GR-1372 is an artificial series, created by the Provincial Archives of British Columbia in the 1920s and 1930s from records of the governments of the Colony of Vancouver Island (1849-1866), the Colony of British Columbia (1858-1866) and the united Colony of British Columbia (1866-1871). The records, consisting of correspondence inward to and among officials and departments, were originally organized more or less chronologically as records of the department or agency to which they were sent, e.g. Colonial Secretary, Attorney-General, Commissioner of Land and Works, etc. Letters when received were logged into a register and assigned sequential numbers with the last two numbers of the year appended, creating the file number, e.g. 105/62. Some of these registers still exist, e.g. GR-0625. The correspondence was often accompanied by enclosures such as reports, sketches and maps which were considered part of the file. Sometime during the 1920s and 1930s, Archives staff undertook to re-organize these records into a single alphabetical series organized primarily by the name of the originating office or sender (road tolls and petitions are notable exceptions). Formerly separate records were intermingled and the original order was lost. The records were indexed using new file numbers assigned for that purpose. These are the F numbers written in red crayon on the records. Starting with the number 1, each folder of records in the new alphabetical sequence was assigned a number as well as the individual files (items) within that folder, e.g. F33/1. It appears that later insertions into the alpha sequence, after the initial assignment of numbers, were dealt with by using letters (e.g. F85a, F85b), or a number in parentheses (e.g. F79(1), F80a(1)). When an F file required more than one folder, either letters were added to subsequent folders, (e.g. F102, F102a, F102b) or numbers in parentheses were used (e.g. F142b(1), F142b(2)). The F numbers on the documents, however, were not affected by the change in numbering as they formed one continuous sequence (e.g. F102, files 1-9; F102a, files 10-22; F102b, files 23-30b).

The indexing was done on cards, by name of sender, recipient and subject. It was never completed. The index covers most - but not all - files from 1 to 1212a (Abbott – Navy-H.M.S. Ganges).

2 Indexed files all

have red F and item numbers written on them (but not all files with F numbers written on them have been indexed, e.g. Nind). Records in files that have not been indexed do not have F and item numbers written on them. The cards provide the main file number and the individual item number. The original card catalogue is available in the Reference Room and on microfiche (GR-1920, 212 fiche). Subsequent to the creation of the colonial correspondence series, records were removed from files (in whole or in part) and integrated with related records catalogued as part of the main manuscript collection (mostly under the “old” classification system).

3 At the time the records were removed, there were no

notes about the transfers. The only indication is the red F number on the records in the new locations. Records removed from un-indexed files will have no F number and cannot be readily identified as once having been part of the Colonial Correspondence series. If the location of the transferred records is known, this information has been provided as well as the file name if it was lacking. When not known, the file name has been noted as unknown and the file as not filmed. In some cases there is an empty file folder labelled with only a number and with a note that the file was “not available for filming”.

4 In folders

where only selected documents have been removed, there is often a note or notes identifying - by item number - records “not available for filming”. These notes appear to have been added in advance of the filming (1978-1980) of the records and appear on the microfilm. There are also a few numbered folders with notes stating that those particular numbers were “unassigned at time of Colonial Correspondence inventory ca. 1970”. In other cases there is no file folder, numbered or otherwise. The current acid-free file folders probably replaced the original folders about the same time as the filming of the records. The

appear to have been indexed. The contents of a number of Colonial Secretary files also lack F numbers, in whole or in part. These records also do not appear to have been indexed. 3 This classification system was developed and introduced in the latter half of the 1930s. The records catalogued

under this system are now referred to as the “Old MSS” collection. Some of the “Old MSS” records were later transferred to GR and MS accessions – a system introduced in the mid-1970s. The entire colonial correspondence collection was itself assigned the government record accession number GR-1372. 4 In a least one folder is a note stating “Documents removed prior to filming and catalogued in Old MSS collection.”

microfilm shows some older file folders. It would appear that the files were originally housed in file drawers and rehoused about the time the Archives moved to its new quarters in 1970. In at least one instance, records were removed from an “Old MSS” file and transferred to GR-1372. Selected correspondence from A/C/20/Vi3F (previously M585) was moved to F560a2. Among the records remaining in A/C/20/Vi3F, however, is one item with F560a2/1 written on it. While there is no note about unavailable files in the F560a2 folder – other than to “see A/C/20/Vi3F” – there is a note in the A/C/20/Vi3F folder, dated 1979, referencing the transfer of selected (but unspecified) records to F560a2. It would appear that the letters transferred from A/C/20/Vi3F to F560a2 were those sent to colonial government officials and what remained in A/C/20/Vi3F was HBC correspondence. The documents transferred to the folder for F560a2 were not added to the index for GR-1372, nor were the file and item number written on them. Some of the index entries for items originally in the F560a2 folder may have been removed but at least 3 cards remain in the index

5. In an interesting twist, one of the items

transferred from A/C/20/Vi3F to F560a2 was apparently previously part of F810 – a faint F810

9 can be seen in the top right hand corner of the letter of 15 July 1859 from R. Finlayson to W.A.G. Young. A number of maps and plans were also removed from files and transferred to the map collection, some after microfilming. In most instances there is a note in the file folder about the removal. Items assigned map registration numbers or call numbers have been noted in the descriptions for the files from which they were removed. Some maps were removed and their current location is unknown. In other cases, cartographic material was left in the files and was microfilmed. Some of the correspondence was transcribed by Archives staff, most likely in response to requests for copies of the records, of which carbon copies would have been made, or to reduce wear and tear on heavily-used files.
