Why are we moving from Google to Office 365?
The previous proliferation of different IT tools was confusing; each has a different user
interface, many of which are now outdated, there are difficulties when moving information
from one system to another, and there is no way to search across all the systems.
The combination of old, separate tools and a lack of agreed working practices were
creating barriers to both staff and students communicating and collaborating effectively.
The University strategy in 2016 recognised that we needed to overhaul our digital
infrastructure and culture to improve this.
Office 365 was considered the most complete suite of tools available as it integrates email
and calendar, document sharing, an individual filestore, instant messaging and audio/video
conferencing. Office 365 and Outlook are also used in many other UK universities,
including the majority of the Russell Group.

Get ready for the move away from Google
If you currently use your University-provisioned Google Drive to store files and would like to
keep them after your account has been closed, you must move them to OneDrive (for your
individual files), an Office 365 group (for collaboration with others) or elsewhere before
December.

Exporting your data
Google Takeout allows you to export all your data from any Google application to a
downloadable archive file. Please see our instructions for more information.
Before you start we strongly recommend that you:
• use a laptop or desktop to download your files from Google Drive as you may lose data if you try to
do it on a mobile device.
• clean your Google Drive by deleting, removing or re-organising your files and folders.
• add to your My Drive (within Google) the files or folders in Shared with me that you want to keep
(see Find files shared with you for further information).
• pick a time to transfer your data when you don’t need to access your files for a short while.

Google Scholar and YouTube
Google advises that you use a personal account for your Google Scholar Citations
profile, rather than a University account, so that you can keep your profile for as
long as you wish - for example, if you change institution.

If you have a YouTube channel associated with a UoB Google account, it will be
deleted when Google accounts are closed.

Google Play
Google Play should not have been used with your UoB account as all purchases will be lost.
Google Translate
Translate will still be available but any phrases that you have saved with your UoB account will be lost.
Non transferable data
Android devices
Your UoB account should not have been used to set up any Android device. The device will still function but you will
not be able to access the apps store or other applications without resetting your device with a new account.

to review your account access before your account is closed.
