Medical Aids Subsidy Scheme (MASS), Queensland Health, is proud to convene the Assistive Technology Queensland Conference and Exhibition.

MASS has a unique relationship with health professionals prescribing assistive technology (AT), suppliers and the end users of AT, clients, carers and significant others involved in the lives of people with disability.

MASS is the main provider of AT for people transitioning to the NDIS, providing administrative approval, purchasing and coordinating ongoing repairs and maintenance.

• As a registered service provider with the NDIS, MASS can provide a range of AT for NDIS participants and assist with any repairs and maintenance included in their plan.

• MASS continues to provide AT services for people over 65 years of age and for those not eligible for AT through the NDIS.

This event aims to build on the momentum of preceding events,

• The Australian Assistive Technology Conference held on the Gold Coast in July 2016 with 300 delegates the MASS Community Workshops held in April and June 2016, each with 120 clients and carers attending.

• MASS Assistive Technology SOA Expos held in 2014, with 200 attendees at the Brisbane Expo, 70 at the Townsville Expo.

• The Living with Equipment in 2011 Symposium and Exhibition with 270 delegates.

MASS will build on the promotion and strategies used at previous events to attract attendance, aiming to make this conference and exhibition our most successful yet. We will:

• Invite well over 5000 MASS clients to attend using direct mail and email. This mail-out, together with email campaigns to MASS prescribers and marketing through the Australian AT network should bring together our largest audience yet.

• Provide free entry to the trade exhibition and low cost entry to the full program for MASS clients and their carer or significant others.

• Provide a free taxi shuttle from Fortitude Valley train station to/from the venue for both days of the event.

• Provide a See It Live Stage in the exhibition that is free to attend. This area features a camera operator with live video feed to the big screen to show detailed features, adjustments and use of AT. Conventional presentations using slides can also be shown at this stage, but please consider video or animation to keep this area lively.

• Develop a program that is very attractive to attend for both health professionals and people with a disability. Keynote Speakers will include prominent Queenslanders with a disability and people who are operationalising the NDIS in Queensland. The Call for Papers, sent through the Australian Assistive Technology network, aims to bring in presentations that are not always included in other programs – presentations about communication, phone and computer access; continence and personal hygiene; hoists and transfers; mobility, seating and pressure care; medical grade footwear and orthoses; transport and service delivery are all summonsed in the Call for Papers.

With your support we can develop a great exhibition and an engaging program that will attract a wide variety of people to attend.

Timing of the eventPre-Conference workshops 8 November 2017 Conference 9-10 November 2017

ATQ 2017 comes at a time when people in South East Queensland are about to transition to the NDIS and many other regions close by are in transition. People with disability are receiving letters from MASS about what assistive technology they have had in the past to help them consider their future needs as they transition.

We are confident that people attending this event will be interested in an unlimited variety of AT.

Who will attend?We expect 300 delegates with occupational therapists being the largest group; physiotherapists, speech pathologists will also be well represented, and a reasonable number of nursing staff and continence clinicians should also attend.

MASS clients and their carers or significant others will be attending the trade exhibition for free and will have the opportunity to attend the full program at a low cost.

Should you decide to participate now or closer to the event?The full program will be available in June, while Early Exhibitor Registration prices will close at 17.00 AEST on Monday 31 July. This timing will give exhibitors confidence to participate when the price is still low, seeing a program that will attract attendees interested in their product range. Exhibitor fees will increase significantly from August 2017 to standard fees.

Sponsorship packages suited to exhibitorsWe encourage all exhibitors to read the sponsorship packages carefully. Only six sponsor packages are available. All packages include an exhibition booth, with each package providing unique opportunities to raise your profile and draw attention to your company, organisation or brand. We hope sponsors will find that the packages represent value for money and that all sponsorships are taken up early – sponsors will feature on the conference website linked to successive email campaigns, so the earlier you take up a sponsorship, the more exposure you receive.

The following terms and conditions apply to your application to sponsor and/or exhibitor at the Assistive Technology Queensland Conference and Exhibition (ATQ 2017)

Things you need to know

• You as the Sponsoring/Exhibiting organisation accept these terms and conditions when completing the Online Booking Form.

• The Medical Aids Subsidy Scheme and ATQ 2017 Organising Committee do not accept responsibility for any errors, omissions or changes.

• Details may change without notice. Please refer to the website for the latest information on the conference.

Financial facts

• All prices are quoted in Australian Dollars and do not include GST.

a. We will issue a tax invoice for the listed price plus 10% GST when you complete your exhibitor registration.

b. All applications for sponsorship need to be reviewed by the Medical Aids Subsidy Scheme before being accepted. We will issue a tax invoice to sponsors for the listed price plus 10% GST upon confirmation of your sponsorship.

• Phone or unpaid bookings will not be accepted.

• You will not receive any sponsorship or exhibition entitlements, including allocation of booth location, until all monies have been paid.

• If you pay via credit card, a 3% merchant fee will be charged in addition to the listed price plus 10% GST. The alternative payment option is via electronic funds transfer to the bank details shown on the bottom of the tax invoice.

If you need to cancel

• You must notify us in writing if you need to cancel.

a. Cancellations received prior to 15 September 2017 will receive a refund

b. Cancellations received from 16 September to 6 October 2017 will receive 50% refund

c. Cancellations received from 7 October 2017 will not receive a refund.

• Your non-payment does not cancel your contractual obligations to us.

• In the extremely unlikely event that the conference or pre-conference workshops are cancelled by the Conference Venue or by the Medical Aids Subsidy Scheme (MASS), MASS will provide a refund of registration fees in full, but will not be liable for any other costs associated with presenters, exhibitors or sponsors.

You and your staff—onsite

• Your application to sponsor or exhibit does not constitute an attendee registration to attend the full conference program. Some tickets to attend the full program are provided for the following sponsorship packages:

a. See It Live Stage Sponsor receives 2 tickets to attend both days of the conference program.

b. Plenary Stage Sponsors receive 4 tickets to attend the full program on the day of the conference that is sponsored

c. Networking Function Sponsor receives 4 tickets to attend day 1 of the conference program

• If your attendance for the full conference program is not covered by one of the sponsorships above, you can register to attend using the register link from the conference program webpage.

• All sponsor/exhibitor staff attending the conference must register to attend. The only exception to this will be for Not For Profit (NFP) organisations providing AT assessment and support services: these organisations receive one (1) ticket to attend the full conference program, provided in the name of the organisation so that the lanyard/pass can be shared between staff attending the NFP organisation’s trestle table display.

Print entitlements

• Logos will be reproduced in the event colours, full colour, or monochrome, at our discretion.

• Logos must be minimum 300 DPI at 100% in JPEG/PNG (preferred for website) and AI/EPS/PDF (preferred for print). Logos should be supplied as soon as practicable after your sponsorship is confirmed to ensure maximum exposure of your company/brand/service via the conference website and marketing.

• Advertisements are to be supplied by the sponsor by 17.00 AEST on Monday 2 October 2017 to meet our publication requirements and print deadlines.

• No print or web recognition will be given unless payment terms have been met.

Exhibitor notes

• You may not assign, share, sub-let, or grant licences for the whole or part of the booth without our prior approval.

• We reserve the right to direct you to remove any display items we deem as unacceptable.

• You must conduct business only from within the confines of your booth. You may not tout, or place any material, outside your booth/space causing obstruction of the aisles.

• You will be responsible for any reasonable costs of repairing the booth or premises should you paint, mark or damage any fixtures or fabric.

• Food, beverage or prohibited items are not permitted at the event unless prior arrangements are made with us.

• Any supplier you use onsite must conform to the venue’s OH&S, insurance and other regulations.

• You are solely responsible for any physical loss or damage to your own property.

• You must hold a current public liability insurance policy to participate in the exhibition.

• A full description of sponsor benefits and entitlements will be provided when the formal confirmation is issued.

• Sponsorship of the See It Live Stage and Plenary Presentation Sponsors are subject to additional terms and conditions.

Privacy statement

• Your name and contact information, including electronic address, may be used by parties directly related to the event such as the Organising Committee and approved stakeholders, for relevant purposes such as promotion, networking, and administration of this, and future events of this type. If you do not consent, please advise us.

• In addition, your name, organisation and state of origin may be published on the delegate list which will be available to delegates, exhibitors and sponsors at the event. Phone contact details and email will NOT be provided on the delegate list. If you do not wish your details to be included in this list, please contact us.
