From the National PresidentEarly Childhood Australia invites you to participate in the 30th National Conference—This is Childhood to be held in Darwin, Northern Territory at the Darwin Convention Centre from 5–8 October 2016.

As many of you are aware, the ECA Conference is considered the premier early childhood education and care conference in Australia. The successful Seasons of Change 2014 conference in Melbourne, Victoria included 1800 delegates and 23 sponsors. These sponsors contributed to the success of the event, and importantly, recognised others who work with children in a variety of roles within the sector and advocate for young children in Australia. The Melbourne conference also included a record number of trade exhibitors with 75 exhibitors occupying 101 booths to promote their goods and services to the delegates.

The 2016 National Conference in Darwin promises to bring together early childhood educators, academics, leaders and other allied professionals in an environment of collegiality. The conference’s focus on pedagogy and practice in the early years is an opportunity to be inspired to expand our thinking, be imaginative about the future, to discover the potentials and to create strong communities which will, in turn, contribute to improved outcomes for young children.

We invite you to be an integral part of the conference in Darwin by becoming a sponsor or exhibitor. A wide range of options for both sponsorship and exhibition is available for your consideration. This is Childhood will provide a wonderful opportunity to promote your organisation and its services, while at the same time supporting a major professional event for participants who play such a vital role in the education and care sector.

ECA will ensure that sponsors are acknowledged in pre-conference promotional material and during conference proceedings. The Exhibition Hall will be open from 7.30 am each day of the conference. Meals and breaks will be located in the Exhibition Hall to further provide maximum exposure for exhibitors and sponsors.

We are the peak early childhood advocacy organisation, acting in the interests of young children, their families and those in the early childhood field. ECA advocates to ensure quality, social justice and equity in all issues relating to the education and care of children aged birth to eight years. This is an ideal way to promote your company as a ‘knowledge broker’ or supporter of knowledge development in the early childhood sector. ECA is committed to supporting the diversity of individuals and organisations working to strengthen the wellbeing of young children. Scholarships are to be offered to rural and remote-based educators to ensure the widest possible representation at the conference. Travel scholarship funds will be pooled and all scholarships will be acknowledged equally. Exhibition boothsExhibition booths play a very important part in the conference. The exhibition area has been designed to ensure maximum visibility and accessibility to facilitate interaction between delegates and exhibitors.

To maximise exposure, morning and afternoon teas will be served in the centre of the exhibition area, and the lunch period will also include time for exhibition viewing. As an exhibitor you will receive acknowledgment on the conference website and in the Conference Pocket Program.

We aim to take every opportunity to conserve natural resources and consolidate environmental sustainability as an integrated component of the conference operations. We aim to create minimal waste and consider the environmental impacts of the conference proceedings in relation to energy, food and packaging.

How to purchase a booth?In keeping with our drive to improve environmental sustainability all booths available for the 2016 Conference can be purchased online at https://eca.eventsair.com/conference-2016/exhibition.

Subsidised booth initiativeECA introduced a subsidised booth initiative for the 2014 Conference, which was well received. We recognise exhibiting at the conference is prohibitive for some organisations, so we would like to continue this initiative. ECA recognises that some organisations may find it difficult to participate in the conference because of limited resources and/or long travel distance. To provide an opportunity and reduce barriers to participate at the 2016 Conference, ECA is offering a small number of subsidised exhibition booths to support organisations that otherwise would not be able to exhibit at the ECA Conference.

Details of the subsidised offer

ECA has set aside five (5) single exhibition booths available at a significantly reduced rate of $750 (inc. GST).

Eligibility criteria

Preference will be given to not-for-profit organisations, small organisations and volunteer groups.

Selection criteria:

1. Demonstrate a social purpose related to the rights andwellbeing of young children.

2. Outline the potential value to the conference and itsdelegates of your exhibit.

3. Explain why you would be unable to exhibit at theconference without the subsidy.

Please note: Do not apply for a subsidised booth if you do not meet the criteria. Subsidised booths will be granted on merit and at the discretion of ECA. Following the announcement of the decision, ECA will not enter into discussion with unsuccessful applicants to justify the decision. If you are not successful through your application you stand the chance of not being able to exhibit due to the limited number of subsidised booths available. You cannot apply for a subsidised booth while securing a full priced booth.

All suitable applicants will be eligible for consideration for the reduced exhibition booth at a cost of $750 (inc. GST) to exhibit at the 2016 ECA National Conference.

Requirement

You must be prepared to attend the full three days of the conference, be available to meet with ECA and have photos taken for later inclusion in media and promotion by ECA, and provide feedback on the conference and the value of the subsidy following the conference.

Booth allocation Please select your preferred booth and make payment. Conference organisers make every effort to accommodate exhibitors’ preference; however, priority access is given to some conference sponsors.

Final confirmation on allocated sites will be confirmed approximately two months prior to the conference.

Access to the exhibition areaExhibitors will have access to their booth from 12 noon Wednesday 5 October; exhibitors can continue to prepare their displays until 4.00 pm that day.

At the conclusion of the conference, booths should be dismantled after lunch on Saturday 8 October. Dismantling must be completed by 3.00 pm.

Prior to bump-in—exhibitor equipment may be freighted up to five days ahead of the conference (no earlier than this).

Post bump-out—exhibitor equipment will be stored for up to three days after the conference (no longer than this).

Please note: Exhibitors are solely responsible for any goods left behind. The Darwin Convention Centre and Early Childhood Australia will not be held responsible for any goods left behind.

Sponsorship and Exhibition Terms and ConditionsBy registering online for either exhibition/sponsorship you agree to the following terms and conditions. Early Childhood Australia does not accept any responsibility for any errors, omissions or changes.

Exhibition/Sponsorship Booking Terms & Conditions

Finance

1. Exhibition/sponsorship packages are available for purchase online, please visit www.ecaconference.com.au.

2. All prices are in Australian Dollars and include GST.

3. Payment is required at the time of booking.

4. If you pay by electronic funds transfer or an international cheque you agree to pay any bank charges and must include these in the amount you transfer.

5. Full payment must be received by COB 15 January 2016. If the balance of the payment is not received by the due date, the allocated sponsorship or exhibition booth may be cancelled.

6. You will not receive any sponsorship or exhibition entitlements (including booth allocation) until all monies have been paid.

7. You must notify the conference organisers in writing if you intend to cancel sponsorship or an exhibition booth.

8. No sponsor shall assign, sublet or apportion the whole or any part of their exhibition and/or sponsorship package except upon prior written consent of the Conference Managers.

9. Cancellations made before 15 January 2016 will be refunded less 50 per cent of the total purchase price. Cancellations made after this date will not be refunded.

10. Cancellations will not be considered if ECA deems that sponsorship entitlements have already been provided prior to the submission of cancellation.

11. All costs associated with advertising, display space, printing, branded gifts (and such cost incurred with sponsorship or exhibiting) are to be covered by the sponsor or exhibitor.

12. Sponsorship monies will facilitate towards the successful planning and promotion of the conference in addition to subsidising the cost of management, communication, invited speakers, program and publications. Sponsorship monies are not expended on any entertainment incurred which is incidental to the activities of the conference.

On-site

1. Your application to sponsor or exhibit does not constitute an attendee registration.

2. All exhibition staff present at the conference must register for the conference.

3. During the bump-in and bump-out times, all people present in the Exhibition Hall must wear protective clothing including enclosed shoes and high visibility vests, which are to be purchased or supplied by the exhibitor.

Exhibitors

1. We reserve the right to ask you to remove any display items we deem as unacceptable.

2. Advertising material (e.g. banners) is not allowed outside the designated booth area. Obstruction of the aisles or walkways, in any form, is not allowed.

3. Excessive noise, which inconveniences other exhibition or conference delegates, is not allowed.

4. You will be responsible for any reasonable costs of repairing the booth or premises if you paint, mark or damage any fixtures or fabric.

5. You are solely responsible for any physical loss or damage to your own property.

6. Public and Product Liability insurance to a minimum of $10 million must be taken out by each exhibitor at their own expense. A copy of the organisation’s Public and Product Liability certificate must be submitted to the Conference Managers at the time of submitting their booking form, or by no later than 24 June 2016.

7. Nails, staples and pins should not be used on the booths to mount or attach items. Small gauge screws (e.g. six or eight gauge) can be used (please contact Fusion Exhibition & Hire Services staff if uncertain).

8. While innovative methods of attracting delegates to your booth are encouraged, practices disadvantaging other exhibitors or detracting from the exhibition will be discouraged.

9. No exhibitor shall assign, sublet or apportion the whole or any part of their booked space except upon prior written consent of the Conference Organiser.

10. The Conference Managers reserve the right to rearrange the floor plan and/or relocate any exhibit without notice. ECA will not discount or refund for any facilities not used or required.

11. No exhibitor will be allowed to begin move-in operations or be listed as an exhibitor in the on-site publications until full payment has been received by the Conference Organiser.

12. If it is intended to utilise a custom-built stand, the Conference Organiser must be advised and such advice must include full details and stand dimensions. This information must be received by no later than 24 June 2016. All display construction requires the approval of the Conference Organiser. A pro rata fee will apply if any construction occupies space outside the specified space as indicated on the floor plan. We request that you consider the environmental principles of reducing waste, water and energy with the use of packaging and the use of plastic and disposable products.

Advertising

1. ECA retains the rights to develop all content on our Facebook page.

2. All artwork for advertisements in Every Child magazine, as part of your sponsorship package, is to be received by 30 September 2016.

Public Liability Insurance

Early Childhood Australia and Darwin Convention Centre will not be held accountable or liable for any damage, loss, harm or injury to any person or any property of the exhibition however caused.

Exhibitors are required to ensure that they have $10 million of Public Liability Insurance in respect of bodily injury to persons, or property damage.

Exhibitors are required to submit a copy of their Public Liability Insurance certificate along with their booking form.

Please note: If your normal business insurance only covers your stock at your normal place of business, you should consider taking out additional insurance to cover your stock from the time your goods are dispatched to the exhibition until they are returned to your premises.

Security and insurance

Early Childhood Australia and Darwin Convention Centre will provide reasonable security during the conference, however neither the organisers, nor the convention centre, nor any of their staff, employees, agents or other representatives shall be held accountable, responsible or liable for, and the same are released from accountability, responsibility or liability, for any damage, loss, harm or injury however caused to persons or property of the exhibitor or the exhibitor’s staff, employees, agent or other representatives, nor to goods or other property sent off in transit to the Darwin Convention Centre or remaining there after the conference.

Please note: Exhibitors should consult their own insurance companies for proper coverage on their exhibition equipment and displays (especially audiovisual equipment).
