The booth display should be completed latest by 1700 hrs on the 17th September 2017.

9) DISMANTLING & REMOVAL OF EXHIBITS Exhibitors are requested to dismantle their booths only after 1200 hrs on Wednesday 20th September 2017. All exhibits must be packed and removed from the show premises by 1800 hrs on the same day i.e. 20th September 2017. Material that is not cleared beyond this deadline will remain at the risk and responsibility of the exhibitor and is liable to be removed / forwarded back at the cost of the exhibitor, including any charges levied by the Hotel.

10) AMENDMENTS TO REGULATIONS

The Organizers reserve the right to issue amendments / additions to the rules & regulations, if required.

11) SHELL SCHEME PACKAGE FURNITURE & FITTINGS ENTITLEMENT

Booths will be constructed of Octonorm Systems with white laminated panels, grey carpeting, furniture and fittings as per respective stand areas along with Fascia with Company’s name in English. Exhibitors, other than those with bare space will be provided with standard furniture, fittings etc. at no extra cost as follows:

12) EXHIBITOR’S NAME ON FASCIA Exhibitor’s name will be put on fascia with pre- cut lettering of standard size. No Logo will be allowed on the Fascia. Depending on the length of the Fascia, standard abbreviations will be used. 13) ELECTRICITY Standard basic power will be provided with the stall. No additional Power will be provided. 14) GUIDELINES FOR STALL CONSTRUCTION & DISPLAY

A) Schell Scheme The following should be strictly ensured during the set-up:

i) The Height of all stall will be 8ft. without exceptions.

ii) Electrical and other technical services behind / adjacent to your booth must be kept accessible.

iii) All display, exhibits, merchandise, fittings, etc. should be freestanding and self-supporting to avoid damage to the panels.

iv) No part of an exhibit should project out of the stall area, nor should anything be placed outside the stall area or on the aisles.

v) Grouting, digging in floors or walls is not permitted.

vi) Any display fixed on the panels directly should be easily removable self-adhesive material or two - sided tapes or with (‘S’ hooks).

vii) All fittings /accessories used shall comply with the safety requirements as per the direction of NIGIS.

The following are strictly prohibited:

i) Holes, Nails, Drawing Pins, Screws on the Panels, furniture, carpet and floor.

ii) Wallpaper or glue on panels.

iii) Use of paint or other non-erasable material on the panels.

iv) Carrying out any type of welding work using naked flames.

v) Loud Noise or music.

vi) Use of High Bond or any other type of permanent adhesives

vii) In case of any damage is done to the panels, the same shall be recovered from the exhibitor and paid directly to the official contractor.

B) Raw Space

The Raw space scheme booth package will obtain leased space/ area which will be marked. But the leased area does not include wall panels, carpet, furniture, lighting fixtures etc.

5 amp sockets will be provided.

Height restriction is 8ft

All designs have to be approved by Visuals & Vocals

Deadline for submission of the design is 20th August 2017.

All Hotel Safety & Security have to be strictly followed. ( Please refer to a separate sheet attached

NOTE:

All booths must set up and complete for inspection and the surrounding area must be cleared of debris and construction equipment no later than 1700 Hours on 17th September 2017

Early Dismantling of the booth is strictly prohibited

Each exhibitor is responsible for the upkeep of his stall/booth. In case of any damage to the Hotel property during the event, the charges for the damage shall be borne by the exhibitor /company and paid directly to the Hotel.

All Exhibitors have to strictly adhere to the fire & Safety norms & security protocol of the Hotel.

No Mechanical wood cutting / grinding will be allowed inside the exhibition hall

No Polishing / grinding for paint surface will be allowed

Wielding is prohibited 15) ADDITIONAL SERVICES (Optional): Various services such as Hostesses, Furniture on rentals, Color TVs + VCD/DVDs, tables, chairs etc. are listed in individual order forms. In case you wish to place your order for any of the optional services, forms duly filled must be sent directly to the expo organizer Visuals & Vocals, Mumbai (as directed on the forms) latest by 05th September 2017. Organizers do not guarantee any supply of the above services if deadlines are not met.

SECTION II RULES & REGULATIONS 16) FIRE REGULATIONS & PRECAUTIONS: In the common interest, co-operation of exhibitors is solicited to prevent fire or any other emergencies. All aisles, common areas, must be kept free of obstacles. Exhibitors, who, because of the nature of their exhibits require special kind of fire extinguishers, must make arrangements at their own cost for the provision of such equipments. All electrical wirings, fittings etc. will be done strictly by the certified authorized electrical contractors only. Storage / Use of inflammable item are strictly prohibited. Exhibitors are requested to refrain from smoking within the exhibition premises. Any person seeing an outbreak of fire, (if any) must raise an immediate alarm and make all efforts to extinguish the same with the nearby extinguishers and inform the authorities of the same. Also participants must make efforts to remove inflammable items from the vicinity 17) LIABILITIES & INSURANCE: NIGIS does not insure the personnel and property of exhibitor’s goods whether in transit or within, and / or outside the show premises. Exhibitors are advised to insure their personal merchandise, equipments, furniture, fittings etc. adequately at their own cost. 18) REMOVAL OF EXHIBITS: After 1400 hours on 20th September 2017, exhibitors are requested to pack their exhibits into transportable packages and complete the formality of entering particulars of the official Staff of the Exhibitor with the security before leaving the venue. Materials will be permitted to leave the premises only after the EXIT CERTIFICATES (given by the organizers) are handed over to the security. 19) FORCE MAJEURE: The Exhibition may be postponed, shortened or extended due to reasons whatsoever outside the control of the Organizers. The Organizers shall not be responsible for any loss sustained by the Exhibitors, directly or indirectly, attributable to the elements of nature, force majeure or orders and directives imposed by any relevant authorities.

SECTION III SITE OPERATIONS & SERVICES 20) OBSERVING OF RULES & REGULATIONS: All Exhibitors and all their personnel must observe the Rules & Regulations stated in this Exhibitor Manual under ’Section II’ while working or present in the Exhibition Hall. 21) PROMOTION RULES & SUITCASING POLICY: ONLY bonafide Exhibitors may distribute printed promotional materials, from within their own booth. However, no such distribution / promotion should be done from outside the booth area or from any other common areas within or near the show premises. No banners, posters etc. should be put up anywhere within the Hotel premises, unless expressly authorized in writing by the organizers. Exhibitors may also note that putting up of hoardings, banners, posters etc. on roads and other common areas is not permitted without the permission of the appropriate authorities. 22) SAFETY AND BEHAVIOUR: All exhibitors and crew members are requested to carry government identified cards- i.e Aadhar card or Pan Card No person present inside the Exhibition Hall is expected to behave or act in a manner that may cause any harm, injury or damage to other persons or exhibits, hotel property, the exhibition hall property or fixtures. Damages of any kind caused by staff members of the exhibitor or their contractors would attract monitory compensation as set by Hotel Authorities or organizers. 23) SECURITY - LOSS / THEFT: While the Organizers will maintain security surveillance at all times throughout the Exhibition, the organizers cannot be held responsible for any theft / damage / loss of the exhibits or any other property of the exhibitor. Exhibitors are reminded that goods will be vulnerable immediately after the Show closes on the final day. Please be sure to see that your stall(s) are not left unattended at this time. Particular care should be taken of small portable items, tools and instruments, including mobile phones. However, exhibitors are responsible for the organizer’s displayed property made available to them within the stall(s).

HOTEL RULES & REGULATIONS

In order to serve you better and ensure a successful event we have provided

an outline of our event guidelines. This will provide important information to

help you plan and execute your event seamlessly at Hotel Sahara Star.

The MANAGEMENT reserves the right of admission /entry into the hotel of

persons not conducting themselves properly and appropriately.

It is mandatory to acknowledge and sign this copy of rules & regulations to the

particular event along with the contract.

Décor/Setup at Banquet Venues:

No nailing, pasting /hanging of items can be done inside the venue or

on the hotel façade.

Huge Magnet to be carried during set up and dismantling in order to

clean up area from nails and other metal sharp objects from flooring.

No lighting can be done on the pillars of the hotel façade.

No structure to be placed or should lean against the hotel façade.

Under no circumstances must the structures or equipment be laid

directly over the carpet.

The Event Management company/firm and decorator will first unfold a

protective sheet/item (wood or carpet) on the flooring/carpet before

getting the structures inside the banquet hall.

No loose wiring will be permitted at the venue. Proper

masking/carpeting/wire Management to be implemented by the event

team.

All associates of Event Management Company/Firm and Decorators will use the staff gate.

No set up or dismantle will be allowed without the presence of a

coordinators from the Management companies/firm and decorators.

All Tripod stands & T-stands to have rubber shoes, all T- truss, trussing and truss bases to be covered for safety purposes as per HSS standards.

Carpentry work for construction of stage, stalls and other structures to be done on a flex or carpet at a designated area given by the HSS Events team.

It is strictly prohibited to Paint/Polish/create structures in any of the banquet halls.

No iron branding, framings, structural fitting, hanging, loops and other material related to damage of property will not be allowed in

HSS premises. Only approved quality of aluminum ladders and scaffolding will

be permitted in the banquets for set up purpose. Any type of water Sprinkler is STRICTLY not allowed at or around the

pool area.

Pre Event Requisites:

Stall Owner/Decorator should be liable for penalty, if the points mentioned below are not followed and adhered to.

No area access WILL BE GIVEN before CORDINATED time as discussed

HSS Events team.

No pre-placed items at any venue at HSS to be moved / shifted without

Management consent.

Production:

All crew members and setup material to enter only from designated gate given by HSS Events Team and Security, unless another gate is pre approved by Management.

Wooden ply sheet is Mandatory to be placed beneath the main stage as per the stage size to be used as floor protection without which the stage will not be allowed to be placed.

No carpet to be used in any of the pre function area of banquet halls & drive way in HSS premises.

All flight cases and empty boxes to be removed from HSS premises before commencement of the event or placed at designated area only given by Events staff from HSS.

No resting or sleeping would be allowed within HSS premises during any given time.

Hotel will not be responsible for providing storage facility prior to the

event and safety of empty cartons during event run time.

There is no parking space facility provided for any material trucks in the

premises.

All external companies working at HSS should have minimum 2 co-

coordinators during setup and break down to coordinate with HSS Events team, If there is no coordinator present for setup and break down HSS will not allow any set up or break down.

All function material clearance must be completed within the time frame

given and discussed by Management in order to allow next event set up.

Any item left in the premise by vendors after the event and the same not cleared within 6 HRS the materials will be discarded and the same shall be at guest’s own risk /cost and HSS does not take any responsibility of the same.

SE7 food service elevator is strictly prohibited for use of any set up or breaks down material moment.

No flex, plastic sheets or any kind of thin material to be used under stage, risers or any platforms in such case only CARPET to

be used for the same.

Labor:

All crew members to be in proper foot wear while they work in central courtyard or guest area at any given time, however if labor have to work during the set up where client is present the above will be applicable.

No tobacco products to be found on crew at any given time or carried in HSS PREMISES.

During setup, show time and dismantling no crew member would be allowed to use guest toilets unless an exception and facilities is provided by Management.

Each labor visiting HSS will be issued a visitors pass at the Service Gate from Security which is mandatory to be carried by the individual and show if required at any time. If the same is lost the security would then take charge on the same.

Dumping/disposing of items will only be at designated areas as discussed in meetings or prior permission from Management.

No contractor, labor will be allowed to stay inside the hall once the

function starts except for the audio-visual supervisor and required crew

members on console.

The hotel will not provide any labor for manual jobs like shifting of

materials, transportation etc.

Safety and Security: No layouts that block Fire Exits or Service Entrances will be permitted;

All the service entrances will have to be kept clear for emergency passage as per safety regulations and requirements of Fire department.

If at all any work requires the use of a ladder or is to take place at a

height (6ft & above), Safety gear is a must such as rope, helmet and

Harness. The Hotel will not be liable in case of any injuries and/or death

sustained.

No Flammable gases will be permitted in HSS such as (LPG, Hydrogen,

Nitro, Helium etc.)

Any form of Fire Crackers/Cold Pyro / Sigree / Bon-fire / Hookah / Sheesha / Confetti (CO2@ gas to operate) is not permitted in any of the Banquet hall of HSS.

Outdoor fireworks are not permitted around HSS premises DUE TO AIRPORT AND FIRE DEPARTMENT LAWS which if not followed can lead to sever government authorized legal action.

Fire Flair Bartending is not allowed during any banquets at HSS.

All external lighting fixture used by the contractor to beautify his work

has to be subjected to the approval of our safety team. All the safety

requirements /regulations should be strictly adhered to. HSS is not

liable for any damage to ‘property or Human Life’.

Minimal PAR cans can be used only for face light with Dimmer pack the same will be decided by Management of Hotel Sahara Star after

discussions.

No Helium or gas balloons will be allowed inside the HSS premises.

All material for any events at Sapphire / Jade banquet hall should be

bought in only from the designated service gate.

Usage of gas heaters and welding machine is strictly not permitted.

Detailed inventory of items brought in by the Event Management Firms

/ Decorators for setups should be shared and validated by the Security

team. Inventory is subject to inspection at the time of entrance and exit

from the premises.

Food and Beverage: (VVIMP)

Client to be charged for any water services during setup and dismantling.

No outside food and beverage will be allowed within HSS premises for any event bought by Event Management Companies/Firm/Decorator for Crew Members.

Any food bought into the premises even after permission not granted would lead to a fine of up to Rs. 5000/- onwards.

Outside edibles and third party catering is STRICTLY not allowed in HSS premises.

Photography and Videography:

Drone cameras are not allowed in or around the HSS premise as it is a Violation of safety and secure Act as per Airport authority being next to the Airport.

Photo Shoot in Hotel Sahara Star premises is strictly prohibited for

safety and security purpose.
