Greetings Danbee Families,

Welcome to Danbee 2020! We are thrilled that you

have chosen Danbee as your daughter’s summer

home. Whether this is your camper’s first summer

with us or her fifth, we look forward to watching

her form meaningful connections and create

lifelong memories. Danbee is a place to feel

accepted and where our girls can learn to be the

best version of themselves.

Our Family Handbook is designed to help you prepare

for camp. It contains important and helpful information

and is updated each year. We encourage you to read

through it carefully and use it as the resource it is

intended to be. Please note that camp will begin and

end on a Friday this year.

In order to make this summer the best possible, we need you, our camp families, to

be aware of, and support our camp policies. We believe that outstanding summer

camp experiences are created through careful and intentional planning. The policies

we enforce help ensure that we treat each camper and her family fairly.

Before you know it, we will be back at our summer home and dancing in the mess

hall. We can’t wait to see you all in the Berkshires!

Warmly,

WELCOME TO SUMMER 2020

RULES AND POLICIESPlease review the following rules with your children before camp begins:

Consideration and Respect: The simple rule we follow for camp living is that no one is allowed to have their fun at someone else’s expense. Camp has an obligation to every camper and counselor. Camp Danbee will not tolerate disrespectful and/or inappropriate language or behavior toward peers or staff. Any inappropriate discussion or contact of a harassing, sexual, or bullying nature will result in immediate action.

Cleanliness: Campers must practice personal cleanliness and keep their living quarters neat. Please remind campers that regular showers and daily bunk inspections are part of the Danbee routine.

Camp Property: Defacing camp property is prohibited. Any camper who writes graffiti or otherwise defaces the camp will be required to sand off or paint over the damage. Repeat infractions will result in a call to parents and possible billing for damages. This policy applies to all areas of the camp, including walls, cubbies, bathroom stalls, beds and rafters.

Prohibited Substances: Smoking cigarettes, marijuana (including edibles), vape pens and products, JUUling, drinking alcohol or doing drugs of any kind are strictly prohibited. Any camper disobeying this rule will be asked to leave camp upon notification of her parents. We have a “zero tolerance policy.” There will be no exceptions.

Packages: In an effort to promote a grounded camp environment and in fairness to all campers and parents, our camp has a NO package policy. This policy extends to all parents, relatives and friends.

No Bunk Gifts: Danbee strictly prohibits any bunk gifts for campers bunkmates, friends or counselors on Visiting Day.

Prohibited Items: Please do not send electric fans or other electrical equipment, as we do not want to overload the electrical systems in the cabins. Battery operated fans are acceptable. Please do not send expensive items such as good clothing or jewelry to camp or items that have an overabundance of sentimental value. Cell phones and portable gaming devices are prohibited. If your daughter would like to bring a Nano or iPod shuffle for music, that is acceptable. Other prohibited devices include anything with a screen that has video capabilities or WI-FI. The camp cannot assume responsibility for the loss or damage of camper’s personal property.

Gratuities: We prohibit the offering of gratuities to our counselors and staff. All of our staff has been apprised of this policy. All staff members understand that if they accept a gratuity, they will forfeit their position at camp. It has always been our philosophy to compensate our staff fairly. The American Camp Association has also made this policy one of their standards.

NOTES:

1. Any item that makes phone calls or accesses the internet is not permitted at camp.

2. Ipods and/or MP3 players that have capacity to play videos MUST be cleared of videos before arrival to camp.

3. We recommend campers bring an iPod shuffle or similarly inexpensive device.

4. We recognize that many digital cameras have the ability to record videos. We ask campers and staff to refrain from taking videos inside of the cabins.

5. Camp will not take responsibility for replacing electronic devices brought to camp, which may be damaged or lost. If any of the items not permitted are brought to camp, we will collect them and return them at the end of camp.

BUNK LIFE INFORMATIONCAMPER PROFILEThe camper profile helps our counselors and staff get to know you daughter before she arrives at Danbee. It gives our staff valuable information about her personality and goals for the summer. We review these forms carefully, and share them with your daughter’s group leader and counselors. (And while of course we know your returning camper, her counselors may not! It’s important for even our most seasoned campers to have this form on file). Please complete this form online by April 1st.

BUNK REQUEST FORMAlong with the Camper Profile, we use the Bunk Request Form to assist in bunk placement. It is vital that you and your daughter understand that this form is only one of the many tools that we use to put bunk groups together. Please note that the choices are numbered, so we consider those choices to be in order of preference. The choices that she indicates will help us, BUT WILL NOT GUARANTEE PLACEMENT. New campers are welcome to request bunkmates after the New Camper Luncheon on May 3rd. We make every effort to place girls with a compatible group of campers. Please note that the number of spaces for preferences is a guide, and girls may list fewer names than indicated. Girls are discouraged from listing more names than spaces available. Please complete this form online and submit it by April 1st.

NEW CAMPER LUNCHEON / NEW PARENT ORIENTATIONAll new campers are invited to attend our New Camper Luncheon, scheduled for Sunday, May 3rd, from 12 PM to 2 PM, at the Doubletree Hotel in Fort Lee, New Jersey. Our oldest campers (Wel-B-Yon) are also invited to attend and meet the new Danbee girls. An invitation will be sent to all new campers in early spring. All new families are invited and encouraged to attend a New Parent Orientation that will take place at the same time and place as the New Camper Luncheon.

You can log in to your myDanbee account via our website, under the current families tab.

MAILCampers are required to write home at least twice a week. For our younger campers, it is helpful if you send them with pre-addressed stamped envelopes.

Please write often to your daughter throughout the summer, it is important that campers receive frequent mail from home. This is especially vital in helping new campers adjust to camp. Please avoid writing letters that dwell on home ties. Write positively about your daughter’s camp experiences. We strongly encourage every parent to send one letter several days before the start of camp so that your daughter will have a letter waiting for her when she arrives.

Please be sure to address each letter with your daughter’s name and bunk number. Bunk numbers will be emailed to parents the first day of camp.

Address all mail as follows:

Contacting the Directors

You are welcome to call the directors at any time during the summer. We value the close relationships we have with our camp families. We do our best to return phone calls as soon as possible, but please understand that we are out on camp with the campers during the day and typically return phone calls and emails in the evening. Alternatively, you can reach Jay, Jackie or Lauren via email at: [email protected], [email protected], [email protected].

PACKAGESIn an effort to promote a grounded camp environment and in fairness to all campers and parents, our camp has implemented a NO package policy. This policy extends to all parents, relatives and friends. You MAY send flat envelopes up to 9x12 in size. If your daughter forgets to pack an essential item, please contact us to get approval prior to sending a package. All essential item packages should be sent to the attention of the directors. Upon arrival, all packages will be opened before being delivered to campers. Any package found to contain food will be discarded.

Birthdays

Birthdays at Danbee are fun and exciting! We find special ways to celebrate each girl’s birthday, culminating in an all camp birthday song. Your daughter will also have the opportunity to celebrate in the evening with her bunk and will receive a fresh baked birthday cake. You can help your daughter feel special on her birthday by sending ONE birthday package (box). Please clearly indicate that it is a birthday package and the date it should be delivered on the outside of the box. Birthday packages may not contain food items or bunk gifts. Birthday girls can schedule an additional phone call home!

HEALTH CARECAMPER MEDICAL AND CAMPER HEALTH HISTORY FORMS

The Health Department of the State of Massachusetts requires a completed and signed Medical Form for every camper to participate in activities.

Please read the directions carefully for each form.

• The Health History Form is to be completed by a parent and is found in your myDanbee account. This form also serves as our permission to treat form, should your daughter require medical attention. It does not require a doctor’s signature. We cannot allow campers to begin camp without this form on file.

• The Camper Medical Form must be completed by a licensed medical provider.

The Health Department requires that the exact and actual dates of immunizations be on file at camp. The statements: “All immunizations are up-to-date” or “This child is in good health” are not acceptable.

Please note: Some physicians prefer an abbreviated medical form which does not meet our needs. Ask your doctor to use our form, otherwise we must receive both forms.

If your daughter develops an illness or medical condition after you have returned your medical form please contact us. It is important that we are aware of medical conditions ahead of time so that we can provide a safe environment for our campers.

The Medical and Health History Forms should be returned to our winter office by April 1st. We understand we have campers with birthdays that do not happen before this date. If your daughter has a birthday after April 1st, please send in her physical as soon as they have it. After May 15th, please mail them to the summer camp address: P.O. Box 337, Hinsdale, MA 01235.

REQUIRED IMMUNIZATIONS

1. Diphtheria and Tetanus: Campers must be fully immunized against Diphtheria and Tetanus with the basic series of three injections and boosters. Campers through age 10 should have had a booster dose against Diphtheria and Tetanus within the past five years. Campers age 11 and up should have a booster dose of Tetanus Toxoid every ten years.

2. Poliomyelitis: All campers shall have received the complete series of oral polio vaccine (Sabin).

3. Measles: An inoculation of live attenuated measles virus vaccine is required for all children who have not had measles. It is important to give this inoculation two or more weeks before going to camp.

4. Typhoid-Parathyroid: This vaccination is optional. Some recommend that campers, 11 years of age and up, receive Typhoid immunization. If already immunized, a yearly booster dose is called for. Check with your physician to find out his/her recommendation.

5. Mumps Vaccine: This is mandatory for campers over 10 years of age who have not had the mumps.

6. Infectious Hepatitis: If a camper is exposed to Infectious Hepatitis, gamma globulin should be given promptly after exposure. CAMP MUST THEN BE NOTIFIED!

7. Meningitis Vaccination: not required but recommended and at the parents discretion.

COMMUNICABLE DISEASES

Please be sure to check your child for the presence of head lice two or three weeks prior to departure and immediately before camp begins. In addition, check for ingrown nails or planters warts and take care of these before camp begins. Notify the camp immediately if your child has been exposed to any communicable disease within three weeks of departure day.

LICE

Preventative Steps Taken During the Camp Season:

All campers and staff will be screened twice over the summer. For the health of the community, there can be no exceptions to this procedure.

1. Upon arrival2. Upon departure

Treatment for Positive Cases of Lice Upon Arrival to Camp:

When a camper is identified to have lice the following steps are taken.

1. The family is notified.2. The camper will be treated at camp. Treatment will be administered by Lice Treatment

Center, a professional lice company and the cost is $375.3. All bunkmates will be re-screened.4. Sheets and towels (as well as other items) will be laundered.5. We will make every attempt to maintain confidentiality so as not to embarrass the camper.6. The camper will be re-checked several days after her initial treatment.

PRESCRIPTION DRUGS

Our Health Center stocks basic generic antibiotics and drugs. Please do not send over-the-counter drugs to camp, such as Advil, Claritin, Tylenol, Midol, etc. If a camper requires a new prescription medication while at camp from a pharmacy, the charge will be made to your medical carrier. Parents are responsible for payment of all special orders for prescription and non-prescription medications.

If your daughter takes any form of daily medicine (over the counter or prescription) it must be filled through Market32. Please refer to the Market32 form in your myDanbee account and should you have any questions you may call them directly at 413-442-2212.

For the safety of your daughter and her bunkmates, you may not send prescription medications with her to camp. Our health center staff needs time to adequately prepare to dispense medication to your daughter, therefore giving medication to a bus counselor or a flight chaperone is not acceptable.

INSURANCE

Please complete the Insurance and Credit Card Form and attach a copy of all medical, prescription and dental insurance cards to the form. Medical attention in our Health Center is covered by your tuition. All additional medical costs incurred during camp are the responsibility of the camper’s parents. These include emergency room visits, local physician’s visits, and/or outside providers of medical attention. All of the above will be billed to your medical insurance carrier. Visits to dentists and orthodontists are billed directly to parents. Parents are financially responsible for any and all charges related to medical treatment which may not be covered by their medical insurance, including, but not limited to, a deductible, co-insurance charges or portions of medical charges which individual insurance companies may decline to pay.

DENTAL CHECK-UP

It is important that all campers visit their dentist and/or orthodontist before camp. Parents of campers undergoing orthodontic treatment should relay any special instructions to us. If the need arises during the summer, a local orthodontist will make your daughter comfortable if a wire snaps or a similar problem arises. He does not, however, do any substantial work.

FOOD AND NUTRITION

• Outside food is prohibited at camp. Please do not send your camper with any food in her baggage or in a package. In addition to potentially inviting unwanted bunkmates (mice, squirrels, bugs, etc.) food in the bunks compromises the safety of campers and staff.

• Danbee is a NUT AWARE camp. We do not serve any items in our Mess Hall containing nuts. We offer individual single serve packets of peanut butter at a designated table. Campers wishing to eat peanut butter may sit with a counselor at the peanut butter table and eat their meal. All campers and counselors must sanitize before they return to their own table.

• If your daughter has a dietary restriction that may require special food, please contact us to discuss an individual plan.

CLOTHING AND EQUIPMENTCLOTHING POLICY

Campus Girls (entering 2nd-6th grade) are required to wear a Danbee uniform daily. A Danbee uniform consists of any Danbee logo’d top and a solid pair of navy or white shorts. Shorts are not required to be logo’d.

Acres Girls / WBY (entering 7th-10th) are required to wear a Danbee uniform on Saturdays and Sundays throughout the summer. During the week, campers may wear non designer athletic clothing. Please do not send expensive clothing items to camp.

Danbee is a grounded and inclusive environment and there is no place for competitive behavior in regards to clothing. To help minimize any unwanted competition please follow our packing list accordingly.

CLOTHING REQUIREMENTS FOR ALL AGES:

1. Dangling earrings can be dangerous and should not be brought to camp. Please wear straight stud earrings for everyday usage. Please send an extra pair of stud earrings and backs.

2. Halloween, Square Dance, Gold Rush, and Casino night are a few examples of our special events. Please see the special event description page for a suggestion of clothing items to pack.

3. One-piece bathing suits are required.

4. Girls should bring some casual and appropriate outfits for social activities.

5. Team uniforms are encouraged for girls that plan on participating in tournaments/competition such as Soccer, Tennis, Gymnastics and Cheer. See clothing catalog for details.

EQUIPMENT: ALL equipment must be clearly labeled.

EYEGLASSES: If your daughter wears glasses or contact lenses, please send an extra pair to camp as well as contact solution.

PURCHASING CAMP CLOTHING

Danbee’s official outfitter is The Camp Spot. The uniform catalog is enclosed with this handbook. You have the option to order clothing online, over the phone or at one of The Camp Spot’s road shows.

You may contact The Camp Spot at www.thecampspot.com. Be sure to order early so if you need to make an exchange, you will have ample time. The packing list is the same for all sessions.

ALL CLOTHING MUST BE CLEARLY LABELED WITH YOUR DAUGHTER’S NAME. Labels can be ordered from The Camp Spot. Please understand that any clothing item that is not labeled may not be returned home. Not labeling your daughter’s clothing, towels, bedding, socks or water bottles etc... causes unnecessary stress to your camper when an item goes missing.

VISITING DAY AND VISITATIONSParent Visiting Day for Full Season and Danbee in 4

is Sunday, July 19, 2020

You will be receiving further information about this day including important policies and reminders and an RSVP form via email once camp begins.

Our Wel-B-Yon campers may be picked up at camp after 8:30am on Saturday, July 18th and must return to camp no later than 3:30pm on Sunday, July 19th (though most return around lunch time to enjoy their last Danbee Visiting Day).

GRANDPARENT LUNCH

Our policy is as follows:

• Grandparents who would like to arrange a visit should call our office to make an appointment.

• Grandparents should plan to bring a nut free lunch and visit with their grandchild between 12:30 PM to 2:00 PM. Grandparents may not bring any additional food or candy not intended to be eaten at lunch. Any additional items will be taken away prior to returning to the bunk.

• We strongly recommend you do not call your child on their grandparent’s phone during the visit. Campers are often sad, upset, or “off” for the afternoon. A call from home in that setting may bring on homesickness.

• Campers may not leave the camp property with their grandparents and grandparents will not be allowed to walk around camp. Grandparents are also welcome on our regular Visiting Day.

We ask that you share the details of the visit with any grandparents intending to schedule a visit.

HELPING YOUR CHILD SUCCEED AT CAMPOver the years, we have helped many families and campers succeed at their first away from home experience!

Here are some simple tips to help your daughter’s experience at Danbee be a successful one:

• Discuss what camp will be like well before your child leaves. Role-play different scenarios that will occur at camp. For example, what will it be like trying an activity for the first time? What will you say to people you are introduced to in your bunk the first day? What if you have to use the bathroom in the middle of the night? What will you do if you are not feeling well one day? What will you do for your mosquito bites? There are so many situations that come up at camp. Try to discuss situations that your child may be nervous about to help prepare her as best as possible.

• Do NOT tell your child you will pick her up from camp if she does not like camp or is homesick. This may set your child up to fail, as the first time something does not go exactly as planned she will want to go home. Furthermore, children typically lose any and all motivation to try to succeed at camp if they think a parent is coming. These children tend to spend the entire day wondering when mom or dad is coming instead of trying to have fun at camp. Part of camp is learning how to work through different situations that may not always be easy. What may seem like a difficult situation one day is usually replaced with a fun-filled, busy and exciting day at camp. Please know that some of the most homesick campers at the beginning of camp are the same campers who do not want to leave at the end of the session and end up returning for many years.

• Pack your child’s favorite stuffed animal or blanket for their bed.

• Send your child with photos of your family and pets so that your child will have a reminder of home.

• Send a letter to your child before camp begins so it is waiting for her upon arrival at camp.

• Acknowledge feelings your child may be having about camp such as feeling anxious, apprehensive, nervous and excited. These are all common! Let them know that most campers are feeling the same way before camp.

• Give your child a cheery send-off. Goodbyes are the hardest (for parents particularly) the first year. It really will get easier in succeeding years for both you and your child!

• Try not to worry! Know the directors and counselors are taking great care of your child! Feel free to call us any time if you have any concerns or worries.

• Although this section is about helping your child cope at camp, we do have a few strategies to help our parents cope as well. Remember to log into our website at www.campdanbee.com daily to see updated photos of campers having a ball at camp. Photos will be posted daily!
