Getting Started

If this is your first time as an instructor-trainer with the Oracle Academy, Welcome! If you’re re-joining us, Welcome Back! We

want to get you up-skilled so you can move-on to doing what you do best: Teaching!

This document will take about three hours to complete, and will direct Oracle Academy trainers on getting prepared for

teaching for the Oracle Academy. The document is directed to two trainer audiences:

Contract trainers – Contract trainers are paid by the Oracle Academy through a local supplier.

Partner trainers – Partner trainers are not paid by the Oracle Academy, but are paid through their school-of-hire and

are partners with the Oracle Academy.

After reading this document, ensure you have completed the following:

Record your accounts names and passwords.

Successfully access your Oracle Single Sign-on account.

Successfully access your Oracle email account.

Successfully set-up your Oracle email block.

Successfully access the Participation Tracker.

Accounts, Tools, and Passwords

Access to a number of systems will be granted. It is your responsibility to keep track of all your account names and passwords.

Print this page only and record your account names and passwords now.

You, Your Course, and Secure Data

Instructor-Trainer Engagement Description

As an instructor-trainer for Oracle Academy you will be responsible for delivering comprehensive training at scheduled training

events in your region and on occasion in other regions. Training events are organized to enable teachers in member academic

institutes to quickly and effectively learn and teach Oracle Academy curriculum. You will work closely with our Principal

Instructors and at times with other Instructors.

General Duties

Deliver Oracle Academy training events as agreed.

Demonstrate outstanding classroom and customer management skills in all events and capacities.

Manage where appropriate instructional, technology implementation, classroom environment, and related classroom

aspects of events to ensure event delivery success.

Monitor and report on feedback for assigned Oracle Academy regional training events.

Act as the first point of contact for support of the teachers registered for your event (with support from your regional

Principal Instructor if necessary).

Review teacher progress (i.e., completion of quizzes and exams, attendance).

Maintain and complete the course roster.

Preferred Skills

Prior academic teaching experience in computer science, engineering or technology.

Proficiency in Java, database design, and SQL and PL/SQL programming as required by training event.

Strong knowledge of and experience with different pedagogical approaches and classroom management skills.

Excellent verbal and written communication skills.

Self-starter who is goal oriented.

Excellence in time planning, time management and organization.

Delivery Formats

The Oracle Academy delivers three flavors of training formats to our members:

Virtual Instructor Led Training (“VILT” or “VT”)

In-class Led Training (“IC”)

Virtual Instructor Led Training + In-class Led Training (“VILT+IC” or “VT+IC”)

Courses may be delivered as Workshops or Non-workshops. More

Each Oracle Academy course is delivered over a number of meeting dates, referred to as “Sessions”, and each session will

meet for a specified period of time, referred to as “Duration”. Refer to Training Outline for more.

Preparation Time The Assignment Proposal will specify when to begin preparing for the course, and how much time you are allocated. The “Prep” time includes time for answering participant email questions outside of course meeting times. Unless specific plans have been arranged, you may manage your prep time on your own. Logistics

Every course has custom training dates, times and venue location (if applicable). These “logistics” are available from the

Assignment Proposal and the Participation Tracker.

Hint: Take time to carefully review the course logistics.

Hiring

If the Assignment Proposal is accepted, the Oracle Academy will hire you as an Oracle contractor. Using a Purchase Order ("PO"), the Oracle Academy will hire you through an Oracle approved hiring agency that is located in your country. Both you and the hiring agency will cooperate to successfully complete Oracle’s and the hiring agency's on-boarding processes. Payment

Your payment for services to the Oracle Academy will be paid to you by the hiring agency. In general, anticipate the payment of services to you after 1) the completion of the service and 2) the hiring agency has invoiced Oracle. The Oracle Academy cannot change payment terms arranged between the hiring agency and Oracle. If you have been hired through Oracle’s Contingent Workforce Program (CWP) (offered in the United States, United Kingdom, and India), then you will submit weekly time cards, as directed by your CWP partner. Discuss payment with your CWP partner. CWP Timecards

If hired through Oracle’s Contingent Workforce program (offered in the United States, India, and United Kingdom), when submitting timecard hours, use the timecard’s Comments box to provide the following training assignment information per course: • Event number (e.g., J005NAM7_15) • Virtual training or In-class training (e.g., VT or IC) • Time spent (in quarter hours) (e.g., 3.25)

For example: J005NAM7_15 VT: 6.25 hrs Time cards will be rejected if training assignment information per course is not provided. Course Cancelation

A course may be canceled for various reasons. While the Oracle Academy will do its best to ensure there is no course cancelation, please understand that it may occur. If your course is canceled, you will be notified as soon as possible, so as to stop all work. If the Assignment Proposal start date has been met, or past, you may bill for any time up to course cancelation date. The Oracle Academy will pay for your services as provided, but will not pay for undelivered training sessions. Contractors will not be paid for any cancelled portions of a course. Travel

If traveling on behalf of the Oracle Academy, you will be provided instructions on how to arrange your travel. In general:

In most cases, the hiring agency you have been hired through will arrange your travel.

Book your travel with at least three weeks prior to the event start date. You may not book travel within seven days of

the event start date.

Arrange arrival 24 hours prior to the event start date. If you require more than 24 hours, provide a justification to

[email protected].

Arrange departure the day after the final day of training. You may arrange outbound travel for the final day of the

training, but you must complete the entire training; you cannot modify the course schedule to accommodate your

travel.

Per Diem

If traveling, you will be provided a per diem. Expense reimbursement will be provided only for expenses with receipts AND

completion of the Oracle_Academy_Per_Diem_Claim_Report.xls. Download the Oracle_Academy_Per_Diem_Claim_Report.xls

Personal Information

Oracle and the Oracle Academy take personal information seriously.

Personal Information:

Includes first and last names and email addresses.

Is considered confidential, and you are required to keep that information confidential.

machine, or any machine.

DO NOT download and print Oracle personal information.

Contract trainers, those paid by the Oracle Academy, are required to use their assigned Oracle

email account while under contract.

Email Communication

Contract trainers, those paid by the Oracle Academy, are required to use their assigned Oracle email account while under

contract and when emailing with Oracle Academy, or its members. Get instructions.

Contract trainers, those paid by the Oracle Academy, are required to use their assigned Oracle email

account while under contract.

Your Oracle email address is only to be used for Oracle related business.

Email Signature Block

Contract trainers, those paid by the Oracle Academy, are required to add an Oracle Approved Signature Block to outgoing

Oracle emails. Get instructions.

Contract trainers, those paid by the Oracle Academy, are required to add an Oracle Approved

Signature Block.

Course Preparation

Assignment Proposal

At least 30 days before an event starts, you will be emailed an Assignment Proposal (“Proposal”). The proposal provides course

specifics (e.g., event number, course title, delivery format, sessions and durations) and payment specifics (e.g., hours required

and Estimated Gross Possible Pay).

Review the proposal carefully.

Respond to the proposal within 72 hours of receipt.

Take note of the event number, as it will be referred to through the life of the

event.

Overtime

The Assignment Proposal’s Estimated Gross Possible Pay does not include

overtime, or overtime rates.

The Hiring Supplier is responsible for ensuring local labor laws are followed. If

you have overtime related questions, please contact your Hiring Supplier

contact (to be specified in the Assignment Proposal).

After accepting the Assignment Proposal, you will need to prepare for your course.

One-on-One Upskilling

If this is your first time as an Oracle Academy instructor-trainer, you will be assigned to an Oracle Academy Principle Instructor

to prepare you for your course. Expect to be contacted at least one week before your course begins.

If you need help during your first few courses, contact your assigned Oracle Academy Principle Instructor. After teaching your

third course, refer to the Help section to begin assistance.

Training Outline

Use the Training Outline to determine how to pace your assigned course’s sessions and durations to the curriculum. Sessions

and durations are specified in the Assignment Proposal. The Training Outline for your course is available in the Participation

Tracker. Get instructions.

Course Curriculum

The Assignment Proposal and the Participation Tracker will specify the course title (e.g., Java Fundamentals, Alice Workshop).

Workshop courses do not require iLearning accounts, but do require Internet access. Refer to Workshop Courses for more.

Non-workshop courses require iLearning accounts; curriculum is accessible from your iLearning account. Refer to Oracle

iLearning (access non-workshop curriculum and tests) for more.

If you do not already have an Oracle iLearning account, you will be provided one before your start date.

Oracle iLearning (access non-workshop curriculum and tests)

Oracle iLearning (“iLearning”) is Oracle’s Learning Management System. It is used by Oracle Academy members, and course

trainers, to access the data library of Oracle Academy curriculum, and instructor resources.

Steps to login to Oracle iLearning:

1. Point your Internet browser to: http://ilearning.oracle.com

2. Type your Oracle iLearning username, password, site and then click the Login button.

Hint:

• User name – If you do not know your iLearning user name, email academy-

[email protected]

• Password - If this is your first time using iLearning, your password will be provided in a

separate email. Otherwise, use your current iLearning password

• Site - OracleAcad

If this is your first time logging in, you will be prompted to change your password.

Instructions for assigning course curriculum in Oracle iLearning:

1. Access your iLearning account.

2. Go to Self Paced tab.

Event Start Email

About 14 days before the event start date, all event stake holders, including the course instructor-trainer(s), will receive the

Event Start Email. The Event Start Email is the formal notification that the event is to proceed.

Participation Tracker

After receipt of the Event Start Email, take time to access and review the Participation Tracker. The “Tracker” contains event

specifics (including access to Logistics, where in-class venue locations are displayed, how certificates of completion will be

delivered) and all registered course participants. The “Tracker” is used to keep attendance, provide final grade status and

withdraw failing participants. The Tracker is viewed by Oracle Academy staff - around the world - to evaluate course

participation.

Every course requires the tracker be completed, no exceptions.

If your course includes a virtual segment, then you will need to:

Ensure travel arrangements are prepared (if hotel and or air are required)

Certificates of Completion

Upon successful course completion, participants are provided Oracle Academy Certificates of Completion. Certificates of

Completion may be presented in hard copy format at the end of in-class training, or emailed via soft copy after a virtual

training.

Refer to the Participation Tracker for Certificate of Completion instructions.

APEX iAcademy for Trainer

If you are a trainer for SQL or PLSQL courses, you and your participants will require APEX training accounts.

Prior to your first SQL or PLSQL course, you will be provided your iacademy for Trainer login and password.

Use iacademy for Trainer to request APEX training accounts. Get instructions.

Request a new set of APEX training accounts for each of your training courses; do not recycle the accounts.

The APEX training accounts will only be active during the course training.

Hint: If this is your first time using APEX training accounts, give yourself extra time to get

acquainted with how to request the accounts, and how to set-up the APEX workspace

environment.

Be aware: Provided accounts will have no tables or data pre-populated. Information

about accessing the scripts to create tables and add data, as well as administration of

your APEX accounts is located here.

Member Welcome Email

At least seven (7) days before the event start date, prepare the member participant Welcome Email, and send it.

Get instructions.

WebEx

If you will be instructing virtual courses, your assigned Oracle Academy Principle Instructor will provide you your WebEx

instructions, including account login and password. Contact your assigned Oracle Academy Principle Instructor with any

WebEx questions.

Start the Course

After receipt of the Event Start Email, and completion of Course Preparation, it’s time to start your event.

If you have questions along the way, contact your assigned Oracle Academy Principle Instructor (refer to One-on-One

Upskilling), or locate the correct email address for your specific questions from our list of Help resources.

Update the Participation Tracker

During your course, maintain the status of your participants using the Participation Tracker.

Oracle Academy trainers are responsible for updating their assigned events after each meeting session.

Finish the Course

You’ve nearly finished your course! To successfully complete the course, you’ll need to do a few more things:

Complete the Participation Tracker

Announce Certificates of Completion

Reset SSO Password

Oracle Academy staff cannot re-set your SSO password; contractors are required to request the SSO

password re-set by contacting the Oracle Global Helpdesk.

Hint: Each 90 days Oracle Corporate SSO account passwords must be re-set. You will receive emails stating

“ACTION REQUIRED: Reset Password for Corporate SSO Account” and to access OIM for self-service

password reset. However, Contract Trainers are not provisioned VPN accounts by default, and therefore

will not be able to access OIM. As such: a call to the Global Helpdesk is required to reset the SSO password.

Try this: When calling the Global Helpdesk to reset your SSO password, request that they also

submit a VPN account request on your behalf.

If granted, this will allow you to access OIM and manage your SSO password via self-service!

Keep in mind: This does come at a price: You will now have to keep track of another login and password!

For security, you are required to reset your SSO password prior to initial use.

If you cannot access your SSO, or you are prompted to change your SSO password, you must reset the SSO password.

2. Locate your Country, and if necessary your City on the table.

3. Refer to the corresponding Secondary column for the Oracle Global Help Desk for your country. For example:

After you call, the support desk will email the password to your hiring manager.

The hiring manger will forward the password to the contract instructor’s non-Oracle email addresses.

Anticipate at least 24 hours receiving the re-set password; it may be longer if weekends, or US holidays are in observance.

Partner trainers, those not paid by the Oracle Academy, are not assigned an Oracle email account; email communication may be completed using existing email processes. Contract trainers may not use Oracle Beehive Webmail, but may use any other email application of their choice; the Oracle Academy recommends Mozilla Thunderbird, a free email application. Participation Tracker

SSO required!

Contract trainers –trainers that are paid by the Oracle Academy through a local supplier will be

provided an Oracle SSO account by the Oracle Academy.

Partner trainers – trainers that are not paid by the Oracle Academy will create their own SSO

account.

The Participation Tracker is a secure, centralized on-line tool that is used to manage Oracle Academy course participants. The

Participation Tracker:

Requires instructor SSO login and assigned role to access

Contains Academy course(s) and course participants

Allows assigned instructors to provide course session and final grade statuses

Provides a view of the course status based on assigned role (Global director, Champ, Trainer)

About

Academy staff may use the Participation Tracker to research member course participation and final course status. For

example:

Global directors may use the Participation Tracker to monitor all courses assigned to a region, and can drill down to view the

participant’s weekly, daily and final course status.

Champs may use the Participation Tracker to monitor all courses assigned to the champs country(ies), and can drill down to

view the participant’s weekly, daily and final course status.

All trainers will use the Participation Tracker as an on-line roster to record comments, participation, and mark a final course

status.

Upon the close of the event, and no more than 13 days after, the instructor-trainer is required to provide each participant with

Completed status and Final Grade. In addition, the instructor-trainer will Withdraw those participants that failed the course.

CAUTION: The steps below must be completed upon the last day of the course, or no more than 13 days

Steps to request your APEX training workspace and accounts

1. Go to iacademy for Trainer: https://iacademy3.oracle.com/ords3/f?p=103:LOGIN_DESKTOP:14365248945529:::::

2. Log in using your iacademy for Trainer login and password.

Your login and password have been sent separately.

If this is your initial login, please change your password.

3. Click the "Create Class" button.

4. Complete Create Class form, and click the Submit button.

Class Language – select English or Chinese (no other languages are available).

Country – select the applicable country name. If a country name is missing, select United States.

Class Code – Enter the course event number. The course event number is the numerical digits in the right-side of the

event number, prior to the (“_”) underscore.

o Example:

Event number: A001LAD1515_19
