Introduction
This user guide provides information about Employment Separation Certificate Services in Business Hub for employers to conduct business with Services Australia.
An Employment Separation Certificate is used by Services Australia to ensure we pay our customers the right amount from the right date.
An Employment Separation Certificate confirms details about an employee who has either:
left your employment
decreased their working hours
changed from full time employment to casual work.
You should provide a certificate to an employee if requested. This notice is given under either Section 196 (if received from Services Australia) or Section 199 (if received from a former employee) of the Social Security (Administration) Act 1999 and allows a former employee or Services Australia to obtain this information. Please consider giving a printed copy of the information to the employee for their own records.
What is Business Hub?
The Business Hub is an online, secure service for registered personnel to log in and connect to a range of business services offered by Services Australia.
How Do I Register?
To access Employment Separation Certificate Services in Business Hub, users must first register and verify their details through an authentication service called Provider Digital Access, PRODA.
To access PRODA, go to servicesaustralia.gov.au/PRODA
What is PRODA?
PRODA is an online authentication system based on a user name, password and verification code.
Personnel needing to access services offered through the Business Hub must first register for PRODA by creating a PRODA account. Personnel registered in PRODA will receive a Registration Authority (RA) number to connect to the Business Hub.

About Employment Separation Certificate Services
When you have successfully registered for Provider Digital Access (PRODA) and Employment Separation Certificate Services in Business Hub, you can securely lodge the certificates with Services Australia online.
When you first log into Business Hub, if you are linked to multiple organisations, select the organisation that you want to act on behalf of.
Under Your services from the Business Hub Home page, the Employment Separation Certificate tile can be
selected if you wish to provide an Employment Separation Certificate to Services Australia.

You can enter details about the employee, then select Next

Once the employee details have been entered, you can provide their employer details, then select Next.

Please provide the employment separation details, including employment start/end date, reason for
separation, final gross payment and average weekly wage, then select Next.
If the person was paid long service leave and worked full-time, please make sure you have marked the
appropriate box against whether the payment was made based on a 5 or 7 day week.

The next screen allows you to select the final payment types paid to the employee. Please select all
payments relevant to the employee.
Following the selection, you will be presented with separate screens related to each of the payment types
selected.

You will have an opportunity to review the information you have provided on the Review and Submit page.
If you want to change any of the responses you have provided, select the ‘Edit’ action to update.
Finally, tick the ‘I accept this declaration’ box, then click Submit

Once the Employment Separation Certificate details are submitted, a Confirmation page will display with a
Receipt number. Please save this Receipt number for any future enquiries.

Freedom of Information and the certificate
All the information contained in, or attached to the certificate may be released to any person under the
Freedom of Information Act 1982. If you want this information treated in confidence, please complete the
relevant section of the form to indicate which information, and give your reasons.
This will be considered if a request is made under the Freedom of Information Act 1982.
What you need to use this service
• Personal details of the employee, such as their full name and date of birth.
• Employment separation details including key dates and reason for termination.
• Termination Payment and Leave details for the employee.

Definitions
Long Service Leave
If the person was paid long service leave and worked full-time, please make sure you have marked the
appropriate box against a 5 or 7 day week.
Average gross weekly wage
This is usually contained in the industrial instrument that applies to a workplace (i.e. the appropriate award,
workplace agreement or common law contract). Some workplaces include regular overtime and allowance
as part of their average weekly wage.
