Customers that require car hire on a 1 – 28 day basis can take advantage of our standard offering, allowing customers to book vehicles by group: Large Hatchback, Medium Estate and so on, ensuring that a suitable vehicle is provided. Cars are provided on a daily tariff which varies according to the duration of the hire
Delivery & Collection to both business and home addresses can be arranged for a small charge, or customers can decide to pick up/drop off the vehicle at the location most convenient for them
Short Term Hire
Where a customer knows that a car will be required for more than 28 days, they can take advantage of our Mini-lease tariff, which is specifically designed to take our most popular vehicle groups and offer them at our most advantageous rate, inclusive of RFT (Road Fund Tax)
Minilease offers a flexible and competitive solution, across a wide range of vehicle types. Customers can also book specific fuel types if required
Mid to Long Term Hire (Minilease)

Reservation Options
Customers can simply call or email our dedicated team who are fully versed in the specific requirements to support each of the accounts needs
The reservation request will be then entered into our system where account and allocation rules will drive both the information required and identify the rental supplier best placed to support the request. Core vehicles will be confirmed in 20 minutes from creation, confirmation will be sent direct to the “driver” or the “booker”, as well as to our Daily Rental team

The Fleet Hire Rental team is a central contact centre for all of your rental needs. This means that with just one phone call or email you will be able to obtain the vehicle you require, in the location of your choice, whether it’s needed in the UK or overseas.

Reservation Team Operating Hours
• Once we have received and placed your reservation we will send this over to one of our suppliers. • A to D groups are confirmed within 2 working hours .• This can take longer for Auto’s, Estate’s and larger cars as well as LCV’s• HGV can take up to 24hours to source. • As soon as the reservation is confirmed you will receive an automated
email from our booking system with your unique reservation number. • Please check that all the details are correct. • If there is an error or you wish to alter the reservation in anyway
please contact us on our dedicated telephone number or email address and we will make the necessary amendments.
Confirmation / Alterations
• We monitor all reservations on a daily basis and will contact you if the vehicle needs to be extended further or off hired.• Whenever a hire vehicle is on rent against one of our contract hire or
maintained vehicles our maintenance team monitor these very closely to keep your costs and downtime to a minimum. • If a vehicle incurs a speeding fine or traffic offence we will send all
correspondence as soon as this is received from our suppliers. • We will send MID and P11d reports if required on a twice monthly
basis.• We offer full rental reports including breakdown of vehicle groups
booked, rental durations, reasons for hire, rental trend and much more.

Fleet Hire understand the importance of consistent service delivery and have selected suppliers who are committed to adherence to our agreed service standard
The main terms of our Service Level Agreement are as follows:
• No turn down policy – guaranteed vehicle supply of core vehicles• 20 minute confirmation time to our customers for core vehicles• Delivery within 2 working hours for standard vehicles for core vehicles• Delivery within 4 working hours for commercial vehicles CDV, SWB and LWB• Delivery within 48 working hours for specialist vehicles• Response to complaints within 5 working days• Less than 3% complaint to rental ratio
Damage Processing
At Fleet Hire we pride ourselves on having robust damage processes
Managing damage begins by supporting our customers in understanding how to take receipt and return a rental vehicle to remove any doubt around responsibility
It is strongly recommended that the driver be present to check the daily rental vehicle upon delivery, and signs the documentation accordingly, identifying any discrepancies
A copy of the rental agreement will be delivered with the vehicle, which will include a note of damage and fuel level on the vehicle at delivery Where the driver or representative cannot be present then the vehicle condition must be checked and any discrepancies should be notified to Fleet Hire or e-mail as soon as possible and prior to driving the vehicle to advise of any damage not recorded on the documentation
Robust Damage Processing
The driver should also check the vehicle to make sure that the vehicle is full of fuel (minus fuel used during the delivery) and for any accessories such as spare wheel or puncture repair compressors
At Fleet Hire we ensure that all damage is notified to our customers within 5 working days of the rental terminating, this allows our customers to dispute the claim and we can then take this up with the rental provider.
On receipt of a damage invoice, prior to sending to our customer we review the charges, check the labour rates and damage being invoiced, along with the corresponding delivery and collection information. We submit the invoice following the validation of the invoice. The customer then has 5 working days to dispute these charges.

Reports can be accessed either by the customer themselves on-line, can be emailed to the customer, or deposited in a shared area for customer access
Reporting
Our rental management platform will be uploaded with vehicle details upon vehicle allocation by the rental supplier. This information is available to our customers either via the on-line reservation system, or a report can be emailed on a daily basis.

At Fleet Hire we understand the importance of timely, accurate invoicing and are please to offer a range of invoicing methods to our clients
These range from single invoice to scheduled or consolidated invoices to suit our clients needs
We process all invoices as soon as they are received from our suppliers and aim for 98% invoicing accuracy.
We log all Customer Service issues as soon as they are received and aim for these to be resolved within 5 working days.
