✔ Common Registration Questions CAN I CHANGE MY NUMBERS? You are allowed a total of three drops prior to the final payment due date. The deposits for these drops will apply to the final balance. All other drops prior to the final payment due date result in the forfeiture of those deposits. All drops after the final payment date will result in forfeiture of those deposits and incur an additional $100 late charge for each drop. ARE THERE SCHOLARSHIPS AVAILABLE? We don’t want money to stand in between any student and camp. The Passport Camp Scholarship Fund provides financial assistance for youth and children who could not otherwise participate in our camps. GETTING TO CAMP

CHECK-IN

✔ Check-In is from 2:00-5:00 p.m. Eastern

HOW DO I FIND PASSPORT? Look for our flags and staff to welcome you. The Check-In location will be indicated on the campus map.

WHO CHECKS MY GROUP IN? You and one other adult will come into the camp office while our staff will hang out with your campers outside.

“OH NO, WE HIT TRAFFIC AND ARE GOING TO BE LATE!” Please call the camp office during Check-In hours and let them know when to expect you and the total number of Males and Females, campers, and adults and t-shirt sizes. We will have it ready for you. Late groups will be asked to wait until the end of Opening Celebration to Check-In.

MOVING IN

✔ Housing PRE-PLAN ROOM ASSIGNMENTS Review our Safe Harbor Policy and plan rooming ahead. You will find the policy on pg. 9 of this packet.

BE FLEXIBLE Initial housing assignments are made 5 days before you arrive at camp, but adjustments must sometimes be made.

CHECK YOUR ROOMS Do a quick visual check of each room. Note any problems to the Assistant Director during the first Adult Meeting. On check-out day campus personnel inspect each room for damage and collect payments for damages and lost keys before your group departs.

✔ Phone and Internet Access ADULT CHAPERONES Limited wireless Internet is available on campus. Adults are permitted to have cell phones and other electronic devices; however, we would ask that you use them with discretion. Celebrations and Worship services may not be recorded or streamed live.

STUDENTS Campers are not permitted to have cell phones or other devices at Passport. Help your students disconnect from the distractions and connect with each other and God. As a part of your campers’ Digital Sabbath, ask your campers to turn their cell phones and other devices over to you before the Opening Night of camp. You will return them Friday morning.

NOTE: If staffers see a student with devices during the week, they will be collected and given to the Group Leader. Please help us enforce this rule, as it will enrich the camp experience.

✔ Camp Snail Mail MAIL EARLY AND INCLUDE YOUR RETURN ADDRESS Camper mail is distributed daily at the address on the General Information page. Late mail is

marked “Return to Sender,” but ONLY with a visible return address.

✔ Camp Food WHAT MEALS ARE COVERED? All meals from dinner on Opening Day through breakfast on Closing Day are included in the program fee, with the exception of dinner on Night 3 during Church Group Free Time. Breakfast and dinner are prepared by the campus food service and served in campus dining facilities. Each day’s lunch will be prepared picnic-style on the campus quad.

FOOD ALLERGIES? Please alert us to special dietary needs (1) in the Special Attention box on our registration website by May 1 or (2) by calling the national office at least 2 weeks before your session.

✔ Mission Offering Campers will learn about global needs and are given the opportunity to support Christian ministries working to meet those needs. The camp offering is collected in the final night of Worship. Please help your students plan ahead for this as you prepare to come to camp.

✔ Camp Theme: ENOUGH THEME VERSE: [Jesus] said to me, “My grace is enough for you, because power is made perfect in weakness.” 2 Corinthians 12:9a (CEB) DAILY THEMES

Day 1: God is Enough. Day 2: I am Enough. Day 3: There is Enough. Day 4: Enough Already.

✔ Parties

Night 1 – Messy Rec Party “Ain’t No Mountain High Enough!” This is an outdoor event (weather permitting). All campers must wear closed-toe shoes and clothes that can get dirty. They can bring a red, blue, or green t-shirt to match their Bible Study group. Be aware that clothes will get wet and dirty, and unless laundered, will likely be unusable for the remainder of the week.

Night 2 – Christmas Dance Party Jingle all the way down to the jolliest holiday party of the summer! Wear your favorite holiday costume to celebrate Christmas in July. Channel your favorite Christmas movie character, decoration, movie character, and more. Come ready to dance, celebrate, and play your favorite Christmas games to get you in the spirit. Youth groups are strongly

encouraged to plan their costumes prior to camp! There will be a prize for the most creative group.

Night 3 – Church Group Free Time Free time is from 2:30 to 9:00 p.m. Dinner will be on your own. Plan to be back on campus for worship at 9:00 p.m. Students participating in Worship should be back for rehearsal at 8:30 p.m.

Night 4 – Variety Show The votes are counted, the lights are shining bright, and the globes are ready to be awarded. Bring your skits, songs, and any other acts to share as campers cheer you on and enjoy the variety of our gifts and talents. Group leaders will sign up acts for a screening. Acts are chosen on variety, appropriateness, creativity, group representation, and time constraints. Screenings must include clothes to be worn. The act they present in the Variety Show must be the same as the act screened. Space is limited. Priority is given to group acts.

✔ Choice Courses HOW DO STUDENTS SELECT CHOICES? Students will select a first, second, and third Choice option during Camp Check-In. Our staff will do their best to accommodate first or second Choices. Adult chaperones will also have the opportunity to select Choices. DO CHOICE COURSES CHANGE EVERY SUMMER? No. The Choice curriculum does not change from year to year, and availability is subject to change. WHAT ARE SOME OF THE CHOICE COURSES? Game Face – Teamwork, fairness, leadership, and persistence will each be discussed in this sports-focused choice helping athletes with their game face.

Missions – Putting faith into action

Victory Lap – Juniors and Seniors only! Prepare for the responsibilities life throws at you as you forge your way into adulthood.

Make space for hearing the voice of God in the midst of life’s transitions.

World Play – Playing new games and gaining a love for our global neighborhood.

Color Palette – Expressing faith through visual arts.

High Rise – 6-8th graders only! Preparing for your next phase of life by learning how to establish solid foundations with your faith, family, and friends.

Curtain Call – Explore the power of drama in expressing one’s self as a follower of Christ.

Tree Space – God calls us to care for the earth—but what can one person do? Come and find ways to make an impact locally and globally.

Grace Notes – Write lyrics, make music, and create authentic worship experiences while uncovering the meaning and purpose of music and worship. TIP: Spend time before camp helping your students consider their areas of interest.

PREPARING ADULTS

CHAPERONES, GROUP LEADERS, AND NON-CAMPERS

WHO IS THE GROUP LEADER? The Group Leader is the lead Chaperone, responsible for the camp registration and participants. Youth eligible for PASSPORTchoices must have completed grades 6 through 12 at the time of camp.

✔ Group Leader Checklist • A container to store collected cell phones

and devices • A backpack or duffel bag • Pens and pencils for your group • Notecards for Church Group Devotions • Portable First Aid kit for minor injuries • A supply of medication for headaches or

(motion) sickness • Insect repellant and sunscreen • Cooler(s). There are no refrigerators in the

rooms. • Snacks and bottled water • Fans for stuffy dorm rooms or white noise • Trash bags - for general group use and

individual rooms. • Laundry detergent and quarters for coin-

operated laundry machines • Paper towels, tissues, and Lysol

WHO IS A CHAPERONE? Chaperones must be at least 20 years old at camp and be one year past their high school graduation. All Chaperones driving vehicles at camp must be at least 21 years old.

HOW MANY CHAPERONES DO I NEED? The Chaperone to Camper ratio in each group must be at least 1 Chaperone per 6 Campers of the same gender. For example, if you bring 8 female and 3 male Campers, you must bring 2 female Chaperones and 1 male Chaperone.

WHAT IF MY PASTOR WANTS TO VISIT FOR A DAY? Pastors are more than welcome to come, but these requests must be made by email to [email protected] or by calling 800-769-0210 by April 1. Guests must be registered with the group even if they are not participating in camp programming.

WHAT IF WE NEED TO BRING A BABY OR SMALL CHILD? Babies and children are more than welcome to come, but a request must be made by email to [email protected] or by calling 800-769-0210 by April 1. A camp coordinator will discuss the specific guidelines, waivers, expectations, and any additional fees with the Group Leader. Fees for non-participating family members are $150 with meals, $225 without meals.

✔ Do Not Bring • Firecrackers, bad attitudes,

shaving cream for a purpose other than its intended use, water balloons, tobacco products, illegal drugs, alcohol, firearms—all the usual no-nos. Churches will be held responsible for property damage and/or cleanup costs incurred.

• Students may not bring clothing, hats, flags, posters, or other room decorations that are seen as divisive, inflammatory, or offensive.

WILL OUR VEHICLE(s) BE NEEDED? Yes. Church vehicles are needed for transporting the youth from campus to their Choice field trips. If you are flying, taking the train, or chartering a bus, you must have transportation at camp. For those of you chartering a bus, those buses will take groups to field trips. The PASSPORTchoices staff will assign drivers to each Choice as needed.

✔ What Do Chaperones Need to Know Now?

CHAPERONES SHOULD KNOW ABOUT SAFE HARBOR. Passport requires a background check be completed for every adult attending camp. A Chaperone Screening Certificate (in the Addenda) requires a list of every adult accompanying your group with a checked box indicating a completed background check. Any official statewide background check that you have conducted within the past three years is acceptable. A ministerial staff member of your church must sign the certificate to be presented when your group arrives at camp for Check-In. Passport Inc.’s Rooming Policy regarding Adult/Minor Rooming requires that an adult cannot sleep in the same room alone with a minor unless that adult is the parent or legal guardian of the minor. In lodging where there are multiple beds, we will arrange for at least two adults who are not married or related to stay with multiple minors as space allows. This may occasionally necessitate placing more than one group in an apartment or dorm suite. If there are separate bedrooms, an adult will be given their own room or may share with another adult. In the event that your group’s policy is stricter than this, Passport, Inc. will follow your policy to the best of our ability. Special rooming requests may require additional payment based on single room costs from our host facilities. You may email your request to us at [email protected]. It is the Group Leader’s responsibility to make specific rooming issues known to Passport in writing prior to the Final Payment Date so that we can adequately plan.

CHAPERONES SHOULD HELP YOUTH HONOR DIGITAL SABBATH. As a part of Digital Sabbath, we ask your campers to turn their cell phones and other devices over to the group leader before the Opening Night of camp. Devices will be returned to them Friday morning. Some group leaders may allow limited GROUP windows to “call home” which is up to you. Our recommendation and belief is that they will be surprised at how much they love being disconnected. Please help us in enforcing this rule, as it will enrich the camp experience. Please talk openly about this Digital Sabbath with your parents, as sometimes the parents want that daily connectedness to their students. Chaperones will be posting photos; if there is any emergency, the parents will be quickly notified and able to speak to their students. Ask them to join the Digital Sabbath, praying for their student every time they think to text or call them during the week.

CHAPERONES SHOULD HELP YOUTH RESPECT THE DRESS GUIDELINES. Campers and adults should dress modestly and appropriately, according to their size and developmental stage, the entire week of camp—on and off campus. Please consider these guidelines, as it is the group leaders who will monitor their group's clothing: • Modest shorts, shirts, & swimsuits • Properly fitting clothes • Avoid low-riding, short and/or revealing clothes. • No clothing with inappropriate language/advertising. • Clothing should not stereotype or make fun of any person or culture. • Shirts with sleeves & closed-toe tennis shoes are required for Choice time. • Bring some clothes that can get dirty at Rec Party and for various games or activities.

✔ Medical Release Form Passport has moved our Medical and Photo Release Forms to a secure online platform. We hope that this will streamline the process and be easier for all parties involved.

STEPS FOR GROUP LEADERS: 1. On March 2, you will receive an email from [email protected] listing the unique URL for

your church. Note: this link will be specific to your youth or kids program registrations. 2. Send the URL to your chaperones and camper parents/guardians, or have everyone fill it out at

an informational meeting. Ask parents to bring their Medical Insurance information and doctor’s address so they can complete the form.

3. Participants will receive an electronic copy of their waiver and copies of each signed document will be sent to the email address of the Group Leader on file. Watch for emails to come in from Passport with a link to each person’s Release Form, their name will be in the subject line. If you need to change or update the Group Leader email on your account, click here.

4. Links expire within 3 days, so click the link and download the form for your records. 5. Keep track of who on your roster has completed their form using these emails. We recommend

moving forms to a dedicated folder you can easily return to later. 6. If your church has a separate Medical Release Form, there’s no need to print and bring this

form to camp or MissionBASE. If your church does not have a form, then print and bring a copy of this form with you for your records. Note: When printing forms, they are 4 pages long, but text is very large. We recommend printing 4-to-a-page, since these are still legible and use much less paper.

7. If anyone in your group arrives at camp without a completed Medical Release Form, they will not be allowed to participate in camp activities until a completed Medical Release Form is submitted online.

CAMP PLANNING MEETING

We recommend that you hold a camp-planning meeting at least two weeks prior to your departure date.

✔Invitations Announce your meeting. Invite the following individuals: • Campers and their Parents/Guardians • Adult Chaperones

✔Medical Release Forms Use this meeting to have parents fill out the Medical Release Form, or you can send out your Medical Release Form link ahead of time for parents to fill out prior to this meeting. In any case, be sure to remind parents (and chaperones) to fill one out. We recommend that you print a copy for each camper for your records at camp.

✔Meeting Time Generally, a Camp Planning Meeting will last from 30-60 minutes, depending on group size.

✔Checklist ¨ Welcome/Introduction Thank everyone for attending and share your excitement about this

summer’s camp. Be sure to introduce the adult chaperones, encouraging campers and parents/guardians to thank them.

¨ Camper Digital Sabbath In detail, go over the Digital Sabbath policy. Assure parents you are available if they need to get in touch with their student.

¨ Distribute Handouts Give the Parent Essentials to each camper family and adult chaperone. Go over the basic information on the page, offer tips from your own experience, and discuss Variety Show opportunities, Mission Offering emphasis, etc. Also, let parents know about dance costumes needed along with clothing for Worship, and clothes that can get messy/wet for Rec Party. Suggest that parents make 3 cash envelopes for their campers: mission offering, store, and travel meals.

¨ Go over Campus Info Review the following information: • Campus Mailing Address • Emergency Phone #s (including your own) • Sheet sizes (although we encourage sleeping bags) Encourage parents/guardians to write notes for their campers and send them a day or two before your departure.

¨ Camp Rules, including

Dress Code

Detail the camp rules emphasizing the dress code. Campers need to have appropriate length shorts, closed-toe shoes, and modest clothing.

¨ Show the Passport

Theme Video

Consider showing the 2018 Passport theme video, available at our website, www.passportcamps.org. The video will build excitement among your campers!

CAMP PROGRAM

✔ Choice Courses Students will select a first, second, and third Choice option during Camp Check-In. Our staff will do their best to accommodate first or second Choices. Adult chaperones will also have the opportunity to select Choices. The Choice curriculum does not change from year to year, and availability is subject to change.

HERE ARE SOME OF THE CHOICE COURSE OPTIONS: Missions – Putting faith into action

Victory Lap – Juniors and Seniors only! Prepare for the

responsibilities life throws at you as you forge your way into adulthood. Make space for hearing the voice of God in the midst of life’s transitions.

World Play – Playing new games and gaining a love for

our global neighborhood.

Color Palette – Expressing faith through visual arts.

High Rise – 6-8th graders only! Preparing for your next

phase of life by learning how to establish solid foundations with your faith, family, and friends.

Curtain Call – Explore the power of drama in

expressing one’s self as a follower of Christ.

Grace Notes – Engage creative senses through lyrics

and music.

Tree Space – God calls us to care for the earth—but

what can one person do? Come and find ways to make an impact locally and globally.

Game Face – Teamwork, fairness, leadership, and

persistence will each be discussed in this sports-focused choice helping athletes with their game face.

TIP: Spend time before camp helping your students

consider their areas of interest.

✔ Camp Theme: ENOUGH THEME VERSE: [Jesus] said to me, “My grace is enough for you, because power is made perfect in weakness.” 2 Corinthians 12:9a (CEB)

DAILY THEMES

Day 1: God is Enough.

Day 2: I am Enough.

Day 3: There is Enough.

Day 4: Enough Already.

✔ Parties

Night 1 – Messy Rec Party “Ain’t no Mountain High Enough!” This is an outdoor event (weather permitting). All campers must wear closed-toe shoes and clothes that can get dirty. They can bring a red, blue, or green t-shirt to match their Bible Study group. Be aware that clothes will get wet and dirty, and unless laundered, will likely be unusable for the remainder of the week.

Night 2 – Christmas Dance Party

Jingle all the way down to the jolliest holiday party of the summer! Wear your favorite holiday costume to celebrate Christmas in July. Channel your favorite Christmas movie character, decoration, movie character, and more. Come ready to dance, celebrate, and play your favorite Christmas games to get you in the spirit. Youth groups are strongly encouraged to plan their costumes prior to camp! There will be a prize for the most creative group.

Night 3 – Church Group Free Time Free time is from 2:30 to 9:00 p.m. Dinner will be on your own. Plan to be back on campus for worship at 9:00 p.m.-8:30 p.m. for worship rehearsal for students leading in worship. Night 4 – Variety Show The votes are counted, the lights are shining bright, and the globes are ready to be awarded at PASSPORT’s Golden Globe Awards.

IMPORTANT THINGS TO KNOW:

✔ Food Allergies Please make sure your group leader alerts us to special dietary needs (1) in the Special Attention box on our registration website by May 1 or (2) by calling the national office at least 2 weeks before your session.

✔ Housing Air-conditioned dorm rooms, suites, or apartments 2 people per room. TWIN XL bedding or sleeping bag, and towels needed. 24-hour campus security. Fees: $50 lost key, $25 lost key fob, coin laundry, and vending

✔ Cell Phones Taking up the Biblical idea of rest, we invite our campers to join us for a week of Digital Sabbath. Campers will not be permitted to have cell phones/electronic devices during camp. Your group leader can plan the best platform for daily updates about your church group at camp.

✔ Care Packages: Order by May 1 Pre-paid care packages are available for purchase online. Make sure to include your student’s name, church, and date and location of their week of camp. ✔ Camp Store There will be a camp store selling t-shirts, mugs, hats, stickers. The cost of camp items ranges from $5—$20. Proceeds go to support Passport ministries, a 501(c)3 non-profit, whose aim is to keep camp costs accessible to a broad range of economic incomes.

✔ Mission Offering Campers will learn about global needs and are given the opportunity to support Christian ministries working to meet those needs. The camp offering is collected in the final night of Worship. Please help your students plan ahead for this as you prepare to come to camp

✔ Do Not Bring • Firecrackers, bad attitudes, shaving cream for a

purpose other than its intended use, water balloons, tobacco products, illegal drugs, alcohol, firearms—all the usual no-nos. Churches will be held responsible for property damage and/or cleanup costs incurred.

Students may not bring clothing, hats, flags,

posters, or other room decorations that are seen as divisive, inflammatory, or offensive.

• We ask that all electronics be switched off and

put away while at camp. This is our Digital Sabbath rule designed to allow campers to focus on God, camp, relationships and themselves—not games or music.

✔ Dress Guidelines Campers and adults should dress modestly and appropriately, according to their size and developmental stage, the entire week of camp—on and off campus. Please consider these guidelines, as it is the group leaders who will monitor their group's clothing:

• Shirts with sleeves & closed-toe tennis shoes are required for Choice time. • Clothes that can get dirty at Rec Party and for various games or activity. • Modest shorts, shirts, & swimsuits • Properly fitting clothes • Avoid low-riding, short and/or revealing

clothes. • No clothing with inappropriate language/advertising. • Clothing should not stereotype or make fun of any person or culture. TIP: If packing something that must not get lost or left behind, please make sure there is a first and last name on it somewhere! If possible, city or church is helpful too.
