Over the past 25 years, Kean Miller LLP has grown to become the largest law firm in the Capital Region of Louisiana with 125 lawyers, 325 employees, and four offices. As a natural consequence of this growth, the firm’s business processes had become more complex and multifaceted. To keep up, management implemented several technology enhancements to help streamline the increasing number of procedures.

Kean Miller has used Enterprise for its financial and practice management needs since 2000. In 2007, the firm decided to take its business processes to the next level and assigned Business Process Analyst Vicki Lee, also known as “The Green Queen,” to lead the initiative.

For several reasons, the New Business Intake process was the first on the list to be transformed. The paper form, a double-sided, legal-sized sheet, was cluttered and confusing, and management often wanted to add new fields that simply would not fit. Completing the form required duplicate efforts to capture the required information.

Lee networked with several people to inquire how they manage workflow and eventually concluded that the obvious solution was Process Manager, a solution resulting from a long-standing partnership between Thomson Reuters Elite and Metastorm®, a market-leading business process management company. Process Manager helps firms standardize and automate processes to improve productivity.

The automated workflow provides a level of visibility into the entire process that never existed before, allowing the staff to be more proactive at an early stage. For example, the billing supervisor is able to view the electronic forms as they are routed through the process. She can make any changes before the information is entered into our database, ensuring that time is captured properly on the matter right from the beginning.

From Lee’s perspective, the effort to automate business processes was not just about improving workflow, but also changing a mindset. “We have forward-thinking partners who are really serious about reducing our footprint by becoming a more paperless office,” shares Lee. The Green Queen heavily promoted the eco-friendly angle during training to get people excited.

She experienced very little resistance during this process; however, she did have to make concessions to help change people’s behavior. “We had to wean some people off of printing forms since they were very familiar and comfortable with a hard copy audit trail. So we customized a search in Process Manager that allowed users to go back and access these original forms at any point in time,” says Lee.

Lee is already reporting a significant decrease in the company’s overall paper usage—adding to the firm’s endeavor to ”go green” and reduce its hard costs. The automated process also reduces soft costs through single data entry and increased accuracy. The team is able to set up new clients and matters three to four times faster than the old, paper-based system.

Duane Morris LLP, a 650-lawyer firm based in Philadelphia, is frequently acknowledged among top law firms for its success in utilizing technology. As a longtime Enterprise customer, the firm has implemented numerous Enterprise software modules to efficiently manage its large workforce around the globe. Yet at one point, the firm had outgrown its custom-built financial reporting application. “Our proprietary reporting system was so time intensive,” says Mike Kinney, Financial Analysis Manager at Duane Morris. “We were taking data out of the current system, dumping it into Microsoft Excel®, creating pivot tables, and running macros and complex formulas.”

It was obviously time for a change. Firm management needed to identify a solution that provided accurate data warehousing as well as robust functionality to create meaningful, action-able reports in short order. “We met with four organizations that each promised us they could provide us with the perfect solution,” Kinney recalls of the selection process. “While some of them were just start-ups, others were more established, including Thomson Reuters Elite.”

Ultimately, the team selected the Reporting and Analytics Foundation (RAF) solution because of their comfort with the company and the people. Most importantly, the solution can easily operate directly with the firm’s current Enterprise system. The RAF reporting tools enable the team to present the data in a very aesthetic and actionable way. The firm is able to identify and analyze trends and other key performance indicators with greater accuracy and ease, and is able to accelerate access to information with individual reporting functionality.

The team at Duane Morris was also impressed with the capabilities of the Performance Dashboards, which give management-level insight into all aspects of the firm. This system helps the firm manage its operational and profitability analysis activities with aggregated, high-level visualizations that can be drilled into with a few clicks.

During the process of converting existing reports, Kinney and his team were very pleased to condense several previous reports into just one. “It’s fantastic. We had a menu of about 100 reports that we cut down to about 35. That’s the beauty of this solution. RAF gives us a whole new playing field where we can bring in different fields, metrics, and variables and merge them together to create one report that accounts for all the information previously required in multiple reports,” he says.

For Duane Morris, the time and effort in implementing RAF has been well worth the investment. “It’s an involved process, but the end result is so much better than what we previously had,” Kinney adds. “Every day you realize a different functionality or capabilities, and you say, ‘Wow, that’s pretty amazing.’”

Thomson Reuters Elite offers ways to address these challenges, and Ropers, Majeski, Kohn & Bentley, a national law firm based in Redwood City, California, has chosen to take full advantage of the opportunity.

Patti Bentley, Director of Information Systems at Ropers, is a firm believer in user groups. “User groups are very valuable as they allow us to obtain more information about the system and how other firms are flexing the system. And attending the user group meetings keeps us abreast of their plans for future releases,” says Bentley. “I personally enjoy networking with staff from other firms who can share their own ways of using the system.”

In addition to providing opportunities to meet with fellow users, the user group meetings ensure regular access to our developers. The meetings include demonstrations of applications that often uncover valuable tips and tricks that users might not have known about. Ropers has especially benefited from a team approach and Web-based options for resolving issues. When Ropers first upgraded to Enterprise, the transition to the new Windows interface presented some training issues for users. To expedite the learning process, Thomson Reuters Elite established a direct communication link between Bentley and the department’s Practice Management Support Team (which provided support for Records Manager, Conflicts Manager, and Case Manager), allowing her to directly contact any team member by phone or email and receive immediate assistance.

Resolution of issues may be catered to the unique circumstances of the situation. This might be one-on-one communication or remote options that can involve groups of users. For example, after we made major enhancements to Records Manager in Enterprise, many of the users at Ropers were struggling to quickly learn and adapt to these changes. To help the firm efficiently and successfully complete the rollout of the new functionality, we turned to WebEx, an interactive Web-based tool that allowed users to simply log in from their own machines and participate by conference call in online training sessions. After a few convenient question-and-answer WebEx periods, users were brought up to speed, and a smooth transition ensued.
