Go! Reports – Section 1 What reports can I run and view?
The Report Management area of Go! gives you access to run reports that pull together the information about
your level on Go!.
Access to information on Go! is granted according to the active role(s) you have. Reports on Go! can be run by
the following groups:
Unit user
District user
Division user
County user
Adviser/Coordinator
Reports for all volunteers
If an individual’s role is not included in the user group list, they will need to ask another member of that user
group to run that report for them. They can still log in and update their own personal information.
The following pages explain how to run a report, who can run each report, and what the report shows. Some
reports use filters to help you personalise the report, and these are explained within the report descriptions
below.

How to run a report on Go!
1) When you have logged into Go! select .
2) Select your user group based on your role.
It is important you select the correct one for your role
– use the icons for information about which roles
are in each user group.
3) Select the level you want to run the report for.
If you want to run a report for a lower level (eg a unit
in the Division), select the building icon and then
select the level’s name.
4) Select the name of the report you would like to run.
5) If the report has a filter, you will see the ‘Enter
Values’ screen.
Select the relevant option from the list or calendar, or
type the information into the white box as
appropriate.
Select OK to run the report.
Note: If the report you are running does not have a filter, it will run automatically.
6) When the report opens you will see the first page
detailing what the report shows and how to use it. Use
the toolbar to move to the next page(s).
Remember to close the report once you have finished
using it.

To run a unit user report:
1) Select the ‘Unit user’ option.
2) Select the unit from the list.
3) Select the report you wish to view.
Contact list and emergency details
Provides details for all young members and/or volunteers in a unit. This includes contact details, emergency
contacts, photo/video permission and medical/dietary information.
Ideally this report should be run only when required. If it is stored or printed, it must be kept securely on a
password-protected laptop/PC and destroyed (shredded/deleted) as soon as it has been used.

on their date of birth.
Contact list and emergency details (Excel)
Provides the same information as the Contact list and emergency details report, but in a format which is more
adaptable when saved as an Excel – Data Only format. This report should be used only if absolutely necessary
and should be deleted as soon as the data has been used.

Girls’ individual details Shows all the information stored on Go! about each girl. It is best practice to give this to each girl's parent/carer once a term for them to check that the data is correct. This should be given directly to the parent/carer or in a sealed envelope. Once the forms are returned, update Go! as required before destroying the forms.
Section age profile
Basic statistical analysis showing the number of girls by age and the number of volunteers.
The Senior Section Contact Report
Provides contact details for all those aged 14 to 25 in the unit. It also shows whether they are a member in a
Senior Section unit and/or whether they have a volunteer role.
Unit all-purpose form A form listing all active young members in the unit. It can be saved in a ‘Microsoft Word (97-2003) – Editable’ or ‘Microsoft Excel Workbook Data-only’ format, or printed as it contains only names and membership numbers. This can be edited for specific purposes.
Unit directory
Lists of all the volunteers in unit team, with their contact details.
Unit Information and Consent for Event/Activity Form This report fills in the second page of the Information and Consent for Event/Activity form with the name, age, membership number and photo/video permissions of every individual aged 17 or younger in the unit. The first page of the form, the event details, is included as a separate PDF link.

Shows summary information about the unit and the unit team roles.

Starting leaflet report
Fills in the Girlguiding ‘Starting’ leaflet for that section based on the role and information held about the
individual on Go!. This should be given directly to the parent/carer to update the information and give unit-
specific permissions. The five pages should be used as follows:
The parent/carer keeps pages 1 and 2 for their own records as it contains important information
Pages 3 and 4 are returned to the Leader, who should update Go! based on this information. Once Go! is
updated these pages should be destroyed
Keep page 5 with your financial records so that you can claim Gift Aid

A register to record attendance at unit meetings. This can include young members and/or volunteers in a unit,
and has space to record visitors. Includes photo/video permission and medical/dietary information.

Unit subscriptions due
A report which can be run for the unit to show all individuals with current roles in that level. It groups
individuals into three categories:

Members who are to be paid for elsewhere
These individuals are members but will be included
only on the other level’s annual subscription invoice,
not yours.
Recognised Volunteers who do not need to be paid for
These individuals do not pay the Girlguiding
subscription or receive the Girlguiding membership
benefits.
Unit waiting-to-transfer list
List of all the girls on the unit’s waiting--to transfer list, including contact details. These are existing or previous
members who are waiting to attend unit meetings. It also provides details of any other roles the young member
currently holds. This report does not include information of those new to guiding who are currently waiting to
join on Join Us.

Unit waiting-to-transfer list (Excel)
Provides the same information as the Unit waiting-to-transfer list report, but in a format that is more adaptable
saved as an Excel – Data Only format. This report should be used only if absolutely necessary and should be
deleted as soon as the data has been used.
Area contact details
Shows the current main contact details for individuals in key roles in the District, Division and County team. It
also shows contact details for the main contact for any other level which has the same parent (eg other units in
the same District). This should be used to find contact details when required and should not be printed or saved.

Area contact details
Shows the current main contact details for individuals in key roles in the District, Division and County Team. It
also shows contact details for the main contact for any other level has the same parent (eg other Districts in the
same Division). This should be used to find contact details when required and should not be printed or saved.
For contact details of volunteers in levels below yours please use one of the directory reports.
Commissioner report
Provides contact details for all Commissioners in the area, along with role dates to assist with Designate period
support and transition planning.
Current roles
Shows the name of individuals currently undertaking a specified role. It details the role name, specialism, start
date (the valid from date) and when they are due to finish that role (the valid to date). It is grouped by level.
For contact details for these individuals please use one of the directory reports.

Creates a list of volunteer roles which are due to expire within a period, based on the each role’s valid to date.
The report enables the Commissioner to succession plan, update roles and thank volunteers.

Lists contact details for volunteers in the area in alphabetical order (A-Z), along with the roles they hold. This
can show volunteers in just one section, who hold a specific role or within an age range. It can also be used to
show level main contacts.

Directory – levels and roles
Provides the same information as the Directory – alphabetic report but the information is instead grouped by
level (eg all the Unit Team for a specific unit are grouped together). This can show volunteers in just one
section, who hold a specific role or within an age range. It can also be used to show level main contacts. For
information about the report’s filters see the Directory – alphabetic report.

First aid certificate report
Shows any unit that does not have at least one Leader, Assistant Leader or Leader in Training with a valid first
aid certificate, or won’t within the next six months. It can also be used to show individuals who may need to
renew their qualification.

Leadership Qualification statistical report
Shows statistical information about those working on and completing the Leadership Qualification in the area

Leadership Qualification contact and status report
Shows individuals with the role of Leaders in Training, or the role of Young Leader LQ, in the area. Includes
contact details, details of the modules they are working towards and their Mentor. This module information
should be updated through the County's Leadership Qualification Coordinator using County Go!. The Mentor and
the person being mentored can see this information using the My mentoring information report.

Long Service Award report
Calculates which members in the area are due to receive a long service award during a specified period. It
includes the last award presented to the individual so can be used to check that all relevant qualifications have
been presented. A summary table shows the number of each award which is due to be presented to help with
ordering the awards. The contact details for the individuals can also be shown but should be selected only if
absolutely necessary, and extra care with storing and destroying the report should be taken if this option is
selected.

Qualification by individual report
Shows who has completed a specific kind of qualification in the area. It includes the individuals’ contact details
and can be filtered to show qualifications completed in a date range.

A report which can be run by a member of the level team only, to show all individuals with current roles in that
level. It groups individuals into three categories.

Reports for all volunteers
These reports are about the specific individual who is running the report. These can be run through the Update
Details area of Go! as follows.
1) When you have logged into Go! select .
2) Select the name of the report you would like to run.
3) When the report opens you will see the first page
detailing what the report shows and how to use it. Use
the toolbar to move to the next page(s).
Remember to close the report once you have finished
using it.

Individual details report (‘Your Go! details summary’)
Shows all the information stored on Go! about the individual. This includes a calculation of the individual’s
length of service. This report can be run by all active volunteers and members of The Senior Section.
My mentoring information
This report can be run by an active individual with one of the following roles:
Leader in Training (and Branch Leader in Training)
Young Leader-LQ (and Branch Young Leader LQ)
District Mentor
Division Mentor
County Mentor
The report provides the individual working on their Leadership Qualification with the current contact details for their Mentor(s). It also provides a Mentor with the current contact details for all those they are mentoring.
