Catering Contract
Thank you for selecting the Everett Golf & Country Club for your upcoming event.
Everett Golf & Country Club is where fond memories are made as we pride
ourselves on our tradition of excellence at the Club and take great honor in assisting
you with your special event.
To confirm your reservation, please sign and return this contract along with a Member
Sponsorship form signed by your Member Sponsor, and a deposit that will be arranged with the Cater-
ing Coordinator. Please note the Terms & Conditions attached to and made a part of this agreement.
CONFIRMATION & GUARENTEE:
All arrangements are considered to be tentative until the contract has been signed and returned to the
Everett Golf & Country Club with a deposit and signed Member Sponsorship form. The
guarantee of attendance must be provided to the Catering Coordinator at least one week in
advance of the scheduled event, with minor changes accepted up until 72 hours in advance.
If no guarantee of attendance is provided, the greatest original expected number on the Event
Order would be considered the final guarantee of attendance. Food must be ordered for the
guaranteed number of attendees. The Everett Golf & Country Club will be prepared to serve 5% over
the guaranteed number presented in your final count.
You will be charged for the number of guaranteed guests, plus any additional guests serve. It will be the
discretion of the staff at the Everett Golf & Country Club to determine how many guests are served.
A Banquet Event Order (BEO) will be sent to you by the Catering Coordinator once arrangements have
been finalized regarding timeline, food, beverages, and setup. It is required that you sign and return
this BEO to the Catering Coordinator no later than three (3) days before your event to as an agreement
that all details are correct.
ROOM RENTAL FEES & EVENT PRICES:
All rooms are subject to a rental fee, set up fee, and clean-up fee which will be collected as a deposit at
the time of booking. All events are given a five hour block of time. Each additional hour is $200.

ROOM RENTAL FEES & EVENT PRICES CONTINUED:
Prices are guaranteed 30 days prior to your event. Expect prices to change as the market changes. Prices
do not reflect mandatory service charge and applicable sales tax. A service charge of 20% is applied to all
food, beverage, and event services. Food, beverages, and service charge will be taxed at the current local
tax rate (9.7%).
PAYMENT:
A deposit is required to secure your event date. This deposit is dependent on the time of day of your
event, as well as the space that is needed. You will be given 14 days to return your deposit, signed con-
tract, and Member Sponsorship form. The deposit is non-refundable and will be applied to your final
bill as the Room Rental Fee. An invoice will be sent to you with the full charges once your event is over.
It is expected that you submit a full payment two (2) weeks after the conclusion of your event.
CATERING SERVICES:
All food and beverages must be supplied by and consumed at the Everett Golf & Country Club. Due to
Health Department regulations, any remaining food items cannot be removed from the premises with-
out the signing of a waiver. This policy applies to all perishable foods, including entrées for guaranteed
number of guests unable to attend. All buffets are scheduled for a 90 minute time-span in order to keep
food fresh and temperature controlled.
It is permitted that events bring in dessert, so long as it is provided by a licensed business. A “Cakeage”
charge of $5.00 per person for cakes and pies or $50 for any single serving desserts (cupcakes, cake
pops, doughnuts, etc.) will be charged to your final invoice. Your baker should supply boxes should you
wish to take any left-over desserts with you.
BEVERAGE SERVICES:
Beverages are charged on a per-consumption basis. All beverages consumed at the Everett Golf & Coun-
try Club must be purchased through the Everett Golf & Country Club. Absolutely NO beverages may be
brought on-site at any time prior, during, or following an event. If an outside beverage is found, it will
be confiscated.
All Washington Liquor Control Laws will be strictly enforced. Everett Golf & Country Club reserves the
right to refuse service to anyone. Washington State Liquor Regulations prohibit the sale of alcoholic
beverages to anyone other than members and their Sponsored guests. No liquor will be served to minors
and an identification card will be required for all beverages. If a situation occurs that could, in any way,
jeopardize the Club’s Liquor License, the on-duty manager is permitted to close the banquet bar at any
time. All bar service will end a half-hour before the events’ ending time, or 11:30 at the latest.
Only if you are required by Washington State Liquor Laws to bring in your own liquor to the Everett
Golf & Country Club may you do so by obtaining a Banquet Permit or Special Event Permit. IF this is
required, you will be responsible for Labor and Corkage Fees from the Everett Golf & Country Club. Ad-
ditionally, you must deliver and take home the liquor yourself.

MENU SELECTION:
A catered menu is required for bookings of 15 or more persons. You may choose to order from one of
our menus or you may create your own with the help of our Catering Director. Your menu selection
must be communicated to the Catering Department no later than two weeks in advance of your event.
If your menu selection is not received in this time, the Everett Golf & Country Club reserves the right
to determine all or part of your menu for you.
If a date is booked less than two weeks out, the menu and details must be confirmed one week prior to
your event. If a date is book less than one week out, you have 24 hours to create your menu selections
and finalize your details.
Everett Golf & Country Club requires a minimum of $30 per person for hors d’oeuvres and dinner
events. When planning a seated menu, you may choose up to one salad, three entrées, and one des-
sert. If you choose two or more entrées, you will be charged per plate on the highest priced entrée. Ad-
ditionally, should a party elect to offer two or more entrée selections, the party is then responsible for
providing place cards for the tables that indicate each individual’s meal selection, as well as providing
a guaranteed number for each entrée at least one week in advance.
Once a meal and timeline have been selected, the Catering Coordinator will send you a finalized Event
Order, which will outline all details of your event including timeline, menu choices, and beverage se-
lections. This Event Order must be signed and returned to the Catering Coordinator three (3) days be-
fore your event as an agreement that all of the outlined details are correct.
DECORATIONS & DAMAGES:
The Catering Department must have all vendor contact information and schedules for the day. Pho-
tography on-site is permitted, providing it does not interfere with golf or other Club activities. No
tape, nails, tacks, birdseed, glitter, or rice is allowed. All decorations must be set up by the party and
taken off Club premises at the conclusion of the event. The Club is not responsible for decorations left
overnight. All parties are subject to a clean-up fee of $200 per hour for any clean up beyond normal
maintenance. If club property is damaged during your event, you will be responsible for additional
damage/replacement charges.
ENTERTAINMENT:
All entertainment must be approved by the Club and conform to the standards of the Club's entertain-
ment policies. The Club requires that you inform the Catering Coordinator of names and contact num-
bers of entertainers, set-up time, arrival time and the items for which they are contracted to play. Any
special set-up or power needs must be determined in advance. Entertainment may not continue be-
yond the pre-designated time unless additional hours have been arranged in advance.
You are subject to a $200 labor charge per hour if you wish your event time to be extended during the
course of the event. All vendors must be off the premises no later than 1 hour after event ends or addi-
tional labor charges will be incurred. No function will last beyond 12:00am.

CELLULAR PHONES & DRESS CODE:
When entering the Club property, please place your cellphones and all other electronic devices on vi-
brate or on silent mode. Exceptions to this policy may be made in case of emergencies, such as acci-
dents, injuries, or illnesses to the people on the course, in the Clubhouse, or anywhere on the proper-
ty.
All Everett Golf & Country Club members and their sponsored guests are expected to adhere to the
dress code. Acceptable attire, in keeping with the season and functions, will be worn by all members,
their children, and sponsored guests of the Everett Golf & Country Club at all times.
CANCELLATION:
Should you need to postpone or cancel your event, prompt written notice must be given to the Cater-
ing Coordinator.
If the event is cancelled less than 72 hours prior to the event, one hundred percent of anticipated
food and beverage costs is payable to the Everett Golf & Country Club.
Any deposits given to the Everett Golf & Country Club in order to reserve a room and date are forfeit-
ed if a cancellation needs to occur. Deposits are transferrable, should you wish to postpone your event
to a later date.
