Dilbeck Technology PackageDilbeck Real Estate Real Living offers our Sales Partners a full range of technology tools and services to assist you to increase your business by working effectively with today’s “Internet Empowered Consumer”. These tools and services will give you a distinct advantage over the competition if you know what these tools and services are and how to use them.

A few examples of the tools and services provided include our public web site, www.dilbeck.com, your own personal Dilbeck email account ([email protected]), our corporate Intranet site, www.dilbeckhome.com, access to your office network through our high speed wireless Internet connection and high speed Color and Black and White Laser printers.

Technology Training classes on real estate based computer programs and software are scheduled frequently in order to accommodate as many of our Sales Partners as possible. The majority of the classes are held here in our Pasadena Training Center. A Technology Training Calendar can be found on our Intranet site at www.dilbeckhome.com. Click on the Training Tab at the top of the home page. Click on “Event Calendar” and a new page will open displaying all of the upcoming classes. To register for a class, click on the class name and scroll down to the “RSVP For This Event” link which is located near the bottom of the page.

These many tools and services in the Dilbeck Technology Package are bundled together and available for use by all Dilbeck Real Estate Real Living Sales Partners. This handout is designed to introduce you to many of the important features of this package; however, it does not detail every service or option available. For more detailed information, contact Harold Baerresen, Technology Trainer, your Branch Manager or the IT Department.

Our Public Website – www.Dilbeck.com

The Dilbeck Real Estate Real Living public website can be accessed at www.dilbeck.com. Members of the public will find this site through various Internet search engines such as Google or Bing, through referrals from agent web sites and/or profile pages and it is prominently displayed in all of our print and electronic media advertising.

Current traffic at the site is approximately 45,000 unique visits each week with users spending an average of 11 minutes on the site.

Database

Scope - The Dilbeck Real Estate Real Living website is one of the few Real Estate websites in Southern California that combine together in a single data base information about all of the properties within our market area. The database contains all of the active, contingent and pending residential listings from all of the Multiple Listing Services that we belong to throughout Southern California. This is approximately 77,000 listings and the accompanying 825,000 photos. The data base follows the rules governing IDX (Internet Data Exchange) set by the subscribing MLS systems. It is updated daily and therefore has more current and information than other sites.

Dilbeck Real Estate Real Living’s website database will obtain all of the data and pictures automatically from the Multiple Listing Services, but our Sales Partners can request to have more information or upload additional pictures on each listing.

IDX stands for Internet Data Exchange and is the process that is used by Dilbeck Real Estate Real Living to place all of the listings from the MLS services on our website. Members of the public who access our site and search for properties will see not only Dilbeck Real Estate Real Living listings,

but listings from all other Realtors who have listings that match the search criteria the consumer entered. The exception to this rule is that some real estate companies have opted out of IDX for a particular MLS and their listings will therefore not appear.

Available Searches - The public can search for homes using several different methods: Home search, Luxury Estates or Quick Search on Dilbeck.com.

On the search page the public has more options. They can search by city, price, bedrooms and baths or by a property’s street name.

They also have links to view the newest listings from the last seven days or to view only Estate properties.

They can see what homes are scheduled to have Open Houses or look at their saved property searches in “My Dilbeck” if they have registered to do so.

At the top of the home search page, various featured properties will be displayed on a rotating basis with pictures.

After the search criteria have been entered and the “Display Listings” button is clicked, the screen will display the summary page of the listings found with 10 listings per page displayed. From the summary page, the details of each listing can be obtained by clicking on the “Details” button.

The consumer can add properties to their favorites if they have created a “My Dilbeck Account” by clicking on the “Add to Favorites” button.

They can click on the “Map Property” button to display a map of the property location and can print the map if they choose to do so.

Property Detail Screen - In the property detail screen, there is enhanced information about the property including the Sales Partner’s picture and contact information if it is a Dilbeck listing. Please see the example below.

The photo area will automatically display a slide show of the pictures of the property or the pictures can be manually advanced or navigated using the arrows at the bottom of the photo.

On this page links are also provided for looking up “Local Schools”, or a “Local Community” comparison.

A consumer can also click on the “Request Additional Info” or the “Schedule a Showing” link to contact the Sales Partner with this listing via email. This will display a screen to enter their request and to send it to the Sales Partner. If the property is an IDX listings (other brokerage firm’s listings) the request is directed to a lead specialist in our IT Department. The specialist there will review the lead and attempt to determine the urgency of the consumer to buy.

These leads are then distributed to the Branch Manager of the office nearest the property and are then assigned to a Sales Partner in that office for follow up. There is a referral fee paid for receiving leads that are generated from the IDX system and our Sales Partners are required to be qualified to receive such leads.

My Dilbeck - This feature allows anyone to sign up for automatic notification of new listings that match their search criteria. They can subscribe and unsubscribe at any time. On the home page they click the “Register Here” link to enter their name, email address and a user name and password of their choice.

After registering they can begin a property search. If they want to save properties they can add them to their favorites by clicking on the “Add to Favorites” button on a listing.

They can also add certain search criteria to the site and save the criteria by clicking on the “Save This Search” button at the bottom of the search criteria.

This will now display the properties and then start the automatic email process.

They will begin receiving automatic emails when new properties that match their search criteria hit our database. From the email, they may click on a link to view the property in our database and then contact the Sales Partner for follow for more information or to schedule a showing.

This system also allows for easy unsubscribing to the service. Dilbeck Real Estate Real Living does not retain or sell any of the information entered when a consumer signs up for a “My Dilbeck” account.

Comparing Properties

When looking at any property, the public can check the “Select for Comparison” box. They can select several properties and then click the “Compare Properties” link at the top of the page.

A side by side view then opens up with each property in a separate column and the pertinent information next to each other. This makes it very easy to compare the various features and amenities of each property.

Individual Profile Page

Each Sales Partner at Dilbeck Real Estate Real Living has an individual profile page on Dilbeck.com. Some of your information is updated and maintained by either your Office Administrator or by the IT department. However, each Sales Partner has access to changing their phone numbers, geographical market areas and biography by using the “Agent Admin” icon located at the bottom of our Intranet home page.

To make changes to your page, log into the Dilbeck Intranet at www.dilbeckhome.com. Then click on the icon on the bottom of the home page that says “Agent Admin Page”. Make the appropriate changes and click on the “Update Agent Information” button at the bottom of the page.

If you find that there is information on your administration page that is inaccurate and non-editable or if you have a photo of yourself that you would like to have loaded on the website, or if you would like to replace an existing photo, please contact your Office Administrator or Tech Liaison in your office.

Your profile page can be accessed by the public by either performing an agent or office search on Dilbeck.com or by going directly to your web page. Each Sales Partner has a unique URL to access your web/profile page. This unique URL is comprised of your first name, dot, your last name, dot, Dilbeck dot com. For example my unique URL would be: http://harold.baerresen.dilbeck.com

Your profile page will contain your biography, your contact information, languages spoken, areas of expertise and any designations that you may have earned. In addition, it will have links to your Personal Website, Home Search, Dilbeck.com home page, Purchasing a Home, Selling a Home, the My Dilbeck Log In or Registration Page, Send Me an Email and a link to your offices listings. Your listings will appear on the page under your biography.

Home Search – This link will take the consumer to the Search Page of Dilbeck.com. where they can begin their search for properties.

Open House Search -Dilbeck Sales Partners who schedule open houses and request an ad through our marketing department automatically have their open houses added into the schedule. If a Sales Partner schedules an open house but does not have time to have it advertised, they can call the IT Department to ask for the open house to be added to the database. Consumers click on the Open House Preview button on the site to view all the open houses for the upcoming weekend.

What is my home worth? This link will take the consumer to a page with information on why to use a Realtor instead of an On-Line service to

provide a complete and comprehensive market evaluation as to the value of their property. It gives them the opportunity to complete a

form and submit it to us to begin the Market Analysis process.

Dilbeck Estates/Christies – This link will take the consumer to a page with information about our Dilbeck Estates program and our affiliation with Christie’s Great Estates. They can search for estate properties or learn

more about our services relating to the high end market.

Commercial – This link will take the consumer to a page with information about our Commercial Real Estate services and team members.

Financial/Loan Info – This link opens a page to the Surety Financial web site where a consumer can learn more about the lending process and

begin the prequalification/application process.

Mortgage Calculator - These Mortgage Calculators are located on the Surety Financial web site. The web site provides information on financing the purchase of a home and includes many different calculators to assist the consumer. Choose the type of financial calculator desired and then fill in the fields as indicated.

About Dilbeck - This link displays a page showing our Mission Statement and provides links to important information like the History of Dilbeck, Corporate Affiliates, our Management Team, office locations and

Charitable Foundation. There are also links to each of our affiliated service companies. The section on careers also has links for our Training, Tools and Technology. Another section details our Marketing Advantages.

Market Reports – This link will take the consumer to a page where they can view sample reports and sign up for a free weekly email report on the Market Statistics for their area within Los Angeles and Ventura Counties.

Premier Service – Use this link to view the information about the Premier Service program and links to see the service commitment and your role as a Premier Service Agent.

Locate an Agent/Office – Use this link to open the screen that allows you to search for agents by name, specialties or languages. You can also

search for offices and then find the office information including photos, a map to the location, a link to the agents and links to request a market

evaluation. Links to local community information is also provided.

Selling a home – Clicking on this link, provides the consumer more information on the home selling process including information on the escrow process, mortgage, closing costs, marketing tips, showing tips, pricing and why they should use an agent and more.

Purchasing a Home – Clicking on this link provides the consumer more information on the loan process, arranging financing, finding an agent,

escrow services, glossary of terms and more.

Community/School Info

One of the extra features for the consumer on the site is the ability to research information regarding the community. This includes school

data, community comparisons and the ability to explore for communities that match your criteria.

Cost of Living – Use this to compare the cost of living between two locations.

Calculators – This section contains calculators for loan qualification, mortgage payments, rent vs. buy and comparisons on monthly vs. Bi-weekly loans.

Community Comparison – Use this area of the site to compare two cities in terms of demographics, employment, academics, climate and taxes.

Community Explorer – This section of the site allows you to enter specifications of features that you would like to find in a community. This includes familial status, age group, household income, homeownership, home values and academic makeup of the

population. Enter a city or zip code to start from and a radius in miles and the program will display neighboring communities that match all or some of your criteria.

Schools– This area allows you to enter a city or zip code and search for schools within a certain number of miles radius. When the list of schools appear you may choose a specific school and see

graphs and information on number of students, demographics, teachers by subject, facilities, SAT or other test scores, special programs, extracurricular activities and expenditures.

Crime Reports - Use this area as an information source for your clients. Direct them to this section to do their own personal

research if desired on their communities.

Become an Agent – This link has information for those who are interested in pursuing a career in real estate or for agents who want to know more about becoming a Dilbeck Real Estate Sales Partner. Included on this site is the Real Estate Simulator, an interactive test that introduces you to the business and rates how well you will do as a real estate agent.

Relocation Services – This link explains how our Relocation and Corporate Services Department works and gives links to contact them about relocating anywhere in the country.

SRES® – See information about the Senior Real Estate Specialist designation and Dilbeck Senior Services division and its Sales Partners.

Foreclosures – With all of the interest surrounding current market conditions and properties being sold as a Pre-foreclosure or Bank

Owned properties, this page provides the consumer with the opportunity to search for information about each of these categories of property sales

within a specific zip code.

DILBECK EMAIL

Each Dilbeck Real Estate Real Living Sales Partner is automatically assigned a Dilbeck email account. This email account name is usually the Sales Partner’s first name followed by a period, then their last name followed by @dilbeck.com. For example, my email address is [email protected]. This professional email address can then be used on all of your correspondence, advertising, business cards, MLS reports etc.

Recommendations - Good business practice dictates that a professional should use this type of business email account for all their correspondence rather than using a personal account name that might be used for family and friends or for your personal business. This type of email address shows that you are aware of the business implications of email. Using an email address like @aol.com, or @yahoo.com or @hotmail.com usually immediately tells the recipient that you are not a professional. By using your Dilbeck email address, the consumer knows who you are and which real estate organization you are affiliated with.

We encourage you to be sure that you use your Dilbeck email address and email signature for your business correspondence and save your personal email address for family and friends.

Dilbeck email is the main method of distributing important company information. This includes messages from company management, the Marketing Department, Technology and Class Schedules, Some of these are very important announcements regarding companywide policies and events. Please be sure to check your Dilbeck email frequently, at least several times per day.

Access – Your Dilbeck email can be accessed in many ways:

Forwarded – When your Dilbeck email is set up you can ask that your email be automatically forwarded to your personal email account. Doing this then avoids you having to open two different email accounts or programs to access your email. The disadvantage is that your personal email is then combined with your business email. Depending on the volume, this may make it difficult to see important business email.

NOTE: Dilbeck email cannot be forwarded to your personal aol.com account. This is due to AOL’s spam blocking software. It considers any mass emails from dilbeck.com to be spam. Similar problems have been reported with hotmail.com and we advise you not to forward Dilbeck to Hotmail due to similar problems.

Microsoft Outlook – The best method to receive your email is using Microsoft Outlook. This software is part of the Microsoft Office suite (Word, Excel, Outlook, etc.) or can be purchased separately. Outlook includes email, contact, calendar and task managers. The advantage of using Microsoft Outlook is that it is a complete contact management system. It is also easy to import data from other programs into Outlook as well as synchronize the date with a Smartphone.

Web Mail – The third method of viewing Dilbeck email is to use the Web Mail feature of our Dilbeck Corporate Web site www.dilbeckhome.com (see below for information on accessing the web site.) Click on the Webmail tab on the upper right side of the home page. Enter your email name and password. Web mail has the advantage of a service that can access your email from any computer. It does not have to be your personal computer which is setup with Outlook. You can access it from any company computer, a friend’s computer, a client’s computer, an Internet access computer at a convention, a public access computer in a library, a cable or DSL service in a hotel, etc. Therefore you can check your email when you are away from your home or office. The disadvantage of web mail is that you must be online to read the mail since it is not stored in your computer. Also the system only stores messages for two weeks and then they are automatically deleted. This means that they will be deleted even if you have not read them. NOTE: If

you are having your Dilbeck email forwarded to your personal account as indicated above, you will not be able to use web mail when out of the office. This is because the email only stays on our Dilbeck server for only a few seconds before it is forwarded to your personal account.

Dilbeck Email Features

Virus Protection – Our email servers have the corporate version of Anti-virus software. This software automatically checks for new virus definitions each day and scans any email coming through the Dilbeck server for viruses. Any viruses that are detected are automatically stripped from email at this point before you ever receive the mail.

Spam Blocker – Sophisticated spam blocking software has been installed on our email servers. Each email that is sent to you is first scanned by this software to determine if it has some of the features of spam mail. A Point system assigns point values to various spam features and when an email exceeds the maximum allowed points it is blocked. Our block catches approximately 900,000 emails a week. NOTE: There is no way to completely block all spam or obscene emails. The senders of these mails are very creative in working around spam blockers. Since our email addresses are readily available to the public on our web site, they can be easily stripped and used by those companies sending out spam. While we do the best we can to block these mails there is no fool proof method and some bad mail will get through.

Receive forwarded mail – Many of our Sales Partners have their Dilbeck mail forwarded to their personal mail account. If you wish to take advantage of the virus protection and spam blocking features for all of your mail, you may choose to instead have your personal email forwarded to Dilbeck mail. First call our IT Department to turn off forwarding of Dilbeck to your personal account. Second, call your ISP (Internet Service Provider) and ask to have your email forwarded to your Dilbeck email address. NOTE: You cannot have your AOL account forwarded as they do not support this feature. There may be other ISP’s that do not allow forwarding. Check with your provider first.

Auto Responder – Dilbeck web mail allows you to set up an automatic email message to go out to anyone who sends you an email while you are on vacation or away from the office. This email can let them know that you will not be responding to your email for a certain period of time. This prevents clients, friends etc. from wondering why you are not responding to emails. You will still receive your emails as usual when you return from vacation and can respond to them at that time. Meanwhile they are not waiting for a reply since they have received a message from you indicated that you are not available for a specified period of time.

Access your Web Email as above. Click on the “Options” link on the left. Click on the Personalize link.Scroll down and select Yes for the Enable Auto responder.Enter the text of the message you want your clients to receive.Enter a starting and ending date and time.Click on the Finished link.

DILBECK INTRANET

http://www.dilbeckhome.comThe Dilbeck intranet site is designed to be used only by Dilbeck Sales Partners to give them information on the company, forms, schedules, contact information and much more. It is accessed by a personal ID and password that is for the use of Dilbeck Sales Partners only. DO NOT give your ID and password to anyone.

The Dilbeck Intranet is accessed via the Internet at www.dilbeckhome.com. An icon may be placed on your desktop or it can be added to the favorites bar or your favorites on your browser to access the system.

Once you are connected to the Internet, type in http://www.dilbeckhome.com to display the login screen seen below:

To Log In, enter your Dilbeck Email name (your first name followed by a dot and your last name) i.e. Harold.Baerresen.

When you join the company you and/or your Office Administrator will receive an email from our IT department instructing you to contact them regarding setting up your access. You will be given a login ID (the same as your email name) and the password that you selected at sign up.

Change Password – If you want to change your password after the initial setup, check the button to “Do you want to change your password after login?” You will be prompted with the change password screen.

Enter the password that you used to first access the system and then enter your new password twice. Your password must be a minimum of 6 characters. Click on the Change Password button. After the password has been changed click on the Continue to Intranet button.

The home page contains recent News events. Clicking on any link will open a window with more detailed information. You can also navigate the site by clicking on a button on the navigation bar at the top of the page. If more details are available the button will open to show more links. Click on any link to visit that portion of the site. At the bottom of the home page is where you will find icons that will take you to our Technology Tools and Services.

Upon joining the company, the IT department will set up your access to Webmail. If your email is not being forwarded to another email account you may set up web email to read your Dilbeck Email from any computer without any special software. All you need is Internet Access. Each Dilbeck office has been setup with a network server that connects all the computers in the office for the purpose of shared internet access and printers. The network allows us to connect all staff computers, workroom computers, conference room computers and Sales Partner’s computers to the network.

Computer Setup

As a Dilbeck Real Estate Real Living Sales Partner you are able to have your personal desktop or laptop computer connect to the network. This requires you to have a compatible computer and operating system. Check with the IT department to see if your computer is compatible and if you need to purchase either a network card or wireless card or a different version of the operating system prior to having your computer connected.

Anti-Virus - All computers connected to the network must also have current Antivirus software installed with an active subscription to virus definition updates. Many new computers do not automatically come installed with antivirus or they only have a trial subscription. Be sure that your computer has this software installed, that you have recently updated your definitions and that you have scanned your entire computer for viruses before asking to have it connected.

The IT Department is responsible for setting up your computer on the network. Please talk with your Manager or Office Administrator about setting an appointment to have your computer connected.

DO NOT attempt to connect your computer to the network by connecting any network cable at your desk to your computer. If your computer is not properly configured or is not virus free you may damage the network and shut down operations for several days. Your computer must be set up by the IT department before it can be used in the office for Internet access and with the printers.

High Speed Internet – All office networks are connected to the Internet via high speed access. When your computer is connected to the network you will have this same high speed access to the Internet and all subscriber MLS systems.

Printers – Each Dilbeck office is supplied with a high speed black and white laser printer and a color laser printer. These are accessed by any office computer and your personal computer will also be connected to these printers. Therefore you do not need a personal printer at your desk unless you want easier access.

Workroom Computers – Each Dilbeck office has provided computers for use in a workroom environment. You may use these computers for client presentations, information acquisition or sending email.

ZipForm 6 – If you need to access ZipForm 6 from an office computer instead of your personal computer, please use the online version only which is accessible from the California Association of Realtors website at www.car.org.

Technology Training

Dilbeck Real Estate Real Living provides an in house Technology Training to assist you in learning and using the resources available. Class schedules are sent to our Sales Partners via Dilbeck email each month and they may also be obtained at the Dilbeck Intranet site www.dilbeckhome.com under the Training Tab.

Training classes are listed on the Event Calendar as well. Most training classes are interactive. You may bring your laptop computer and follow the instructor. Your computer must be set up to work on the Dilbeck network prior to the class.
