default application, or select a document and copy it to another folder. If you are browsing from an application, select the document and click Open.

A document is not transferred to your computer until you open or copy it.

Appendix A – DC242/252/260 Email Setup (SMTP & POP3)

In order for the DC242/252/260server to be able to transfer scanned image files to an email address, the DC242/252/260 server must be configured with the customer’s Email settings.

The following procedure provides the steps necessary for configuring the DC242/252/260 server to support scanning to an Email address.

1) Create an email account (and mailbox) for the server on the customer’s Email server.

The procedure for doing so is out of the realm of this document. Refer to the documentation for the particular Email server for help.

2) Gather the following information from the customer prior to proceeding:

IP address of their SMTP mail server

DC242/252/260 Email address

A Network Administrator’s Email address (The DC242/252/260 will email error messages to this email address).

3) Launch a web browser (i.e.: Internet Explorer) and enter the DC242/252/260 IP address into the URL address field.

4) Press <Enter> and the DC242/252/260 web page will be displayed.

5) Select the Configure tab then select Launch Configure.

6) Login as Administrator, default password is Fiery.1

9) If POP3 is being configured, enter the Incoming Mail Server IP address for the POP3 Mail server.

10) In the Outgoing Mail Server field, enter the IP address of the SMTP Mail server.

11) In the Mailbox Account Name field, enter DC252 (provided by SA).

12) In the Fiery E-mail Address field, enter the complete email address for the DC242/252/260 (i.e.:[email protected]).

Note: The Attachment Size Maximum (15000 KB maximum) is set in a different location. Select Network, Services, Scan.

If the image file to be attached to an Email message is larger than the setting chosen, the DC242/252/260 will send the mail message with a URL for the file rather than the file itself.

IMPORTANT: The setting Clear Each Scan Job applies only to Mailboxes. Scan to Email, Internet Fax, FTP and SMB deletes the job when the operation finishes (either failed or transferred). The setting should be left at Manual unless the customer decides later that the Fiery HDD is filling due to users not emptying their mailboxes.

Appendix B – DC242/252/260 FTP Service & FTP Printing Setup

FTP service allows DC242/252/260 server to be able to transfer scanned image files to an FTP server. The FTP service is default enabled in the software.

There is no provision to turn off FTP service other than disabling the ports used by the service (ports 20/21). Ports can be enable/disabled using the Fiery WebPage in the configuration under Network, Protocol, TCP/IP, Security.

FTP Scanning settings are entered directly into the Template which is covered in the Scan to FTP Template Setup section of this document.

In active mode FTP the client connects from a random unprivileged port (N > 1023) to the FTP server's command port, port 21. Then, the client starts listening to port N+1 and sends the FTP command PORT N+1 to the FTP server. The server will then connect back to the client's specified data port from its local data port, which is port 20.

From the server-side firewall's standpoint, to support active mode FTP the following communication channels need to be opened:

• FTP server's port 21 from anywhere (Client initiates connection)

• FTP server's port 21 to ports > 1023 (Server responds to client's control port)

• FTP server's port 20 to ports > 1023 (Server initiates data connection to client's data port)

• FTP server's port 20 from ports > 1023 (Client sends ACKs to server's data port)

Passive Mode:

In order to resolve the issue of the server initiating the connection to the client a different method for FTP connections was developed. This was known as passive mode, or PASV, after the command used by the client to tell the server it is in passive mode.

In passive mode FTP the client initiates both connections to the server, solving the problem of firewalls filtering the incoming data port connection to the client from the server. When opening an FTP connection, the client opens two random unprivileged ports locally (N > 1023 and N+1). The first port contacts the server on port 21, but instead of then issuing a PORT command and allowing the server to connect back to its data port, the client will issue the PASV command. The result of this is that the server then opens a random unprivileged port (P > 1023) and sends the PORT P command back to the client. The client then initiates the connection from port N+1 to port P on the server to transfer data.

From the server-side firewall's standpoint, to support passive mode FTP the following communication channels need to be opened:

• FTP server's port 21 from anywhere (Client initiates connection)

• FTP server's port 21 to ports > 1023 (Server responds to client's control port)

• FTP server's ports > 1023 from anywhere (Client initiates data connection to random port specified by server)

• FTP server's ports > 1023 to remote ports > 1023 (Server sends ACKs (and data) to client's data port)

FTP Printing Setup FTP Printing allows “print ready” files to be sent to the Fiery using FTP to the designated queue on the Fiery.

FTP Printing is enabled default. Jobs can be sent to the Hold (default) or Print queues. When Require Password for Printing is checked, a valid User and Password will need to be configured in Users & Groups.

Appendix C – DC242/252/260 LDAP Setup

Date/Time/Timezone Before configuring LDAP a discussion about Date/Time setup on the DC242/252/250 Fiery controllers is needed. The current v2.0 software does not allow for setting “adjust for daylight savings” in setup. This is by design.

From the behavior of the clock when selecting the Time Zone, is such that when a City is selected, the time is automatically adjusted for Daylight Savings. When a GMT zone is selected, the time is set by that amount offset from Grenich time.

For example: If the clock displays 6AM with the default zone of Los Angeles (PST) and you need to change the time zone to New York (EST), the clock will adjust to 9AM. Three hours as expected.

In the same example if GMT -5 is selected the time will change to 8AM on the clock. If you changed the time to 9AM for the correct time in New York, the LDAP verify login check will fail with the following message.

LDAP Setup LDAP service for DC242/252/260 server is setup using the Fiery WebPage in Launch Configure Network, Services, LDAP.

Selecting the Configure LDAP button brings up the following window.

To Enable LDAP perform the following:

1. Place a check in the box next to Enable LDAP.

2. Enter the Server IP address or host name.

3. Enter the Port number (default is 389).

4. If required, check the box next to Secure Communications for SSL/TSL.

5. Place a check in the box next to Authentication Required.

6. For the Type, select Automatic (default), GSSAPI, or Simple.

7. Enter the LDAP server User Name login.

8. Enter the LDAP server User login Password.

9. Enter the servers Domain.

In the Advanced Options section:

1. Enter the Search Base.

2. Enter the Maximum Entries (default is 10000).

3. Enter the Search Timeout (default is 60 seconds)

4. Click the Validate button to check the server login information.

5. Click the Save Button.

Back on the DC250 Setup Configure window select Reboot to apply the settings.
