Experience More traffic with PAcE Attract more attendees to your booth by offering them participation credit through the exhibitor ExCE program. AGD members are dedicated to lifelong learning; so this program helps them dedicate their time to your booth!

Approved PACE providers will be listed on the ExCE Scorecard, which will be included in attendee registration materials. Using the ExCE Scorecard, dentists will visit ExCE participants’ booths for a 15-minute educational presentation about their products and/or services to earn continuing education credits. Approved providers can also co-brand their logo with the AGD PACE logo for instant recognition. PACE providers who are interested in participating in the ExCE Program must complete an application form, available from AGD Headquarters. For more information, contact Marge Palonis at [email protected].

PACE providers: •Providequalityeducation. •Servetheemergingcontinuingeducation(CE) needs of the dental community. •Aretrustedbyprofessionalsandlicensingboards throughout North America.

Get PACE-approved today. If you have offered continuing dental education activities for at least 12 months and all courses have a sound scientific basis, you can apply to become PACE-approved by visiting http://www.agd.org/education/pace/apply.

The AGD PACE Application reviews the educational processes used when designing and implementing courses. An AGD standing committee will review your completed application and evaluate it against 13 published PACE standards and criteria. Only CE providers that meet the PACE standards and criteria are authorized to use the AGD PACE logo. Once approved, CE providers are held accountable for maintaining those same high standards. Approvals are granted for no more than four years, and providers must resubmit the application each time they renew their approval to ensure that high standards are maintained. PACE does not approve individual courses and PACE recognition of a provider does not imply endorsement of course content. For more information about AGD PACE, please visit www.agd.org/education/pace or e-mail [email protected].

A 50 percent deposit per booth must accompany all applica-tions/contracts ($1075 or $1,200 per booth) prior to Jan. 1, 2009.

Applications/Contracts submitted without a deposit will not be processed until the deposit is received. An application/contract must be received in order to secure a booth space. Balance of payment is due March 16, 2009. Nonpayment for space by this date may be interpreted by the exhibits coordinator to mean that the exhibiting company no longer wishes to reserve space, and the booth reservation may be moved to the waiting list. The AGD reserves the right to resell this space to another com-pany. For applications/contracts submitted after Jan. 1, 2009, full payment must accompany the application/contract. All booth fees and any past due debts owed to the AGD must be received before booth space can be occupied at the show site.

cancellation Policy: All cancellations must be received in writ-ing on company letterhead. Booths cancelled by Jan. 1, 2009, are subject to a $250 cancellation fee. Cancellations after Jan. 1 and before March 16, 2009, will merit a 50 percent refund based on the total booth cost. No refunds will be made for cancellations after March 16, 2009.

Failure to occupy space: Unless previous arrangements are made in writing with the Exhibits Coordinator, booth space not occupied by the exhibiting company by 9 a.m. on July 9, 2009, may be forfeited without refund to the exhibitor, and the space may be resold or used by the AGD.

Eligibility to Exhibit The Academy of General Dentistry (AGD) and the exhibits co-ordinator determine the eligibility of any company or product to be exhibited at the exposition, either before or after proper execution of the contract.

Purpose of the AGD Exhibits Attendees come to the Exhibit Hall to learn and purchase. The exhibits are intended to improve dental education, practice and research. They should complement the meeting and sessions by enabling registrants to purchase, examine, question and evalu-ate the latest developments in equipment, supplies and services relevant to the dental team. All materials and/or equipment should be timely and relevant to dentistry and contain no inac-curate or misleading information.

If it becomes necessary to relocate an exhibitor for any reason, the exhibits coordinator will contact the exhibitor by phone to discuss alternatives.

rules and regulations Governing Exhibits and Exhibit Activities

The rules and regulations stated in the Exhibitor Prospectus constitute a bona fide part of the contract for exhibit space. The AGD and the Exhibits Coordinator reserve the right to render all interpretations and decisions, should any questions arise, and to establish further regulations as may be deemed necessary to the general success and well-being of the exposition. The AGD restricts exhibits that detract from the general character of the exposition. This includes persons, objects, conduct, printed material, or anything of a character that may be objectionable to the exhibits as a whole. Exhibits should be presented in a manner that is consistent with the AGD’s policies on sexual harassment and nondiscrimination. All matters and questions not covered in these policies are subject to the final judgment and decision of both associations and the Exhibits Coordinator .

Exhibitor Sponsored Activities: Suites and meeting rooms may be reserved only by registered meeting attendees and current exhibitors through the AGD Meeting Services department. Registered attendees and current exhibitors may use suites for lodging and hospitality events only and may not use such suites for product sales or equipment promotion. Violation of this policy by an individual and/or company may affect eligibility to participate in future expositions with the AGD. Hospitality suites and/or entertainment activities are not permitted to operate during hours when the Exhibit Hall is open or when official conference programming and special events are taking place. Arrangements for suites and meeting space can be made by calling the AGD at 312.440.4340. All requests must be made in writing and should be submitted by June 1, 2009, to [email protected] or via fax 312.440.0513.

1. Americans with Disabilities Act Each exhibitor shall be responsible for compliance with all applicable provisions of the Americans with Disabilities Act within its booth and assigned exhibit space, including, but not limited to, wheelchair access provisions. Exhibitors shall indemnify, hold harmless and defend the AGD, its officers, directors, agents, members, and employees from and against any claims, liabilities, losses, damages, and expenses (including attorney’s fees and expenses) resulting from or arising out of the exhibitor’s failure or allegations of exhibitor’s failure to comply with the provisions of the ADA.

2. booth staffing As a courtesy to conference attendees and fellow exhibitors, and to maintain a positive company image, exhibitors must open their exhibit on time each day and staff the booth at all times during the exhibit hours. Each exhibiting company is expected to staff its booth(s) adequately during all exhibit hours. Aisles must be kept clear and exhibits arranged so that exhibit personnel are inside the space rented.

3. breaches of contract Breaches or infractions of the exhibitors’ contractual obligations could affect the status of the company’s future eligibility to exhibit and/or result in the termination of the exhibitor’s display privileges at AGD exhibits. Termination may become effective during the exposition, at which time the exhibitor must remove his/her exhibit as soon as possible without the disruption of the exposition. Expulsion of, or restrictions placed on, an exhibitor may not give rise to a claim for any refund of rental or other exposition expenses.

4. compliance with local ordinances Licenses and permits required by local statute, ordinance or regulation (if any) are to be obtained and paid for by the exhibitor. Each exhibitor will be individually responsible for compliance with local health, fire and safety ordinances and regulations. All products or services exhibited must comply with all state and local regulations and with all current FDA regulations, if required.

Although a spirit of friendly and honest competition is recognized as a valid business practice, the use of deceptive and/or unethical methods to obtain information and/or gain an advantage over a competitor is considered to be a violation of this Code of Conduct. Violation(s) of local and/or federal laws can result in immediate suspension (without verbal warning) from the exposition, as well as a loss of priority points at the discretion of the Academy. A violation of this Code should be reported to the Exhibits Coordinator by an exhibiting company for prompt attention. An individual who is found to have violated this Code will be suspended from participation in future AGD exhibits for a period not to exceed 10 years. Sufficient space within an exhibit area must be left to absorb the crowd. Should spectators interfere with the normal traffic flow in the aisle or interfere with other exhibits, the AGD, in its sole discretion, will require that the demonstration be limited or canceled. Fire regulations require that wrapping material, such as paper, excelsior, etc., must be completely enclosed within the packing boxes. Materials not in accordance with these regulations will be considered refuse and disposed of by the Exhibit Hall cleaners. Smoking is prohibited in all areas of the Baltimore Convention Center (including during the set-up and dismantle of exhibits). There are designated smoking areas outside of the building.

17. Forms of Entertainment or Amusement Attention-getting devices in the form of entertainment or amusement must be approved by the Exhibits Coordinator prior to the opening of the exposition. Only activities that, at the discretion of the Exhibits Coordinator, are in keeping with the professional environment of the exposition will be allowed.

18. General All matters and questions not covered by the regulations are subject to the decision of the AGD. The AGD may amend the regulations at any time, and all amendments that may be so made shall be equally binding on all parties affected by them, as are the original regulations. In the event of any amendment or additions to these regulations, the AGD will give written notice to such exhibitors that may be affected by them.
