• Official Suppliers: Companies that Exhibitors and Contractors are required to use as Exclusive Suppliers.

All personnel will be asked to leave the building at this time and will not be permitted to return until 07:30 on Tuesday 2 June. *Late Working – If you need to work later on these days please advise the ETF Organisers by 5pm on the day. It is important that you do not slip behind your build schedule, so if you need extra time we are happy to help. But you must advise us. Working together we can help you avoid any late working hour penalties. IMPORTANT: From 07:00 – 19:00 deliveries can be made and freight can be moved in and out of the pavilion. After 19:00 each evening the loading dock doors will be closed and no deliveries or freight movements will take place. After 19:00 work can continue inside the pavilion only.

Note: As there is a security sweep on Monday 1 June, and everyone must leave the pavilion, it might not be possible to work after 8pm on the last evening of Move In. Plan ahead to ensure you can finish on time.

Exhibitor Forms Checklist In this section you will find three Exhibitor Form Checklists to assist you in completing and returning the relevant sections of the online Exhibitor Manual. The three checklists and the section where you will find them in the online Exhibitor Manual are: • Compulsory Forms – Section 3 of the online Exhibitor Manual

o To manage our overall exhibition planning these forms must be completed. If you do not have all of the information required to complete the form please press ‘back’ at the bottom of the form and return to it when you have all of the information.

• Registration (Exhibitors and Contractors) – Section 4 of the online Exhibitor Manual • Optional Forms – Section 5 of the online Exhibitor Manual

o To assist you in your planning we provide details on a range of Official or Preferred Suppliers and this checklist will assist you as you decide whether you require these services.

TIP Be aware of specific regulations and procedures in France. Key headings in the A-Z Directory (Blue Section) you should refer to include:

• Stand Display for Space Only & Modular Shell Scheme – This section contains information on stand design regulations and approval. Double-Storey Stands: If your stand design includes a double-storey (or in some cases, a very complex structural design) please be aware that there are specific fire safety regulations that you must abide by. Details at ‘Safety’, Compulsory Forms – Section 3 of the online Exhibitor Manual. Double-Storey Stands will also be required to provide engineer’s structural specifications and onsite certification from a French Approved Construction Engineer. See page 44 for more information.

• Electricity – Please be aware that there are standard days and hours of

electricity supply. These hours are called the “Limited Period Supply”. To view the Limited Period Supply - Electrical Schedule please see the Electricity Schedule on page 26.

Electrical Engineer: If you have a complex electrical installation or large electrical supply (80kW of power or more on your stand), you will be required to provide engineer’s specifications and onsite certification from a French Approved Electrical Engineer. See page 26 for more information.

• Safety – Including details on Fire Regulations

• Health & Safety Regulations - All exhibitors must complete and return the GHSP Certificate – see page 31. In addition, if you have a complex custom stand you may need to appoint a Health & Safety Co-ordinator who is appropriately French certified.

Frequently Asked Questions (FAQ’s)

Q: I have not exhibited in France before. What do I need to know? A: There are specific regulations and procedures in France, so please thoroughly read all the documents. Key headings in the A-Z Directory (Blue Section) you should refer to include: • Stand Display for Space Only & Modular Shell Scheme – See this section for information on design

regulations and approval. Also, if you have a complex custom stand structure (including Double-Storey Stand) you will need a French Approved Construction Engineers Specifications & Certification.

• Electricity – There are standard days and hours of electricity supply called “Limited Period Supply” to view the Electrical Schedule please see page 26. Also, if you have a complex electrical installation or large electrical supply (80kW of power or more on your stand), you will be required to provide engineer’s electrical specifications and onsite certification. See page 26 for more information.

• Safety – Including details on Fire Regulations • Health and Safety Regulations – All exhibitors must complete and return the GHSP Certificate – see

page 30. In addition, if you have a complex custom stand you may need to appoint a Health & Safety Co-ordinator who is appropriately French certified.

Q: How do I find suppliers who can provide me services in France? A: For WGCPARIS2015 there are Official Suppliers (companies you must use for a particular service) and Preferred Suppliers (companies you may choose to use. You will find the Official Supplier and Preferred Supplier contact details at Supplier Contacts on page 5. If there is a service you require that is not covered in our Official Supplier and Preferred Supplier lists then contact Ms Millie HESLOP [email protected]

Q: Where do I find the stand build regulations and who do I send my plans to for approval? A: See Stand Display for Space Only & Modular Shell Scheme section of this document, page 42. Your stand design will be submitted to ETF, Ms Lauren TUCKWELL (Operations Manager) [email protected]

A: WGCPARIS2015 does not set a limit to the number of Exhibitor Badges you can have for staff who are required to work on your stand. Access Policy The access policy differs for the Move In, Exhibition Days and Move Out. Please carefully read the below information to ensure you have organised the correct identification to access the Exhibition during the Move In, Exhibition Days and Move Out. Security will stop you and deny access to the Exhibition if you do not have the correct identification. Access during Move In:

• All personnel (exhibitors and contractors) are required to wear a wristband. • Wearing an exhibitor badge will not give you access during move in. • Please order your wristband quantities for move in and move out in the ‘Wristband Order Form’ in

Section 3 – Compulsory Forms of the Exhibitor Manual. • Your wristband quantity should be the total number of wristbands required for your staff and your

appointed contractor staff that will require access to set up your stand.

Wristband Collection: • Within the Wristband Order Form, nominate the name and mobile number for the best person to

collect and distribute your wristbands. • This should be the first person to arrive at the venue for move in. This could be your stand builder. It

does not have to be someone from your company. • Only the nominated contact person will be allowed to pick up the wristbands on behalf of your

company. It is their responsibility to distribute the wristbands to all staff prior to entering the exhibition or to arrange to meet them on their arrival.

• No-one will be allowed to enter the exhibition, during the move in, without a wristband. • The wristbands will be available for collection from Porte De Versailles, Gate L.

Wristband Collection Dates & Times: Move In: Tuesday 26th May – Monday 1st June 2015. Access during Exhibition Days: • All staff must wear an Exhibitor Badge to enter the Exhibition (this includes any contractor staff that

require access to your stand from Tuesday 2nd June – Friday 5th June). • Please ensure all staff are registered for an Exhibitor Badge in Section 4 ‘Exhibitor Badge Registration’

of the Exhibitor Manual. Exhibitor Badge Collection: • Your Stand Co-ordinator can collect all exhibitor badges for your company and distribute these to

all staff. • Collection is from the Exhibition Registration Desk located at the main entrance to the

WGCPARIS2015 Exhibition, Pavilion 1, Porte de Versailles. Exhibitor Badge Collection Dates & Times: Sunday 31 May Midday – 6:00pm Monday 1 June 8:00am – 6:00pm Access during Move Out: • The access policy for Move Out is the same as for Move In. All personnel (exhibitors and contractors)

Wristband Collection Dates & Times: Move Out: Friday 5th June – Monday 8th June 2015. Note: You will also be able to collect your wristbands for move out during the exhibition days: Tuesday 2nd June – Friday 5th June (Midday) from the Organisers Office only!

The dress code for the exhibition is:

o Move In and Move Out – to comply with French regulations please refer to Health & Safety – General Health and Safety Plan (GHSP) Certificate, Compulsory Forms - Section 3 of the online Exhibitor Manual

o Exhibition Days – Business Attire

The World Gas Conference and Exhibition is a business event and entry is restricted to people with a bona fide interest. The Exhibition is not open to the general public (including family and friends). Deliveries Deliveries will be accepted from Thursday 28 May 2015 between 07:00 – 19:00 each day during move in. Please note a representative from the exhibiting company or contractor must be onsite to sign for any deliveries arriving at the venue. The Exhibition Organiser is not able to sign for deliveries on behalf of exhibitors. Move In / Move Out Agility Fairs & Events will be managing Logistics Onsite, including the Move In and Move Out schedule. They will also manage the logistics onsite (materials handling) which includes exclusively providing motorised equipments such as Forklifts, Genies and Cranes. Details at

Important information for Move Out: Please note that due to the Farewell Party taking place outside the front of Pavilion 1 there will be limited access for trucks and forklifts on Friday Evening until 10pm. Note:

during Move In and Move Out. Staff not involved with preparing your stand, visitors, family and friends are also excluded during this period.

Travelling by Public Transport: Metro The Paris Metro is one of the easiest and quickest ways to get around the city. Emergency Procedure - Onsite

In the event of an emergency, please contact the Exhibition Organiser’s Office immediately (our location will be provided to you in our Move In information onsite). In the event of a fire, if possible please contact the Exhibition Organiser’s and we will advise the suitable authorities. Fire extinguishers are located throughout the venue and have appropriate signage above each hydrant for ease of identification. All contractors, exhibitors and their employees must be familiar with the emergency exits. Action upon hearing the fire alarm: o Upon the sounding of the emergency tone, immediately stop any ongoing activities o Stay in your location and wait for instructions from the floor warden or the PA system o Switch off all electrical equipments being used if necessary o After receiving the evacuation order, evacuate the building in an orderly manner to the assembly area o Use the nearest and safest exit o Proceed to the predetermined emergency assembly area (details in your Move In information onsite)

Exhibitor Briefing & Site Inspection (Pre-show) There will be a final Exhibitor Briefing and Site Inspection held at Paris Expo, Porte de Versailles. This meeting is designed to assist you with all of the information you need to participate at WGCPARIS2015. Exhibitor Briefing will be held on Tuesday 10th February 2015. There are three main parts to the meeting; Site Inspection: The walk-through will give you an understanding of the overall layout of the event including the location of the Pavilion 1 (Exhibition) and Pavilion 2 (Conference). The renovation of the passageway from Pavilion 1 to Pavilion 2 will be complete and available for inspection. Take this valuable opportunity to familiarise yourself with the technical infrastructure including, ceiling heights, pillars, electrical equipment etc. Venue staff and the ETF team will be available to assist with your questions. Presentation: This will include an update from the National Organising Committee (NOC), the Conference team and the Exhibition team. We will cover what you need to know for your participation in this venue and the requirements to ensure compliance with French Regulations. You will also receive an update on the Conference Programme including the Speakers Programme, marketing (Delegate & Trade Visitor), and Supplier introductions. Supplier one-on-one meetings: This is your opportunity to meet with the Suppliers of the WGCPARIS2015 exhibition. Health & Safety Regulations This section, Health & Safety Regulations, basically relates to exhibitors complying with safe work practices. There are very specific Health & Safety Regulations in France that all exhibitors must comply with. There are two fundamental components to meeting your obligations.

1. CMG 2015, as the Event Organiser, has appointed an approved Health & Safety Co-ordinator for the exhibition, D.Ö.T., to fulfill our requirements for the Exhibition. D.Ö.T. will produce the overall General Health & Safety Plan (GHSP).

Then, each exhibitor must complete a GHSP Certificate and return it to D.Ö.T. . Note: It must be signed and returned by the Exhibitor not your Contractor. Details at Health & Safety – General Health and Safety Plan (GHSP) Certificate, Compulsory Forms - Section 3 of the online Exhibitor Manual D.Ö.T. will also be working on-site during Move In and Move Out ensure the safe work practices outlined in the GHSP are adhered to.

2. Exhibitors must also meet additional criteria relating to the construction of their stand. These criteria vary, so please

Insurance WGCPARIS2015 has very specific requirements for complying with our insurance criteria for Public Liability Insurance (also known as Property & Civil Liability Insurance). Most exhibitors comply with this requirement by selecting the Public Liability Insurance available to all exhibitors in the Exhibition Contract. There are two ways exhibiting companies can comply with the WGCPARIS2015 requirements.

1. Public Liability Insurance in your Exhibition Contract a. If you have already booked and paid for Public Liability Insurance in your Exhibition Contract

you are covered. All you need do is tick the box in the form Insurance – Exhibitors, Compulsory Forms - Section 3 of the online Exhibitor Manual.

2. Provide a copy of a compliant policy, in your company name, valid to include from the first day of Move In through to the final day of Move Out. Your Public Liability Insurance policy must include the following information as a minimum:

• The company must be a named insured • The policy must cover the insured for liability for personal injury, death or damage to property • Insurance cover must be no less than €10,000,000 for a single claim • Cover must be extended to apply for France • The insurer to be admitted in France or an approved foreign insurer (as approved by CMG

2015) and its name and the policy number clearly shown. In addition, to comply with French rules, insurance attestation must be written by the insurance company, not the broker.

• The certificate to be current for the duration of the Exhibition including Move In and Move Out periods

Note: Your Public Liability Insurance policy must comply with all of these requirements. If ETF cannot determine that your Public Liability Insurance policy is compliant then we reserve the right to seek an independent assessment. In this case a minimum fee of €350 may apply.

Noise/Audio Visual/Music Policy We understand there will be times where Exhibitors will have demonstrations, presentations, seminar sessions, spruiking, or cultural activities on their stand which will generate noise. Generally surrounding Exhibitors understand when activities are of limited sounds and infrequent timing, however at times there are cases where noise can exceed an acceptable level. We do have an obligation to all Exhibitors who may be affected by noise and ask that all Exhibitors follow the guidelines below: o If amplifies sound is used please position all speakers to face towards the centre of your stand and not

outwards into a neighbouring exhibitor or aisle o Advise ETF of the content of any demonstrations, presentations, seminar sessions, or activity that you

may have on your stand - Include the schedule, the time and length of activity

o Noise must not be raised above 85 decibels when measured from the aisle immediately connected to the stand (noise measuring meters will be used onsite)

o In the event of a complaint from any person regarding the content or noise level by an exhibitor, ETF will investigate the complaint and determine the best solution for all parties

o ETF reserve the right to make any adjustments to your activity onsite As a duty of care to neighbouring exhibitors, ETF may advise your neighbours of your planned activity and its timings to ensure they are aware of when to expect a noise interruption on their stand. Exhibitors should be aware that music played on their stands, whether live or recorded, may be subject to laws governing the use of copyrighted compositions. Rigging & Banners ViParis is the Official Supplier of Rigging & Banners. ViParis is the exclusive provider for all primary rigging points in the venue ceiling. Rigging Policies and Procedures for WGCPARIS2015. While the ceiling height varies across Pavilion 1, the WGCPARSI2015 policy for the maximum rigging height is consistent across the entire venue. All rigging must abide by the rules listed below; o The top of a banner or rigged structure must be no more than 8m from the ground o The bottom of a banner or rigged structure must be a minimum of 4m from the ground, unless approved

by ETF o Banners and rigged structures must only be hung over an exhibitors contracted stand space only. Do

not extend into the aisle ways All rigging must be included in your stand design submission. Your stand design will be approved in accordance with the Design Regulations (see Stand Display for Space Only and Modular Shell Scheme, page 42). For reference the rigging information required includes:

Safety This section, Safety, basically relates to the structure of an exhibitor’s stand and the materials used within the stand. Issues such as fire safety, emergency egress and the security (or safety) of the public are the key elements. In France there are specific regulation and procedures that relate to, exhibitors’ stand structures (including both the structure and display materials used), fire safety, emergency egress, public safety etc. To comply with these regulations CMG 2015 has appointed an approved Safety & Security Company, Hervé Pierre SARL. Hervé Pierre SARL is responsible for approving the aspects of your stand design and display materials that must comply with French regulations. These regulations are contained in the ‘Fire Safety Precautions at Trade Fairs and Exhibitions’ document. Details at ‘Safety’ and ‘Fire Rating Certificates for Materials’, Compulsory Forms – Section 3 of the online Exhibitor Manual All exhibitors must comply with these regulations but there are some practical differences, based on whether you are a Space Only Exhibitor or Modular Shell Scheme Exhibitor

• Space Only Exhibitors • Your custom stand design submission must comply with all aspects of the Fire Safety

Precautions at Trade Fairs and Exhibitions document. Approval will be provided by ETF in consultation with Hervé Pierre SARL.

Note: Fees may apply for submitting your custom stand design as well as for any professional advice provided.

• If you have a Double-Storey Stand, you must also comply with the “Fire Safety for Double-

Storey Stands” document. Details at ‘Safety’, Compulsory Forms – Section 3 of the online Exhibitor Manual.

• Exhibitors with Double-Storey Stands will also be required to provide a French Approved Construction Engineer’s Specifications for stand design approval and Certification onsite. (see Stand Display for Space Only and Modular Shell Scheme Exhibitors on Page 41)

• Onsite your construction must comply with the approved design. A representative of Hervé

Pierre SARL will monitor structure and materials compliance during Move In.

• After the completion of your construction and review by a representative of Hervé Pierre SARL there will be an approval inspection by a representative of the Security Commission of the Prefecture of Paris. This will occur on the afternoon of Monday 1 June or morning of Tuesday 2 June. Exhibitors will be provided with prior advice on the time.

All construction, fit out and decoration must have been completed prior to inspection. The exhibitor (or its representative) must be present at their stand and be able to produce;

• Fire resistance certificates and reports for the construction materials and decorations of their

and Electrical Engineer’s Certificates (see Electricity on Page 26 and Stand Display for Space Only and Modular Shell Scheme Exhibitors on Page 42)

Note: Non compliance with these rules may lead to the materials being removed or the stand being prohibited from being opened to the public.

• Modular Shell Scheme Exhibitors The approval for your modular shell scheme structure will be managed by the builder GL events. However you are responsible for complying with the regulations that relates to the display material and other items that you bring onto the stand.

All Modular Shell Scheme Exhibitors must be able to produce Fire Resistance Certificates and reports for their furniture and decoration materials of their stand. Details at Fire Rating Certificates for Materials, Compulsory Forms – Section 3 of the online Exhibitor Manual.

• Move In and Move Out General security will be provided in Pavilion 1 during Move In and Move Out. This will include monitoring the entry points as well as the Pavilion floor. However exhibitors should remain vigilant and ensure all valuable and personal items are secured. Further, do not leave these items on your stand overnight. Theft is an issue and we strongly suggest you have a plan for managing corporate and staff items.

Always report any thefts to the Organiser’s Office and complete the incident report sheet we provide. Be sure to have adequate insurance to cover your stand and items. Your stand and goods are not covered by the Exhibition Organiser’s insurance

• Exhibition Days

On Monday 1 June, the last day of Move In, all stands MUST be completed by 20:00 and all personnel will be required to leave the building. A security sweep will then take place of the entire WGCPARIS2015 facility.

Security processes will then be in place for the open days of the Conference and Exhibition that include scanning of people and items. Note: This means that only hand carry items can be brought into the venue. If you have larger items, such as delayed freight, this might not be able to be received until after the exhibition closes in the evening. Further enhanced security may apply on the morning of Tuesday 2 June as the President of France will be opening the Conference.

If you are including Rigging and Banners, have a Pillar on your stand or heavy items to display you must comply with the following:

• Rigging and Banners

Rigging must abide by the following rules:

• The top of a banner or rigged structure must be no more than 8m from the ground • The bottom of a banner or rigged structure must be a minimum of 4m from the ground,

unless approved by ETF • Banners and rigged structures must only be hung over an exhibitors contracted stand space.

Do not extend into the aisle ways.

Please include the following details in your stand design submission. See Submitting Your Stand Design, below.

• Rigging plots, the dimensions, load capacities • Size and the load/weight and the height of the hanging object above the floor • Materials used to construct the hanging object. See Fire Safety Precautions at Trade Fairs

and Exhibitions: Details at Safety, Compulsory Forms – Section 3 of the online Exhibitor Manual. This must include compliance with ‘Euroclasse’ fire rating certification. • Visuals of the hanging object • Work details and hanging method • Electric and light connections fitted to the hanging object, including suitable power supply,

There are pillars throughout Pavilion 1 of Paris expo Porte de Versailles. If you have a stand with a pillar located on it, you can dress the pillar subject to the following regulations:

• Any construction must be from the base of the pillar up • The construction can not touch the pillar • Exhibitors will be liable for any damage to the pillar

Some pillars have fire hydrants located on them. You are permitted to create a cover around these pillars, but must abide by the following regulations:

• A curtain or drape must be installed so that access to the fire hydrant is easily achievable • Appropriate signage must be placed directly above the curtain or drape line to ensure all

persons are aware of the location of the fire hydrant • All existing venue installed signage, at 6m in height, must be visible at all times

2. Space Only Exhibitors

Space Only Exhibitors are responsible for all aspects of their stand design, construction and compliance. Your stand space will be marked out on the pavilion floor prior to your arrival. Display Regulations specific to WGCPARIS2015 A primary consideration of the Display Regulations is to ensure “line of sight” to all exhibitors’ booths. The guiding principle is the “50% Rule”. Generally, the 50% line of sight is measured using the Elevation Drawings (Front and Side) you provide with your stand design submission.

• Display Regulations for Space Only Exhibitors

o Line of Sight - A minimum of 50% “Line of Sight” must be achieved, for each of the Front and Side views of your Elevation Drawings. In other words, no more than 50% of the line of sight can be blocked.

Note: ETF reserves the right to approve the “Line of Sight” criteria on a case-by-case basis, in particular for stands 300sqm or greater.

o Common Boundaries - On any common (shared) boundary with another exhibitor’s stand, or where

you have a boundary that is at the perimeter of the exhibition, a wall must be built along the entire shared boundary or perimeter.

A common boundary wall or perimeter wall must be a minimum of 2.5m high and a

So, for example, the use of transparent materials or voids, the height of a wall or structure, and whether elements of the wall or structure are offset across the stand can all contribute towards achieving 50% line of sight. o Construction Height. The general maximum height for construction is 4m but designs up to 6m may

be allowed, subject to approval. Note also

• Rigging and Banners Regulations in All Exhibitors (above). • Double-Storey Stands Regulations (below)

o Double-Storey Stands: If your stand design includes a double-storey (or in some cases, a very

complex structural design) please be aware that there are specific fire safety regulations that you must abide by. Details at ‘Safety’, Compulsory Forms – Section 3 of the online Exhibitor Manual. Double-Storey Stands also have additional requirements for stand design approval and onsite approval:

Stand Design Submission: Structural Specifications from a French Approved Construction Engineer must be submitted with your stand design for approval by ETF. Onsite: An Engineer’s Certificate from a French Approved Construction Engineer must be issued to state that your completed stand structure is safe and that it is consistent with the approved plans and specifications submitted for stand design approval.

This certificate must be available for review by a representative of the Security Commission of the Prefecture of Paris that will inspect the Exhibition on the afternoon of Monday 1 June or morning of Tuesday 2 June. Exhibitors will be provided with prior advice on the time.

Important note: The Construction Engineer MUST be French Approved!
