ABSTRACT REQUIREMENTS

1   The abstract should contain new work,

not yet published.

2   The correct topic must be selected to

Abstracts may only be submitted via our

online system. The rst time you use the

system, you must create your own submitter

account. Using this account, you are able to

create, edit and submit multiple abstracts.

  Submitters can go back and make changes

to, or delete, a submitted abstract until the

submission deadline, 20 October 2013

(midnight CET).

Prior to the submission deadline, thesecretariat will maintain contact with the

abstract submitter. Once this deadline has

passed, all uture communication will be with

the presenting author. Please make sure this is

clearly communicated between submitters and

presenting authors, to avoid conusion.

I you have successully submitted your

abstract, you will receive a conrmation

email. I no conrmation email is received

within 48 hours, the abstract cannot be

considered as successully submitted and

accepted. Please contact the secretariat

to check the status o your abstract.

  Abstract withdrawal: I you would like

to withdraw an abstract ater the

submission deadline, please contact

SUBMISSION PROCEDURE

WHAT DO I NEED BEFORE STARTING MY SUBMISSION?

  Take some time to read through the track andsession topic descriptions beore you write and

submit your abstract.

Prepare your abstract text in a word processing

programme (e.g. Microsot Word) or easy copy-

pasting into the online orm.

  Your brie biography (max 100 words).

Biographies should summarise your current

position, educational qualications, brie 

career details and major work achievements

to date, including any areas o specialisation.

Biographies should be written in the thirdperson and should be clear and concise. I your

abstract is selected or presentation at the

conerence, your biography will be published in

the online conerence programme.

  Your proessional photo. The head andshoulder photo should be in JPEG ormat,

sized at least 350 × 450 pixels and no

larger than 2MB. I your abstract is selected

or presentation at the conerence, your

proessional photo will be published in the

online conerence programme.

  Inormation on co-authors, i applicable (ull

name, organisation and email address).

Example o brie biography:Mr. Windmill has been working in the wind industry for almost 20 years. He is currently a senior 

consultant at the International Wind Research Institute in Windtown. He studied electrical power 

engineering and automation at the University of Applied Science in Windtown. After his studies 

he spent 12 years at Company X in various roles and has been involved in projects Y and Z. His 

research is focused on the grid connection of electrical systems and components.

SECTION 3: WHAT HAPPENS NEXT?

STEP 1: ABSTRACT REVIEW PROCESS AND NOTIFICATION OF ACCEPTANCE

STEP 2: PRESENTATIONS AND FULL PAPERS

The Review Committee will review all abstracts thathave been submitted on time and in the specied

ormat. This will take place rom mid-October 2013.

Reviewers can recommend abstracts or:

  Oral presentation

  Poster presentation

  Rejection

The scored abstracts, together with the

recommendations o reviewers and any additional

comments, are made available to the Lead Session

Chairs (LSCs). The LSCs will prepare sessionproposals, identiying the abstracts they wish to

include in their session (or oral presentation).

The session proposals will be discussed and

nalised at a meeting o Lead Session Chairs, Track

Chairs and EWEA sta, in early December 2013.

All accepted authors will be required to produce apresentation (either oral or poster) and a ull paper.

Science & Research Track ull papers linked to oral

presentations will be included in the hard-copy EWEA

2014 Scientic Proceedings to be distributed onsite;

all ull papers (including posters) will be included in

the EWEA 2014 online conerence proceedings.

Science & Research Track ull papers and

presentations must take into account the comments

made on the abstract by the reviewers. The paper

must ollow the prescribed editorial style, and a ‘reply 

to reviewers’ is mandatory. The nal ull paper willbe reviewed once more and will be recommended

or nal acceptance, conditional acceptance subject

to minor modications, or rejection. The organisers

reserve the right to withdraw any ull papers (and

corresponding presentations), which have not met

these requirements.

Presenting authors will be notied o theoutcome o their submission by email (rom

[email protected]) as o late

December 2013.

Please note that some sessions only oer the

possibility o a poster presentation. These are

clearly marked in the session topic lists.

SECTION 4: ADVICE FOR

ABSTRACT SUBMITTERS

HOW TO WRITE A GOOD ABSTRACT

Purpose: The single most important thing aboutan abstract is that it is a short document that

is intended to capture the interest o a potential

reader o your paper. Thus in a very important

sense it is a marketing document or your ull

paper. I the abstract is poorly written or i it is

boring then it will not encourage a potential reader

to spend the time reading your work and will be

poorly scored as a consequence. Thus the rst

rule o abstract writing is that it should engage

the reader by telling him or her what your paper is

about and why they should read it.

When answering a call or abstracts a number o 

actors need to be kept in mind to ensure that your

abstract has a good chance o being accepted.

1   Read the explanation o the abstract scoring

process, so you understand the criteria your

abstract will be marked on.

2   Ensure that your ideas are well thought out and

ollow a logical, coherent fow:

A.State the issue to be discussed

B.Give a brie background to the issue

C.Brie description o what you are doing

about it

D. Implications/outcomes: why is what you’ve

done important?

3   Ensure that the abstract relates to the

session topic:

A. In a ‘real’ and not contrived way: i it doesn’t

t then don’t submit

4   Ensure your abstract will contribute tothe conerence:

A.Highlight why your work is innovative –

what new ideas/research will you bring

to delegates?

B.How is your work relevant to delegates –

what will they learn & what can they take

back to their jobs?

5   Title: Short attention-catching titles are the

most eective. However, it is also important,

or a conerence paper, to ensure that the title

describes the subject you are writing about,so make sure it’s not too ‘clever’ or obscure.

Avoid using acronyms in your title.

6   Ensure that practical aspects o the abstract

comply with requirements, including word

limits, specied ont type, size and ormat.

7   Look at past abstracts/conerence papers

to pick up the tone and style o successul

abstracts.

8   Run your abstract past someone amiliar with

the topic you wish to present.

9   Finally, remember that your abstract serves

two purposes:

A.To interest and intrigue the committee so

they will select it

B. Introduce/outline your topic or the online

programme – to give delegates a good idea

o what to expect.

SECTION 6: TECHNOLOGY TRACK –

ABSTRACT SCORING PROCEDURE

HOW ABSTRACTS ARE SCORED BY REVIEWERS

Reviewers will be asked to score abstracts on 4 criteria:

RECOMMENDATIONS

As well as providing a numerical score or your abstract, each reviewer

will make a recommendation. The options available to reviewers are:

1 Innovative content

Does the abstract present truly innovative

ideas and creative solutions to new or known

challenges within the industry? Submissions

showcasing cutting-edge ideas and approaches

will be avoured.

2 Relevance to session topic

Abstracts whose content ts well with the

session topic will be scored highly.

3 Contribution to industry knowledgeAbstracts should help the conerence

contribute to the progression o the industry 

as a whole. Particular emphasis will be given

to abstracts that provide useul outputs and

practical advice & tools or the audience in

their daily work.

4 Quality o presentation

A.Abstracts should be logical, well-structured

and easy to understand.

B.Abstracts should present complete

inormation. Where important results aremissing, or when more time is required to

gather inormation, abstracts will score lowly.

  This abstract should be rejected

  I strongly recommend that this abstract is

selected or poster presentation

  This abstract is more suitable or poster

presentation than oral presentation

  This abstract is more suitable or oral

presentation than poster presentation

For each criterion, the abstract will be marked rom

0 – 5, giving a maximum score o 20. Each abstract

is reviewed by a number o dierent reviewers, and

the average score out o 20 is calculated.

The 0 to 5 scale or each criterion is:

  0 = criterion is non-existent

  1 = very poor, little or no accomplishment

o the criterion

  2 = poor, criterion is only achieved on asupercial level

  3 = acceptable, abstract has ullled the

criterion but is not remarkable

  4 = good, abstract perorms strongly as

regards this criterion

  5 = excellent, abstract is exemplary as

regards this criterion

  I strongly recommend that this abstract is

selected or oral presentation

are intended to guide the Lead Session Chair.

They do not guarantee the fnal outcome.

SECTION 6: TECHNOLOGY TRACK –

ABSTRACT SCORING PROCEDURE

WHAT HAPPENS AFTER THE ABSTRACTS ARE SCORED?

  Each session at EWEA 2014 will have a LeadSession Chair (LSC).

The LSC will be given access to all the

abstracts submitted or their session,

together with their average score and the

recommendations o reviewers.

The LSCs select the abstracts they wish to

include in their session – this is based on the

scores & recommendations o reviewers, but

also takes into account the scope and balance

o the session.

Lead Session Chairs are ree to choose the

abstracts they wish to include, but are given

the ollowing benchmarks as guidance:

• Abstracts with an average score o more

than 14 OR at least one reviewer strongly 

recommending oral presentation should be

considered or oral presentation.

• Abstracts with an average score o less than

10 OR at least one reviewer recommending

rejection will be considered or rejection by 

the relevant Track Chair.

• Abstracts not considered or rejection, but

not selected or oral presentation will be

oered a poster presentation.

HOW DO I SUBMIT AN ABSTRACT?

To submit an abstract in the Science & Research Track,

please ollow the guidelines below:

WHAT IS THE SCIENCE & RESEARCH TRACK?

  The author must submit an abstract which

should include the approach, relevance,

innovation, results and conclusions.

  The abstract should be in text ormat. Tables,

graphs and images can be included.

  It must describe work that has been done at

the moment o submission, not work that willbe done.

  The style o writing may be brie and

incomplete, as long as the essential steps in

the research are clear and convincing.

The EWEA 2014 Science & Research Track is

organised in cooperation with the European Academy o Wind Energy, a world-leading wind energy academic

& research community. The Science & Research

Track aims to bring EWEA 2014 delegates leading

edge wind energy research results, keeping Europe

in the oreront o wind energy innovation. The

Science & Research Track oers a orum or in-depth

presentations and discussions on progress and

results o wind-energy related scientic research.

In addition to the general guidelines and rules outlined in the Abstract Kit,

submitters o Science & Research Track abstracts must respect the

ollowing requirements.

  It should contain new work, not yet published

and should not describe work presented at

other conerences.

  It should contain a complete reerence list that

is not included in the word count given on the

website.

The intended audiences will be colleague

researchers and engineers rom R&D institutions,universities and industry.

The scope o work presented will range rom

long-term research to analysis, development and

improvement o design tools.

The Science & Research Track is not intended to

address the direct application o R&D results and

tools, which will be presented in the Technology Track.

Abstracts may onlybe submitted via our

online system.

TRACK – ABSTRACT SCORING PROCEDURE

HOW ABSTRACTS ARE SCORED BY REVIEWERS

Reviewers will be asked to score abstracts on the ollowing criteria:

RECOMMENDATIONS

As well as providing a numerical score or your abstract, each reviewer

will make a recommendation. The options available to reviewers are:

1   The abstract has to describe work that has

been done at the moment o writing the

extended abstract, not work that will be done.

2   While the style o writing may be brie and

incomplete, the essential steps in the research

must be clear and convincing.

3   The abstract should contain new work, not yet

published.

4   The abstract should include a complete

reerence list.

5   The methodology and results should be

plausible and ree o errors.

  Conditional acceptance as oral presentation,

including a ull paper

  Conditional acceptance as poster presentation,

including a ull paper

  Rejection

6   The work in the abstract should be up to

date as regards previous knowledge and the

contribution o others.

7   The work should be scientically/technically 

relevant.

For each criterion, the abstract will be marked rom

1 – 3, giving a maximum score o 21. Each abstract

is reviewed by a number o dierent reviewers, and

the average score out o 21 is calculated.

The 1-3 scale or each criterion is:

  1 = not sucient

  2 = adequate

  3 = good

Please note the recommendations o reviewers

are intended to guide the Lead Session Chair.

They do not guarantee the fnal outcome.

WHAT HAPPENS AFTER THE ABSTRACTS ARE SCORED?

  Each session at EWEA 2014 will have a LeadSession Chair (LSC).

  The LSC will be given access to all the

abstracts submitted or their session,

together with their average score and the

recommendations o reviewers.

  The LSCs select the abstracts they wish to

include in their session – this is based on the

scores & recommendations o reviewers, but

also takes into account the scope and balance

o the session.

  Lead Session Chairs are ree to choose the

abstracts they wish to include rom the ull range

o scored abstracts, with the ollowing exception:

• To ensure the quality o the Science &

Research Track, abstracts scoring less than

an average o 14 will be considered or

rejection by the Track Chair.

• Some o these abstracts may not be rejected

i the Track Chair eels there are signicant

actors to warrant their inclusion in the

Science & Research Track (as a poster

presentation)

  For accepted authors, presentations and ull

papers must be prepared. More inormation

about this can be ound on pages 4 and 6.
