Modern Users Are Demanding More As the digital economy continues to evolve, the demands of the workforce are changing, too. IT is under more pressure than ever to deliver a seamless, consumer-like experience anytime, anywhere. From desktops to applications to data access, today’s users need it all—on any device they happen to have at hand.

Because if IT can’t provide it, they’ll look elsewhere. And unfortunately, many of those resources don’t meet security and compliance standards, which results in “shadow IT” and puts data at risk.

A digital workspace strategy enables IT to accelerate digital transformation by simplifying the delivery of and access to applications, while better protecting corporate resources and streamlining compliance activities. That’s why IT organizations across industries are working to implement a comprehensive solution that covers everything: physical and virtual desktops, applications, data, and devices.

A Digital Workspace Strategy Covers More Than Just Desktops Many IT organizations are familiar with Virtual Desktop Infrastructure (VDI), which allows IT administrators to virtually deliver desktops and apps to users. It streamlines management, is portable, and follows users from device to device.

A digital workspace strategy expands on the principles of VDI to address even more use cases, allowing you to grow and adapt in a rapidly changing technical and business landscape.

What Is a Digital Workspace? A digital workspace breaks across the silos of mobile and desktop, enabling users to simply and securely gain access to applications, services, data, and experiences across devices, networks, locations, or operating systems.

A digital workspace platform must include the ability to deliver virtual apps and desktops as part of a comprehensive strategy. To be effective, this strategy must be about more than technology; in fact, it should fundamentally change the way IT works. A digital workspace strategy shifts the focus from standardization and asset management to a user-first model that enables employees to take advantage of self-service engagement, greater choice, consumer-friendly experiences, and access to modern cloud-based applications.

How to Determine When to Deploy Virtual Apps and DesktopsAs part of a digital workspace strategy, VDI is still important—but when is it an appropriate offer for users and departments? Let’s take a look at some of the considerations for deciding when users need virtual apps and desktops.

Evaluate application needsVirtual apps and desktops are a great choice for hosting Windows applications, whether you’re trying to isolate problem applications, or ensure compatibility across apps or older, poorly written web apps with browser compatibility issues. Windows apps are still a massive presence in most organizations, and are the vast majority of native (non-web) applications.

Modern applications like Microsoft Office apps are written for modern management APIs like MAM and EMM, and ported across all major operating systems, or include web versions requiring no installation at all. Many of these apps don’t need to be hosted when accessing from a trusted device—but what if an employee wants access from an untrusted laptop? Having a virtual option offered seamlessly through a digital workspace can still provide protection from data loss while ensuring full functionality.

Weigh mobility vs. connectivityVDI is ideal for mobility, as employees can safely access apps and desktops from anywhere they can get a network connection, without compromising network security. But VDI and virtual apps require good connectivity with reasonable bandwidth and minimal latency for good performance.

Natively installed applications have the advantage of not requiring a connection. But if the purpose of the application is to communicate with remote data or systems, local execution won’t necessarily help. If you don’t have a good connection, the application won’t work. In fact, for data-intensive applications, hosted apps and desktops can improve performance over locally installed apps by replacing intensive data transfers or chatty transactions with simple screen updates.

Explore security and regulatory considerations Virtual applications have the advantage of ensuring that data stays off devices altogether, reducing the risk of data loss, and easing the burden on administration for protecting or disposing of endpoints. Meanwhile, native applications managed through modern management tools can be encrypted, and data wiped remotely. This greatly reduces the risk of data loss through carelessness—but malicious attacks or theft can still occur when targeted data is left on any device.

Moving Beyond VDI It’s no accident that IT professionals who use VDI are now progressing toward a digital workspace. VDI pioneers are already embracing the tenets of a digital workspace by supporting any device, anywhere on the network. They are also leveraging automation that creates desktops or application profiles based on the user rather than managing to a device.

A digital workspace provides:

• Self-Service. A smooth onboarding process coupled with out-of-the-boxfunctionality and an enterprise app catalog means that users can do moreon their own, without compromising security or wasting IT resources.

• Mobility. Users can access data and applications on the go—not justat a single desktop or workspace.

• Choice of Device. Get the resources you need, from any device, anywhere. From company-issued to personal, devices may change—but security and performance remain the same.

• Contextual Security. Advanced controls give IT the ability to restrictor grant access based on user, device, geolocation, and more.

• Seamless Experiences. Users can sign in and get to work—and that’sall there is to it. No complicated log-in processes or lagging. Apps, data, and security follow users no matter where they are.

BEFORE AFTER

Physicians spent valuable time in the office accessing records, reducing time with patients.

A single unified workspace improves productivity and expedites workflows, enabling clinicians to spend more time on the floor.

Remote users relied on a VPN to securely access applications, which was unreliable and complex.

Workspace ONE gives remote users the ability to securely access applications without a VPN—no matter where they are.

IT staff had to asset-manage multiple devices for each user, consuming valuable resources.

Workspace ONE provides a single-pane-of-glass management for secure access on every device, without wasting IT resources.

User experience between devices often varied, causing frustration.

Physicians now have the same experience whether they’re working on a fixed desktop or personal device.

John Muir Health Empowers Doctors and CaregiversCalifornia-based John Muir Health is an integrated healthcare system responsible for 872 hospital beds; more than 1,100 physicians; and 6,500 employees. It needed to improve the quality and delivery of patient care by expanding clinical mobility—without compromising patient information and critical healthcare data. It combined VMware Horizon® virtual desktops with VMware Workspace ONE™ and VMware AirWatch® for a complete digital workspace solution.

Take the Next Step Toward a Digital Workspace StrategyDelivering a digital workspace strategy can seem daunting—but it doesn’t have to be. You can start small and get some quick wins, and build from there. Once you take the first few steps, you’ll be well on your way to a more efficient, secure, and agile workspace.

With a digital workspace, you can:

1. Segment users. To build a digital workspace strategy, begin by segmenting andthen targeting a group of users. This is where new skills are required. Don’t justthink about the desktop they might need; think about the employees as they gothroughout their day. What are all the ways they can use devices to work today? What applications will they need across the different devices they may own?

2. Begin building out an app catalog. An app catalog doesn’t need tobe complete to have value. By growing your catalog over time, it willgradually become the first and only place employees look to find appsand get their job done—from their first day on. You can build thiscatalog by adding some popular SaaS apps.

3. Explore MFA alternatives. Many organizations are still stuck withcomplex tokens for getting access to nearly anything outside the office.Modern mobile push solutions from VMware are a simpler way of loggingin anytime, anywhere. A user simply has to accept or deny a notificationto his or her phone and get to work.

Tip: Use pre-built SAML connectors to get SSO convenience and security. Next, publish virtual apps that address the most used or most problematic apps. Finally, experiment with policy definitions. Make employee logins seamless while making some quick security improvements.

4. Learn unified endpoint management. Once you have a catalog and arange of applications loaded, it’s time to begin learning unified endpointmanagement that partners with the mobile management administratorsin your organization. Many of the concepts behind iOS and AndroidManagement are being extended to Windows 10 and MACOS.
