THE BOTTOM LINE

As the enterprise content management (ECM) space is becoming more commoditized, the

market continues to consolidate. As a result, vendors are turning to industry-specific

solutions and more advanced administrative capabilities to provide customers with

additional value. These investments are further augmented by integrations with outside

applications as well as new automation of processes for productivity enhancements.

Core ECM functionality is becoming increasingly embedded into enterprise management

applications. In order to avoid being cast with feature parity, vendors can enhance

solutions with several new features including:

Industry-specific products. Nucleus has found that analytics solutions with industry-

specific functionality offer a host of benefits, including a 57 percent faster time to

value and a third less ongoing consulting costs. ECM providers recognize similar

advantages from vertical solutions because, like analytics, those products will also

benefit from less required customization and, as a result, less consulting spend and a

more stable infrastructure.

Analytics. In speaking to customers, Nucleus has found that analytics is at the top of

the wish list for most organizations. In particular, customers desire that surface level

analytics for tracking content access be embedded in applications such as ECM, which

allows for improved context and greater accessibility.

Integrations. As ECM solutions are increasingly becoming commoditized, it is

essential for solutions to offer integrations with key enterprise applications including

customer relationship management (CRM), and enterprise resource planning (ERP)

products. These integrations help ECM solutions to be more accessible from all

angles of an organization and also help ECM to become the single central repository

of information for an organization.

Administrative portals. With the hype around information privacy and security

concerns, it is important for ECM products to offer oversight into the use of

information across an organization. This enables strong governance and control,

which enables internal hierarchy. In addition, some vendors are adding security

breaches and alerts into these portals, which allows users to have increased visibility

and advanced notice over any security concerns.

July 2015 Document P129

In June, IBM and Box announced a partnership leveraging content management

functionality, Watson Analytics, and social collaboration solutions to provide users with

enterprise-grade mobile apps, new industry-specific functionality, and new enterprise app

development capabilities. In addition, the partnership will allow customers to store their

content on the IBM Cloud and will have access to both IBM Global Services and Box

Consulting.

In June, Box announced a new governance tool that is designed to help enterprises in

financial services, healthcare, and higher education to more easily manage sensitive data.

Some of the features included in the tool are retention management, the ability to set

content security policies, and e-discovery for identify and preserve documents and

metadata.

As a whole, the Box offers easy adoption and collaboration while reducing data loss and

improving governance and compliance for its customers. Pairing Box’s reputation as a

highly usable solution with its recent investments in advanced functionality, Nucleus

predicts that Box will continue to see success in the market.

DIGITECH

Digitech’s PaperVision products are focused on delivering user-friendly ECM solutions with

automation capabilities and competitive price points. The solution is ideal for small to

medium sized organizations (SMBs) that require a cost effective product with out-of-the-

box capabilities.

Recently, the company has been moving toward providing users with industry-specific

solutions, which provide customers with an accelerated time to value as a result of fewer

customization requirements. In April, Digitech announced PaperVision R80, which is a

solution developed specifically for the healthcare industry and includes functionality for

processing patient records and insurance claims. Healthcare is a highly regulated industry

with relatively few solutions that can effectively manage the back office requirements and

will receive significant benefits from pre-built solutions.

As Digitech continues to invest in in automating tedious manual processes and industry-

specific functionality, Nucleus expects that it will remain a strong competitor, particularly

for cost-conscientious organizations.

EMC

EMC offers a number of ECM solutions including Documentum, InfoArchive, and

Syncplicity. Some of the capabilities include mobile functionality, and EMC also offers pre-

built industry solutions for energy and engineering, and life sciences and healthcare, with

partners offering certified financial services and public sector solutions.

Documentum has close integration with solutions such as Microsoft SharePoint, SAP,

Salesforce, and Microsoft Office. EMC’s products are based on a REST API architecture

which allows organizations to use ECM functionality from within the applications they use

on a day by day basis. This is an attractive proposition for larger enterprises that have a

complex environment and extensive content integration needs.

Documentum’s D2 provides an appealing content library client, implemented with role-

specific workspaces that can be personalized to a user’s particular work needs and styles

using a large library of configurable widgets. The workspaces can be deployed very

quickly with content rules that can be reused across content types and user groups.

Documentum’s xCP caters to case management use cases.

InfoArchive is focused on enabling IT to more easily manage data and make it more

accessible to end-users, which has been a priority for many organizations that are juggling

big data investments. The solution is able to reduce data migration cost and timeframe,

deliver historic context, and increase the availability of data.

Syncplicity offers an advanced user experience that allows end users to more easily

navigate the system. In addition, users have automated notifications and alerts that

enables more efficient use and organization. In April, EMC announced the addition of

Syncplicity Add-In for Outlook, which allows Syncplicity users to more easily send files and

folders directly from Outlook.

Nucleus finds that EMC offers solutions that cater to the specific needs of industries, which

accelerates the time to value for customers and also allows for increased functionality for

the unique needs of organizations. Moving forward, Nucleus expects that EMC will

continue to gain popularity as organizations increase the complexity of their data and

information management.

HP

HP offers ECM solutions in a modular format that can be deployed on premise, in the

cloud, or in a hybrid format. Its solutions manage structured and unstructured information

including social media, email, video, audio, text, and Web pages.

In April, the company announced HP Connected MX, which uses analytics from HP Haven

to automatically distribute information access based on compliance requirements and file

content. The most important aspect of this announcement is that customers are now able

to provide controlled mobility to users. Additionally, organizations will reduce their

exposure to legal and financial risk.

In December, HP announced a new Intelligent Retention and Content Management

solution, which include HP StoreAll, HP ControlPoint, HP Haven, and HP Records Manager.

The combined strengths of these products give customers the ability to comprehensively

capture, analyze, manage, and retain their content with improved accessibility and

increased productivity.

While many ECM capabilities are becoming commoditized, HP brings added value to its

solutions with its investment in the Intelligent Retention and Content Management

solution. With a comprehensive set of functionality because of built-in analytics

capabilities, Nucleus expects that HP will be a significant player in the ECM market.

Nucleus expects that with continued investment in industry-specific offerings, OnBase will

continue to win customers who desire a modern ECM solution that also upholds a high

standard of functionality.

IBM

IBM Content Manager offers a host of functionality for digital imaging, digital asset

management, web content management, and content integration capabilities. The

solutions are built for use by a range of organizations and its solutions include:

Content Manager Enterprise Edition. This solution is built for use by large

organizations and allows for the management of content including document images,

XML, audio, and video for multiple platforms. In addition, it also supports social

content management, and has embedded workflow capabilities.

Experts in this Matrix include Alfresco, Laserfiche, Lexmark, Sungard, Systemware, and

Xerox.

ALFRESCO

Alfresco provides ECM and BPM offerings as open-source solutions, therefore enabling a

high level of customization for unique use cases. The company is known for having a low

total cost of ownership (TCO), largely as a result of effectively leveraging the cloud. In

May, Alfresco announced a series of enhancements and new releases around its ECM and

BPM solutions including:

New Alfresco Media Management module. This offering allows for the storage and

maintenance of rich media files without having to use a separate system. Therefore,

users will be able to view, edit, and repurpose media files while remaining within

Alfresco’s platform.

New Alfresco Analytics module. This module is focused on providing greater visibility

into how content is being accessed within an organization. Embedded analytics

capabilities will be a strong differentiator for Alfresco and customers will receive

added value by being able to identify bottlenecks, top performers, and resource

needs and usage.

Updates to Alfresco Activiti 1.2 BPM solution. Tightly integrated with Alfresco’s ECM

One of the key features to Alfresco is that its platform can be leveraged with other

products, allowing for easier access and greater consistency across an organization.

Alfresco has made significant improvements to its solution and by tightening integration

with BPM and adding analytics capabilities, it has found a way to differentiate itself from

some of its relatively stagnant competitors. Nucleus expects that the company will

continue to see increasing momentum from its BPM capabilities, as it provides additional

services around its core engine.

LASERFICHE

Laserfiche offers ECM solutions for sectors including federal, state, and local governments,

higher education, healthcare, and financial services. Nucleus has found that vertical

solutions are key to achieving a faster time to value and Laserfiche bundles capabilities

such as document imaging, business process management, document management, and

records management into its offerings, resulting in a comprehensive package of

capabilities.

It recently announced the Laserfiche Connector, which allows users to access Laserfiche

from within their primary applications. This feature is key in ensuring higher productivity

levels for users. An additional productivity enhancement allows users to scan a page and

automatically populate metadata to store in Laserfiche, still from within their primary

applications. Some of the CRM applications that the Laserfiche Connector is compatible

with include Junxure, Salesforce, and Microsoft Dynamics.

Having easy access to ECM solutions is key to ensuring a strong value proposition. As

more ECM solutions are becoming commoditized, it is important for users to receive

productivity benefits, and as Laserfiche continues to focus on this goal, it will further

improve its positioning in the matrix. Laserfiche has been focusing on usability with

capabilities such as drag and drop functionality and plans to build a Laserfiche cloud

solution, which will enable fast deployments for customers as well as a lower total cost of

ownership (TCO) and scalability. Nucleus predicts that with the cloud solution, the

and expects that the company will continue to win customers as it builds out its vertical

solutions.

MICROSOFT

Microsoft has been making ongoing investments into SharePoint and leverages the

universal use of Microsoft Office to maintain a high level of popularity. The ECM solution

is offered as an on-premise deployment with SharePoint Server 2013, or as a cloud

deployment with SharePoint Online. The use of Office 365 has been key in driving

adoption of the cloud for Microsoft customers, and it helps to further encourage the use

of SharePoint Online.

As solutions such as Dropbox announce partnerships with Microsoft, customers will be

presented with new options. However, Microsoft offers a full suite of functionality

resulting from a number of important integrations with some of its other solutions

including Skype and Yammer. Customers will continue to rely on Microsoft Office, and

consequently will keep SharePoint a strong contender in the ECM space. Nucleus expects

that Microsoft will make further investments in SharePoint usability and as a result it will

further improve its positioning in the Matrix.

NEWGEN

Newgen’s ECM offering, Omnidocs, provides actionable content management with a

strong base in traditional ECM functionality and extended capabilities that allow for the

management of rich media resources.

Some of the solutions’ core capabilities include document management, capture and

image processing, workflow and business process management, records management,

social content, and Web content management. Omnidocs also offers collaborative

capabilities with social, mobile, and analytics cloud functionality. With this, organizations

have a more cohesive view of departmental activity and, as a result, are able to exercise

more informed decision making.

In January, the company announced new case management capabilities that combine the

qualities of a business process management solution with contextual information. It is

built specifically for the use of complex governmental processes, including fraud

investigation, grievance redressal, workers’ compensation, and social welfare services. By

continuing to invest in industry-specific capabilities, the company has been consistently

winning customers and Nucleus expects that Newgen will continue to improve its position

in the Matrix.

SOFTWARE INNOVATION

Software Innovation provides ECM solutions to industries such as construction and

engineering, oil and gas, healthcare, and the public sector. The user interface of its

solutions are built on SharePoint and Office UI, which helps its users reduce the learning

curve to adoption. Some of its products include:

Public 360. This solution is for public sector organizations and is available for

deployment on premise or in the cloud. One of its functions developed specifically

for the public sector is 360 eMeetings for board, council, and committee meetings.

Business 360. Is a product that encompasses the basics of ECM and is available for a

cloud or on-premise deployment.

ProArc. This offering is designed for project use cases so that organizations will have

access to best practices around document control and information management with

little customization.

Software Innovation has not made any new product announcements since the last Matrix.

Although the company has offered value as an industry-specific solution, as other more

modern applications are going vertical, it will be challenged to remain competitive.

SPRINGCM

SpringCM offers a cloud platform that supports contract management, workflow

automation, and collaboration for both internal and external use. The company has a

clean and modern user interface that is consistent between the desktop and the mobile

applications for iOS and android.

Automation is a key focus for SpringCM. For example, the document workflows allow users

to avoid tedious manual processes, which significantly increases productivity across the

organization. Productivity is further enhanced by integration with EchoSign and DocuSign

with automatic approval routes. In order to uphold control over document management,

SpringCM allows users to set access restriction without having to resort to IT teams to

configure it.

SpringCM offers applications that are built for Salesforce users, and Nucleus expects that

with this relationship the company will be able to reach a larger audience. With future

partnerships and applications such as the applications for Salesforce, SpringCM will

continue to offer added value to customers through easier access and automated

capabilities.

CORE PROVIDERS

Core providers in this Matrix include Everteam, Objective, and Unisys.

EVERTEAM

Everteam’s ECM offering, everteam.document, offers a basis of core functionality including

automating document flows, document routing, ad-hoc workflows, management policies,

filing plans, and tracking capabilities. In addition, it provides integrations using REST and

SOAP. The solution also allows for sharing, which is key for every ECM solution.

Everteam has been challenged to remain competitive in the market as a result of newer

cloud-based solutions that provide users with a lower TCO and greater scalability. Nucleus

expects that if it builds new cloud solutions it will be able to maintain its position;

otherwise, it will become a small player as many of the capabilities of ECM solutions are

increasingly becoming commoditized.

OBJECTIVE

Objective Corporation offers an array of ECM solutions including ECM for Small Agencies,

Ministerial Correspondence Management, Engineering Drawing Management, PDS

Management, Committee Lifecycle Management, Product Disclosure Statement

Management, Web Content Management, and Records Management. These solutions are

built specifically for the needs of heavily regulated industries and the public sector.

In March, Objective announced that it will be offering its content, collaboration, and

process management solutions on the Microsoft Azure platform for cloud deployments.

The public sector is notoriously slow to move to the cloud. However, it has proven to be

more cost effective, which will likely draw local governments and smaller organizations to

adopt it first. With its flagship offering on the cloud, Nucleus expects that it will be able to

adopt a faster release cadence, which will help to improve its positioning in the matrix.

UNISYS

Unisys provides a number of different solutions including cybersecurity, outsourcing, and

service management. Unisys InfoImage is its ECM platform that provides imaging,

workflow, document management, internet technologies, mobile technologies, and

integration to manage transaction content management. InfoImage also offers mobile

functionality so that documents may be accessed from queries or from workflow queues,

and can capture images or create new content items.

The InfoImage Scan Manager offers image capture, bar code recognition, and indexing,

while also supporting searches for structured and unstructured content. For more flexible

document capture, the solution also supports third-party scanning solutions.

InfoImage is available for specific sectors including the financial sector and the public

sector. Nucleus has found that industry-specific solutions provide an accelerated time to

value because of pre-built capabilities, which reduces customization and consulting costs.

Moving forward, Unisys will improve its positioning as it continues to invest in vertical

solutions.
