Product descriptionEMC SourceOne for Microsoft SharePoint Storage Management provides support for Remote BLOB Storage (RBS). RBS is used with Microsoft SharePoint Foundation 2010 and Microsoft SharePoint Server 2010 and provides administrators with advanced options to off-load and manage storage of binary large objects from the SharePoint SQL Server.

Configuring Microsoft SharePoint RBS

OverviewEMC SourceOne for Microsoft SharePoint Storage Management is an optional product which supports Remote BLOB Storage (RBS). “Product description” on page 9 provides an overview of the product.

EMC SourceOne for Microsoft SharePoint Storage Management:

◆ Is used to improve the SharePoint SQL Server performance by storing BLOBs on remote storage instead of the SharePoint SQL Server.

◆ Is intended for local use over a Local Area Network, not a Wide Area Network.

◆ Applies to a specific content database within a farm.

◆ SharePoint users access content stored in the RBS through SharePoint, as usual.

◆ Provides storage management, not archiving. RBS content is not indexed and retention is not set by EMC SourceOne.

Note: To archive SharePoint content, you can use the EMC SourceOne for Microsoft SharePoint product. Refer to the documentation that accompanies that product.

Account settings to access Maintenance ServiceThe RBS provider uses the impersonation account to access the Maintenance Service:

◆ The account is not used for accessing the content database.

◆ The application pool account of Central Administration Web application typically has sufficient privileges to access Windows Task Scheduler on other SharePoint Web Front-End (WFE) servers.

1. Open the SharePoint Central Administration website.

2. Click EMC SourceOne.

Configuration considerationsBefore you configure EMC SourceOne RBS, consider the following:

◆ Ensure that installation is complete before enabling RBS

Do not enable RBS until RBS installation is complete on all SharePoint front-end servers, and the other RBS common settings are configured as described in this topic. If you enable RBS before it is installed on all SharePoint front-end servers, some front-end servers might store BLOBs in the SQL Server and would not be able to retrieve externalized content.

◆ RBS configuration changes take effect immediately. The RBS Provider checks for configuration updates every 5 minutes. To force configuration changes, restart IIS and the SharePoint Timer service

◆ You cannot create a content database by using SQL authentication.

IMPORTANT!The SharePoint Central Administration and SharePoint Web Services applications are not intended to hold content or BLOBS. The Central Administration site is used by the SharePoint Administrator to manage the SharePoint environment. The SharePoint Web Services application is used for SharePoint programming such as internal functional calls. Therefore, ensure that both are not RBS enabled.

Storage root path considerationsSpecify the farm-wide storage root path for the Storage Root Path. All of the stores of different content databases or Web applications share the same farm-wide root path and if you use it, you do not need to specify a new storage location.

Note: Storage Root Path does not support content database-level root path.

Setting the root path to the provider storeThe RBS Content Database settings page lists all of the RBS and EBS provider stores that are currently used. Use this page to configure the root path to the provider stores. By configuring the root path here, you do not need to enter a path each time you create a store.

To set the root path to the provider stores:

1. Specify the path; for example: \\servername\folder1.

All the provider stores you create are stored to this location on the server.

IMPORTANT!Ensure that the path you specify is a network path which can be accessed from any front-end server on the network.

2. Click Apply.



You can also change the Web application whose content database you want to manage. Select the Web Application drop-down and select Change Web Application to open a new page where you can select the desired Web application.

Specifying the Content Database detailsTo specify the content database settings:

1. Configure the settings as specified in the following table.

2. Click Apply to save the changes.

Field Description

Activate / Deactivate Provider Click the toggle button to activate or deactivate the EMC SourceOne RBS Provider.Enable RBS so that BLOBs are remotely stored.You cannot disable RBS if a store still available in the RBS store; you must delete all stores before you deactivate RBS. To disable RBS, select Deactivate.

Minimum BLOB Size Specify the minimum size of BLOBs to be remotely stored, in kilobytes (KB). BLOBs with a size greater than or equal to this value are saved to the RBS store on the shared directory that you specify on the network. BLOBs that are smaller than this size are stored in the SharePoint SQL database. You must enter an integer value between 0 and 4194304 KB.

Note: The overhead of externalizing BLOBs that are too small may outweigh the benefits. Storing smaller BLOBs in the SharePoint SQL database reduces overhead related to external storage.

Note: SharePoint 2013 introduces a new technology called Shredded Storage, Shredded Storage improves performance by breaking an individual BLOB into "shredded BLOBS", that means when a file is upload to SharePoint 2013, it will be splits to several BLOBs.

The Default FileWriteChunkSize is 64320 (around 62.8K), Administrator can change it to a greater value via: All Programs -> Microsoft SharePoint 2013 Products -> SharePoint 2013 Management Shell $webApp = Get-SPWebApplication http://webappurl$webApp.WebService.FileWriteChunkSize = 1073741824$webApp.WebService.Update()

Operation Retry Attempts Specify the number of retry attempts to store a BLOB file to the RBS store. When the EMC SourceOne RBS provider fails to retrieve the file, this setting determines how many times to automatically retry.



Setting up a new storeYou can add as many stores as you need:

1. To add a new store, click Add New Store from the Content Database Details page.

The RBS Common Setting page is displayed as shown in the following figure.

2. Configure the settings as described in the following table.

Settings Description

Store Name Specify a name for the content database where you want to store the BLOB files. Valid characters that you can use for the store name are A to Z, a to z, 0 to 9, and underline.

Storage Provider Storage Provider: Specify the storage provider. By default, it’s the file share or UNC path to the file share.Specify Storage Path: Select the checkbox if you want to specify the path to the storage provider. Type the path name in the field given below. For example: \\store\path\EMCS1RBS\xyz\. If you do not specify a path, the parent root path automatically generates a storage path.Ensure that the location you specify is shared among the Web servers.Pool Capacity: Specify the storage capacity of the RBS storage. Specify how many BLOBs that a RBS pool (folder) can contain.Atmos: See EMC Atmos Settings in the following row.

EMC Atmos Settings Specify EMC Atmos Settings Settings here including URL, port, Subtenant ID (this field could be empty if you want to connect to the main tenant), UID, and Shared Secret.

Account Settings Specify the username and the password of the impersonation account. These credentials are used to access the RBS storage. The username and the password fields cannot be empty.Click Test Storage to check that the specified credentials can access the RBS storage.

Note: Note: if you choose Atmos in Storage Provider, this storage will be seen as cache storage, there will be two additional settings here:

• Cache Expiration Period: Define the cache expiration days.• Pool Capacity: Define the max file count according to the file system.

Compression To Enable compression for the BLOBs mark the checkbox as shown in the figure below.

Encryption Select an encryption algorithm to encrypt the BLOBs as shown in the figure below.

RBS Storage Quota You can generate a warning message to pre-configured email recipients when free space drops below one of the following values:• Amount of free space in megabytes (MB)• Amount of free space based on percentage (%)Select the Send warning email if free space drops below checkbox to enable this option. When the free space drops below the specified level, a warning email is automatically sent to the account you specify in the Notification settings.You can configure the RBS provider to disable writing to the RBS store and automatically write to the Content Database when free space drops below one of the following values:• Amount of free space in megabytes (MB)• Amount of free space based on percentage (%)Select the Write to Content Database if free space drops below checkbox to enable this option.

Notification Specify one or more email addresses you want to notify when the RBS store space drops below the specified limit. Separate each address with a semicolon.You can customize the default email notification template on all farm servers by editing the following file: %ProgramFiles%\Common Files\Microsoft Shared\Web Server Extensions\14\TEMPLATE\LAYOUTS\ES1RBS\Xml\<localeid>\DefaultEmailTemplate.xslt

Note: Ensure that the outgoing SMTP server settings are configured by using the Central Administration > System Settings option.





3. Click OK to validate and save your changes.

4. If values are missing or invalid, then the following error message is displayed:

This page contains one or more errors. Fix the following before continuing.

5. Correct the values, then click OK.

Configuring RBS Health MonitoringYou can configure SharePoint to periodically check the storage path used by the SourceOne RBS provider for available free space. If the available free space falls below the pre-configured limit (percentage of total disk space or absolute disk space in megabytes), an alert is sent to a list of subscribers that you have specified in “Notification” on page 25.

Configuring the RBS Health MonitorTo configure the RBS Health Monitor:

1. From the EMC SourceOne Settings page, click Health Monitor.

The Health Monitor page is displayed as shown in the following figure.

2. Configure Health Monitor as described in the following table.

Note: During the farm feature activation, Health Monitor is enabled and a default schedule is automatically created for it.

3. Click Apply to save the changes.

Viewing Store statusThe Health Monitor page displays the store status. You can specify the types of stores for which you want to view the status. The page displays the status of active, read-only, or all the stores in a selected Web application. Select the appropriate Web application from the Web application drop-down to view the status of the stores.

You can view the Web application name, content database name, store name, store location, free space, warning and critical limits, and the current status of each store. A detailed description of the status icons for File Share/UNC Path and Atmos are provided in the following tables.

Setting Description

Enable storage monitoring job Select Enable storage monitoring job to periodically check on the storage for the available free space. You can select a server from the drop-down list to run the monitor job. Select Any Server if you want SharePoint to choose an idle server to run the job.

Time Specify how often you want to run the storage check. You can set it in minutes, hours, or days. Also, specify the time period you want to run the storage check.

Good condition Connection to the remote storage is good and the free space is above the minimum file size limit.

Error Either the storage cannot be connected or the specified folder no longer exists.

Warning Connection to the remote storage is good, but the free space is below the warning limit. If configured, a notification email is sent.

Critical Connection to the remote storage is good but the free space is below the critical limit; the storage is running out of space. If configured, a notification email is sent.If this condition occurs, RBS is disabled, and BLOBs are saved to the content database instead.

Configuring the RBS Migration ServiceAfter an RBS store is activated, existing BLOB content can be migrated to the new RBS store. You can migrate BLOBs from EBS, the SQL database, or another RBS store to an activated EMC SourceOne RBS store. You can migrate the contents in two ways: whole content database migration and site collections selective migration.

Note: One migration job can have multiple content databases associated with it but one content database can have only one migration job.

Use the Migration Jobs page to add a new migration job or view the progress of existing migration jobs. This section includes the following topics:

Adding a migration jobTo add a migration job:

1. For a selected Web Application, select No Migration Job from the Filter by Migration Jobs drop-down.

2. Select the content database, and click Add Migration Job.

The Configure Migration page is displayed as shown in the following figure.

3. Configure as described in the following table.

4. Click OK to save the changes.

Setting Description

Direction Displays the content database or the EBS source that you have selected to migrate.Select the target from the To drop-down list. The default option is RBS.

Scheduler From the Preferred Server for Timer Jobs drop-down list, select the server to manage the schedule activities.Set the start time and duration to run the migration. In the Time Limit field, specify how long you want this occurrence of migration to run, in minutes.The time limit indicates that the job is stopped when the time reaches the specified limit. For example, if the time limit is 60 minutes, and start time is 10:00 PM, when time reaches 11:00 PM, the job is stopped, and the next day, the migration job will resume at 10:00 PM.

List of sites for migration Select the list of sites you want to consider for migration. Select All, if you want to migrate all of the listed sites.

Job Status Detail This option is disabled when you crate a new migration job.For a content database which is currently in active migration, you can view the following details:• Name of the migration job• Time when the migration has started• The maximum time duration to run a migration job• The last time a migration was run• Content databases under migration• Migration status• Number of items that are migrated

Viewing the migration statusThe Migration Jobs page displays the following settings as described in the following table for a selected migration job of a selected Web application.

Setting Description

Content Database Name Lists the Content databases that are scheduled for migration.

Job ID Displays the identification code for the migration job.

Server Displays the server that is selected to run the scheduled migration.

Status Displays the current status of the migration job. If a migration is currently enabled, status is Online.

Scheduled Start Time Displays the configured start time for the migration job.

Time Limit Displays the configured time limit for the migration job.

Progress Click Detail or the Detail icon to view the progress of the migration job. See “Job Status Detail” on page 32 for more information.



Configuring the RBS Maintenance ServiceThe Maintenance Service performs garbage collection and a consistency check by using Windows Task Scheduler. Each content database will have only one maintenance task associated with it and each maintenance task will have only one content database associated with it.

Note: The Central Administration Pool Account must have necessary privileges to access Windows Task Schedule of other SharePoint Web front-end servers.

Viewing Maintenance summaryThe Maintenance Service lists all the content databases that have SourceOne RBS enabled. The Maintenance summary page displays the following details as described in the following table.

Web Application Name Displays the Web applications associated with the content databases.

Schedule Displays the time and frequency you have set to run the maintenance.

Maintenance Action Lists the maintenance actions selected.

Result Provides a link to view the maintenance job results.

Last Run Time Displays the time when the maintenance activity was last run.

Action Allows you to remove or add the maintenance activity.

Configuring Maintenance activities for a content databaseThe BLOBS that are no longer referenced in SharePoint are called orphans. The RBS Garbage Collector deletes the orphan BLOBs from the storage.

Use the Maintenance Configuration page to:

◆ Schedule the RBS garbage collection task for a selected content database.

◆ Specify the SharePoint front-end servers on which you want to run the garbage collection task.

1. Schedule the maintenance task by configuring the maintenance activities as described in the following table.

2. Click Modify to configure database settings for maintenance.

The Modify Setting page displays as shown in the following figure.

Account From the Enable the Maintenance task to run on drop-down list, select the server on which you want to run the maintenance task.Specify the username and password of the account which has necessary permissions to run the maintenance task on the selected server.

Note: Ensure that the account has the rights to create, remove, and run the Windows tasks on the selected server.

Scheduler Set the time to begin the maintenance job. If you want to set a time limit for this activity, select the Time Limit checkbox and specify the time in minutes.

3. Follow the on-screen instructions to configure the database settings for maintenance as described in the following table.

Garbage Collection Time Window

Specifies the minimum time that must pass between identifying a BLOB as having no references in the database and deleting the BLOB from the store. This guarantees the availability of BLOBs for the specified time in case a backup is restored. The default value is 30 days.

Orphan Scan Period Specifies the minimum amount of time that must pass between two orphan cleanup garbage collection runs. The default value is 30 days.

Delete Scan Period Specifies the minimum amount of time that must pass between two reference scan garbage collection runs. The default value is 30 days.

The format of the period is 'days dddd' or 'time hh:mm:ss'.



Note: if multiple content databases are selected for scheduling, the modify settings batches modifying activity for each of them. If they have different value, you are prompt to confirm.

4. Click OK to save the changes and return to the Maintenance Configuration page.

Delete Propagation Blobs Per Iteration

Specifies the number of BLOBs that can be checked in a single transaction for the delete propagation garbage collection phase. This value can be used to control the trade-off between the overhead of creating and committing transactions and number of locks held. The default value is 1000. The value should be numeric.

Reference Scan Blobs Per Iteration

Specifies the number of BLOBs that can be checked in a single transaction for the reference scan garbage collection phase. The default value is 1000. The value should be numeric.

Reference Scan Blobs Per Work Unit

Specifies the number of BLOBs in a single work unit for the reference scan phase of garbage collection. This setting can be used to control task granularity. The default value is 100000.

Orphan Cleanup Blobs Per Iteration

Specifies the number of BLOBs that can be checked in a single transaction for the orphan cleanup garbage collection phase. The default value is 1000.

Orphan Cleanup Blobs to Enumerate Per Iteration

Specifies the number of BLOBs to enumerate in a single call to the BLOB store for orphan cleanup. The default value is 1000.

Max Consistency Issues Found

Specifies the number of consistency issues of a single type that can be found before further checks will be cancelled. The default value is 1000.

Max Consistency Issues Returned

Specifies the maximum number of consistency issues that will be reported by the maintainer. The default value is 100.

5. Specify the maintenance tasks as described in the following table.


Note: After you successfully create a Maintenance Task, you can view the Windows Task Schedule defined in Task Scheduler > Task Scheduler Library > EMC > SourceOne > RBS. You can choose to immediately run the selected schedule.

RBS log levelsRBS logs events of the following category into the SharePoint trace log:

Configuring SharePoint trace logs for RBSTo configure the logging level for the SharePoint trace logs for RBS:

1. At the SharePoint Central Administration website, select Monitoring > Configure Diagnostic Logging.

2. In the Event Throttling section, select EMC SourceOne SharePoint RBS.

After the RBS farm feature is activated, the trace category is created and displayed as shown in the following figure.

Solution retraction status continues to display “Retracting”

Problem After you retract a solution, the status continues to show Retracting instead of Retracted.

Solution Stop the SharePoint 2010 Timer service and restart it.

Activating a feature fails after deploying a solution

Problem You are not able to activate a feature after deploying a solution.

Solution Deploy the solution and wait for some time, then manually activate the feature. The solution deployment requires some time because it is done through a asynchronous Timer Job.


Troubleshooting

RBS Configuration links are not displayed

Problem The RBS configuration links are not displayed on the SourceOne Administration site.

Solution Manually activate the RBS Premium UI Farm feature.

Unexpected error on the Microsoft SharePoint 2010 server

Problem You encounter an error on the SharePoint 2010 server.

Solution 1. Turn “Unknown Error” to more detailed useful error message.

2. Open the web.config of the Web application that you are accessing.

For example, if you are accessing http://server:80/, open the following file:

C:\Inetpub\wwwroot\wss\VirtualDirectories\80/web.config

3. Perform the following:

• Set <SharePoint><SafeMode CallStack = “true” …>

• Set <system.web><customErrors mode=”Off” />

• Set <system.web><compilation debug=”true”>

4. Set <customErrors mode="Off" /> for the following files:

• C:\Program Files\Common Files\Microsoft Shared\Web Server Extensions\14\TEMPLATE\LAYOUTS\web.config for Content Web applications.

• C:\Program Files\Common Files\Microsoft Shared\Web Server Extensions\14\TEMPLATE\ADMIN\web.config for Central Administration.

Now, you can see the following detailed error description instead of meaningless “Unexpected Error” or “Unknown Error”.

Note: After the "unexpected error" is resolved, ensure that these configuration entries are reverted to the original values.


Troubleshooting

Assembly manifest definition does not match assembly reference

Problem The located assembly's manifest definition does not match the assembly reference.

Solution Reset IIS to allow the Web application to load the latest deployed assemblies from Global Assembly Cache.

Error message displays after activating SourceOne RBS Provider

Problem An error message displays as shown in the following figure when you activate SourceOne RBS Provider.

Solution Activate again.

BLOBs are saved to Content Database instead of in a SourceOne RBS store

Problem Although SourceOne RBS is created for a Content database, BLOBs are still being saved to the Content database.

Solution Set the active provider to the RBS store that you have created. RBS migration does not work if the active provider is set to “None”.
