The objective of office automation is to relieve employees to concentrate on important decision-making and creative tasks. To leave what can be done by machine, to machines. Office automation can either be achieved through a step-by-step approach or a complete systems approach. In both cases, Nashua East Rand is there to assist its customers to find office automation solutions that best suit their needs, no matter how big or small.

Nashua Limited has established a nation-wide service network second to none that ensures that no matter how complex a customer’s problem, it can be dealt with effectively and rapidly anywhere in the country.

The basic components on Nashua’s office automation approach are photocopiers, plain paper laser facsimile machines, personal computers, laser printers and digital multifunctional machines, either on a stand alone or linked basis. 10 SECURITY TIPS

1Carry out a risk assessmentIt always starts with identifying where you are most vulnerable. Perhaps you are already aware of where your business has been

a victim of crime, but that might not tell the whole story. Carry out a thorough assessment. Involve others within your business if applicable.

2 Secure your premisesIf need be, strengthen doors, fit window locks and install security lighting. Each can deter burglars, because most burglar-

ies are unplanned. If access points are vulnerable, install CCTV (but be aware that data protection rules apply) If you don’t have an alarm - get one fitted and put up signs to warn of its presence. Although it involves cost, your insurance premiums could go down. Consider whether shut-ters or grilles should be installed, although you might need planning permission from your local council. Internally, you could put up security mirrors to cover any blind spots.

3Protect yourself and your staffMake sure necessary security training is available and that everyone knows what to do in the event of a serious threat. Better

to give up goods or cash than getting hurt trying to defend it. Also train your people to recognize suspicious behavior by those who enter your premises. Your people should also know how to report crime to you. Keep as little cash as possible on site and routinely empty tills. Take any excess cash to your bank. Put up signs warning that certain parts of your premises are only accessible to staff members.

4Secure your equipmentCarry out regular property and equipment audits, allocating responsibilities for particular items to individual employees. Tag

computers and record details of serial numbers. Consider securing expensive equipment to floors or walls. Also make sure any bikes and vehicles are kept secure.

5Protect your stockBeing organized will help you identify any discrepancies in your stock count early on. Keep on top of paperwork and question

excessive amounts of voids, credits or damage claims. Make time to carry out regular stock takes.

6Prevent employee theftAlways verify previous employment history and make sure you check references - even for casual or part-time employees. In-

troduce clear policies about theft and make sure you inform staff. Exercise due caution when granting access to keys and revealing security codes. All instances of theft should be met with decisive action. Be prepared to fully support prosecution. Keep a close eye on till money and petty cash, as both are particularly vulnerable to employee theft.

7Stop information theftTo protect sensitive information, including clients’ financial records and employee details, use access controls on c

omputers ro restrict entry. Regularly review who has access ‘privileges‘ and change passwords regularly. Ensure your IT systems are also adequately protected from external threats by installing firewalls and anti-virus software.

8Shred sensitive paper wasteDon’t simply throw it in the bin, because criminals might be able to use the information it carries. Install lockable filing

cabinets to store personal or confidential information.

9Seek adviceSpeak to the crime prevention offices at your local police station or council. They should be able to provide you with a

more advice. Find out which crimes your business is most vulnerable to in your area and how you can protect yourself. Forms of online or cyber-crime continues to affect many businesses these days. Speak to your IT provider about how you can protect business from this type of crime.

10Undertake regular checksCrime changes because criminals know they need to find different or more sophisticated methods if they are to

stay ‘in businesses. Make sure that your security measures remain up to the challenge. Do this at least once a year and always remain open to suggestions from your staff about how you can better protect your business.

LOAD SHEDDING

GadGets to liGhten your load (sheddinG)

Battery-backed globeAs soon as the lights go out, hit the button on your remote control and the batteries in these clever globes kick into action. The globes are energy-efficient and last up to six hours. Once power’s restored, push the button again and the globes start working with electricity.

Gas stovesThese portable one- or two-plate stoves will save you from nightly suppers of peanut butter sandwiches. You will need to buy a cylinder for the gas, but if that makes you feel unsafe,

look at a nifty little camping gas plate and disposable gas cartridge for just R29. This will last for up to six hours on medium heat.

Boost your cellphoneNever mind life without lights, the idea of living without cellphones strikes fear into many people’s hearts. Invest in a power bank, which you charge while Eskom’s behaving, and use this to juice up your phone during load shedding.

Solar lightsLuckily it’s summer in South Africa, so solar lights of various sizes can charge in the sun all day to illuminate your home and garden at night.

GeneratorsThis is a pricier solution, with a small generator costing about R3500. You need a qualified electrician to install the generator – it’s important that the proper regulators and surge protectors are fitted. Installation often isn’t included in your purchase price. Then there’s the extra cost of petrol or diesel to keep it running.

UPSAn uninterruptible power supply, or UPS, is useful for home offices that rely on computers, data centres and telecommunications equipment. Units range in size depending on how much you need to keep going when the power goes off.

Mercedes Benz East Rand Fleet & Corporate Sales Division partners with SAfm for Mandela

Day Initiative in Bodibe Village – Northwest Province

For the past few years, SAfm has heeded the call to participate in community-building initiatives to celebrate Nelson Mandela International Day on the 18th of July. Madiba’s call has inspired us to make a difference to the lives of those around us. They decided to do their part in attempting to address some social injustices facing thousands of people in our country. This year they headed to the North-West province to assist with the construction of a sustainable soup kitchen and a vegetable and herb farm. A non-profit organization that has captured our hearts is the Retshwenyegile Relief Givers at the village of Bodibe (about 45 kms before Mahikeng from Johannesburg). Since November 2014, the NPO has been providing food to the elderly, sick and poor three times a week (on Mondays, Wednesdays and Fridays). However, they don’t provide food on public holidays, during school holidays and when it rains because of the lack of infrastructure.

The Retshwenyegile Relief Givers’ Soup Kitchen Retired teacher Moses Lephadi bought a three-hectare piece of land in 2013 with the hope of helping his community. However, poor infrastructure has hampered his dream to provide daily meals, with much needed nourishment, to the sick, elderly and poor. The area has no water and no electricity. Private tankers currently supply residents with drums of water.This year, Mercedes Benz East Rand partnered with SAfm and other sponsors to build a soup kitchen for the people of Bodibe. We were very touched to see the enduring spirit of this friendly community and we saw through the selfless assistance of the Retshwenyegile Relief Givers, that charity really does begin at home. Springs is a town on the East Rand in the Gauteng province of South Africa, 50 km east of Johannesburg. The name of

the town derives from the large number of natural springs in the area; with a population of more than 200, 000 and it is a part of the Ekurhuleni Metroplitan Municipality. Originally Springs had the most gold mines in the area!

Springs is one of the industrial cen-tres in Gauteng served by four industrial suburbs, which are New Era, Nuffield, Enstra and Fulcrum with smaller industrial areas at Dersley, Daggafontein, Selection Park, Selcourt and Strubenvale. The only Kelloggs factory in South Africa is situated in New Era. Springs is also home to Impala Platinum’s precious and base metal refineries as well as PFG Building Glass, the only producer of float glass on the continent. Zincor, the only zinc producer in Africa, was located in Struisbult; the refinery used to produce all South Africa’s equirement of this metal but ceased its production operations in 2011 due to various economic reasons. The town is home to Sappi Enstra Mill, the only paper mill plant of Southern Africa, the only paper mill plant in the world that is not next to a river. Element Six, an industry in industrial diamonds and Bevcan; a manufacturing plant of cans, Distell; a national bottling company and McCain Foods are all based in Nuffield. The Springs industrial area can also boast with Kimberly-Clark, Liebherr Group Africa and a Corabrick plant, to name only a few.
