While the goal is ultimately to discontinue the old technology, at this time, no decision has been made to decommission the old technologystack.

Onboarding 2.0 - Tasks

• Overall we need to establish which fields are to be mapped directly

from RCM to ONB/EC as part of initializing the Onboarding process

• Compliance functionality for:

– US/CAN/IN/AUS/UK - This covers all tax forms, P45, e-verify, I-9,

W4, etc. None of that is in yet.

– Expected to be in by the end of 2020 (road map)

• Reporting capabilities:

– This feature builds solely on SAC Embedded Edition, and at present, the release of SAC Emb. Ed. has been postponed without a

new fixed release date.

• Direct mapping of Object from Recruiting to ONB/EC

– Not supported at the moment; we have been told Engineering is

working on this. In the meantime, we do have a workaround that was used with ONB 1.0 as well.

• Full language support for all EC countries

– Work in progress - 14 or 18 languages are supported at present,

adding more with each planned release, until they reach the full list thats installed with EC.

• Reporting support planned for H1 2020 with the release of People

Analytics Embedded Version

• Mobile app support:

– No app for ONB yet; everything is Fiori Design, and therefore responsive, meaning it will adapt to any screen size when accessed

through a browser and from a mobile device.

• LMS/JAM integration for external Onboarding users (road map

2020)

– Possible workaround is to create users in LMS/JAM as external

users there as well, but SSO from ONB/EC to LMS/JAM won’t be working as of now.

• Global Assignment/Concurrent Employment and Contingent

workers are not yet supported, but they on the road map.

• Qualtrics integration:

– We should be able to use Qualtrics for surveys, etc. in the future. At present, we don’t have a standard integration, which should be on

the road map for 2020.

• Think about the features you rely on today for your Onboarding

process and how these match what ONB 2.0 has to offer – and

when.

• SAP SF is aiming for full funtionality parity by the end of 2020, and

then some... As we already see improved functionalities and

features in ONB 2.0, once we reach full parity, we will then have

everything from v1.0 + new cool features already in ONB 2.0.

• SAP SF mentions the options to have a hybrid setup, meaning

running both versions of ONB at the same time. This is potentially

doable, but from experience, it’s not a clear recommendation to

got that route. In most cases, it will make sense to wait for the full

parity reach by the end of 2020.

• Migrating to ONB 2.0 will mean revisiting other dependent

modules.

– Employee Central (Pre-requisite right now)

– Recruiting (or 3rd party ATS)

• Employee Central thoughts

– ONB 2.0 relies heavily on the Succession Data Model the

foundation of EC field and data structure. So this needs to be look through and potentially amended to suit any ONB specific

requirements.

– Also we would need to look into layering of the Data Model

introducing the concept of person-types:

• Person Type Onboardee (defining fields required for onboarding)

• Person Type Employee (EC hire required field)

– As we setup new Role Based Permissions this setup will change,

maybe not a lot, but some. Meaning current governance models needs revising.

– Business Rules added thats specific for ONB.

– Potential changes to EVENT_TRANSFER and EVENT_TERM rules to cater for Internal Hire (Crossboarding) and Offboarding needs.

• Document management enabled:

– Storage of all documents needed for signing or otherwise needed in the Onboarding process

– When running ONB 1.0 not much change seems needed here apart

from re-doing the RCM -> ONB mapping in the new tool.

– We have an API available already now, but this is different from the

the old one, so this needs to be changed.

– We can create an External Onboarding User through the API, map

data for the user and create the Onboarding Process. After this Onboarding takes over the process.
