BrisStyle Markets :: Policy and Procedures Please read this document carefully and completely as it forms part of the Application Process. It

contains all that you will need to know about applying and trading at all the BrisStyle Markets (BM’s)

BrisStyle Markets (BM’s) The BrisStyle Markets (BM’s) refers to all types of markets and events run on behalf of all eligible BrisStyle members: BrisStyle indie Twilight Market (BiTM) A night market held in King George Square, which is exclusively for handmade creations, which have been designed and made by BrisStyle Members. BrisStyle indie Market: (BiM City Hall location) A monthly boutique styled market held at City Hall, Brisbane exclusively for handmade creations, which have been designed and made by BrisStyle Members. This market is a stand alone, curated market and has a different set of policies to the other BM’s.

Event Style Markets BrisStyle indie Market: (BiM Hamilton location) An event style destination market held at St Augustine’s church hall and grounds in Hamilton which is exclusively for handmade creations which have been designed and made by BrisStyle Members. BrisStyle indie Eco Market (BiECO): An event style destination market exclusively for handmade eco-friendly goods, which contain a mixture of preloved, salvaged and recycled materials made by the BrisStyle Member. Vintage and vintage inspired goods, collectibles and destash items from the BrisStyle member may also be sold at this event. Please read thoroughly the specific criteria for each market before submitting your application.

1. Philosophy (All BM’s) The BrisStyle Markets give all eligible BrisStyle members, whether established or emerging, an opportunity to showcase their creations in a friendly and supportive environment. Although there is a dedicated team behind the scenes, it is essentially the combined enthusiasm and networking of all BrisStylers that contributes to the overall success of each and every Market.

2. Aims (All BM’s) Each BrisStyle Market aims to: • SUPPORT our Creative Community • CREATE opportunities for BrisStyle Members • PROMOTE Handmade • ACTIVATE Creativity • STRENGTHEN our Local Community

3. Eligibility (All BM’s) a. All members are welcome to apply given that they meet the criteria for each market as detailed in

this document. b. This process is selective and if unsuccessful you will be encouraged to request feedback. c. All handmade products must meet the standards outlined in this document. d. Applications must be supported by 1 product image per category of all wares you intend to sell at

the markets. Images need to be clear close-ups of your wares with detail and finish and be no larger than 1000kB - 72dpi; or

e. if you have an online presence or website there will be provision to include the link so we can see examples of the items to be sold at the markets.

BrisStyle Inc. reserves the right to refuse any members application as well as ask for the removal of any stock on the day of trade, if they fail to meet the criteria set out in this document.

4. Payments (All BM’s) All market fees must be paid on approval of your application to ensure that your site is secured. It is the members’ responsibility to make payment on time. No reminders will be sent and all payment and application deadlines can be found in the Application Calendar for reference. If payment of your market fee is not received by the due date your site will be forfeited immediately. Market fees cover all relevant advertising, Group Public Liability Insurance, payment of market staff and all associated set up costs including but not limited to venue hire and cleaning costs. If you are unable to pay your market fee by the due date please contact [email protected] as soon as possible before the due date to arrange a payment plan. Please note that this is only offered in special circumstances. 4.1 Refunds

a. Please note all events are finalised at least 14 days prior to each event. No refunds will be issued more than 14 days prior to any actual market date.

b. If you decide not to trade after the 14-day period or on the day for any reason no refund will be issued.

c. If BrisStyle cancels an event for any reason less than 14 days before an event, no refunds will be issued.

5. What Can Be Sold (All BM’s) With the exception of vintage and supplies, which may be sold at the BiECO, only handmade items can be sold at the BrisStyle Markets. The following standards apply:

a. The items must be locally handmade by the individual member or partnership. b. The member/partnership contribution to each finished product must outweigh the contribution or

any commercial component used in the making of that product. Skill of craft, creativity, interpretation and design are examples of member contribution.

c. Products must be of high quality and meet relevant safety standards. d. Products must not contain mature content (see s.1.6 Mature Content) e. 75% of each completed product must be produced locally to the member/partnership.

Approval is based solely on the wares submitted at the time of application and does not grant a automatic approval for other items. Members adding new products will need to have their new product range approved prior to each market. It is the responsibility of the member/partnership to have relevant safety registration, certificates and/or licenses as well as relevant copyright/royalty usage agreements where relevant. BrisStyle Inc. reserves the right to prohibit anyone from selling at the markets and/or any product from being sold at the markets. Category Specific Guidelines While BrisStyle Inc. encourages all forms of making from component assembly to fine arts, items sold at any of the BrisStyle Markets must reflect your signature style and comply with the standards listed above. Following are specific examples and criteria that define standards set by BrisStyle Inc for the BrisStyle Markets. Artwork: Original artwork must be created by the member/partnership. Artwork not produced by the member/partnership may not be sold. Commercially produced reproductions of the member/partnerships original artworks are permitted in the form of prints, cards, postcards, posters, canvases, fabric and t-shirts etc. Badges, Pins, Stickers: Each item must be produced from the original artwork of the member/partnership. The use of copyright free images is permitted. Body/Skin Care Products: Only body care items handmade by the member/partnership are permitted and must reflect the signature style of the member. All body care products including shampoo, conditioner, soap, moisturiser, perfume and henna must be created by the member / partnership and comply with the mandatory standard outlined by Product Safety Australia. Although commercial fragrances may be used to scent products, commercial preparations and bases are not permitted. Products must be clearly labeled listing all ingredients. Beadwork: (see Jewellery)

Earrings, Necklaces, Bracelets: (see Jewellery) Clothing: Clothing must be labeled in compliance with the Australian/New Zealand Standard AS/NZS 1957:1998, Textiles – Care Labeling. More information can be found at Product Safety Australia. Commercial clothing items that are dyed, screen-printed, appliqued, transferred or embellished etc. must be of basic generic design without details other than the basic requirements. i.e. plain t-shirts, singlets, shorts etc. Any artwork applied must be the member/partnerships own original design. Applique of commercial material or design is allowed so long as the piece is embellished to reflect the member/partnerships creative input. Commercially made or recycled/vintage garments may be used where the item has been substantially altered reflecting the member/partnerships creative input. Screen-printed items must display the member/partnerships original artwork/design and should be either printed by the member/partnership or by a local screen-printing business. Offshore printing is not acceptable. Collage: A collection of images or items displayed by the member/partnership to create a unique piece that is visually new and different to the original images used is acceptable. For more information see Artwork. Food/Consumables: Members/partnerships are not permitted to sell food/consumable of any kind at any market. All food vendors are arranged through BrisStyle by invitation only. Furniture: All furniture pieces must be handmade by the member/partnership reflecting their creativity and signature style. Furniture pieces must fit within the stall dimensions you are provided with. Hats, Scarves, Bags and other Fashion Accessories: Hats must be created by the member/partnership and have a label which states that they are handmade by the member. If commercially made hats are utilised as part of the design they must be substantially altered or embellished to reflect the member/partnerships creative input and signature style. Commercially made hats embellished with one other commercially made item i.e. flower or applique will not be permitted. Scarves must be created by the member/partnership and have a label which states that they are handmade by the member. If commercially made scarves are utilised in the design, they must be substantially altered or embellished to reflect the member/partnerships creative input and signature style. Commercially made scarves embellished with one other commercially made item i.e. flower or applique will not be permitted. Home-wares: All textile based home-wares i.e. cushions, tablecloths etc. using commercially produced or vintage/preloved fabrics must be handmade by the member/partnership. A locally based seamstress/assistant may be utilised for sewing cushions etc. where the member/partnerships own original artwork is the main feature of the design i.e. the member/partnership has had their own fabric printed and made up into a sewn product. All other home-wares i.e. resin, glass must be handmade by the member/partnership reflecting their creative input and signature style. Candles must be handmade by the member/partnership and comply with the rules set out by Product Safety Australia.

Jewellery: Commercial component usage must be secondary to original handcrafted components and/or the member/partnerships creative input and signature style must be reflected.

Commercial component assembly permitted: Any finished jewellery item using commercially made embellishment components i.e. cabochons made into a ring or earring. Jewellery embellishment items include but are not limited to: cabochons, beads, gemstones, repurposed items such as buttons, pencils, knitting needles etc.

Commercial component assembly not permitted: Any finished jewellery item using two commercially made jewellery components that only have one end use i.e. a commercially made pendant, strung on a commercially made chain. To turn this coupling into a permissible product, the member/partnership must add further embellishments that reflect their signature style and assemble the chain themselves.

We encourage all members to produce their own handmade components where able and to explore all avenues in developing their brand and defining their signature style. Beadwork: Stringing single strands of commercially produced beads together, is permitted based on design and creativity. All pieces must reflect the member/partnerships creative input and signature style. Earrings, Necklaces, Bracelets: Commercial components are permitted if they are incorporated into a handmade item that reflects the member/partnerships creative input where the components are a part of the overall design, not the whole of it. Moulds (Resin, Soap, Crayons, Ceramics, Candles etc.): Members/partnerships may use commercially produced moulds of generic shapes i.e. squares, cylinders etc. Commercially produced moulds of more complicated design i.e. geometric designs, ornate frames, flowers etc. are permitted if they are incorporated into a handmade item that reflects the member/partnerships creative input and signature style. Finished items made using moulds handmade by the member/partnership using man-made items must reflect the member/partnerships creative input and signature style. Pottery/Ceramics/Glassware/Resin-work: all pieces must be the original artwork of the member/ partnership. Services: Services may not be sold at the markets without prior arrangement. BrisStyle may invite members to offer craft related service at their stall either in the form of free demonstrations, make and take workshops or paid services such as henna art etc. It is not permissible for members to sell places at private workshops etc. Soap: (see Body Care Products) Soft Toys, Softies: All soft toys, softies must be handmade by the member/partnership. All items must meet the Safety Standards as set out by Product Safety Australia. Text only Craft Items: Text only items eg. Quotes etc. must be produced by the member/partnership using a craft technique i.e. printed by the member/partnership etc. Each item must reflect the member/partnerships creative input and signature style.

6. Mature Content The BrisStyle Markets aim to maintain a marketplace appropriate for general audiences therefore the use of mature content must comply with the following policies. Mature content is defined as visual depiction of male or female genitalia, sexual activity or content, profane language or graphic violence. a. Mature content and/or profane language or images are not allowed in your trading name, banner, or products and anywhere else in your market stall. b. Pornography is strictly prohibited. 6.1 Prohibited items Each BrisStyle Market seller warrants that his or her use of their market site complies with all applicable laws. Beyond the legal issues, BrisStyle members are responsible for making important moral or ethical decisions regarding what they sell at the BrisStyle Markets. Some items are inappropriate for The BrisStyle indie marketplace, even though they may otherwise meet the general selling criteria. You may not sell the following types of items at any of the BrisStyle Markets:

Alcohol

Tobacco

Drugs, drug-like substances, drug paraphernalia

Live animals, illegal animal products

Pornography

Firearms and/or weapons

Recalled items

Real estate

Motor vehicles (automobiles, motorcycles, boats, etc.)

Items that promote or glorify hatred, racial, religious intolerance

Items that instruct others to engage in illegal activity

7. Production Assistants Production assistance for certain intermediary tasks in some crafts may be acceptable. The following policies govern use of production assistance in the creation of handmade items:

a. An assistant, under the direct supervision of the seller, may: assist with a portion of the creation process, list items in a shop, ship items, communicate with buyers, accounting or other record keeping.

b. A third-party vendor may be used for intermediary tasks in some crafts. Acceptable examples include, but are not limited to: printing the seller's original artwork, metal casting from the seller's original mold, or kiln firing the seller's handcrafted ceramic work.

c. An assistant or third party vendor's involvement may not comprise of 50% or more toward a handmade item's creation. If it does they will be recognised as a co-contributor and both parties must be financial members of BrisStyle Inc. for those items to be sold at the markets.

8. Lighting (for the BiTM and special outdoor night time events only) All Stallholders must supply sufficient battery powered lighting throughout their stalls to ensure the safety of all customers as well as themselves. Please find several tried and tested lighting options below and if you discover any other effective ways to light your stalls please feel free to email the details through to: [email protected] as well as share your best practices via the BrisStyle Google Group Forum. TOP TIP: As soon as you erect your marquee set all of your lighting up ready to go. Ensure all lighting is in place with batteries fitted well before you put out any stock and that way you’ll always be prepared for that twilight rush! 8.1 Interior stall lighting options Battery Operated LED lights: The preferred lighting used by regular marketeers is the LED Strip lighting from Springer’s at Tingalpa who offer BrisStyle members a special deal. These easy to install LED’s give a superb “bright as day” feel, which illuminates the whole interior of your marquee - giving you security while showcasing your wares. The marketeers currently using these lights have seen an increase in sales as it has enhanced the shopping experience for their customers. All good camping and hardware stores sell a variety of smaller LED lights from approx. $10 ea. Marketeers recommend that if investing in these lights that they are least 600 - 800 Lumens. These are effective for spotlighting your displays as many have magnets and hooks attached to suspend them directly above your work. A great compliment to the LED Strip lighting to further showcase your wares. TOP TIP: If you are a regular marketeer then consider the cost of supplying batteries to the cheaper lights versus the investment in the strip led lighting, which come with a rechargeable battery. REMEMBER: It is MANDATORY that you supply ample lighting throughout your Marquee to ensure the safety of both your customers and yourselves. Having your stalls well lit is also important for the overall security of your wares and valuables as well. Please ensure that any lights that are hung or suspended throughout your marquee are all lights are securely attached at all times.

8.2 Exterior\decorative lighting options Whilst the following suggestions will not give off a lot of light they can add to the overall look and ambience of your stall: Battery Operated Fairy Lights and Battery Operated Lanterns: Both of the above decorative lighting options can be found online and as Battery Operated Fairy Lights are becoming more mainstream they are available in most department and variety stores for as little as $5. NB: Any electric lights that are attached to battery packs etc. must have all been ‘tagged and tested’ by a licensed operator before being able to be used on site. The BrisStyle committee reserves the right to ask you to remove any items that do not comply with all the safety standards. TOP TIP: Have trial run at home to see what best suits your particular set up

9. Assurances (All BM’s) 9.1 Occupational Health and Safety We are committed to achieving the highest possible standards of Occupational Health and Safety. Therefore you must at all times ensure that:

a. You act with the highest regard for the safety of all persons, all property, and the general public and with the utmost regard for each market venue.

b. Ensure your entire stall stays within your allocated site boundaries. c. Ensure that all equipment used on, at or for your site is safe and secure at all times. d. That your stall is kept clear of rubbish and must be left tidy at the end of each market. e. Ensure that any electrical equipment used at any of the BM's must have current certification and is

cleared by the market management prior to use. The market team will them physically check your tags and connections on the day. Please ensure that any of your leads or power boards are secured and safe within the boundaries of your stall and do not cause a hazard to yourself, fellow stall holders or the public in any way.

f. Ensure that no open flame is lit within any of the market venues or under stallholder’s marquees. g. Ensure that all Queensland State Government regulations governing No Smoking are adhered to

regarding outdoor public places where people gather as groups, and particularly where children are present, and food is served.

9.2 Insurances, Registrations, and Licenses The BrisStyle Markets provide general Public Liability Insurance (PLI) for all stallholders, however all stallholders are to ensure that they obtain their own specific Public Liability Insurance and that their goods, services and business practices comply with all relevant safety, product and trade legislations. 9.3 Liability

a. If you assign any other person other than yourself to manage and operate your stall on your behalf (an assignee) you must ensure that that they are aware of all the BM’s Policies and Procedures as outlined in this document as well as any other circulars relating to the running of the market.

b. Having an assignee take your place on market day does not excuse you from any liability or obligation. You will remain liable for any acts and omissions of your assignee as if they were your acts or omissions.

c. Upon assigning a replacement to take over your stall - You must either lodge your assignees full name and telephone number at the time of application or email their details through to [email protected] at least 24hrs before the event. In this instance that this is a last minute change please contact the Market organiser/emergency contact directly via phone.

9.4 Indemnity If you enter any of the BrisStyle Market venues you do so at your own risk. You must extend this to any assignees, and they are to be aware that they enter the venues at their own risk too. Each Stallholder must agree to indemnify BrisStyle Inc. and all the BrisStyle Market venues against any claim in respect of the following:

a. Personal injury or death. b. Loss or damage/destruction to or loss of use of all property real or personal. c. Any other liability, loss or damage in respect of breach of agreement or professional negligence. d. BrisStyle Inc. and all the BrisStyle Market venues accept no liability for any damages or costs

whatsoever arising, either directly or indirectly from products sold by stallholders. 9.5 Open Flames The lighting of any flame whether it is for candles or incense etc is strictly prohibited: Inside any of the market venues

Directly under marquees at any of the market venues

10. Courteous Behaviour (All BM’s) The BrisStyle Markets have been built on a reputation of warm and friendly courteous behaviour, therefore please adhere to the criteria outlined in the Membership Policy and Procedures, Code of Conduct and Core Values document whilst trading at any of the BrisStyle markets and events.

11. Promotion (All BM’s) The success of our past BrisStyle Markets has come through the enthusiasm generated by various forms of promotions:

a. The Brisbane City Council’s LIVE Guide, website and for the BiTM - inner city signage. b. Brisbane City Council sponsored A-frames at the entrance to each venue. c. The BrisStyle e-Newsletter emailed to our growing database. d. The BrisStyle blog and website. e. Listings in over 50 online tourist and event websites. f. Press releases/editorials to Brisbane based magazines, newspapers, radio and TV stations.

11.1 Your part in the Promotion The BrisStyle Markets greatest source of promotion though, is with the combined efforts of all BrisStyle members. Here’s how you can start contributing straight away:

a. Use all your social media outlets to let your fans know about your preparation leading up to the markets:

i. Include new products to be launched along with old favourites. ii. If it’s your first market you may consider sharing pictures of your market stall prep

and design /layout. iii. What kind of stall you’ll be in and where it will be (i.e. on the Grand Ramp etc)

b. Install the relevant market buttons on your blog with a direct link to the event pages on the

BrisStyle website. c. Email your own databases to let them know of your participation – dates and where to find you etc. d. Distribute the official BrisStyle indie Market fliers to your local schools, cafes, gyms, letterboxes,

online and market sales etc. e. Promote the markets through your favourite social networking sites such as Facebook, Instagram

and Twitter etc.

12. BrisStyle indie Twilight Market (BiTM) A night market held in King George Square (KGS), which is exclusively for handmade creations, which have been designed and made by BrisStyle Members. Where: King George Square, Brisbane City When: Friday nights (various throughout the year) Bump in: 3-4pm (allocated time slots are given to those using the KGS driveway) Trading time: 5-9pm Bump out: 9-10pm (allocated time slots are given to those using the KGS driveway) Equipment: Marquee*, table(s), chair(s), appropriate lighting (see s. 8), sandbags * Marquees may be available for hire: $50 3x3m Marquees including sandbags

12. 1 Application Process All eligible members will be required to submit a BiTM application form as per the dates and times outlined in the current Application Calendar. All the standards outlined in s.5 What can be sold section of this document must be met as well as those specific to the BiTM as outlined in this section. a. The markets are mapped out with particular categories in particular positions. Therefore you will be slotted into a site that fits your category for each market as the applications come through. Only as a last resort will two of the same categories be placed side by side.

b. All requests for sites will be on a “first in, first served” basis with requests being filled as per the availability of sites for your particular category.

The BrisStyle Market Crew and Committee Members hold key site positions throughout the markets to assist in the running of the markets during the day/ night. Please understand that these sites will be unavailable for allocation. 12.3 Site Information King George Square (BiTM) Twilight indie Sites (Centre / Side or Grand Ramp sites)

a. 3m x 3m b. These sites are for marquees only that will fit within the 3m x 3m area. c. Equipment, stock and shade structures must not extend outside of your 3m x 3m site.

You will need to supply:

a. Floor length table cover/ tablecloth so that nothing that is stored under your tables is visible. b. Your own marquee, sandbags, tables, chairs, and display equipment

12.4 Sharing Your Site You may share your space with one other member only and ensure that your displays compliment one another and be of the highest standards. You will both need to apply separately. No shared sites will be permitted after applications close.

12.5 Co-Op Sites The Co-op provides an entry to the market experience and is also a promotional exercise for your business. It gives all participants the opportunity to meet and interact with their fellow members in a nurturing environment. The Co-op is perfect for those just starting out as a marketeer as well as those who wish to promote their businesses on a smaller scale.

a. Each participant will have half of one trestle table (approx 90x80cm) to display stock.

b. Members involved in the Co-op must be available for the entire day of market trade to sell their own products unless otherwise organized with the BrisStyle team.

c. Policies and procedures outlined in this document apply to all Co-op participants. d. Tables, chairs and marquees (if applicable) will be provided at no extra cost.

12.6 Stall Presentation Please ensure your floor length tablecloth/cover is sufficient to hide any items stowed beneath/ behind your table.

Be as creative as you can in bringing your handmade wares to life while you adhere to all the relevant occupational health and safety requirements outlined in this document as well as achieving a high level of presentation to your overall display.

All items sold at the markets need to be of the highest handmade quality and reflect the signature style of each participant.

The following need to be adhered to:

Your stall may not resemble a discount store.

No large price-point signs are permitted.

All price-point signage needs to be subtle and not dominate your stall.

Your overall product display must be thoughtfully and artfully put together.

Having discounted bulk items placed into receptacles on your table will not be permitted. The BrisStyle Inc. Committee reserves the right to refuse the application of any member found to be repetitively setting up their stalls at any BrisStyle Market in a way which does not fit within the stall presentation standards as outlined in this document. The BrisStyle Inc. Committee also reserves the right to ask you to remove any display items, which contravene this document. 12.7 Mandatory Equipment (Please familiarise yourself with the Risk Assessment that covers these areas in more detail). Lighting: You must supply sufficient battery powered lighting to light your stall so as to not endanger yourself or our customers whilst navigating through your stall space. Gazebo/Marquee: you must supply a weatherproof marquee that is firmly secured (especially roofing) which will fit into the size of your site and no larger. Please note that due to OH&S requirements umbrella’s are not be permitted. BiTM Only: All marquees are now required to have all weather padding between the marquee feet and the surface of KGS. This can be as simple as four pieces of rubber, vinyl or carpet. Weather Protection: you must supply adequate weather protection for yourself during set up as well as whilst trading. Walls and tarps/plastic covers are highly recommended in wet weather conditions and must be secured when in place.

Sandbags / Weights: you must supply 4x 10kg+ high quality weights and they must be securely fitted to every leg of your marquee. Secure Displays: you must also supply weights for all freestanding display items including racks and ensure that they are secured and weighted. Please also not that there is no water access in King George Square, so it is recommended if you are using water weights you bring them pre-filled.

Market umbrellas will not be permitted at any market for safety and security reasons. All outdoor stallholders must ensure that their marquees, displays, wares and all wet weather protection are installed properly and secured appropriately. The BrisStyle Market team will do a spot check at the beginning of each market to ensure that all safety requirements have been met. If any marketeer fails to meet the mandatory safety standards as outlined in this document they may be refused to trade until the problem is rectified. 12.8 BiTM Risk Assessment Document 12.9 Traffic Management (Bump In/Out Procedures) Parking Vouchers Special vouchers for all stallholders to park underneath in KGS car park for the nightly rate of $12 from 3pm in the afternoon until 11pm have been arranged for all stallholders. (TBA at Christmas) Your vouchers will be delivered to your stall during the market and you must present your $12 voucher to the parking attendant when exiting the KGS Car Park. Please remember that failure to present your $12 voucher will result in you being charged the daily rate of approx $30. Also please note that this is a very special privilege afforded to us by the City Council so please be courteous to the attendant at all times and please don’t ask for any further discounts. KGS Car park height restrictions are 1.9m. If your vehicle exceeds this restriction there is alternative parking in Albert Street. Traffic Management The Brisbane City Council require BrisStyle to have a succinct Traffic Control plan in place for all stallholders who need to bring their cars into the square via the KGS driveway to unload. All cars entering KGS driveway require Vehicle Permits.

If you require access to the KGS driveway for either bump in /out then you will need to lodge your car details as part of the application process.

If you are not sure which car you will be bringing there will be provision to list more than one car.

The Epicure Traffic Controllers will issue permits to each car upon entry to the KGS driveway.

If a car arrives at KGS that is not on the list, they will not be permitted entry.

City Malls may also fine any car without a permit.

All vehicles must adhere to their 10min drop off and pick up slots, which will be determined by site location.

Increased traffic on KGS driveway KGS is a major city thoroughfare with up from 15 – 25,000 people passing through it each day. City Hall also sees a high amount of foot and vehicle traffic via this driveway. Please ensure you turn on your hazard lights when entering the driveway, keep your speed no faster than 10km p/hr and be aware of your surroundings at all times.

Safety First Safety is our #1 priority and we will always work with the KGS team to ensure that this is met for all parties involved. Patience Sometimes for reasons beyond our control, procedures may be different to what we have communicated to the members prior to each event. If this is the case, we ask that you exercise patience and understand that we are working together to achieve the safest outcome for all involved. Delineators (barrier bollards and tape) Delineators may be utilised to section off one area of the square at a time for both your safety and that of KGS pedestrians. The site map will be divided up into sections and you will be given a slot time. You will ONLY be able to place goods / set up in your site at your given slot time. Bump In Times (slot times) As mentioned above, each section will have a specific slot time which you will need to adhere to. There will be a full hour from the last slot time to market start to ensure that even the slowest of set ups are ready to trade by 5pm. Bump Out Times Bump out times will be staggered but won't be affected by delineators due to the low pedestrian factor. Those taking longer to pack down should prepare to only bring their cars in closer to 10pm so they are able to leave their cars parked for a little longer e.g. Bump in: Staggered in 10min increments between 3pm and 4pm Bump out: Staggered in 10min increments between 9pm and 10pm How will this affect my Application? Please be aware when submitting your applications the slot times will be allocated as such: 1. Grand Ramp 2. Centre Pods 3. Side Sites These procedures may change closer to each event date. Unless otherwise instructed by Epicure, the KGS Management team, Traffic Controllers or BrisStyle Market Crew:

All cars will be directed to the available drop off spots on the day.

Be prepared that if there is heavy external traffic on the driveway we will have to work in with and take direction from Epicure. This may mean that bump in is slowed down and certain sites may need to wait to set up their stalls.

Trading may begin as soon as you are set up and the delineators are taken down.

KGS driveway is a drop off zone only and fines may be incurred if your car is left parked for more than your 10min slot time.

Please do not park on the KGS driveways and start setting up your stall, as there are a lot of cars coming through one after the other.

If unloading your car requires extra time then please notify the Traffic Controllers immediately.

For OH&S purposes, please do not arrive prior to 3pm as access to the square either via car or walking in will not be granted (Christmas TBA) as there are still crucial operations happening on the square before that time

Bump In / Out Directions: KGS: Directions to and from KGS Car Park

From the KGS Driveway to the KGS Car Park

Enter the KGS driveway via Adelaide St

It’s the only driveway that runs up beside City Hall.

Once your goods and equipment have been deposited exit via Anne St

Wait until the lights change for the pedestrians to cross and cross over into Roma St.

You will see the KGS Car Park on your right.

The signage will indicate that you can do a U-turn to the Car Park entrance.

Follow the levels down until you find a park – the closer to the lift the better.

The lift will bring you out directly onto KGS just behind the Groove Train Restaurant.

From the KGS Car Park to the KGS Driveway

Exit the KGS Car Park onto Albert Street then turn right into Anne St as it’s One Way.

You’ll see a sign ahead for North Quay so get into the far right lane.

Turn left into North Quay from Ann St.

Then turn left again into Adelaide St.

You’ll see the entrance to KGS running up past City Hall where you’ll turn left and drive in.

12.9 Weather This policy has been devised to ensure the health and safety of all participating BrisStyle members, whether situated in the open or undercover. With this in mind, as well as BrisStyle Inc. being a community and not a business; some compromises may need to be made to accommodate everyone in the case of inclement weather.

12.10 Decision to Trade a. Each stallholder whether situated outside or indoors has the right to choose whether or not to

trade on the day. No refund of site fees will be issued (see s. 4.1 Refunds) b. BrisStyle Inc. and the management of each venue accept no liability for any damages or costs

whatsoever arising, either directly or indirectly from damage or loss incurred due to inclement weather.

Inclement Weather In the event that inclement weather is forecast the markets may be relocated to the covered and fully lit deck area above the Groove Train Restaurant located on the right hand side of KGS.

The Brisbane City Council reserves the right to cancel any event depending on the extent of any inclement weather forecast. If this takes place no refunds will be issued.

The KGS Deck The deck can be accessed either by the ramp to the left of the deck / the stairs to the right of the deck that run up beside the Groove Train, directly from Ann St or from the lifts straight from the KGS Car park. Time permitting, all stallholders will be notified via email should the markets be relocated to the deck or cancelled. 3m x 3m Sites:

a. Will convert to a trestle table space (1.8m x 1.5m) in lieu of a 3m x 3m site. b. Sharing: If you have planned to share your 3m x 3m marquee site please be prepared to also share a trestle table space on the deck. c. Marquees will not be permitted due to space. d. The deck is lit but we encourage you to still bring your lighting. e. Although the deck has a large awning over it, be prepared with wet weather gear for yourself as well as coverage for your goods should it become windy. f. Each site will fit either a standard 1.8m trestle table or a rack. Please only take up the space allocated to you unless otherwise notified.

If there are cancellations, we will endeavour to give those who have paid for a full site more space but please remember that we are working in adverse conditions and sometimes this may not be possible.

Co-op Sites:

Will trade in their allocated pairings with tables supplied as per normal.

Bump In and Bump Out: a. To alleviate the traffic in the lift, the KGS driveway may still be utilized for drop off and pick up.

Please take direction from Epicure staff. b. If using the driveway, please stick to the times on the vehicle management plan to alleviate

traffic flow in the lift. c. You will be allocated a site on arrival unless otherwise advised via way of a Deck Site Map. d. The easiest and driest way to bring your goods to the deck is via the KGS Car Park lift, the stairs,

which run up the right hand side of the deck or the graduated ones that run up the left hand side.

e. If parking directly underneath, you may arrive as early as 2pm and start setting up but please be aware that the parking vouchers don’t start until 3pm and you may need to pay the difference.

Lift Etiquette: There may be up to 100 people needing to use the lift during set up and pack down. Please be considerate of your fellow BrisStylers and communicate with each other any challenges you may be having. Consider using the square to drive in and unload instead of using the lifts.

13. BrisStyle indie Market :: City Hall (BiM) A monthly boutique styled market held at City Hall, Brisbane exclusively for handmade creations, which have been designed and made by BrisStyle Members. This market is a stand alone, curated market and has a different set of policies to the other BM’s. Where: City Hall, Ann Street, Brisbane City When: 2nd Saturday of each month Bump in: TBC (allocated time slots are given to those using the KGS driveway) Trading time: 9am-2pm (9am-4pm Christmas trading) Bump out: TBC (allocated time slots are given to those using the KGS driveway) Equipment: Stock and display equipment only (tables and chairs supplied)

The BiM City Hall is curated market which features BrisStyle members who:

Maintain a unique signature style with products that are original and recognisable as their own.

Produce finished products to high standards.

Demonstrate a high level of stall presentation and branding.

To ensure the highest level of presentation of the City Hall venue:

Stallholders will be selected based on their application.

Category numbers may be limited depending on the variety of applications received.

The market layout will be curated based on product categories, not on when applications are received.

Stallholder positioning may be rotated each time.

Each stallholder will be required to use a white, floor length tablecloth with their own signature covering over the top if they wish.

IMPORTANT: The first in, first served policy does not apply to the application process or positioning of stalls. Please take your time to apply, as applications will be open for a full week. 13.1 Application Process

There will be two types of forms to choose from for each event: the City Hall Application Form and the City Hall Booking Form. All Eligible members will be required to submit the appropriate form as per the dates and times outlined in the current Application Calendar. All the standards outlined in s.5 What can be sold must be met as well as those specific to the City Hall BiM as outlined in this section. Please refer to the current Application Calendar for exact dates and times

a. City Hall APPLICATION FORM (for first time applicants or for changes to your original application.)

You will need to complete the City Hall Application form:

The very first time you apply.

Each time you add a new product category to your range.

If you alter the process in which you produce your handmade products.

Whenever you significantly change your stall display.

Clear Images: The quality of your products and your own unique signature style must be conveyed in your images. Images need to be crisp and clear and show function as well as detail. Please ensure images are under 1000KB and no higher than 72dpi. Product Descriptions: You must explain why your products are unique and what elements make up your signature style. Process: You must clearly outline your design process and explain how and where your products are handmade. Branding examples: You must supply images of your branding to show that your products are “retail ready”. Visual Merchandise examples: As well as product images you will be requested to supply images of your stall presentation. This is to ensure a high level or appearance for the overall market as well as selling success for you. You will be required to either supply images of your current stall set up or written description of your proposed display. Biography: You must have an active profile on the BrisStyle website to apply.

b. City Hall BOOKING FORM (Reapplying with no changes to your original Application form.) If all the information that you submitted in your original City Hall Application form is current, you will only need to complete a City Hall Booking Form to register for each market. You will only need to complete the basic information required, as all of your details will be taken from your previously completed City Hall Application Form.

13.2 Site Information

a. 2.5mx2m b. 1x 1.8m trestle table and 2x chairs will be included as part of your site. You will not need to bring

your own table or chairs. Should you not require a table you can mark this on your application or booking form.

c. Displays and equipment must not extend outside of your site boundaries. 13.3 Shared Sites

Are not permitted at the City Hall markets. 13.4 Co-op Sites

Will not be available at these markets.

13.5 Stall Presentation

Each stallholder will need to have a white floor length tablecloth, which can be covered with a coloured overlay of the stallholder’s choice.

Please ensure your white floor length tablecloth/cover sufficiently hides any items stowed beneath/ behind your table.

14.7 BiM St Augustine's Risk Assessment

14.8 Traffic Management (Bump In/ Out)

St Augustine's Car Park is a drop off zone only.

Bump in times will be staggered in 10min timeslots between 7am and 8.30am. No slot times are

required for Bump Out.

Hazard light must be on and a speed limit of 10kmph or less adhered to.

Please adhere to the No Parking signs and follow the BrisStyle car park Marshall’s directions.

Unload your car and leave your goods on the grassed area in between the car park and grounds and

move your car immediately.

Do not leave your car and ferry things to your site unless you are one of the sites directly in front of

the car park.

Do not set your marquee up until all your stock is unloaded. (Fashion stalls will be given the last

drop off time and will be permitted to hang their stock directly into their marquee, as long as it is

done in a timely manner).

Street parking is plentiful so if you prefer not to use that car park just ferry your wares from there.

Please take note of the parking restrictions.

The driveway at the entrance to the hall is for the use of the food stalls only and is not to be used by

For Bump In - all cars must be removed from the car park by 8.30am.

In wet conditions spaces in the car park may be limited. Please use extreme caution.

Remember the first golden rule of Marketeering: "Don't park where your customers need to park!"

14.9 Weather Please note, that this policy has been devised to ensure the Health and Safety of all participating BrisStyle members, whether situated in the open or undercover. With this in mind, as well as BrisStyle Inc. being a team not a business; some compromises may need to be made to accommodate everyone in the case of inclement weather. 14.10 Decision to Trade

a. Each Stallholder whether situated outside or indoors has the right to choose whether or not to trade on the day and no refund of site fees will be issued.

b. BrisStyle Inc. and the management of each venue accept no liability for any damages or costs whatsoever arising, either directly or indirectly from damage or loss incurred due to inclement weather.

a. If inclement weather is forecast and the grounds are deemed unfit to host outside stalls we will advise all stallholders of the conditions at the earliest possible time.

b. We will aim to make a decision at the earliest possible time and notify all participants via email c. If inclement weather occurs on the day we will notify all participants via the BrisStyle forum on the

morning of the event.

15. BrisStyle indie ECO Market (BiECO) An event style destination market exclusively for handmade “Eco Friendly” goods, which contain a mixture of preloved, salvaged and recycled materials made by the BrisStyle Member. Vintage and vintage inspired goods, collectibles and destash items from the BrisStyle member may also be sold at this event. 15.1 Application Process All Eligible members will be required to submit a BIECO Application form as per the dates and times outlined in the current Application Calendar. All the standards outlined in s.5 What can be Sold of this document must be met as well as those specific to the BiECO as outlined in this section. Please refer to the current Application Calendar for exact dates and times 15.2 What Can Be Sold at the BiECO Eco Friendly Handmade Creations – Made By You

a. Any handmade creations sold at the BiECO must contain a minimum of 50% salvaged, re-used, preloved, re-cycled, eco/earth friendly or organic materials.

b. They must also comply with the general What can be sold criteria as outlined in this document. 15.3 Vintage Vintage goods and vintage collectibles may only be sold at the BrisStyle indie Eco Market (BiECO); the following information details the criteria and guidelines regarding listing these items:

a. All items that are sold as Vintage must be at least 20 years old. b. Preloved items that are Vintage inspired with an upmarket Vintage appeal are also allowed and

must be labeled as such. c. All items in this category must be well presented in a creative way as not to resemble a jumble sale. d. Unaltered items or items which have been repaired or restored to their original condition are also

allowed to be sold. e. Upcycled, reconstructed or significantly altered vintage items are considered handmade and are

also allowed at the BiECO Markets. 15.4 Destash Items and Preloved/ Salvaged, Recycled and Handmade Crafting Supplies Handmade and commercial preloved/salvaged/recycled/vintage crafting supplies are permissible at the BiECO. These items need to be merchandised and presented in a way as not to resemble a flea market or jumble sale. These may include but are not limited to:

a. Jewellery supplies such as beads and findings b. Fat quarters, fabric remnants, buttons and other craft supplies c. Patterns, pattern books d. Ex market display items

15.5 Site Information - To Be Advised - As the BIECO is an event style market and site specific 15.6 Stall Presentation Please ensure your floor length tablecloth/cover is sufficient to hide any items stowed beneath/ behind your table.

Be as creative as you can in bringing your handmade wares to life while you adhere to all the relevant occupational health and safety requirements outlined in this document as well as achieving a high level of presentation to your overall display.

All handmade wares sold at the markets need to be of the highest quality whilst still reflecting the signature style of each participant.

Therefore the following will need to be adhered to:

Your stall may not resemble a discount store.

No large laminated price-point signs are permitted.

All price-point signage needs to be subtle and not dominate your stall.

Your overall product display must be thoughtfully and artfully put together.

Destash items must be neatly and artfully presented. The BrisStyle Inc. Committee reserves the right to refuse the application of any member found to be repetitively setting up their stalls at any BrisStyle Market in a way which does not fit within the stall presentation standards as outlined in this document. The BrisStyle Inc.
