MULTI-BRANCH

If your Firm works from different branches, you can now combine all your information into a single installation of

GhostConvey. This will allow you to quickly find and switch to matters across branches. It is also much easier to

keep track of what needs doing as you only need to check one message centre, one diary and use the consolidated

reports. Most importantly, you will still be able to communicate electronically using different identities per branch

for the various institutions.

ENHANCEMENTS TO THE SEND / RECEIVE PROCESS

The send/receive dialogue box will show which branches were included in the processing.

If there are matters open when a send/receive is triggered the following will occur:

Matters “affected”, i.e. those with messages to send, will be closed and re-opened

GhostConvey will go back to the matter which was active before the send/receive

To speed up the send/receive process, messages will be received from all parties before they are processed, and

all processing will take place at the end.

The send/receive dialogue box has Print and Email buttons which allow you to either print or email the send/receive

log.

THE BOND REPAYMENT CALCULATOR

The Bond Repayment Calculator is now available in the Quotation drop-down menu:

You can select to calculate the Repayment, Term or Principal sum:

BOND QUOTATION ENHANCEMENTS

When doing a Bond Quotation the Mortgagor type can now be selected from a drop-down menu:

Once the quotation has been calculated, you can select

and delete items, and the quotation will recalculate.

SARS BILLING

A new account entry for SARS billing has been added to the transfer account in the Setup.

RESCHEDULING TASKS ON A MATTER

It is now possible to reschedule tasks on a matter. To do this, go to the Diary tab and select the tasks to reschedule,

right-click and select Reschedule all tasks or Reschedule task.

TRANSFER FEE REPORT

The column heading "Fees" has been changed to Total Tariff Fee, and the calculated tariff fee will appear in

this field.

A Lodging Agent's Fee column has been added

The column heading "Actual Transfer Fee" has been changed to Firm's Fee Earned, and this will include

notarial cession fees if applicable.

Reduction amounts will be included in the calculations for these columns.

Two new frequency options, Every half hour and Every hour, have been added to the report scheduler. If either

of these is selected, the report will run every 30/60min from Monday to Friday between 08h00 and 17h00.

GENERAL

Sectional Title Bonds held by clause

This clause has been amended to read: DEED OF TRANSFER NUMBER ST AND SUBJECT TO SUCH

CONDITIONS AS SET OUT IN THE AFORESAID DEED OF TRANSFER. Previously this read DEED OF

TRANSFER NUMBER ST AND SUBJECT TO SUCH CONDITIONS AS SET OUT IN THE AFORESAID DEED

OF TRANSFER NUMBER ST

BULLETINS AND DOWNLOADS

Bulletins and downloads are now switched on for all institutions that can receive Gateway Bonds.

Homeowners Association Registration Number – this number was not pulling through to the Property

Description in the bond and this has been amended.

Nedbank Additional Sum Calculation

The additional sum field is now read-only for electronic matters. Nedbank has advised that they would

rather send an amendment instruction if the amounts are wrong.

For manual matters, the calculation is 25% of the capital amount (without rounding up to the nearest R1000)

FIRSTRAND BANK HOUSING FINANCE BONDS

Stop order fields were added for KODA documents.

TRANSFERS

FIRSTRAND BANK HOME LOAN TRANSFERS

Two new messages, which need to be sent before lodgement, have been added to the Transfer Registration

process for FNB Home Loan matters:

Cash Deals: where no bond is required, you would not complete the Bond Granted milestone and may or may

not advise if the deal is a cash deal. To include these matters in the registration process, use the Cash Deal

message to advise the Bank that the matter has been received, for which only a date needs to be captured for

this message.

Shortfall: this message should be used to distinguish between a normal and shortfall matter (i.e. where the

deposit plus proceeds of the bond does not cover the purchase price). You will need to capture a reason for

the shortfall before sending the message.

Sectional Property Descriptions

When customising the sectional property description on the Property Description tab, GhostConvey will now save

the description and it will be pulled through to the Power of Attorney or Deed.

NOTARIAL DEED OF CESSION FEES HAVE BEEN INCREASED AS FOLLOWS:

NOTARIAL CESSION OF EXCLUSIVE USE AREAS, (In terms of Section 27(4) of Act 95 of 1986) R1650

NOTARIAL CESSION OF EXCLUSIVE USE AREAS, (In terms of Section 27 of Act 95 of 1986) R1650

Additionally, an amount of R165.00 is charged per additional exclusive use area.

SARS

VAT ON THE PURCHASE PRICE

On the SARS tab, when the purchase price excludes VAT, GhostConvey no longer adds the VAT amount

in the Other Consideration field. The VAT is now added to the purchase price in the Selling Price

field.

TRANSFERORS AND TRANSFEREES:

Names are now defaulted to the Full Name field as follows:

Sale in Execution, Insolvent Estate or Estate:

The full name of the individual and spouse will default. You will be warned if the default exceeds the SARS

character limit for this field. The character count will show next to the field.

If the Cause of Action is Sale in Execution and a High Court is selected on the Transfer tab, the full name

will default to “SHERIFF OF THE HIGH COURT, OWNER Full Name/s”.

If the Cause of Action is Sale in Execution and a High Court is not selected on the Transfer tab, the full

name will default to “SHERIFF OF THE MAGISTRATE’S COURT, OWNER Full Name/s”.

If the Disposition is Insolvent, the full name will default to “INSOLVENT ESTATE Full Names 1234/2013”

where 1234/2013 is the Letters of Executorship number.

If the Disposition is Deceased, the full name will default to “ESTATE LATE Full Names 1234/2013” where

1234/2013 is the Certificate of Appointment number.

TRANSFEROR SURVIVING SPOUSE

If the Cause of Action is Deceased Transfer, the transferor is deceased, there is a surviving spouse and "Property

registered i.n.o" is "Deceased and surviving spouse", the surviving spouse will not be sent as a separate seller in

the Transfer Duty Application. None of the spouse fields will show in the SARS details section.

The SARS DataSheet has also been updated to exclude the surviving spouse.

For all other settings, the surviving spouse is still included in the Transfer Duty Application.

"ANY OTHER CONSIDERATION" CALCULATOR

The calculator next to the Any other consideration field on the SARS tab has been updated as follows:

If the transferee is paying the account, the commission should be included in the Any other consideration

amount

Sheriffs Commission: the portion of the sheriff’s commission that exceeds 5% of the purchase price is added

to the Any other consideration amount

Public Auction: the full auctioneer's commission is added to the Any other consideration amount

Dutiable options: all amounts marked as dutiable are added to the Any other consideration amount

The generic consent instruction now allows for multiple interest clauses per guarantee.

There are the following new Consent Types:

The implementation of multi-branches in GhostConvey v14.9 has resulted in your branch information and

credentials moving to dotNET setup under Firm Settings > Our Branches

To edit details for a branch, click on the branch name and edit the fields as required. The following 3 tabs are linked

to your branch credentials and are available at the top of the screen:

CERTIFICATES AND EP FOLDER PATHS

Certificates, EP Folder Paths and SARS usernames are saved per user under My Settings. If your Firm has

multiple branches, it will be per user per branch.

Click on the Select buttons to navigate to the certificates and the Browse buttons to navigate to the EP folder.

My Settings will always be visible, even if users have no setup rights.

MULTI-BRANCH – NEW INSTRUCTIONS

If you have multiple branches set up, a branch drop-down menu will be included in the dialogue box presented

when accepting a new instruction to enable you to allocate the instruction to a branch:

WEBCONVEY

The WebConvey Attorney Code is entered under Firm Details > Our Branch for each branch:

If you don't know the WebConvey Attorney Code, this field should be left blank. This code will default but should

you need to capture it, the Attorney Code is the first section of the WebConvey Logon Code.

For example, in the WebConvey Logon Code 30000-10902, the WebConvey Attorney Code is 30000 and the

WebConvey User Code is 10902.

Please remember that permissions need to be set to send/receive for Nedbank and that you should be logged into

WebConvey when doing a send/receive.
